What’s new this year? The entry process has been streamlined into four steps.  

1. Enter information for an artist, eg: artist name, member names, photos. You do this once only for each artist. 

2. For that artist, enter titles to be nominated, eg: release title, release date, catalogue number, UPC. You do this once only for each album, single or DVD. 

3. Select the award categories you wish to enter each title in. 4. Finally, depending on the award categories selected, you may then be asked to enter additional 

information. For example, in the Engineer of the Year category, you will supply the Engineer’s name here. 

 Also new this year: more than one person for each ARIA member can upload entries on behalf of that member. The users will be linked, and all entries for the member will be visible to each of its’ registered users. If you require additional login accounts to facilitate this for your company, please email Kelly Collier at [email protected], supplying the name and email address of the additional user/s.  Lastly, at the bottom of each Title section you’ll be able to preview how your entry will appear on the voting website and, if the entry becomes a final nominee, on the public website. We encourage you to review and test the links in this section and make adjustments to your entry as necessary. 

Tips on using the new website 1. The DASHBOARD is where you’ll see a summary of your entries and where you can: 

o View your entries by ARTIST or by AWARD – note collapse and expand options;  In the blue ARTIST box, the displayed artist name will pull from the artist section.  If you expand this, the artist name within the white area will pull from the title 

section, which may or may not be different, depending on what you have entered. o VIEW BY AWARD will display how many entries you’ve entered in each category, and how 

many you’ve got to spare; o Add a new entry, and  o See how long until entries close (top right of page). 

2. The Dashboard also has a ‘traffic light’ system to show how complete your entries are. o Green indicates all fields are complete; o Yellow indicates some fields are not complete; o Red indicates most fields are not complete. 

3. In the footer you can: o Access this document under GUIDE TO SUBMITTING ENTRIES; o Access the ELIGIBLITY CRITERIA; 

4. Once you’ve added an artist, you can then start adding titles. We suggest you collapse to this view, using the side arrows, to assist with navigation:

5. When you’re entering or editing an entry, a top navigation panel will display indicating the artist and titles you’re working on. These are clickable links: 

 6. You’ll notice the dashboard provides an option to delete artists and titles. Use this function with 

caution, as deletions are permanent and cannot be undone. 

Getting started 1. Print and familiarise yourself with the Eligibility Criteria and Category Definitions (previously circulated 

to ARIA Members and included again at the end of this document). Make a list of the entries you intend to submit for each category, ensuring those entries meet both the General Eligibility 

Criteria and the individual category definitions.* 

2. Collate the data, images, audio, links etc you need for each entry. 3. Check you haven’t missed any artists, or overlooked any categories each artist may be eligible for. 4. Commence uploading your entries. Remember entries close 7pm AEST on Thursday 18 August. 

 We’ve put together a spreadsheet that might help with this. It lists all award categories down the left, and all data requirements across the top. You could list your intended entries under each award category and start to collate the data, either making an X when you have it, or entering the data itself in the spreadsheet ready to upload. You won’t send us this spreadsheet, nor do you even need to use it. It’s merely a tool that might help some of you to collate your entries. Shaded cells indicate data isn’t required for that category.  You can download this spreadsheet here. 

How many entries can I submit? ARIA members can submit up to six entries in each category. Levy members (Sony, Universal, Warners) may submit up to eight entries. The website displays how many entries you can submit.  To avoid anyone being unintentionally overlooked, if your company is a distributor for other labels, please ensure those labels are aware if they need to submit their own entries. Likewise, if your label’s recordings are distributed by another party, liaise with your distributor to confirm who’ll be submitting entries for you.  Lastly, it is recommended, although not compulsory, that you enter only one recording from each artist in each category. Entering two or more recordings by an artist can split the vote for that artist and may mean they do not get nominated at all.  

Do I need to supply all the information you’re asking for? Ideally, yes.  This will mean the judges have the opportunity to properly assess your entries.  It also means the publicity, TV broadcast and administration teams have the assets necessary to produce the ARIA Awards and properly promote your artists.  Note that in the case of the Best Independent Release category, a Statutory Declaration must be supplied at the point of entry. A template for this can be found at the end of the Eligibility Criteria document.  

