GiftWorks Anywhere Pro Upgrade Guide

Congratulations on your purchase of GiftWorks Anywhere Pro. GiftWorks Anywhere Pro is the next generation of GiftWorks. In GiftWorks Anywhere Pro, we’ve made many changes and improvements that will make your GiftWorks experience even better. GiftWorks Anywhere Pro utilizes Microsoft SQL Server technologies for its database functionality. The GiftWorks Anywhere Pro upgrade process will only work with a GiftWorks 2015 database. The GiftWorks 2015 version is 9.0.22.00. This guide will walk you through the entire upgrade process based on your current GiftWorks version.

*****READ THE INFORMATION BELOW BEFORE CONTINUING***** When upgrading from any version of GiftWorks to GiftWorks Pro, part of the process is to “upsize” your existing database (.gds) to Pro. When upsizing your existing database, ALL SmartLists that were customized using the Customize link, either while creating the SmartList or viewing the SmartList are returned to the default set of columns, sorting and grouping when viewing the SmartList. This does NOT affect the SmartList criteria. This is all still intact. The same thing applies to Reports. ALL Reports are returned to the default set of columns, sorting, grouping when viewing the Report for the first time. The change in the database technology for GiftWorks Pro required the SmartList and Report customizations to be reset.

To prepare for this upgrade, we recommend the following PRIOR to upgrading to GiftWorks Pro:

• Review and document your SmartList and Report customizations

• Run a GiftWorks Checkup on your database 1. Sign in to the GiftWorks database that you want to upgrade. 2. Click the Settings button at the top of GiftWorks. 3. Click the Importing, Exporting and Data Management heading. (or Database, Files and

Maintenance heading depending on your GiftWorks version). 4. Click GiftWorks Checkup.

Click Run Checkup.

If no issues are found with the database, you can continue with the upgrade.

If any issues are found, use the Backup and Fix button to try to resolve the errors. If there are any issues that cannot be resolved, please contact GiftWorks Customer Care at support@giftworksconnect.com.

Upgrading From GiftWorks 2014 or earlier You must first install GiftWorks 2015 and upgrade your existing GiftWorks database to GiftWorks 2015 Premium. Step 1 – Locate and Backup Your GiftWorks Database Before you start the upgrade, it is imperative that you know where your GiftWorks database is stored. It is also highly recommended that you back up your current GiftWorks database. If you have the GiftWorks File Storage option turned on, you will also need to know where the File Storage folder is stored. To back up your GiftWorks database: 1. Sign in to the GiftWorks database that you want to back up. 2. Click the Settings button at the top of GiftWorks. 3. Click the Importing, Exporting and Data Management heading. 4. Click Manage Your GiftWorks Database. 5. Click Backup the Database. 6. Click the Browse button to choose a location for the backup. Browse to the folder in which you want to save your

backup. 7. Enter a name you want to use for the backup file. 8. Click Backup Now to begin the backup. The backup may take some time to complete. The time will vary

depending on the size of your database. 9. When the backup is complete, a window will pop up that reads Backup is complete. Click OK to finish the

backup process. ***On this same screen you will see a Database Information box. This area will show you the location of your GiftWorks Database file (.gds). Write this location down *** If you have the GiftWorks File Storage option turned on, you will also need to know the location of where your File Storage folder is stored. Go to Settings / Organization Options and Setup / Configure your GiftWorks File Storage. You will see the GiftWorks File Storage Location listed here. Write this location down. If you have any trouble with completing your backup, please contact GiftWorks Customer Care at support@giftworksconnect.com. Once you have backed up your GiftWorks database and have written down the database location, proceed to the next step. Step 2 - Upgrade to GiftWorks 2015 Premium Follow the steps below to install GiftWorks 2015.

