WHAT DOES THIS MEAN?
Using the Record it Wizard!
The Wizard:
• Launches limited client functionality
supporting an untrained user in recording
system transactions
• Automatically stores content in the Record It
folder
• Developer access remains with the UPK
developer who finalizes and publishes content
Our Set UP
• UPK 11.1 Professional, ESP 2
• Set permissions for Record-It folder access
• Record-It SMEs granted author rights; limited folder permissions
• Record-It SMEs added to a Test User Group that enables access to Test instance of the player
• Record with Auto-record turned on
Our Process
• Updated standards document
• Documented Admin user process for
supporting wizard use
• Documented simple process for wizard users
• In-person support for first time wizard use &
profile set up
• Wizard user imports the standard options .opc
file
Lean
“The core idea is Maximize customer value
while minimizing waste. Simply, lean means
creating more value for customers with fewer
resources.”
- Lean Enterprise Institute: http://www.lean.org/WhatsLean/
9 Types of Deadly Waste
•Defects Errors
•Overproduction
•Waiting
•Unnecessary Transport
•Over-processing
•Excess Inventory
•Excess Motion
•Underutilized people
•Confusion
WHAT MAKES IT LEAN
Using the Record it Wizard!
Preventing Defects & Errors
The user SME is involved in use case
development and solution enters a best practice
training topic
Avoiding Overproduction
& Excess Inventory
UPK intrinsically addresses overproduction, even without the Record It! Wizard. • Single recording provides multiple training and testing
outputs, serving many uses
• No separate training instance produced
• Online training interface reduces hardcopy training/testing materials production
Our Lean process adds involving the SME: allows us to identify the exact outputs needed. We don’t create or edit for what we don’t need.
Reducing Waiting
The Wizard allows the SME to immediately
perform the initial edit reducing the time from
recording to publication.
SME self-correction avoids rework that can
result from misunderstanding and error that can
arise from third party editing.
Addressing Unnecessary Transport
We have 2 Record It! Wizard developer licenses
on stand alone laptops in a workroom.
• SMEs can reserve time in the UPK workspace
to work quietly away from their normal area.
• SMEs can check out a laptop to be able to
bring the recording to the unit/Equipment
where work must happen
Preventing Over-Processing & Under-
Utilization of People
Using the wizard prevents duplication of effort
by avoiding the need to train a developer to
perform a task the SME already knows
It optimizes the use of both the SME and the
UPK Developer/Administrator resource to make
the best use of each party’s knowledge and
skills.
Avoiding Excess Motion
We make our Record It! SMEs members of a test
group with access to a test instance of the
Knowledge Center.
They can log in to review and test final edits,
reducing face to face meetings and unnecessary
creation of hard copy materials for editing.
Preventing Confusion
SME use of the wizard is lean for adoption.
The SME feels ownership of the training content
and is best able to support existing team
members and support new staff as they join the
work group.
DEMO
Advantages
• Increased efficiency in content development
process
• Reduced team roles from 1 Admin + 4
developers to 1 Developer/Admin + SMEs as
needed
• SMEs like to use the tool themselves and are
invested in the result.
More AdvantagesSME involvement means:
• Tasks are documented within context
performed, not generically
• Documenter SMEs willingly to be trainers
• Self-service documentation encourages
maintaining up-to-date training content
• Supports moving from corporate training
resource to locally managed training
