Preface

LYX is an open source document processor. While programs like MicrosoftWord are used to simultaneously type and visually format, other approacheslike wiriting LATEX code[1] combine the writing of text with formatting thecontent using a set of commands.

LYX is a nice compromise. It provides the user with a graphical interfacemuch like Microsoft Word. Text can be somewhat formatted (e.g., font size,text color, bold face, etc.), but the real formatting takes place using LATEX.

Together with a colleague of mine I have written a complete book in LYXfor CRC Press. This book is supposed to share with the reader the setup thatwe have used. While there are many other approaches possible, this setupworks. Please feel free to experiment.

The benefits of LYX What are the main advantages of using LYX overanything else?

• The interface is simple. It does not distract from writing. You can focuson bringing to paper what you want to say and do not need to worryabout layout.

• You do not need to know LATEX to get nice results. However, bit by bityou learn and can improve the results by inserting LATEX code into yourdocument.

• Being able to insert LATEX code directly into the document allows youto basically use all the fancy tricks of LATEX if you can and want to.

• It is highly satisfying to be able to press the “Create / Update AdobePDF” button along the way and enjoy viewing the final product. Thishas been very motivating for me.

Limitations Please beware that I have used only a Windows setup. Whilea number of things should be easily adjustable for a different operating systemenvironment, I have only experience with this setup under Windows.

Chapter 1

Setup

This chapter will help you in setting everything up. While you can just getgoing using LYX, I would suggest to spend the time to get fully organized.Early on you will want to organize your references. That’s where you wantto use BibTEX. I recommend JabRef. Soon you will need to create graphs.Go for The Gimp and Inkscape. Also, organize your files, images, originalartwork. Pretty much like running experiments: the more time you spendin setting everything up and thinking about how you want to do things, theeasier it is to later on focus on writing and not having to worry about layout.And don’t forget: thanks to LYX you can always check along the way thatnothing is going wrong. And... did I mention backups? DO make backups.If you are working on a big project, I would even recommend generating asecond setup of your system on a different computer and validating that itworks. Computers can crash and they tend to do so close to the deadline ofdelivering your work...

1.1 LYX

This text was written using LYX version 1.6.7-4. Since you are reading this,you have come across LYX and most likely have downloaded and installed iton your system. I will not bother you with this further. Only one comment: Iwould recommend not to do major updates to your MikTEX installation whileyou are writing your book. I did so and it caused me quite some headaches.

1.1.1 CRC Press specifics

CRC Press will provide you with their house style. It is called sunil.sty.Make a folder called sunil in C:\Program Files\MiKTEX 2.7\tex\latex\and place the file there. Afterwards, use the program MikTEX Settings andrefresh the FNDB (see Figure 1.1).

Note: if you would like to use the champmono.cls file rather than thesunil.sty file, please look at Section for more information.

1.1.2 Folder structure

I recommend using the following folder structure. If you want to use adifferent structure I would still encourage you to always use relative pathswithin LYX. For example, instead of referring to an inserted image in the LYXdialogue box by C:\Images\Figure1.pdf, I would use Images\Figure1.pdf.This way it will make it easier to move your whole project to a differentcomputer where the files might be located on a different drive.

My folder structure looks like this:

Some remarks: The main file is the core from which the different chapterfiles are linked. Using the function File -> Export -> PDF (pdflatex) willgenerate the PDF output of the whole book. For each individual chapterthere is one .lyx file as well as a folder with the images and the originals.If your work is to be camera ready and in full color, you want to generateCMYK images right from the beginning. Generate .pdf files via ImageMagick(see Section 1.5) and incorporate those into LYX rather than linking to theoriginals.

1.1.3 The main file

1.1.3.1 Document settings

There are a number of settings that can and need to be defined. Thesesettings are done for the main file and are not repeated in the individualchapter files.

Document Class Select book from the list. All the rest remains undefinedand unselected.