1. Go to: http://www.giftworksconnect.com/downloads 2. Click on the ‘Download’ link located under GiftWorks 2015. Save the file to your desktop. 3. Then go to the desktop and right-click on the GiftWorks installer file (ex: “GiftWorks_2015.exe”), and choose

“Run as Administrator.” 4. Shortly, in one of the following windows, choose the option to install for “Anyone who uses this computer” 5. One of the windows will ask if you want trials of Volunteers and Events installed. You can uncheck these

boxes. 6. GiftWorks will then open. You must enter the specific premium upgrade license key provided in the

GiftWorks Anywhere Pro Upgrade letter you received. 7. Choose the option “Open an existing database” and browse to where your database file (.gds) is located,

and open it. (The location you wrote down from Step 1 above) 8. Choose your desired username, then click Done. 9. On following screen, click “Sign In.”

Please note that this premium upgrade license key does not permit you to log into GiftWorks. It is only used to upgrade your database to GiftWorks 2015 Premium. When the database upgrade is complete you will see the following notice.

You will click OK and then be taken back to the Sign In screen. Click Here to continue with the GiftWorks Anywhere Pro upgrade.

Upgrading From GiftWorks 2015 If you just upgraded to GiftWorks 2015 from a prior version as part of the process above, please proceed to Step 2 below. Step 1 – Locate and Backup Your GiftWorks Database Before you start the upgrade, it is imperative that you know where your GiftWorks database is stored. It is also highly recommended that you back up your current GiftWorks database. If you have the GiftWorks File Storage option turned on, you will also need to know where the File Storage folder is stored. To back up your GiftWorks database:

1. Sign in to the GiftWorks database that you want to back up. 2. Click the Settings button at the top of GiftWorks. 3. Click the Importing, Exporting and Data Management heading. 4. Click Manage Your GiftWorks Database. 5. Click Backup the Database. 6. Click the Browse button to choose a location for the backup. Browse to the folder in which you want to save

your backup. 7. Enter a name you want to use for the backup file. 8. Click Backup Now to begin the backup. The backup may take some time to complete. The time will vary

depending on the size of your database. 9. When the backup is complete, a window will pop up that reads Backup is complete. Click OK to finish the

backup process.

***On this same screen you will see a Database Information box. This area will show you the location of your GiftWorks Database file (.gds). Write this location down *** If you have the GiftWorks File Storage option turned on, you will also need to know the location of where your File Storage folder is stored. Go to Settings / Organization Options and Setup / Configure your GiftWorks File Storage. You will see the GiftWorks File Storage Location listed here. Write this location down. If you have any trouble with completing your backup, please contact GiftWorks Customer Care at support@giftworksconnect.com. Once you have backed up your GiftWorks database and have written down the database location, proceed to the next step. Step 2 – Install Citrix GiftWorks Anywhere Pro is powered by Citrix technology and you will need to download and install the client software to access GiftWorks Anywhere Pro. Click Here for the steps to download the Citrix client software. Step 3 – Move your GiftWorks 2015 database (.gds) to the Citrix server After you have installed Citrix, you will need to move the GiftWorks 2015 Database to the G: drive on the Citrix server. You will want to move your database (.gds) to the desktop of your local computer before you start. To do this, go to the location of your .gds file on your computer (the location that you wrote down in the steps above). Move the .gds file from that location to your desktop. If you have the GiftWorks File Storage feature turned on, you will also need to move that File Storage folder to the G: drive as well. If you are using a Mac

Sign in to Citrix through portal with the username and password you received in the Setup Instructions letter Choose File Explorer GiftWorks application Click the arrow to the left of Computer Click the arrow to the left of Local Disk (C)

You should see a Desktop folder – click on this folder. You will now see all of the files that are on the Desktop of your local computer on the right side of the File Explorer window. Click on the .gds file and drag it over to the G: drive.

If you are using a PC Sign in to Citrix with the username and password you received in the Setup Instructions letter Choose File Explorer GiftWorks application Click the arrow to the left of Computer Click the arrow to the left of Local Disk (C) drive Click the arrow to the left of Users Click the arrow to the left of the folder for your Computer Username You should see a Desktop folder – click on this folder. You will now see all of the files that are on the Desktop of your local computer on the right side of the File Explorer window. Click on the .gds file and drag it over to the G: drive.

