If you have to eat two frogs, eat the ugliest one first.If you have to eat a live frog at all, it doesnt pay to sit and look at it for very long.This is a wonderful time to be alive! Think of all the possibilities and opportunities there are for you to achieve more than ever before in history! The problem may be that you have so many good things to choose from that you have to decide what to do! Today most people find that they are overwhelmed with too much to do and not enough time to do it. Do any of you feel that way? I know I do! Do you ever feel like that just when you are getting to the bottom of the pile, someone/thing comes by and drops a new load on top? We need to realize that it todays working environment, we may never get caught up there will always be a new task or responsibility to add to the list/pile! What we need to do is learn how to select our most important tasks for each moment, and then do them! Easier said than done? Definitely, but a skill that once developed will have a great impact on your skill set and your ability to manage time/projects. Why is this presentation green and have frogs? Mark Twain once said that if the first thing you do each morning is to eat a live frog, you can go through the day with the satisfaction of knowing that that is probably the worst thing that is going to happen to you all day long. Hmmmthat would do it for me! If I had to eat a live frog each morning, Im pretty sure everything from that point on would be a piece of cake! For the purpose of this presentation your frog is your biggest, most important task, the one you are most likely to procrastinate on if you dont tackle it head on! Think of it as a test one of the most important decisions you make each day is what you will do immediately and what you will do later, if at all! The trick to reaching high performance and productivity levels is to develop the habit of tacking your major task first thing eat day! You must eat your frog before you do anything else and without taking too much time to think about it. Jump right it take a big bite of that frog! There are 3 Ds of forming a new habit: Decision, first make a decision to develop the habit of task completion. Discipline, yourself to practice the principles you are about to learn over and over until the become automatic. Determination, back everything you do with it until the habit is a permanent part of your personality. What a mouthful, right? So how do you do all of this? Visualize yourself doing it, everything begins with your view of yourself.

Setting the table Before you can determine what you frog is and take that first bite, you have to decide what you want to achieve in life and create a plan to do it. Start with Clarity the most important concept in personal productivity. The greater your clarity about your goals and the steps you need to take to achieve them, the easier it will be for you to overcome procrastination or eat your frog! What do you think are the major reasons for procrastination or lack of motivation? (ask for suggestions) Great, thanks. Lets look at what the authors call a great rule for success Think on paper.Decide exactly what you want Do you ever feel like you are just spinning your wheels? Never really getting anywhere, just going through the motions. How do you decide what you want? Either decide for yourself or sit down with your boss to discuss your goals and objections until you are clear about what is expected and in what order. Write it down Think on paper. Have you ever used a pros/cons list to help make a decision? Did it help you to be able to visualize your thoughts/feelings? When you write something down, you give it a tangible form its right there in black and white. Its like saying something out loud, its out of your mind so now youve got to do something with it. You can touch it and see it!Set a deadline on your goal Writing it down is a good start, but if you dont set a deadline, or sub deadlines if necessary, it has no urgency and gives you the opportunity to procrastinate. Make a list of everything you can think of that you have to do to achieve your goal. This list is fluid, you can keeping building it as new activities arise and you get a sense of accomplishment from drawing a line through steps as you complete them. It is a visual picture of the larger task or objective.Organize the list into a plan Ok so youve made a list, now what? You have to organize the list into a plan. Organize it by priority, by sequence. Having your list organized into a plan will make you more productive and efficient than just having it all up here (point to your head). Take action on your plan immediately Ok, youve decided what you want to do, youve written in down, organized it and prepared a plan now what? Do something, anything, just get started. An average plan that is vigorously executed is a far better plan than a brilliant one shoved in a drawer and forgotten about.Resolve to do something every single day that moves you toward your major goal Now that you have all your plans set and you start working it, dont stop. Once you start moving towards the goal, dont stop! Ok, so back to the frog your biggest, ugliest task. How do you eat it? The same way you eat everything else, one bite at a time! \Do you like tongue twisters? I used to love them. Nothing really, I just thought it would be fun taking a trip back to our childhood! No really I have a new tongue twister for you. Its called the Six-P Formula Proper Prior Planning Prevents Poor Performance! If planning is so simple, everyone must do it, right? Im sure everyone in this room is probably great at it! Whether you use an Iphone, Blackberry, Ipad, Day at a Glance or a piece of paper and pen you have something to use the question is, once you have all the information written somewhere do you use it or forget it?Increase your return on energy If you are thinking, how does taking time to think, write down and organize a plan increase my return on energy you are in good company. Many of you may be thinking, shes nuts (which may well be true, but is an entirely different subject) the time I use deciding, creating a list, setting deadlines, organizing and making sure to actually follow the list could be spent on just doing my job! Thats a fair thought, but did you know that every minute you spend planning saves as many as ten in execution? It takes about 10-12 minutes for you to plan your day, this small investment can save you up to two, yes two hours a day in wasted time and effort. Who cant use that extra time in todays work environment. 4Apply the 80/20 Rule (to everything)20% of your activities account for 80% of your resultsNumber of Tasks Versus Importance of TasksFocus on Activities, Not AccomplishmentsMotivate Yourself