Why is only one track from an album presented to the judging panel? Given there are over 1200 entries into the ARIA Awards each year, it’s impractical to affix an entire album to each entry for the judging panel to review.  Remember the judges are provided with links to the artist websites and social media channels (that you provide at the time of entry) so they have plenty of options to refresh their knowledge of an artist’s work if required.  Further, keep in mind that specialist panels are convened to judge the genre categories, such as dance, urban, rock, children’s etc, and those panels are reviewed annually. The expectation is that members of this panel will have a deep knowledge of the recordings released throughout the year in that genre.

Special note re award for Outstanding Digital Service ARIA members may lodge three entries in this category. These entries are also handled via the entry website via the DIGITAL SERVICES link next to the Dashboard link.  Please remember to complete this section before entries close. 

Supported client browsers Google Chrome is the recommended browser, if available. Other browser such as Safari, Firefox and Internet Explorer should be functional but have been subject to less testing. In all cases the most recent version of your preferred browser is recommended.  The site is not optimized for small form factor devices but will work on many such devices. Due to the data intensive nature of the processes however a large screen is recommended. 

Information required for entries As mentioned earlier, we’re collecting more information this year than we have in the past. All the data you provide is used either during scrutineering, on the voting and public websites, for the TV broadcast or for promotion and publicity.  Below is a guide specific to each piece of data that is collected. This information will also appear on the entry website as help text next to each field.  Please enter all data with Initial Capital Letters. In most cases the website will convert to all upper case but it’s important we have your capitalisation to refer to for use in press releases etc.   

ARTIST‐LEVEL INFORMATION: To be entered/uploaded once only for each of your artists. 

Artist name  The artist or group the recording is attributed too.   If there’s a featured guest or collaborator (for example, on a single) who doesn’t appear on all recordings that are being entered for this artist, don’t list the guest here. You’ll be able to adjust the artist name field specific to each title a bit later, when you can adjust to, for example, “Blue Rainbow featuring Colleen”. 

Label/Distributor  Enter label and distributor information, bearing in mind that what you enter here will appear on all official Awards‐related publicity material and the TV broadcast. The format is label/distributor, eg: Columbia/Sony Music, Independent/MGM. 

Member names  If the artist is a duo or group, or the artist records under an alias, eg: Flume, please list the name of each member. Separate each name by a comma. 

Artist photos  Please provide two images, one portrait and one landscape. These images may be used online, in the TV broadcast, and for promotion and publicity. As such they should be high resolution in jpg, png or gif format. The longest side should be minimum 1200px. 

Artist links  We require URLs for the artist’s official website, YouTube channel (not a link to specific track, which is required later), Facebook, Twitter and Instagram in the format www.facebook.com/xxxxx. Don’t list handles, eg: @artistname. 

Rap Sheet  This section allows for a brief summary of highlights and achievements for the artist during the past year. Whilst a limit of 1000 characters applies, we encourage you to be as brief as possible. Format your copy to plain text ‐ special characters and formatting such as bullet points will not display and may distort the layout.   In the title section you can customize this text for each release.

Live Act  In the artist section you’ll be asked if you want to enter the artist in the Best Australian Live Act category. If you select ‘yes’, you’ll then be required to provide: 

1. Tour name, if applicable 2. Tour artwork, if applicable (provide a high res image in jpg, png or gif format. 

The longest side of the image should be minimum 1200px). 3. Tour dates x 3, listing date, venue and state. Remember the tour dates must 

be within the eligibility period, and the shows must be in three different states. 

Note that tour date information isn’t provided to the judging panel, it’s used for scrutineering purposes only. 

TITLE LEVEL INFORMATION: to entered once for each album, single and DVD 

Release title  Name of recording 

Release type  Select Album, Single or DVD. Depending on your choice, only award categories relevant to that format will display. 

Award categories  Make your selection, remembering each title may only be entered in one genre category. Once you have selected a genre, the other genre categories will be greyed out and become unavailable.  

ARTIST INFO:  Name Label Rap Sheet 

This section is pre‐populated from the data you entered in the Artist section but you can customize it if required for each specific title (for example, if you want to highlight the chart successes of the particular title you’re entering). Simply uncheck the box and adjust the rap sheet data to be recorded against this title. 

