PurposeUse this procedure to display the structural overview of a project.

TriggerPerform this procedure when you wish to display a project structure.

PrerequisitesNone.

Menu PathUse the following menu path to begin this transaction:

Select Accounting Project System Information System Structures to go to the Project Info System: Structure Initial Screen.

Additional Information Projects consist of a definition and a structure.

The project definition is the binding framework for all the organisational elements in a project. Projects can then be broken down into a series of tasks. In SAP, these tasks are called Work breakdown structures. Work breakdown structures divide a project into manageable units. The tasks and activities can be broken down, until the appropriate level of detail required to carry out the task, is achieved.

The work breakdown structures form individual elements in a hierarchy. The further down the hierarchy you go, the more detailed the activity breakdown gets.

The SAP Project System is used to control the following University expenditure: research, development, estates, other services and capital.

Procedure

1. Start the transaction using the menu path or transaction code CN41.

Project Info System: Structure Initial Screen

2. As required, complete/review the following fields:

Field Name R/O/C Description

Project O Enter the project definition reference or click on the drop down box to view the options.

Example: OS.MECH

WBS element O Enter the WBS element number or the range of numbers.Example: OS.MECH.344001 to OS.MECH.344040

Network Order O Not applicable to the UOL.

Activity Operation O Not applicable to the UOL.

Materials in network O Not applicable to the UOL.

Level O Enter the level or range of levels you wish to view.

There are 99 different levels available in the hierarchy.

Example: 1 to 99

In this example the project definition for “mechanical engineering other services” is the only selection criteria entered.

3. Click on .





Project Information System

The top level of the hierarchy is displayed.

4. To expand out the hierarchy click on either or on the project description, and then on .






The project hierarchy is displayed.

5. To review an individual WBS element, double click on either the description of the WBS element you wish to display or the WBS element number.





Display WBS element: Basic Data

In this example the WBS element “Dynamics Students: OS.MECH.344031” is displayed.

6. To display the status of the WBS element click on the Status tab.

7. To display additional information regarding the status, click on .

The long text for the system status is displayed which indicates whether the project is released, what type of postings it can accept etc.

8. To display information regarding the ‘allowed’ and ‘disallowed’ business activity, click on the business process tab.

9. Click on to return to the Project Information System initial screen.

10. The status and hierarchy position of the WBS element can also be displayed on the hierarchy screen. Click on the WBS element you wish to display and then on the menu select Individual overviewWBS elements






The details are displayed at the bottom of the screen.

11. To return to the full screen display, click on .

12. To display financial data for the project as a whole or for individual elements of it, click on the project level you wish to view and then select EvaluatePeriod breakdown






The detail is displayed at the bottom of the hierarchy screen.

13. Click on and to display the financial year and period detail.






14. Click on to return to the Project Info System: Structure Initial Screen.






15. In order to view and select further report criteria click on .






The available options are listed. To expand out the tree, click on the to the left of the description.

Example: Master data WBS element

16. To make a selection, click on the description and click on .

Example: Person responsible

The dynamic selection will appear at the right hand side of the screen. The selection detail must be entered on this screen.






17. As required, complete/review the following fields:


Person Responsible R Enter the person responsible or click on the drop down box to view the options.

Example: 10824

17.1 Click on .

18. If the drop down box option is taken, to make a selection either double click on the person

responsible or single click on the person responsible and click on .






19. Click on .






There is now 1 active dynamic report selection .

20. Click on to execute the report.






21. To expand out the hierarchy click on either or on the project description, and then on .






Only the WBS elements matching the new selection criteria are displayed.

22. Click on to return to the Project Info System: Structure Initial Screen.






23. To delete a dynamic selection, click on .






24. Click on the dynamic selection you wish to delete and click on .

Example: Person Responsible.

25. Click on or click on . If the latter option is selected, the system will display the message:

27. Click on to exit to the main SAP menu.

28. You have completed this transaction.
