OverviewBeing a club officer can be a big
responsibility.But it can also be a lot of fun!
The most important thing is:
DON’T TRY TO DO IT ALL YOURSELF!
People join clubs because they want to be a part of the action! Involve others!
Being a Club OfficerWhat do you think of when you think of a leader? Do you think of someone who is:
Responsible
Personable Thoughtful
Motivating Organized
Good communicator
Role Model Risk Taker
Shares ideas
Caring Listens
Hard Worker
Team player
Being a Club Officer Even if you don’t think of yourself as being those
things, many people will now expect you to be those things!
That’s why having a strong Club Officer team is important.
For example: If you are President and aren’t organized, you will need to rely on your organized Vice President.
It is also important to realize that people are watching you! As a club officer, you are representing your club and PVCC. It is important that you model behaviors such as Integrity, Responsibility, Commitment, Respect, and more!

Remember: No one is perfect!
But that is why you have the other club officers and your advisors to help you.
Being a Club Officer You have learned about policies and procedures,
but what do club officers do anyway??
Understanding your roles is critical.
Clarifying your roles with your fellow club members and your advisor is even more critical!
Here are some suggestions about some club officer duties. Be sure to check your club’s constitution for how your club divides these duties.

Suggested Duties of the President Prepare agenda for meetings
Preside at meetings
Lead regular and special meetings
according to Robert’s Rules of Order
Delegate responsibilities to other officers and members
Call regular and special meetings
Attend all meetings
Coordinate activities
Goal setting
Continuous monitoring of club’s progress toward goals.
Motivating-establish a climate of enthusiasm, openness, and
concern.
Establish administrative procedures not otherwise provided for by
the Constitution

Suggested Duties of the Vice-President
Preside over meetings in the absence of the
President
Attend all club meetings
Oversee recruitment and retention of new members
Assist the president in every way including brainstorming ideas and
evaluating the progress of the club.
Be a liaison to the club advisor
Assume the office of the President upon the President’s resignation,
removal, or inability to perform duties
Make sure the club secretary completed and submitted the meeting
minutes to the appropriate people (club advisor, Executive Board,
etc.)

Suggested Duties of the Secretary
Keep minutes for official meetings or at the President’s request
Keep an accurate email list and phone directory of members
Provide the Office of Student Life & Leadership with a current email
list of club officers.
See to all correspondence of the chapter as directed by the President
Maintain accurate and current information of the club and
membership
Assist in the coordination of events/activities
Help President prepare meeting agendas

Suggested Duties of the Treasurer Manage the club campus account and budget,
maintaining accurate and current account of all club
funds
Be a liaison between the club and PVCC Student Life office and
Fiscal office for the purpose of club funding
Direct fundraising activities. Act as chair of the fundraising
committee or delegate the position to another member
Advise the executive board of the financial condition of the
chapter
Make financial transactions only with the approval of the
President and club Advisor
Understand school policies regarding club financial accounts,
and be aware of all paperwork that is required for financial
transactions
Collect and maintain records of club dues that are paid (if your
club charges membership dues)