Release date  The date the title was first commercially available, whether digital or physical.  

Media servicing date 

Only relevant to individual tracks where the release date is outside the eligibility period. In this case, the Media Servicing Date will be considered, assuming it is within the Eligibility Period and the ‘published’ date on the YouTube link you provide confirms this. Refer to the General Eligibility Criteria clause 2c. 

Catalogue number  Unique number assigned to the title.  

UPC  Universal product code, or barcode, assigned to the title. 

Cover art  Artwork for the title. Image to be 1200px square. 

Feature track info  Music and links that will be presented to the judges on the voting website and used on the public ARIA Awards website.  The option for Track #2 will only display for albums and will be used as an alternate track during the TV broadcast and on the public website in the event of any artist being a final five nominee in more than one album category. 

Title  Name of the track you’re supplying, which in the case of a single, might be the same as entered earlier. In the case of an album, it will the track you wish to feature. 

ISRC  Unique International Standard Recording Code for this track. 

YouTube link  Direct YouTube link to the official video for this track (please do not link to a YouTube channel). This video will display on the voting, public, and ARIA charts websites.

Apple ID  The Apple ID will be used on both voting and public websites. The ID can be sourced as follows.

Search for your artist/track and click on the appropriate product in the Songs section.

Spotify ID  Enter Spotify ID for the specific track, which is generally a mix of letters and numbers (don't enter the entire URL). Will be used on voting website only.  To find the Spotify ID: 

Open Spotify app. 

Search for and locate the track in question, eg: ‘Chet Faker Talk Is Cheap’.  

Locate the line for the required track, ensuring it is from the correct album/EP (listed in the Album column). 

Hover over the track and just to the left of track duration you’ll see three dots “…”. Select “Copy Spotify URI”. In the case of Chet Faker ‘Talk Is Cheap’ from ‘Built On Glass’, the URI is spotify:track:7bliRZuMFa2JmUzzNd62kk 

On the entry form, enter only the track ID, ie: 7bliRZuMFa2JmUzzNd62kk  

 Upload MP3  This high‐quality audio file will be used on both on the voting website and by the 

TV broadcast team.    Files are to be.mp3 format at 192kbps to ensure maximum compatibility across all browsers.   Note: file upload progress won’t show, but once the file has finished uploading the file name will display. Please be patient as upload time will depend on the speed of your internet connection. 

AWARD SPECIFIC QUESTIONS 

Depending on the award categories you’ve selected for your title to be entered into, you’ll be asked to supply the following additional information. 

Best Cover Art – Designer Name 

This award is presented to the cover designer, so enter their name here.  

Engineer of the Year –  Engineer Name 

Enter the engineer’s name here.  

Producer of the Year –  Producer Name 

Enter the producer’s name here. 

Best Video – Director Name 

This award is presented to both the artist and the director of the video. Enter the Director’s name here.

Best Dance Release – Production Team 

Complete this field only if you want the production team, and not the original recording artist, to be the recipient of this award. Otherwise, leave blank. Refer to category definition for more information. 

Best Urban Album – Production Team 

Complete this field only if you want the production team, and not the original recording artist, to be the recipient of this award. Otherwise, leave blank. Refer to category definition for more information. 

Best Independent Release – Statutory Declaration 

All entries in the Independent category must be accompanied by a Stat Dec, to be uploaded at the point of entry. A template for the stat dec can be found at the end of this document or on the entry website. Refer to the category definition document for more information. 

High Definition (HD) Video 

If your entry becomes a final five nominee, this HD file will be used for the television broadcast.   VIDEO FORMAT must be a full HD 1920x1080 file, preferably in the Apple Pro Res format.   Please ensure all files are uploaded using system‐generated file name so your file can be linked to your entry.  You can send this file to ARIA in one of two ways: 

1. Upload via Dropbox a. If you don’t have a Dropbox account, you’ll be asked for a 

name and email address. Enter your own name and the email address you’re using to submit entries. 

b. If you do have a Dropbox account, you can choose files from your existing Dropbox. 

