1 About This Guide

Audience and ScopeThis guide gets you o to a good start covering many primary tasks that sales administrators will do to set up analyticsfor their organization. The tasks covered here are:

• Edit analytics that come with the application.

• Edit subject areas that come with the application.

• Build new analytics.

• Build new subject areas.

• Enable the sales pages.

• Add analytics to the sales pages.

• Add analytics to the side and sub tabs of the edit and object landing pages.

"Oracle Sales Cloud" has been incorporated within "Oracle Engagement Cloud." Existing Oracle Sales Cloud users willretain access to Oracle Sales Cloud features under their preexisting licensing agreements. Any new users created withinyour current Oracle Sales Cloud license count will also retain the same access to Oracle Sales Cloud. Users may obtainaccess to additional Oracle Engagement Cloud features by renewing their subscriptions under the Oracle EngagementCloud SKU.

Analytics TerminologyThese are some of the words that might be unfamiliar to you as you read through this guide.

Term Description

Analytic/ Analytics 

The broader term used for information pulled from business databases displayed in a waythat's meaningful to you. Analytics can include analyses, reports, and dashboards of any form. 

Analysis/ Analyses 

The specic term for one or more analytics that are shown visually on your desktop or mobiledevices. 

Analytic Work Area 

Analytic work areas are pages in the application that show analytics. You can congure somework areas to be specic to one or many user roles. You can also congure work areas to showdetailed information on a specic record. 

Column 

The term column in the context of creating analytics is used to describe the objects that holdthe data that populates an analysis. The columns are aributes of the subject area dimensionsand you drag the columns to the palee as you build your analytics. 

Fact Folders/Facts 

The Fact folders contain lters to count or measure the information in analytics. Factsare pieces of information that are calculated using standard operators such as addition,subtraction, and so on. 

Infolet 

An infolet is a small container or "widget" on the sales pages that hold an analytic. You cancongure the infolet shape and size. 

Key Performance Indicator (KPI) 

Key Performance Indicators are values that analytics provide to help organizations get asnapshot of information in a particular context. 

Navigator 

Navigator is represented by an icon with four parallel white lines on the Home page. When youclick the Navigator icon you go to a page that shows all the options for users to manage andmonitor their sales activities. Administrators see options for managing the application.

Term Description

Oracle Business Intelligence Answers(BI) 

BI is a major work area for administrators. You view, edit, and create analytics and subjectareas in BI.  

Report 

A report is a type of analytic used primarily for published presentation. Types of reports mightbe nancial documents, human resource spreadsheets, and so on. The wizard for building areport walks you through a series of options for formaing the layout of the report. 

Sandbox 

A sandbox is a testing stage you use to add and view changes to the interface without actuallyimplementing your changes to a live site. 

Home Page 

The landing page for the application, also called the springboard. 

Sales Icon 

The Sales Icon links to a page that contains icons with links to all of the major work areas forsales users. 

Subject Area 

Subject areas are the building blocks of your analytics. You begin building your analytics bychoosing an appropriate subject area. Technically, subject areas are a grouping of databaseinputs called data objects that relate to each other in a particular context. 

White Dot Page Controls 

The white dot page controls on the Home Page are navigation tools that link to the SalesPages. Both of these pages are enabled by administrators for users to access.

2 Prebuilt Analytics

Analytics for User RolesPrebuilt analytics let you get analytics out to your users right away. You can set up these analytics so that your sales orservice user roles see their own data when they log in. There are dozens of analytics for specic user roles, as well asanalytics relevant to all roles in your organization.

Here are some analytics for sales roles:

• Sales Representatives - performance, opportunities, pipeline, leads, and quota analytics

• Sales Managers - team analytics including activities, leads, performance, opportunities, quota, andperformance

• Channel Account Managers - MDF Requests, deal registration, partner status, opportunities, pipeline, partnerperformance, and quota analytics

• Sales Executive - team leads and executive analytics including, actual vs. quota, forecast vs. quota, top openopportunities, sales stage by age, forecasting, performance, and service request

• Channel Sales Manager - MDF requests, open pipeline, stalled opportunities, partner business plan objectives,partner hierarchy analytics.

Analytics Work AreasAs an administrator, your job is to create, edit, and maintain analytics for your organization. The work areas are thepages that you use to create and edit all things analytics. You also add analytics for your users on these pages.

Object Pages 

On these pages sales users work with opportunities, accounts, contacts, activities and so on.Administrators enable the tabs on these pages and add analyses to the tabs on the side orboom of the page. 

