Delivering high-quality consultant services from 26 offices across the Midwest and New England, GZA’s growth can be attributed to targeted service development and a savvy acquisition strategy. Standing in the way of growing into a full-service company was the firm’s outdated back-office system. “Unfortunately, we were on a legacy system for over twenty years that was DOS-based,” says Seta Liacopoulos, Accounting Information Manager for GZA GeoEnvironmental. “For us, service on our system was becoming non-existent; we only had one person that could service us, and they weren’t keeping up with our needs. The BenefitsVisibility Though GZA feared moving its legacy data to the new Vision platform would be a challenge, the migration process was handled efficiently in cooperation with Deltek’s consultants. Moreover, the firm experienced multiple, immediate benefits that changed the way GZA users viewed and accessed information. Before Deltek Vision, no one except those in finance could access the system. It’s a great time savings for the organization to have regular time sheet users input their time directly into Vision and project managers access the real-time information they need.

“Today, all users can access the system. This puts information at the fingertips of not only executives but also project managers and engineers. This ensures everyone knows the project numbers. Now, our data is out there for the whole company; it’s not limited to the finance team as in the past,” Liacopoulos explains.

Insight and Control Additionally, implementing a robust ERP solution means that GZA can track and monitor its projects with greater accuracy and insight. Vision helps the firm meet its key business process by delivering timely email and dashboard alerts. This is important for ensuring that Project Managers are on-time and on-budget with their critical project deliverables.

“Under this system, our Project Managers get an update as to what percentage of their project is complete so there are no surprises,” states Liacopoulos. “There are no more instances of ‘All of a sudden, I’m over budget’. Instead, when payments are supposed to be coming in and receivables are getting too high, our alerts ensure that our teams can collect the money before it becomes a problem.”

Likewise, it used to take us three days to get billing information into the hands of the Project Manager. Now, we’re at a point where we post timesheets on Monday and have the billing information to PMs by the end of the day.”