The 80/20 Rule or the Pareto Principle based on Vilfredo Paretos findings that people seemed to divide naturally in two groups the vital few (the top 20% in terms of money and influence) and the trivial many (the bottom 80%). Later he discovered that virtually all economic activity was subject to this same rule. For example 20% of your activities account for 80% of your results, 20% of your customers will account for 80% of your sales, 20% of your task will account for 80% of the value of what you do, and so on. This means that if your list has 10 items on it, two of those will turn out to be worth five or ten times more than the other eight combined.

Number vs. Importance of Tasks Lets stay with the list of 10 tasks. Heres the kickereach of these task may take the same amount of time to complete. But often, one of these items can be worth all of the other nine put together this is the frog you should eat first!

Focus on Activities, No Accomplishments Im sure no one will be surprised to learn that the most valuable tasks you have to do on a given day are often the hardest and most complex the biggest frog. And, if you are a procrastinator, the ones you put off. These are your 20% tasks, the ones you should do first. Before you begin work, ask yourself, Is this task in the top 20% or the bottom 80% of my activities.

Motivate Yourself - Just thinking about starting AND finishing an important task motivates you and helps you overcome procrastination. Time management is having control over what YOU do next and you are always free to choose what YOU will do next. Effective, productive people discipline themselves to start on the most important task that is before them.5Consider the ConsequencesMake Better Decisions About TimeWhat are the potential consequences of doing or not doing this task?Obey the Law of Forced EfficiencyMaximum ProductivityWhat are my highest value activities?What can I, and only I, do that if done well will make a real difference?What is the most valuable use of my time right now?

How do you make decisions? Could you make better ones? How? You have to have a clear idea of what is really important to you in the long term, it will make it easier for you to make decisions about your priorities in the short term. Make sense? The mark of a superior thinker is his or her ability to accurately predict the consequences of doing or not doing something. Why? Because the potential consequences of any task are the key determinants of how important the task really is, to you, to your company. This way of evaluating the significance of every task is how you determine what your next frog is. People who look at the big picture of their lives and careers make much better decisions about their time and activities that those who live in the moment. Successful people have clear future orientation they think five, ten, fifteen, even 20 years into the future.

What is the Law of Forced Efficiency? Anyone want to venture a guess? It is the belief that there is never enough time to do everything, but there is always enough time to do the most important thing. Back to the frog analogy, you cant eat every frog in the pond, but you can eat the biggest and the ugliest one, and that will be enough, at least for the time being.

Maximum productivity Use these three questions on a regular basis to keep yourself focused on completing your most important tasks on schedule What are my highest value activities? This means what are the biggest frogs you have to eat to accomplish your goals? Professionally, personally, in general?What can I, and only I, do that if done well will make a real difference? This question is from management guru Peter Drucker It is one of the best of all questions for achieving personal effectiveness. What is the most valuable use of my time RIGHT now? What is your biggest frog, right now? This question is the core question of time management. Every hour of every day, one task represents the most valuable use of your time at that moment. The key is to ask yourself this question, over and over again, and to always be working on the answer, whatever it is. The more accurate your answers to these questions, the easier it will be for you to set clear priorities, to overcome procrastination and to get started on that one activity that represents the most valuable use of your time!