Analytics Page 

This page is where sales users search for analytics they have permissions to view and makethem favorites. Sales users also see analytics that administrators have congured to showspecic to their role. It is your users own analytics page to do what they want with.

Business Intelligence CatalogThere are two major work areas for analytics administration. The main Engagement interface is where your usersview the analytics administrators set up in user work areas and on the infolet pages. The second area is the businessintelligence catalog. Analytics Security and PermissionsSome analytics might contain information specic to job roles that you don't want everyone to see. An example mightbe analytics with salary information. Access to objects in subject areas, which in turn are used to build analytics arecontrolled by permissions. Permissions are authorizations that determine who can see what. Permissions are a part ofthe security model, and how permissions are initially assigned is based on how users, roles, and groups were initially setup on your application.

The setup administrator has likely assigned you the role of Sales Administrator, or the Sales Administrator mighthave created a sub-role specically for administering analytics. As the person responsible for administering analytics,your permissions enable you to access and edit all of the analytics and analytic work areas. You have access to the BIcatalogs, dashboards, and tools to create, edit, and add analytics to your team work areas. For more information, seeSecurity Reference for Sales and Service.

Assign Additional UsersAfter the BI Administrator role is created you can assign additional users to the same role.

1. Sign in as a Security Manager. For example, IT_SECURITY_MANAGER.2. Click Tools > Security Console3. Select the Users tab.4. Search for the user to be assigned the BI Administrator role.5. Optimize Analytics Display

Why Use Responsive Sizing?Responsive sizing ensures that analytics are displayed on your laptop, mobile, or tablet browser in the best possibleway. By default you can congure analytics to t any format, but that doesn't make them responsive to your browserresolution.

When you enable responsive sizing, you ensure the analytic size adjusts to the screen size on your device. This ensuresthat you view an analytic in as much screen space as possible without distorting the image. Not only does the windowadjust to maximize the screen display on the device, but it enables a scroll in the cases where the analytic rows extendbeyond the screen size.

Things to Keep in MindYou can't opt into responsive sizing globally. And Prebuilt analytics can't be set for responsive sizing unless you make acopy. There are a few steps to opt in for each analytic you want enabled.

If you have multiple BI objects on a page, responsive sizing doesn't work. But you can embed a dashboard, or layoutquadrant, which can then express multiple analytic objects with responsive sizing. For table views, if it has a largenumber of columns it will scroll.

Responsive Sizing In Analytics and DashboardsTo create or edit a table with responsive sizing you provide the view and container dimensions. The dimensions can't beblank. You set dimensions to optimize viewing and to ensure the container is larger than the view canvas when it sizesdynamically to t the device screen size.

2. Choose the General tab.3. Set the height, and width of the analytic canvas. You must dene the size of the analytic to t the size you have

available in the container that holds the analytic. It doesn't maer which device you use to view the analytic,as long as you have set the size of the analytic in your window in BI to maximize the space available in thecontainer. Seing the height and width ensures that the view of this analytic is responsive on all devices. Thedefault is set to not dene a size. You need to dene a size for responsive sizing to be set.

2. Adjust the sizing to make sure the container is larger than the canvas. Since we previously set canvas size to830 and 265, we set the container to a larger size at 835 and 270. Note that if you also add title containers, thesize needs to match the size set for the analytic container.

Set the Dashboard Container DimensionsIf your analytic is in a dashboard you set the dashboard for responsive sizing. For BI dashboards that hold analytics youset each container component on a dashboard to be responsive.

Set the properties for width and height for the container components to be larger than the properties set for youranalytic. In this case, since we previously set our analytic container to 830 and 265, we set our dashboard container to asize larger than the dimensions set for the analytic container.

To set the dashboard container dimensions:

• Select the container. Click Column Properties.

Responsive Sizing on Interface PagesAnalytics and analytic interface components all must have the sizing set for responsive sizing to work.

Set the Analytics Tabs on Interface PagesOnce your analytic is set with the proper sizing, the next step is to add the analytic to your interface and set the layoutspecications.

1. Add the analytic to the object tab.2. Open a sandbox.3. Under Seing and Actions choose Edit Pages.4. In the Edit Pages dialog, select internal.5. Click OK.6. Navigate to the page to set up.7. Click Change Layout.8. Navigate to the analytic and click Add.9. Click Edit.

Best Practices For SizingTraditional BI Content typically doesn't have all these sizes specied. The following are some recommendations forgeing the best sizing results.

