• All members wishing to exhibit must submit the enclosed Exhibit Request Form to [email protected]. Pre-payment (if applicable) is required at the time the Form is submitted. See Exhibit Request Form. Space requests will not be accepted after July 29, 2017. ABSOLUTELY NO ON-SITE REQUESTS FOR SPACE WILL BE ACCEPTED.

Give Aways/Promotional Items
If your company opts to sponsor a Welcome Gift, Registration Give Away(s), Promotional Items for Session Attendees or for the Awards Dinner, your company agrees to provide a $1,000 sponsorship AND your company will be responsible for producing and shipping the item(s). Your company may print or embroider its logo on the item(s).
The NTDA will not assume responsibility or cost of producing and shipping promotional items on behalf of sponsors, but we will gladly distribute approved items to Convention attendees. The NTDA has the option to deny give aways that are inappropriate. Please refrain from providing sharp objects or items that would be banned by airport security in a carry-on bag. Your company must provide a minimum quantity of promotional pieces as agreed upon with the NTDA.

Exhibitors agree to all terms, conditions and covenants herein contained.
Space Selection & PriorityPrevious sponsors have the first right of refusal through Feb. 3, 2017. After that date, non-sponsors that exhibited in 2016 will then be allowed to request table space. Members that did not display in 2016 will be allowed to request space between March 4, 2017 and July 29, 2017. All requests will be accepted on a first-come, first-served basis. NO ON-SITE REQUESTS FOR SPACE WILL BE ACCEPTED.
Space is LIMITED Only one table/booth per member may be requested regardless of sponsorship level. Table space is limited and the NTDA reserves the right to stop accepting space requests once capacity has been reached. Members are encouraged to book space early to avoid a sold-out situation in the exhibit hall/ballroom.
Exhibit Request Form & Pre-Payment REQUIREDAll members wishing to exhibit must submit an Exhibit Request Form. Pre-payment for tabletop displays is required at the time the request is submitted. Payment for sponsorships that include a display are due 30 days from date of invoice.
At least one representative of your company must be a paid Convention registrant, and your tabletop or booth must be manned during the Exhibition & Strolling Luncheon hours. Paid attendee and spouse/guest Convention registration(s), golf and other optional tours/activities, and hotel accommodations are NOT included with tabletop display purchase.
All exhibitors their agents, employees, affiliates, invitees, contractors, subcontractors or workmen are subject to the rules and regulations of the National Trailer Dealers Association (NTDA) and those imposed by the TPC Sawgrass Marriott.
Liability Exhibitor agrees that it will hold harmless the NTDA, its Board of Directors, staff, and hired service providers.
1. Exhibitor agrees that it will hold harmless the TPC Sawgrass Marriott, its staff/vendors/suppliers/contractors.
2. Exhibitor is responsible for any and all damages to the TPC Sawgrass Marriott Golf Resort & Spa.
3. The NTDA reserves the right to refuse requests for space if a member is not in good standing or if a member is delinquent with payments owed to the Association.
4. The NTDA reserves the right to cancel this agreement at any time if, in its opinion, the terms and conditions of this agreement are not being observed.
5. The NTDA reserves the right to relocate your table or space if needed. Exhibitor will be notified of any changes.
6. Exhibitors may not sublet space.
Outside Services/Affiliated Service Providers7. TPC Sawgrass Marriott utilizes Corporate 1 Events for shipping/
handling/drayage and trade show-related needs. Corporate 1 Events will deliver your exhibition-related boxes to TPC Sawgrass Marriott on Wednesday, Oct. 11. You contract Corporate 1 Events for additional on-site material handling or for trade show setup Please see P. 17 for details. (The shipment of large, heavy materials is discouraged. Do NOT ship carpeting!)
8. Exhibitors that purchase a tabletop display or booth are responsible for the setup and tear down. See P. 17 for details.
9. Audio/visual, electrical, Internet access, special lighting and other items are the responsibility of the Exhibitor and may be contracted the TPC Sawgrass Marriott or its affiliated service providers (PSAV and/or Corporate 1 Events).
10. Videos, presentations or other information may be displayed on a laptop, tablet, screen or monitor. Depending on your A/V presentation, Exhibitor may need to contract with PSAV for A/V or for electrical services.
Allowable Display Materials11. Semi-trailers and heavy equipment may NOT be displayed.