2. Deliver to the ARIA office in Sydney. Place your file on a thumb drive in an envelope marked "Attn: ARIA Awards HD File Submission" and drop off to our front desk between 8:30am and 5:30pm Mon‐Fri, at Level 4, 11‐17 Buckingham St, Surry Hills NSW 2010, no later than Thursday 18th August.  

 If you do not have a video, you can note same on the entry website.

Here you can preview how your entry will appear on the voting website and, if the entry becomes a final nominee, on the public website. We encourage you to review and test the links in this section and make adjustments to your entry as necessary. Note you may need to modify the length of artist names to ensure they display in an acceptable manner. 

Special note: how ARIA may use the material you submit In addition to granting permission for ARIA to use your materials on the Entry Website, when submitting your entries you will be asked to also provide for the following confirmations, as set out below:

2. ARIA Awards 2016 Eligibility Criteria and Category Definitions

How the ARIA Award winners are determined All entries received by ARIA are first assessed to ensure that the relevant recordings are eligible for the particular Awards for which they have been entered. Once eligibility has been confirmed, all eligible entries received by ARIA are then presented to the Voting Academy or Judging Schools for their consideration. Seven (7) categories are judged by the Voting Academy which consists of over 800 representatives from every area of the music industry (‘Academy’). Seventeen (17) categories are judged by specialist Judging Schools which consist of representatives experienced with that genre of music (‘Judging School’). Four (4) awards are determined by Popular Vote. These are (i) Song of the Year, (ii) Best International Artist, (iii) Best Australian Live Act and (iv) Best Video. Three (3) retailer awards judged by specialist Judging Schools. The Hall of Fame and Lifetime Achievement Awards are awarded at the discretion of the ARIA Board.

General Eligibility Criteria Eligibility for the ARIA Music Awards is defined by ARIA to be: 1. Entry

Only ARIA members are able to enter recordings for judging. (a) ARIA members may enter any artist who meets the eligibility criteria set out below. (b) An ARIA member can only enter its own artists and cannot enter the artists of another

record label. (c) ARIA LEVY MEMBERS may lodge up to eight (8) entries in each category, apart from

‘Outstanding Digital Service’, where Levy Members may lodge up to 3 entries. (d) MEMBERS may lodge up to six (6) entries in each category, apart from ‘Outstanding Digital

Service’, where Members may lodge up to 3 entries. 2. Recordings

(a) Eligible recordings must have been released during the period Friday, 4 September 2015 to Thursday 1 September 2016 inclusive (the ‘Eligibility Period’), excluding entries in the Best International Artist category.

(b) Release is defined as the date the product was first officially commercially released in physical or digital format in Australia through retail channels (which, for the purpose of clarity, may include online physical and digital retailers and/or the artist’s own website).

(c) In the case of singles, a single is deemed eligible if the official media servicing date or video servicing date (determined by ‘published’ date listed on the label or artist’s YouTube channel) is within the Eligibility Period, where it is acknowledged that the track may have been previously available for individual digital purchase as part of an album release outside of the Eligibility Period.

(d) A recording may be entered in more than one non-genre category, but may not be entered in more than one genre category. Category definitions indicate those that are genre categories.

(e) Unless otherwise specified, multi-artist compilations are not eligible. (f) Re-released recordings are not eligible. All entries must comprise at least 50% (by

number of tracks) previously unreleased recordings. Note that, for this purpose, remixed tracks do not count as previously unreleased recordings.

(g) New recordings, including new live recordings, of previously released compositions are eligible.

(h) Recording artists credited on the release must meet the artist eligibility criteria (see below: 3. Artists) except in the case of Best Classical Album and Best Jazz Album - refer to those particular category definitions.

(i) Where the entered release comprises more than one disc, the discs must be sold as ‘one set’ to qualify.

(j) A Single is defined to be a product released in physical and/or digital format and which either:

i. contains up to five different songs, and with a music content of not more than 25 minutes duration; or

ii. contains multiple versions of not more than five songs with a combined duration of not more than 40 minutes providing that the combined duration of the longest versions of each song does not exceed 25 minutes.

For the purposes of this definition, ‘song’ may include an instrumental only piece.

(k) An Album is defined to be a release in physical and/or digital format which does not qualify as a Single and which satisfies other criteria particular to each category.