6Practice Creative ProcrastinationLearn To Say

Procrastinate on PurposeNO!Admins all over the world have trouble with one little word NO, N-O. Even if you dont have trouble using it your personal life, most of you find it difficult to say no at work. We must learn to say it! Politely, clearly so there are no misunderstandings and regularly until it is part of our time management vocabulary. At work, when we can, we must learn to say no to anything that is not a high-value use of our time and energy. We must learn to say no graciously, but firmly to avoid agreeing to something against your will. How many of you fully intended to say no to someone who asked you to do something, but at the end of the conversation, not only were you doing what you said no to, but more?

What is Creative Procrastination? Sounds neat doesnt it? It is the act of thoughtfully and deliberately deciding upon the exact things you are not going to do right now, if ever.

7Use the ABCDE Method ContinuallyA= Very Important , something you MUST doB= Something you should do, only mild consequences C= Something that would be nice to do, no consequencesD=Something that can be delegated to someone elseE=Something you can eliminate altogetherThe ABCDE Method is a powerful priority setting technique that you can use every day! Believe it or not, this technique is so simple and effective that it can, all by itself, make you one of the most efficient and effective people in your field. So, lets look at it one piece at a time.

An A is something very important, something you MUST do. These are the frogs of your life. If you have more than one A task, you have to learn to priortize them like A1, A2, etc. Remember your A1 task is your biggest, ugliest frog of them all!

Bs are defined as tasks that you SHOULD do. But it only has mild consequences and dont cause major problems if you dont do it. Think of these as the tadpoles of your work life. Some examples of Bs would be returning an unimportant phone message/call or checking your email. Bs come with a rule You should NEVER to a B task when an A task is left undone. You should never be distracted by a tadpole when there is a big ugly frog sitting there waiting to be eaten. YUM!

Cs are defined as tasks that would be nice to do, but not doing them has no consequences at all whether they are done or not. What are they? Calling a friend, taking a coffee break with a co-worker, or doing something personal during work time. These activities have no affect on your work life.

Ds are defined as something you can delegate to someone else no one expects you to do it all! You have to be able to complete the A task or project, but you dont have to do all the leg work yourself. Ds have a rule too delegate everything you can to someone else so you have the time you need to complete the A tasks that only YOU can do.

Es are tasks that can be eliminated altogether and no one will notice. This could be something that was important a long time ago, but is not relevant anymore.

So what is the next step? Try to organize your tasks using this method and see if it frees you up to concentrate on those big frogs!

8Clarity is EssentialThe Great Question

Focus on Key Result Areas

What one skill, if I developed and did it in an excellent fashion, would have the greatest positive impact on my career?Ever ask yourself Why am I here? What are my managers expectations? If so, you need to get clarification from you manager. It is very hard to perform at your bestwhich enables you to get paid more and promoted faster. Every job can be broken down into five to seven key results areas seldom more. What is a key result? It is something for which you are completely responsible. If you dont do it, it doesnt get done! A key result area is something that is under your control. Think of them as vital body functions blood pressure, heart rate, brain wave activity. An absence of any of these vital functions leads to death. By the same token, your failure to perform in critical result areas of your work life can end your job. When you have a moment, think about your key results, what are they?

The Great Question What one skill, if I developed and did it in an excellent fashion, would have the greatest positive impact on my career? This question should be used to guide your career throughout your life. Look into yourself for the answer, you probably know what it is. How do you know what it is? Ask yourself, ask your coworkers, ask your friends and family. Whatever you find the answer is, find out and then work at bringing up your performance is the area. Wait, there is good news! All business skills are learnable! So why is this important? One of the fastest and easiest ways to stop procrastinating and get more things done is to become absolutely excellent in your key result areas.