17 EXHIBITOR RULES & GUIDELINES12. Exhibitor is permitted to display literature (e.g., flyers,
brochures, CDs, stick drives, and the like) and promotional items (e.g., cups, pens, hats, and the like). Banner stands (pull-ups) may be used within the confines of your contracted space. Companies with pop-up displays that fit on your table must notify the NTDA of their display type at the time their Exhibit Request Form is submitted. The Association respectfully requests that all Exhibitors with pop up displays select space on the outside perimeter of the ballroom so that those exhibitors without pop up displays may be more easily seen by attendees.
13. The NTDA will provide a company table sign for your display or booth.
Conditions14. Exhibitor agrees to staff the booth at all times during exhibit
hours.
15. Volume of videos or presentations must be kept to a reasonable level in consideration of fellow exhibitors. Undue noise or unseemly methods of demonstration during the Exhibition will not be tolerated. Any amplified sound or sound from equipment of any kind must not interfere with fellow Exhibitors or attendees. The decision of what constitutes undue noise or unseemly methods shall rest with NTDA management, whose decision shall be final.
16. Drawings for prizes or give aways are acceptable.
17. Exhibitors are prohibited from conducting a lottery or selling lottery and/or raffle tickets.
18. Exhibitors may NOT request donations from members for any cause.
19. Soliciting for any purpose will NOT be permitted except from within the booth or space purchased for that purpose.
20. No Exhibitor is to mar or in any way deface the premises. In particular, no nails, hooks, tacks, screws, gummed or adhesive stickers are to be utilized on/in any part of the premises. Use of said materials will be subject to reasonable removal/repair charges by the TPC Sawgrass Marriott. Exhibitors may NOT hang banners, signs, posters or any other materials on the walls of the ballroom or in any space outside the ballroom.
21. Fire prevention control: Exhibitor agrees to observe all fire regulations and maintain acceptable fire prevention practices as required by the local authority having jurisdiction.
22. Exhibitors that fail to set up by 11:00 a.m. on Thursday, Oct. 12, 2017 will have their table/signage removed.
23. Exhibitor agrees to not tear down booth or tabletop display until after the Exhibit and Strolling Luncheon has concluded.
24. In the event the Convention and/or Exhibition and Strolling
Luncheon should be canceled, all Exhibitors will be contacted immediately and any fees relative to the Exhibit will be refunded.
25. Exhibitors are responsible for all inbound/outbound shipping and receiving charges and/or handling charges. Shipping must comply with directions provided by the NTDA below.
Set Up & Tear Down Members may set up their displays beginning at 1:00 p.m. on Wednesday, Oct. 11, 2017. Displays must be "show ready" by 11:00 a.m. on Thursday, Oct. 12, 2017. You must tear down your display immediately following the Exhibition & Strolling Luncheon on Thursday, Oct. 12, 2017. The resort and Corporate 1 Events will assist with outbound shipping (see below). Leaving during the Keynote & General Session to set up your display on Thursday, Oct. 12 is discouraged as it is rude to speakers and other attendees. Please make every effort to set up on Oct. 11, 2017.
Shipping TPC Sawgrass utilizes Corporate 1 Events for shipping/handling/drayage. See attached shipping label and payment form Please see shipping/handling information and rates below:
All shipments can be received no more than 5 days (e.g., Oct. 5, 2017) in advance of the Convention. Shipments can be received Monday through Friday between 8:00 a.m. and 6:00 p.m. at Corporate 1 Events, 5225 Phillips Hwy., Ste. 2, Jacksonville, FL 32207.
Receiving and handling fees are as follows — see attached shipping label and payment form (one-time inbound charge):

IMPORTANT! Insertion Order & Payment Requirements for All Advertising Previous advertisers (e.g., 2016) have the first right of refusal for ad space through Feb. 3, 2017. After that, all members may purchase available advertising space. All ads require a completed insertion order form.
A signed insertion order is contract between your company and the NTDA that states your company agrees to pay for published advertisements. A 5% discount applies for pre-paid advertisements. Cancellation of pending ads will be subject to a 25% cancellation fee. Payment must be received with insertion order/for discount to apply. Ads that are not pre-paid must be paid within 30 days of invoice date. Tear sheets are provided with invoice. Payments that are not received within 30 days will have an additional 1% per month added to the invoice amount. Members not in good standing or that have unpaid advertising invoices with the NTDA must submit past due payment(s) before contracting for 2017 ads. Companies outside the U.S. must pay in US funds. The NTDA reserves the right to stop publication of ads for any company that has unpaid invoices that are 60 days past due or beyond.

However, members may NOT use the NTDA logo if it does not include the word "Member" in the typography. Members may not disseminate correspondence to fellow members, prospective members or others that members if such literature/information implies an association with the NTDA on behalf of your company or business. Likewise, phone solicitations to members that imply a member company is working for or in partnership with the NTDA is also prohibited.