3. Artists Any artist that satisfies any of the following criteria will be deemed to be eligible: (a) Any artist who is an Australian citizen; (b) Any artist who was born in Australia; (c) Any artist with permanent residency status and who has lived in Australia for at least six

months per year for the two consecutive years prior to the Awards (i.e. during the qualification period and the previous qualification period);

In the case of groups or duos at least 50% of the members of the group must satisfy at least one of the above criteria. Each entry must be accompanied by a list of group members appearing on the release. The ARIA Board reserves the right to exercise its discretion to grant eligibility in special circumstances where, for example, the artist in question has a strong historical and cultural connection with Australia.

4. Ineligibility

All entries will be reviewed for eligibility by the Eligibility Sub-Committee of the ARIA Awards Committee, which reserves the right to make the final judgement on category, artist and product eligibility. The Eligibility Sub-Committee will provide notice citing reasons for any entries deemed ineligible. The entrant will have two (2) days from such notice to respond, at which time the Eligibility Sub-Committee will review the entry and make a final decision. Please note that, should you incorrectly nominate an artist for any category, you will be liable for any additional auditing costs incurred.

ALBUM OF THE YEAR (Judged by the Voting Academy) Solo artists and groups are eligible. The recording must be released in the Eligibility Period and appear in the ARIA Top 100 Albums Chart published between Monday, 14 September 2015 and Monday 5 September 2016 inclusive.

BREAKTHROUGH ARTIST (Judged by the Voting Academy) Solo artists and groups are eligible, as are album and single recordings. The recording must have appeared in (i) the top 50 of any ARIA Top 100 Albums Chart, OR (ii) the top 50 of any ARIA Top 100 Singles Chart published between Monday, 14 September 2015 and Monday, 5 September 2016 inclusive. Artists and groups are not eligible if they, or any member of the group, have previously been a final five (5) nominee in any ARIA Awards category with an album or single, or if they have been in a group that has previously been a final five (5) nominee with an album or single, or if they have had a previous Top 50 Album in the ARIA Album Chart or Top 50 Single in the ARIA Singles Chart. A placing in an ARIA genre chart will not exclude artists from this category.

BEST INDEPENDENT RELEASE (Judged by the Voting Academy) Solo artists and groups are eligible, as are album and single recordings. The nominated recording must be released by an ‘Independent’ ARIA Member. For the purpose of this award, a member will be considered to be Independent if the member:

(a) Funds its own A&R and marketing costs in respect of the nominated recording (a Levy Member may provide these funds, providing they are not only recoupable but repayable),

(b) Has no Levy Member ownership (full or partial), and (c) Has not entered into an exclusive licence agreement with a Levy Member in respect of the

nominated recording. Each nomination in this category will need to be accompanied by a statutory declaration, in the form prescribed by ARIA (see Appendix A) from the Chief Financial Officer or a Director of the nominating ARIA Member confirming the above criteria has been met.

BEST BLUES & ROOTS ALBUM (Judged by a Judging School) Note: this is a genre category Solo artists and groups are eligible. Only album recordings are eligible. This category encompasses both contemporary and traditional blues forms and contemporary adaptations of Australian traditional music and/or folklore. The recording cannot be entered in any other genre category.

BEST CHILDREN’S ALBUM (Judged by a Judging School) Note: this is a genre category Solo artists, groups, soundtracks and various artist projects are eligible. Only album recordings are eligible. This category encompasses recordings where the form and content are directed towards a pre-teen demographic. In the case of compilations, entries must comprise 50% material recorded specifically for that compilation. Recording cannot be entered in any other genre category.

Artists working primarily within the dance genre eg: House, Techno, Trance, Hardcore, Garage, Breakbeat, Drum & Bass, Disco and Electronica are eligible. In the case of a remixed album or single, the production team(s) and the original recording artist(s) must both meet the artist eligibility criteria, and the release must qualify for inclusion in either the ARIA Album or Single chart. The ARIA member must also nominate whether the production team or the original recording artist would be the recipient of the Award. The recording cannot be entered in any other genre category. Note that, if an original version has been entered in the ‘Best Pop’ category, a remix is ineligible in the ‘Dance Release’ category.