9Apply the Law of ThreeOne Thing All Day LongTake Immediate ActionTransform Your LifeWork All the Time You Work

What is the Law of Three? Three core tasks that you perform contain most of the value that you contribute to your business or organization. Your ability to accurately identify these three tasks and then focus on them, most of the time, is essential for you to perform at your best.

Lets look at them

One thing all day long How to decide? One thing? Were talking about the law of three, right? Lets dig deeper. Create a list of everything you do over the course of a week or a month. How many do you think you would have? Once youve done that, look at the list if you could only do one thing, what would be the most important? Once you decide, highlight it. Thats one, now do the same exercise what is the second most important thing on the list? Highlight it. Lets do the exercise one more time. You now have our Law of Three the three most valuable things you do. Everything else is a support task, a task that could be delegated, downsized, outsourced or even, dare I say, eliminated.

Take immediate action I think this step is the hardest, it would be for me. After youve found your three most important tasks its time to Take immediate action Talk to you manager, explain the exercise you just did and why you feel your 3 are the most important. Does he or she agree? After youve discussed the 3 ask for help delegating, outsourcing as many of the other tasks as you can. Tell you manager how much this will help increase your effectiveness and effienceny.

Transform your life How ? Now that youve created your list and checked it three times, and talked to your manager. Its time to put your plan into place. Focus on the key tasks and see how your work life can be transformed.

Work all the time you work What? As you are probably painfully aware, admins typically have a problem with work-life balance. So what does this mean? It means when you are at work, work give it your full attention while you are there and let there when you leave for the day! How about a little antecdote? A little girls asks her Mom, why does Daddy bring a briefcase full of work home each night and never spend any time with the family? Mome relies, Well honey, you have to undestand, Daddy cant get his work done a the office so he has to bring it home and get caught up here. Then the little girsl says, If thats the case, why dont they put him in a slower class?

10Prepare Thoroughly Before You BeginCreate a Comfortable WorkspaceLaunch Toward Your DreamsThe biggest enemies we have to overcome on the road to success are not a lack of ability and a lack of opportunity BUT fears of failure and rejection and doubts that they trigger.One of the best ways to overcome procrastination and get more things done faster is to have everything you need at hand before you begin be prepared. We havent talked about our frogs for a while, lets use this analogy If you are getting ready to cook your biggest, ugliest frog, you would get everything together before you started cooking him. It is after all hard to keep a frog waiting to be cooked!

Create a comfortable workspace- the most productive people take time to create a work area where they enjoy spending time. The cleaner and neater your work area, before you begin, the easier it will be for you to get started and keep going.

Launch toward your dreams. So now that youve created a comfortable workspace what do you do? You start! Do the first task, whatever it is. No coffee break, no stopping by the next cube to chat, etc.

11Take It One Oil Barrel at a TimeTake It One Step at a time

by the yard, its hard, but inch by inch, anythings a cinch!What does that mean, take it one barrel at a time? Its the same as taking one step at a time. Do you feel a story coming? Why, yes, of course I have one for you

Heres the cliff note version of the story.. We all have heard of the Sahara Desert and can believe that a lot of people got lost and perished while trying to cross it. To help people cross, the French marked the path with black fifty-five gallon oil drums every five kilometers, which was exactly the distance to the horizon formed by the curavature of the earth because of the curvature, in the daytime, travelers could see two barrels, the one they just passed and the one ahead of it and it motivated them to continue. All they had to do was walk to the next barrel, and then the next and so on, one barrel at a time, until they crossed the desert.

In the same way you can accomplish anything by taking it one step at a time! When starting a project, you must have faith and complete confidence that your next step will be there and it will and you can finish even the biggest task, one single step at a time!12Upgrade Your Key SkillsUpgrading your skills is one of the most important personal productivity principles of all. Never stop learningUpgrading your skills so they are always current, is one of the most important personal productivity principles of all. Learn what you need to learn so you can do your work in excellent fashion. The better you become at eating a particular type of frog, the more likely you are to just plunge in and get it done. One of the major reasons for procrastination is a feeling of inadequacy, a lack of confidence, or an inability in a key area of a task. If you feel weak or deficient in an area is enough to discourage you from starting at all. By continuing to upgrade your skills in your key result area is how you stay marketable and at the top of your game.