Modules I have nothing selected here. This is also a setting that was notavailable when I used LYX for writing our book.

Fonts Everything remains default here.

Text Layout Paragraphs are to be separated by Indentation. ChooseSingle line spacing and do not select anything further.

Page Layout I have used A4 as paper format. However, CRC also allowsyou to specify US letter. Keep the orientation to Portrait and the styleof the headings to default. The document is a two-sided document andtherefore the box should be checked.

Page Margins Keep the check box for default margins selected.

Language Set language to English and the quote style to“text”. For theencoding I had used Western European (ISO 8859-1), but I am not surewhether keeping the Language Default will do any harm.

Numbering & TOC Numbering stops at the level of subsubsection andalso everything down to subsubsection is to appear in the table of contents.However, if your book is very large, you may want to consider adjusting thisto your needs.

Bibliography I keep this to default (numerical).

PDF Properties This is a new feature that I have not experimented with.Therefore the use of hyperref support is deselected.

Math Options I have only selected Use AMS math package automati-cally. However, my book was not math oriented and you might need tochange things here.

Float Placement Keep using the default placement.

Bullets This is a matter of taste. I did not feel strongly about changing thedefaults and did not get any comments from CRC Press.

Branches I have not made use of this.

LATEX Preamble Now, here is where the fun starts. Lots of LATEX trickerythat I included based on my needs and / or based on the CRC Press require-ments. I will document the different settings as much as possible. If youdo not have any LATEX experience, it is important to know that everythingstarting with a % in this text will be considered as a comment. This has twouses: you can document what the different cryptic commands do and you cantoggle certain functions on and off. A LATEX wizard might be able to cleanthis up as it might include packages that are not necessary...

This includes many packages that I included based on the zip file thatincludes the sunil.sty file. It is called sunil_single 6 18 x 9 14.zip andcontains a sample file called sunilstyle.tex. I copied many of the packagesfrom this sample file.

Again some own creations that were linked to designing info boxes that Iwanted to include in the book. If you do not need them, you can just exludethis part. Note that I am using the CMYK color space for defining the colorsof the LYX boxes.

1.1.3.2 Structure

Start by writing the title of your book and assign the environment Titleto it. Below add a line with your name and assign the environment Authorto it. Now comes a chunk of LATEX code - insert everything in a single blockof LATEX code (without the comments, of course... ;-):

This will delete all the page numbers in the front matter (title page, dedi-cation, table of contents, list of figures, list of tables, preface, abbrevations &terms).

This simple command generates a separate page with your dedication - incase you choose to dedicate your book to someone.

This is also very self explanatory. It generates all the additions to thetable of contents (toc) that the LYX version does not automatically generate.For illustration purposes I have also included my own box type that I havedesigned. This is certainly something you can delete from your file, but youmay want to create something similar.

Now you want to actually generate the table of contents. This is done viathe menu by selecting Insert -> List / TOC -> Table of Contents.

Below that you need to generate all the lists (figures / tables / LYXBoxes).Again, this is simple via the menu: Insert -> List / TOC -> List ofFigures and List of Tables. The last list is a bit of LATEX magic thatneeds to go inside a LATEX box:

The final result of this is shown in Figure 1.2.Now comes the part of the preface. You start out by changing the way the

captions are done using LATEX code:

This change is accoring to the style of CRC Press. Then you are free towrite all of your preface.

The main file is already finished with the inclusion of the individual chap-ters, the bibliography and a few more LATEX commands. You first want toinclude the file with your terms and abbrevitations and then all your chapters.Do so via the Menu: Insert -> File -> LYX Document. In the dialogue boxselect the relative path to your file and select Include in the drop-down menuof the Include Type. Afterward you include the bibliography via Insert-> List / TOC -> BibTEX Bibliography. At this point you may want toquickly jump to Section 1.2, in case you do not yet have all your referenceinside a BibTEX file. Once you have this (even only a small dummy file to tryout the setup), continue here.