• Use original content as a guide and size from the inside out., Start adding sizes for views rst. Follow thisby adding sizes to view containers. Save the report then make adjustments to Dashboard Sections, and thenDashboard Columns. When tweaking dashboard containers, set their size to the specic size then tweak tominimize scroll bars.An inspector tool like Firebug can make this process much easier by allowing temporary edits in place. Youcan then go back and add the values in the dialog. Add 20 pixels to dashboard container heights as this getsdeducted by the dashboard code (presumably to reserve space for the collapsible icon).When you're done tweaking, set the dashboard, columns, and sections to the minimum size seing. This seingremoves the overow behavior and prevents scroll bars from appearing on BI content.

• Measure pixels in original content to obtain starting size values. Use a pixel measuring tool (like Measureor others) to measure pixels on the screen to nd starting sizes for views. Similarly, measure pixels on thescreen to help gure how many pixels to add or deduct for components that can't be resized within views. Forexample, the View Selector widget needs approximately 40 pixel height.

• Build in padding sizes. BI styles typically have some padding built in to their CSS. The BI resizing code worksbest when taking this into account. Moving from sections to columns, try adding 3 pixels per border. Forexample, if you have two sections in a single dashboard column, they contribute four borders. So make thecolumn value 12 pixels larger than the sum of the sections. When working up from views to view containers,try adding the same 3 pixels per border. Note that the 3 pixel padding recommendation is suitable for the Altastyle. Custom styles may need more or less padding to be built into the math. You can validate the dashboard

behavior using the specic size seing. In general, more padding is safer but could contribute marginally to lesspredictable behavior.

• Make sure the math works out. BI builds up the sizing map based on nested layout objects. Resizing falls apartif any parent container size is sized smaller than the content that it contains. For example, if a graph size is 300x 200 and its view container is 350 x 250, then section and column containers must be larger than 350 x 250. Ifthe section were set to 300 x 200, for instance, resizing wouldn't work.

Currency Seings for Analytics

Set Currency Preferences for AnalyticsEngagement applications let you to decide how currency is shown in the application, as well as preferences for howanalytics show currency and calculate exchange rates. Currency can be set in dierent regional currency types,depending on where you do business and what currency types you want to see.

There are three ways you set up currency:

• User Currency - Set by the business user in Regional seings. This seing applies to the entire applicationinterface for that user only. The currency options available are set by your application administrator.

• Analytics Currency - Set by the business user in BI in My Account seings in the Reports area. The seingapplies to that user only and only relevant for report production.

• Corporate Currency - Set by the application administrator. This seing applies to all users in that company.

Set General User CurrencyUser currency seings determine the currency used as the default for what you see in your application. User currencyapplies to your entire interface for your signed-in session.

1. Navigate to Tools, Set Preferences.2. Select General Preferences > Regional.3. Select the preferred currency to be used. Available currencies include those set up for your company by your

application administrator.

Set Analytics CurrencyThe analytics currency seings determine the currency type that is displayed in all your analytics. It also determines howand when your currency conversion rates are calculated.

1. Navigate to Business Intelligence.2. Click Analytics in the navigator menu.3. Click Browse Catalog.4. Click your user name and select My Account.5. Go to the Preference.6. Select your choice in Currency.

Set a Global Currency Conversion ProleSet a global currency conversion method for all your users by creating a currency prole. Only administrators can createcurrency proles.

1. In Setup and Maintenance, go to Manage Prole Options.2. Enter the following values:

Dene Currency Prole ValuesAfter you create your currency prole, the last step is to dene the prole value. This step denes which currencymanagement option is assigned to that prole.

1. In the Setup and Maintenance work area, useManage Administrator Prole Values.2. In Prole Option Code search for your prole: BI_DEFAULT_CURRENCY_CONVERSION_METHOD.3. How User Preferred Currency Exchange WorksThe simple and advanced user-preferred currency choices determine how and when your currency exchange rates arecalculated for your reports. For both simple and advanced currency management, when you save or close a report, theapplication sets the exchange rate at that time. The option you choose impacts how quickly your reports are generatedat run time. Each case includes trade-os, as detailed in the examples.