Upgrading From GiftWorks Anywhere Step 1 – Locate and Backup Your GiftWorks Database Before you start the upgrade, it is imperative that you know where your GiftWorks database is stored. If you have the GiftWorks File Storage option turned on, you will also need to know where the File Storage folder is stored. To back up your GiftWorks database: 1. Click Manage Your GiftWorks Database. 5. Click Backup the Database. 6. Click the Browse button to choose a location for the backup. Browse to the folder in which you want to save your

backup. **You MUST save the backup to the G or H drives on the Citrix server. 7. Enter a name you want to use for the backup file. 8. Click Backup Now to begin the backup. The backup may take some time to complete. The time will vary

depending on the size of your database. 9. When the backup is complete, a window will pop up that reads Backup is complete. Click OK to finish the

backup process. ***On this same screen you will see a Database Information box. This area will show you the location of your GiftWorks Database file (.gds). Write this location down *** If you have the GiftWorks File Storage option turned on, you will also need to know the location of where your File Storage folder is stored. Go to Settings / Organization Options and Setup / Configure your GiftWorks File Storage. You will see the GiftWorks File Storage Location listed here. Write this location down. If you have any trouble with completing your backup, please contact GiftWorks Customer Care at support@giftworksconnect.com. Click Here to continue with the GiftWorks Anywhere Pro upgrade. Please note that the steps below can only be done after you have been switched over to GiftWorks Anywhere Pro.

Signing into GiftWorks Anywhere Pro

Step 1 – Sign in to your GiftWorks Anywhere Pro database The next part of the upgrade process is to open GiftWorks Anywhere Pro and sign in to the SQL database that was created for you. From the Get Started screen, choose the Open an existing database option. Then click Next.

Enter in the Server name that was given to you in the Setup Instructions letter. You will leave the Username and Password fields blank. Click on the Get Database List button and choose your Database (this was also in the Setup Instructions letter). Click Next.

Click on ‘GWuser’ then click Done.

Click Sign In.

Step 2 – Upgrade your GiftWorks database file to GiftWorks Anywhere Pro You will now need to upgrade your GiftWorks database file (.gds) to GiftWorks Anywhere Pro. This process will copy your existing information into GiftWorks Anywhere Pro. Click on Settings at the top of the screen then choose Importing, Exporting and Data Management. Here you will then choose Manage Your GiftWorks Database. Choose the Upgrade a GiftWorks Database File (.gds) to GiftWorks Pro option. Review the next screen in detail before proceeding. Since you are upgrading to a newly created GiftWorks Anywhere Pro database, you will not have any data in the GiftWorks Anywhere Pro database yet, so there is not a need to back it up.

Click on Browse to select your GiftWorks database file (.gds) from the G: drive. (or from the location you wrote down in Step 1 – Locate and Backup Your GiftWorks Database above). Click on the file and then click Open.

Click on Upgrade to GiftWorks Pro.

You will see the following prompt.

Click Yes. You will see the progress bar indicating the status.

If your previous GiftWorks database had GiftWorks File Storage turned on, or if you have Events or Volunteers in the .gds, but not in the GiftWorks Pro database (or vise versa) you will see additional messages referring to what to do next.

Click OK to continue. After you sign in to your GiftWorks Anywhere Pro database, you will need to go to Settings / Organization Options and Setup / Configure your GiftWorks File Storage.

Click on the Change Location link to browse to the new folder containing the GiftWorks File Storage folder. (NOTE: this is the location that you wrote down in Step 1 – Locate and Backup Your GiftWorks 2015 Database above)

Click on Browse and go to that location.

 Click OK. You will now see the path listed in the GiftWorks File Storage folder location.

GiftWorks Volunteers If you did not previously have Volunteers installed you will see this message. Click Yes to continue.

GiftWorks Events If you did not previously have Events installed you will see this message. Click Yes to continue.

You will see the following screen when the upgrade process is complete.

Click OK to continue. This will take you back to the Sign In screen.

You can now sign in and start using GiftWorks Anywhere Pro. Once you have verified the upgraded information, please create a backup of your newly–upgraded database.