The last bit is again a bit of LATEX code:

This inserts an empty double page.

This makes the index pages look the way as defined in the CRC Press style.Figure 1.3 shows how the end of the main file will look like.

1.1.4 Chapter 1

After adding the heading of your first chapter and assigning the environmentChapter to it you want to add a little block of LATEX code:

This will ensure that the style of page numbers is arabic - the LATEX codespeaks for itself.

1.1.5 Figures

This is the way you want to include figures in your text. Essentially you canmake use of the standard figure floats but you will need to add some LATEXcode and the reference to the figure so that you can easily cross-referenceafterwards to you figure like I will do now (see Figure 1.4).

After inserting the figure float you add the image. Then you remove thedefault part that invites you to enter a figure legend. Rather you enter theTEX code for the caption as shown in Figure 1.4. Why? This way you createto captions: the first one inside the square brackets will be placed in thefront matter under list of figures while the one inside the curly brackets is thecaption that will go into the actual figure caption. Underneath you enter alabel for the figure that you can use to cross-reference the figure.

If there are index entries that you want to add to your figure, you need toadd the LATEX doe

in a line between the image and the line that defines the caption.

1.1.6 Tables

This is the code you want to use to include tables in your text. I couldnot get the tables to work until now. Therefore I ended up using LATEX codedirectly. However, once you read the code, you will see that it is not thatdifficult:

Insert a lable for the table and afterwards a second TEX block:

Table 1.1 shows how the table will look like and Figure 1.5 shows how thecode looks like in LYX .

1.1.7 Using champmono.cls

This section explains the steps how to use an alternative CRC Press style.I have not used this setup myself, but will include it here as well (thanks,Chris!) to give people a starting point in case you do not use the sunil.sty.

1. Put the champmono.layout file in C:\Program Files\LYX16\Resources\layouts

2. Put the chapmono folder containing amsbsy.sty, chapmono.cls,latex.ltx, and mathptmx.sty from CRC Press in C:\ProgramFiles\MiKTEX 2.8\tex\latex

3. Select START -> PROGRAMS -> MIKTEX 2.8 -> MAINTENANCE (ADMIN)-> SETTINGS (ADMIN) to open the MikTEX options window. SelectRefresh FNDB in the General tab (see also Figure 1.1).

4. Open LYX and select TOOLS -> RECONFIGURE. Close LYX.

5. Open LYX and select DOCUMENT -> SETTINGS and choose the champmonolayout.

1.2 JabRef

LYX can directly make use of BibTEX files that can be used to organizereferences. A nice tool to add/edit references is JabRef. You can downloadthe current version at http://jabref.sourceforge.net/. After you haveinstalled the program you can get going and add just a few references andsave the database. This will create a file with the ending .bib. Going backto your main file you can insert the bibliography database in LYX via Insert-> List/TOC -> BibTEX Bibliography (see Figure 1.6).

1.3 The Gimp

This is text about The Gimp[2].

Color images should have a resolution of at least 300 dpi.

1.4 Inkscape

Text about Inkscape.

1.5 ImageMagick

Later on you will hear from CRC Press that they need your color figures tobe in CMYK color space - not RGB. However, you will not always have yourgraphics in CMYK. Quite the contrary, most of my images were RGB. How toconvert those into CMYK? Another open source program will help here. Goto http://www.imagemagick.org/. After you installed the program, placeyour images into a single folder.

To be able to execute the conversion you will need two more files: googlefor sRGB.icm and USWebCoatedSWOP.icc. After you have placed these filesinto the same folder you can run the following command:

This will have created PDF versions of your images. It is these images thatyou want to store in your chapter-specific image folders and include into yourLYX document.

1.5.1 Image requirements

1.6 Adobe Acrobat Professional

This is the only non-open source program I have used very late in theproject. It has a “Preflight” function that allows you to check whether allyour graphs are in CMYK and not in RGB.

Chapter 2

Tricks

The following sections are an accumulation of commands I found useful whenoptimizing the layout of the book.