The next point, never stop learning is a continuation of the last point, learn what you need to learn so that you can do your work in an excellent fashion. Refuse to allow a weakness or a lack of ability in area hold you back. Remember, everything is learnable! 13Leverage Your Special TalentsIncrease Your Earning AbilityDo What You Love to Do

There are certain things that you do, or learn to do, that can make you extraordinarily valuable to yourself and to others.What do you do well? Take stock of your unique talents and abilities on a regular basis. What do you do especially well? What are you good at? What do you do easily that is difficult for others? You should focus your best energies and abilities on starting and completing the key tasks that your unique talents and abilities enable you to do well and that make a contribution. These are the special skills you want to leverage.

Do what you love and love what you do. We should all strive to have a job that we love doing. If you are lucky enough to love what you are doing throw your whole heart into doing it well. 14Identify Your Key ConstraintsLook Into YourselfWhats holding you back?What is it in me that is holding me back?

Ok, now lets look at whats holding you back? What sets the speed at which you achieve your goals? What determines how fast you move from where you are to where you want to go? What stops you or holds you back from eating the frogs that can really make a difference? Why are you already at your goal?

Look into yourself. Look in the mirror and ask yourself What is it in ME that is holding me back? You must look deeply into yourself for the limiting factor or limiting skill that sets the speed at which you achieve your own personal goals.

Strive for accuracy The definition of the constraint determines the strategy that you use to alleviate it. The failure to identify the correct restraint, or identification of the wrong constraint, can lead you down the wrong road. You end up solving the wrong problem and eating the wrong frog! 15Put the Pressure on YourselfLead the Field

See yourself as a role model for others. Raise the bar on yourself. The standards that you set for yourself should be higher than anyone else would set for you.

It helps your self-esteem. Nathaniel Branden said Your self-esteem is the reputation you have with yourself. As a result, you build up or pull down your reputation with everything you do or fail to do.

Successful people continually put the pressure on themselves to perform at higher levels. Unsuccessful people do not. By pressuring yourself, you will accomplish more than ever before. 16Maximize Your Personal PowersOverworking Can Mean Under-producingWork at Your Own PaceGet Enough SleepGuard Your Physical HealthLets look at personal powers and how we can maximize them Over working can mean under-producing It is a fact that your productivity begins to decline after eight or nine hours of work. For this reason, working long hours, while sometime necessary, means that you are probably producing less and less in more and more time. To top it off, the more tired you become, the worse the quality of your work will be and the more mistakes you will make.

Work at your own pace- There are specific times during the day when you are at your best. These are the times you need to spend on your most important and challenging frogs/tasks.

Get enough sleep When you dont get enough sleep you often find yourself working in mental fog . One of the smartest things you can do for yourself is to turn the tv, radio, etc. off and get some sleep. Your body and mind need it to reboot so they can be prepared for the next day. It will be one of the best things you can do for yourself.

Guard your physical health When thinking about breakfast, think about what a world class athlete may eat for breakfast does it look like what you are eating? If not, it should. In many respects your job is like an athletes game, match, whatever. When preparing themselves, they make sure to fuel their body with the correct foods to enable them to bring their A game. For most of us, it is best to avoid sugar, salt, fatty foods, etc.17Motivate Yourself Into ActionDevelop a Positive Mental AttitudeOptimists alwayslook for good in every situationSeek the valuable lesson in every setback or difficultyLook for the solution to every problemThink and talk continually about their goals

Develop a positive mental attitude Optimism is the most important quality we can develop for personal and professional success and happiness. Optimistic people seem to be more effective in almost every area of life.

Optimists have for special behaviors They look for the good in every situation. No matter what goes wrong they look for something good or beneficial.