User Preferred Currency using Simple Currency ManagementThe advantage of this option is performance - the application doesn't have to look up the rate for each transactionbecause when you close or save a record, the application converts it to your corporate currency at that day's rate. Whenyou run the opportunity report, the application multiplies that value by your preferred currency exchange rate for thedate you run the report. This eliminates the need for the application to cycle through each record, and calculate thecorresponding exchange rate to your preferred exchange rate at the time that record was closed or last saved. It simplytakes the value on record for the original transaction exchange to corporate currency, and multiplies it by your preferredcurrency exchange rate at the time your run the report.

As an example of user preferred currency using simple currency management, a user updates and saves or closes anopportunity record with associated revenue of one million Indian Rupees on January 31st with an exchange rate of0.01403 Rupees to one US Dollar. The user then runs an opportunity report in US Dollars on March 31st. In the report,the US Dollar Corporate Currency is set at the January 31st rate it was saved at, in this case reporting as $14,030, or onemillion multiplied by 0.01403. Finally, an opportunity report on March 31st in Euros uses the March 31st conversion ratefor US Dollars to Euros of 0.75017 to convert the recorded US Dollar amount into Euros, in this example one millionmultiplied by 0.1403, which is the January 31st Rupee to US Dollar exchange rate, multiplied by 0.75013, which is theMarch 31st rate for Euros. This requires less processing, because the January 31st Rupee to US Dollar exchange rate,

while not exact on March 31st, is used as the basis for the calculation of the March 31st opportunity revenue conversionto Euros at the later exchange rate.

The following gure describes an example of user preferred currency using simple currency management.

User Preferred Currency using Advanced Currency ManagementThis option provides a more precise exchange rate, since it goes through each record to determine the rate on the datethe record was updated or closed. The downside of this option is performance. Your reports will take longer to run. Theapplication has to cycle through each record and match currency exchange rates to the date the record was closed orupdated and saved.

As an example of user preferred currency using advanced currency management, a user updates and saves or closesan opportunity record with associated revenue of one million Indian Rupees on January 31st, when an exchange rateof 0.01050 Rupees to one Euro applies. The user then runs an opportunity report on March 31st. Why do I see amounts of zero in analyses?The currency exchange rates might not be set up correctly. For example, you choose EUR as your preferred currency ingeneral preferences, and your corporate currency is USD. Amounts in analyses are displayed in EUR after conversionfrom USD, based on the current exchange rate. But if the exchange rate between EUR and USD isn't set up, or if theconversion fails for any reason, then the amounts show as zero.

4 Subject Areas

How Subject Areas WorkA subject area is a grouping of information pieces pulled from your transactional database that relate to each otherin a particular context. Examples of context are pipeline, revenue, partners, performance, and so on. These contextscorrelate to key aspects of your business transactions, and are designed to provide answers to questions about how wellthings are going. Prebuilt subject areas come right out of the box to answer key business questions.

Any information your organization tracks can be grouped into a subject area, then used to build analytics. All you haveto do is drag columns from your subject area to your analytics editor and you have an analytic. You can edit prebuiltanalytics the same way, by adding or removing columns from your subject area. When you edit prebuilt analytics, don'tforget to make a copy and give it your own name.

Subject Areas And Business QuestionsSubject areas are designed around business questions. All analytics are built from subject areas. So whether you'recreating your own analytics, or modifying the analytics that come with your Engagement applications, you rst want togure out what questions you want answered.

Here are some examples of subject areas and the business questions they can answer.

Subject Area Context And Analytic ResultsIf your analytic doesn't look right, or columns of information aren't showing up, it could be an issue with context. Thecontext denes what column details the analysis displays. Adding an employee column doesn't mean all employeesshow up in the analysis. It depends on the context you're using to create the analysis. If you build an analysis, and itdoesn't show what you're expecting, be sure that you're adding your columns and facts in context.

The subject area dimension folders contain the columns and the facts folders dene the relationship of the columns. Ifyou add the Employee column to your analysis, and then add the Fact, Number of Activities to the same analysis, thenonly the employees that have one or more activities show on this analysis in this context. There might be hundreds ofemployees that have some sort of relationship with A.C. Networks, but no associated activities, so they don't show up onyour activity analysis.

The following is an example that might help explain this further.

In this exercise you will build an activity analysis, and add an additional subject area, then explore some dierentscenarios.