2.1 Varia

2.1.1 Sloppy

Sometimes you may be writing a part of your document where LATEX justdoes not seem to be able to break the end of a line correctly. You will identifythis by words that are a bit longer. This is ugly. If you cannot easily fix thisby rewriting your sentence, a last resort is the LATEX command

\sloppy

before the beginning of the paragraph that is causing you troubles. Don’tforget to tell LATEX to go back to it’s normal operation by giving anotherLATEX command after the problematic section:

2.2 Lose ends

Preventing hyphenation If you would like to stop LATEX from break-ing a word in two at the end of a line, you can use direct LATEX code:\mbox{FunnyWord}. If you want use some funny formatting inside the word,you can put the commands around it \mbox{ FunnyWord }. This will workas well in LYX.

Chapter 3

Remarks about writing

Let me finish by a few more comments that might help during the writingprocess.

3.1 Permission for previously published figures

Try to create all the figures yourself. For images, The Gimp is a great tool(e.g., for cropping, resizing, color adjustments, contrast enhancements, etc.- see Section 1.3). If you need to create drawings / sketches, I recommendInkscape (see Section 1.4). However, in case you need to include artwork thathas been published elsewhere and for which you do not have the copyright, youwill need to obtain permission. CRC Press will provide you with a template (tosend to the copyright owners) as well as a list (“Permission Verification Form”)in which you will need to document each figure. Start asking for permissionearly as this can take time. Not everybody can be easily contacted or isvery responsive. And to quote from CRC Press’ permission form: “Failure tosubmit this PV Form and Permission Grants with your manuscript will resultin a delay of publication of your work”.

3.2 Review at CRC Press

The following section will discuss things that will be checked and that youhave to prepare correctly so that the final PDF will be acceptable for CRCPress.

3.2.1 External review

The book will be send for external review at some point. At this stageit would be ideal to have the manuscript as complete as possible. Typicallythe review will take 5 to 6 weeks. The purpose of the review is to check the

content of the manuscript (there will be no proofreading done at this point(= no comments about grammar, punctuation, etc.).

3.2.2 Embedded fonts

The final document must include all fonts that you are using in your docu-ment. The easiest trick is to ensure that all fonts are embedded when insertinggraphs that also include fonts. For example, a figure might be a sketch withnames describing parts of the sketch. Then this sketch should already haveall the fonts it uses embedded. If you are using a Macintosh, you can useAcrobat distiller to embed the font. However, on Windows PCs the distillerdoes not embed fonts like Helvetica, Symbol, etc. that were used in figures.

3.2.3 Proofreading and copyediting

At this stage the document will be polished. You should not alter the textanymore in a major way.

3.2.4 Proofs

Approximately a month after production begins, you will receive first proofs.Generally you have about 30 days to correct them and send them back to CRCPress.

3.3 Index

Writing a good index takes time. You can leave this up to CRC Press,but you are the expert about what you are writing. I would suggest toreserve some time towards the end to make a good index. LATEX pro-vides a beautiful tool that you can toggle on and off by including the pack-age \usepackage{showidx} into your LATEX Preamble (see Section 1.1.3.1).When you include (uncomment) this package the generated PDF of your bookwill show in the margins of each page the index entries that you have madeon that page. This makes it very easy to check each page whether indeed allrelevant terms are covered in the index.

3.4 Cover

Most likely you will not be designing the book cover. We have done so aswe were lucky to have a family friend who was studying this at the time. Still,you may want to keep in mind that at one point - once the book is put intoproduction - a cover designer of CRC Press will get in contact with you andask for ideas / suggestions for artwork. Ideally you will have some thoughtsalready at that time. Even better: you would have images / artwork thatcould be used and that is available in a high enough resolution (see Section1.5 for comments regarding images and artwork).

3.5 Marketing and sales

Approximately half a year prior to the publication date, discussions aroundadvertising, marketing and sales activities are started.