- the original album has not been a final five ARIA Award nominee in any category; - the original album is substantially reworked so that the new album contains a minimum of

Artisan Awards

BEST COVER ART (Judged by the Voting Academy) This category awards original cover graphics by designers who meet the eligibility requirements. Covers must have been designed in Australia. Criteria for judging includes: originality of design concept, overall design appreciation and merchandising impact. Only album recordings are eligible. Albums which meet the general eligibility criteria may be eligible for this Award even though they may not meet specific criteria for other Awards. For the purposes of clarity, this may include a greatest hits album or a new compilation of previously recorded works. The Award is presented to the designer of the cover who must meet the general eligibility criteria for artists as laid out in Section 3 of this document. Where more than one person is involved in the design, the award will be given to the person with overall responsibility for the design concept.

ENGINEER OF THE YEAR (Judged by a Judging School) A single track, multiple tracks (from a single or album release), or an entire album may be submitted for each engineer. DVD releases are not eligible. Only work released during the Eligibility Period will be considered. International product is eligible but entrants must accord with the General Eligibility Criteria for artists. In the case of a co-engineer, all parties must individually meet the General Eligibility Criteria for Artists.

PRODUCER OF THE YEAR (Judged by a Judging School) A single track, multiple tracks (from a single or album release), or an entire album may be submitted for each producer. DVD releases are not eligible. Only work released during the Eligibility Period will be considered. International product is eligible but entrants must accord with the General Eligibility Criteria for artists. Public Voted Awards In 2016 ARIA presents four Publicly Voted Awards. Listed below are the category definitions and nomination methodology for each category. Voters will be asked to select a winner from a nominee pool provided by ARIA. The method of voting by the general public in each category will be determined by ARIA each year. SONG OF THE YEAR The nominee pool for Song of the Year will be drawn from eligible single releases by Australian artists. The ten highest selling singles from these entries, based on ARIA sales statistics for the charts published between 1 October 2015 and 30 September 2016 inclusive, will form the nominee pool. Sales of different releases by the same artist during the period cannot be aggregated for the purpose of this category. Qualifying releases must have been released in the Eligibility Period but may be an album track subsequently released as a single if the official media or video servicing date is within the Eligibility Period. An artist will only appear on the nominee list once, even if that artist has multiple releases that may otherwise be eligible. ARIA members will be contacted in advance of the nominations announcement, so that they can provide the necessary collateral materials (eg cover art images).

BEST INTERNATIONAL ARTIST  The nominee pool for Best International Artist will be drawn from the ten highest selling artists, based on aggregated ARIA album and related single sales statistics for the charts published between 1 October 2015 and 30 September 2016 inclusive. Sales will be derived from the ARIA Top 100 Single and Top 100 album charts, where the sale of ten bundled single products or tracks will equate to one album sale. Qualifying releases must consist of at least 90% new recordings and must have been first released either during the current Eligibility Period or during the Eligibility Period for the immediately preceding Awards. ARIA members will be contacted in advance of the nominations announcement, so that they can provide the necessary collateral materials (eg cover art images). BEST AUSTRALIAN LIVE ACT (Nominees determined by Judging School) ARIA members may enter eligible acts as part of the normal entry process. The entries must meet the artist eligibility criteria set out in Section 3 of this document and must have performed at ticketed events in at least three Australian States and / or Territories during the Eligibility Period. A Judging School will vote to determine the final 10 nominees, which will then form the nominee pool for public voting. BEST VIDEO (Nominees determined by the Voting Academy) This Award is presented to both the artist and the Director of the entered video, both of whom must meet the General Eligibility Criteria for artists as laid out in on page 2 of this document. If the single was not commercially released then the media servicing date or the video servicing date (determined by the ‘published’ date listed on the label or artist’s YouTube channel) must fall within the Eligibility Period. ARIA members may enter eligible clips as part of the normal entry process. The Voting Academy will vote to determine the final 10 nominee clips, which will then form the nominee pool for public voting. Members are requested to limit entries to those video clips that have had at least 50,000 online views in Australia (across all available service platforms) during the Eligibility Period, and may be asked to provide confirmation that the threshold has been met.
