MULTIPLE INVENTORY BIN LOCATIONS MODULE Overview

This module allows multiple bins (or locations) to be set up for an item. There are three types of bins: primary, secondary, and reserve. Rules to specify whether items may be picked from just the primary location or also from the secondary or reserve locations may be set up by warehouse. Included with this module are programs for replenishing the primary locations from the secondary and reserve locations. Multiple bins has been integrated with many Turns processes: physical inventory, inventory adjustments, order processing, purchase order receiving, and standing order processing. Important: when multibins are active, item availability will be based on “allocated “ quantities instead of “committed” quantities. (Reminder: allocated = open orders - backorders) This will happen regardless of how System Setup(ZSU) is set for “AVAIL. BASED ON ALLOCATED OR COMMITTED?”. Also, after activation, item locations will only be maintainable via Bin Maintenance, which can be accessed from Inventory Maintenance D(IMM).

MULTIBIN ACTIVATION If live processing is currently being done on Turns, then our programming staff needs to be involved in the activation of the Multibin software. Once the passwords are issued to activate the module [input via System Setup ZC (ZSU)], a programmer will run an initialization program to turn on the multiple bins features. The initialization program will set the current Bin Location in the Item Warehouse record as the primary bin for the item. If an item’s Location field is blank upon activation, the primary bin will be set to *NEWBIN*. (NEWBIN is the default; however, that can be customized to some other word, or even set to blank , if desired.) The initialization program creates a log of items whose location was previously blank. This log can be printed for review. Once activated, this bin location may be changed and/or additional bin locations added. Great care should be given to the timing of Multibin activation. Activation along with a full physical inventory is recommended and has resulted in success for our customers. The enhancements to the physical inventory process permit additional locations (secondary and reserve) to be added while inputting the item counts for the location. Another consideration is to insure that any Back Order Fill processes that have been started have been completed, all the way through the Back Order Print process (BOOP) before activation of Multibins. This is very important as the allocation of inventory for Back Order Fill does change with Multibin activation.

SETUP PROGRAMS Once the Multibin Module is activated, the user must maintain the following database files: Warehouse Maintenance file D(WHM), Category Security ZMEN (ZCAT), Bin Maintenance D (IMM,'B'in) or IBIN (BCBINM). Optionally, the hierarchy for bins to pick from may be designated by customer in Customer Maintenance D (CM).

These fields designate how merchandise with multiple bin locations will be picked from this warehouse.

BIN HIERARCHY Enter 'P'rimary, 'S'econdary, or 'R'eserve to designate what level of multiple bin locations should be checked for inventory. By entering ‘P’rimary, only the primary bin location will be checked and listed on the pick ticket. By entering ‘S’econdary, both the primary and the secondary locations will be checked and the appropriate location(s) will print on the pick ticket. By entering ‘R’eserve, all locations will be checked for available merchandise and the appropriate location(s) will be printed on the pick ticket.

SELECT METHOD Enter 'F'ewest locations, 'C'losest Quantity locations, or leave blank for standard Primary, Secondary, Reserve Hierarchy. By selecting ‘F’ewest, the total quantity of an item will be filled from the fewest locations necessary to fill the order. By entering ‘C’losest, the quantity ordered will be picked from the location(s) that most closely match the order amount. If none are close to the amount, it will select based on “F”ewest locations. By leaving this field blank, the order will be filled beginning with the primary location and if needed, the secondary location, and then, if it still is not filled, the reserve location(s) will be looked to.

PRINT BIN/LOT AVAIL.? Enter 'Y'es to print unassigned bin locations with available quantity on picking document. For example, an item has three locations, the order quantity can be filled completely from the primary location and therefore, this is the assigned location. On the pick ticket, the other locations will print as reference in case the merchandise is not found in the assigned location(s). Enter 'N'o to only print assigned bin locations on picking document.

RECEIPT HIERARCHY Enter the order in which replenishment stock should be put away in the multiple bins. For example, enter PSR to receive to the Primary first, then Secondary, and then the Reserve location(s). The option to enter only one location, such as Primary Only, is allowed. If only one location is entered and the quantity received to stock exceeds the bin maximum, the entire quantity will still be put into the designated bin. The second page of warehouse maintenance [(P)age option] also has a field used to hold bin information.