They always seek the valuable lesson in every setback or difficulty They believe that difficulties come not to obstruct but to instruct ever hear the addage if you dont learn from your lessons/failures, you are doomed to repeat it.

Look for the solution in every problem Instead of blaming or complaining when something goes wrong, they become action oriented. They look for the solution.

They think and talk continually about their goals They think about what they want and how to get it. They are always looking forward rather than backward.

I am sure we all agree with the statement Technology can be your best friend or your worst enemy. We have become a nation of immediate access. Do you remember when you had to wait for a letter to see how I was doing? Often the news was very old by the time the letter arrived. Today, its jus a click away. Whether you have a smart phone, iPod, iPad, Droid, whatever we have become accustomed to immediate gratification and immediate access.

You have a choice you have to turn off, unplug, and just have no communication times. It is better for you and those who interact with you.

Refuse to be a slave to technology Just because somebody sends you an email, doesnt mean that they own me, or a piece of my life in terms of having to reply to them, now or ever.

A servant, not a master In order for you to be able to concentrate on those few tasks that make the most difference in your business or personal life, you must discipline yourself to treat technology as a servant not a master. 19Slice and Dice the TaskSwiss Cheese Your TasksAnother task technique is to Swiss Cheese it. What does this mean? Does anybody know? What it means is that while you dont work non stop on the task you work on it for a specific period of time. It could be as little as 5 or 10 minutes after which you stop and do something else. You will just take one bite of your frog and save the rest for a later time. 20Create Large Chunks of TimeSchedule Blocks of Time

Most of the really important work you do requires large chunks of unbroken time to complete. Your ability to carve out and use these blocks of high-value, highly productive time is central to your ability to make a significant contribution to your work and personal life. A lot of successful people set aside specific times to answer emails, return and make phone calls, etc.

Schedule blocks of time The key to this being successful requires working in specific time segments is for you to plan your ay in advance and schedule a fixed time period for a particular activity or task. During these times, put phones to voicemail, close your door if you can, close your email unplug for a set time.21Develop a Sense of UrgencyGetting Into FlowTrigger High Performance in YourselfBuild Up a Sense of MomentumDo it NOW!What do you think the most outwardly identifiable quality of high-performing men and women is action orientation Fancy phrase, huh? So what does it mean? It means the are in a hurry to get their key tasks completed. They work steadily, smoothly and continuously. As a result they get a lot more done than the office social butterfly, the person in the office who gets bogged down in the little things, and the one who spends a lot of time on low-value activities like checking email every 2 minutes. So how do we become action oriented? We

Get into Flow what is that? Athletes have been known to call it the zone. You know it, its that place you get to when you are working on a project and everything is falling into place and the work is going smoothly and you feel great! Youre happy, energized, you feel calm and have an increased sense of personal effectiveness and accomplishment. Most of us get there some of the time, really successful people get there far more often than most.

Trigger High Performance in YourselfHow do you do this? You trigger this state by developing a sense of urgency. This is an inner drive and desire to get on with the job quickly and get going and to keep going! It feels like racing against yourself.

Build up a Sense of MomentumWhen you regularly take continuous action toward your most important goals, you activate the Momentum Principle of success. The Momentum principle says that although it may take tremendous amounts of energy to overcome inertia and get started initially, it takes far less energy to keep going.

Eat That Frog! Every bit of planning, prioritizing, and organizing comes down to this simple concept. Every great achievement of humankind has been preceded by a long period of hard, concentrated work until the job was done! Your ability to select your most important task, to begin it, and then concentrate on it single-mindedly until it is complete is key to high levels of performance and personal productivity.

Once you Get Going, Keep Going Single handling means simply that once you start a task, you keep at it until its done. Did you now that it is estimated that starting and stopping, picking it up, putting it down, coming back to it, can increase the time necessary to complete the task by 500%! Wow! Think about it, each time you return to the task you have to familiarize yourself with where you were when you stopped and what you still have to do. You have to get yourself going AGAIN! You have to develop momentum and get into a productive work rhythm AGAIN. Doesnt it make more sense to prepare, begin and continue until the task is done!