Field #8: Display Bin Info in Order Entry? Enter 'Y'es to display bin information during Order Entry if more than one bin exists. Enter 'N'o to not display any bin information in Order Entry. Field #9: Automatically OVER ALLOCATE? Enter 'Y'es to automatically OVER ALLOCATE from the primary bin any quantity that exceeds what can be automatically assigned. Therefore, the pickers will look to the primary bin for all quantities. If enough product is not available, then the pickers will seek out the other locations. Enter 'N'o to not automatically OVER ALLOCATE. The pick ticket will only allocate what is available in the primary location and list/not list the other locations according to the Bin Hierarchy information in the Warehouse Maintenance file.

Field #1 - BIN ID: Enter the appropriate Location ID for this bin. Note: the primary bin is what is displayed as the item “location” in the warehouse screen of Inventory Maintenance D(IMM). BIN REPLENISHMENT MAINTENANCE (ILBM) This program allows maintenance of the replenishment transactions generated by the Bin Replenishment Calculation (ILBC) and is primarily used to record the picking exceptions. BIN REPLENISHMENT UPDATE (ILBU) This program updates the bin location quantities from the replenishment transactions. A report is printed for future auditing.

PHYSICAL INVENTORY PROCESSING WITH MULTIBINS The physical inventory process has been enhanced to accommodate multiple bin locations if the Multibin Module is activated. Activating the Multibin module in conjunction with a physical inventory is recommended. STOCKING LOCATION SELECTOR I (IP) When the MutliBin module is active, this program creates a separate count record for each Bin Location for each item. Additional prompts will appear. One prompt allows the selection off (A)ll bins, or only (P)rimary, (S)econdary or (R)ersve. This will allow the user to select the area of the warehouse that needs to be counted. Another option is to determine if only the items with more than one bin location should be counted. Answering (Y)es will only select items that have more than one location. Order Entry will now automatically assign bin locations from which items are to be picked, based on the BIN HIERARCHY designated in the Customer Maintenance file D (CM). If the customer record is blank, the bin hierarchy set up in the Warehouse Maintenance D (WHM) file is used. What displays in Order Entry depends on how the "Display Bin Info in Order Entry?" flag is answered in Category Security ZMEN (ZCAT). Here's an example of an item where there is not enough to pick from the Primary location and the Bin Hierarchy is set for Primary only.

BACK ORDER FILL SUBSYSTEM BOM MENU

The Back Order Fill Subsystem has been enhanced to accommodate Multiple Bin Locations. BACKORDER FILL CALCULATION BOM (BOFC) This program will now automatically assign Bin Locations for picking just like order entry does. Inventory is now allocated during this process, instead of during Backorder Printing (BOOP). BACKORDER FILL LISTING BOM (BOFL) No changes have been made to this program. BACKORDER FILL MAINTENANCE BOM (BOFM) This program will automatically assign Bin Locations for picking and it will also allow overrides of the assigned bins. PURCHASE ORDER PROCESSING WITH MULTIBINS

PURCHASE ORDER RECEIVING COPY Q (QS) This program has been enhanced to accommodate Multiple Bin Locations. The Receiving Copy prints all bin locations with quantity fill-in areas. An additional prompt displays with Multibins that allows the user to determine when to print additional lines for other locations on the Receiving Copy. These additional lines can be used to write in locations where product was stored in the warehouse. An example follows.

When printing, a run-time prompt determines whether lines will print for all items, or only items which currently have multiple bins. “PRINT FILL-IN AREAS FOR BINS THAT CURRENTLY DO NOT EXIST? (Y/N/P)” Y = Always print 2 additional fill-in areas for bin receipts on the P/O Receiving Copy. N = Only print fill-in areas for bins that currently exist on the P/O Receiving Copy. P = If only a primary bin exists, then the bin location will be printed underneath the unit.

Otherwise, print 2 additional fill-in areas for bin receipts underneath the P/O Receiving line.