1. Build an activity analysis as directed in "Create an Activity Analysis".2. With your activity analysis in edit mode, add the standard subject area Sales - CRM Quota Management.3. Both subject areas appear under Subject Areas. Expand Sales - CRM Sales Activity. Expand Customer. Expand

Sales Account Extension. Drag Level 1 Account Name onto the palee.4. Still in Sales Activity, expand Employee. Drag First Name and Last Name onto the palee.5. Expand Facts, then Activity Facts. Drag # of Activities onto the palee. This fact is key to this analysis because

the relationship of Employee to this subject area is dependent on the employee having one or more activitiesfor one or more accounts. If your employee has never entered activities for any given account, they don't tshow up on this report, even if they have another type of relationship with an account. Since the context of thissubject area has to do with sales activities, only employees with activities are included.

6. Now select the "Results" tab. You see four employees in the resulting analysis. Each of these employees hasone or more activities.

7. Now select the "Criteria" tab. Under Subject Areas expand Sales - CRM Quota Management. Expand Facts.Expand Pipeline Facts and drag Opportunity Revenue to the palee.

8. Go to the "Results" tab. Notice that now there are more employees. This result is because you have addedemployees that also have relationships to Quota Management. In this case, employees are added that havegenerated revenue.

9. Go back to "Criteria". Remove # of Activities. The results show only the three employees that have revenue.Helena has both revenue and activities so she shows up in both scenarios.

Finally, note that if you remove both # of Activities and Opportunity Revenue and look at the results, you again haveonly the four employees that have a relationship with only the Sales Activity dimension.

Multiple Subject Areas in a Single AnalyticSubject areas can be tricky to master, but once you get familiar with them you can easily mix and match subject areacomponents for your analytics. The reason you would want to do this is just for exibility. You might want to look atyour business from dierent perspectives. Maybe you want to look at leads against pipeline against activity. Are yoursales people doing a good job following up on leads?

You can create analytics that combine aributes and metrics from custom and standard subject areas that share acommon dimension. Or, if that isn't enough, you can create analytics that combine data from a custom subject area likeopportunity, with any related subject area such as Sales CRM Pipeline. You can create combined analytics with an arrayof standard objects, including accounts, contacts, households, opportunities, partners, sales accounts, territories, andresources.

To start with, let's learn how to add a subject area to your analytic editing palee. Whether you're creating a newanalysis, or using an existing analysis to add objects from your custom subject area, the steps for adding multiplecustom or standard subject areas to your palee are the same.

To add subject areas to editing palees:

1. Create your analysis using a single subject area.2. In the Subject Area section, click the Add/Remove icon.

This shows the Add or Remove subject areas icon.

3. Select or remove one or more standard or custom subject areas from this analysis by selecting or deselectingsubject area. If you have created custom subject areas, they also appear in this list under the name youassigned to them.

Cross Subject Area QueriesEach subject area contains a collection of aributes and measures relating to the one-dimensional STAR model andgrouped into individual folders. The term STAR refers to the semantic model where a single fact is joined to multipledimensions. You can create an analysis that combines data from more than one subject area. This type of analysis isreferred to as a cross-subject area query. Cross-subject area queries are classied into three broad categories:

• Combining queries from multiple subject areas.

◦ Using common (conformed) dimensions.

◦ Using local and common (conrmed) dimensions.

• Using a "set" operation (Union or Union All for example) to combine more than one result set from dierentsubject areas.

• Combining Logical SQL using the Advanced tab.

A Common dimension is a dimension that exists in all subject areas that are being joined in an analysis. For example.the Customer dimension is the common dimension for the Sales - CRM Pipeline and Marketing - CRM Leads subjectareas.

A Local dimension is a dimension that exists only in one subject area. For example, Opportunity and Revenue are localdimensions for the "Sales - CRM Pipeline" subject area.

The following are some general guidelines to follow when working with multiple subject areas:

• If all the metrics and aributes needed for the analysis are available in a single subject area and fact metrics,use that subject area only and don't create a cross subject area query. Such an analysis performs beer and iseasier to maintain.

• When joining two subject areas in an analysis, make sure at least one aribute from a common dimension isused in the analysis.

• When using common dimensions always choose aributes from the common dimension from a single subjectarea. For instance if you're using the Customer dimension to build a query between subject area 1 and subjectarea 2, then select all customer dimension aributes from either subject area 1 or from subject area 2. (Notsome customer aributes from subject area 1 and some from subject area 2.) In some scenarios, the commondimension may have more aributes in one subject area than the other. In such a situation, you can only usethe subset of common aributes for a cross-subject area query.

• Always include a measure from each subject area that's being used in your analysis. You don't have to displaymeasures or use them, but you should include them. You can hide a measure if not needed in the analysis.

• When using common and local dimensions use SET VARIABLE ENABLE_DIMENSIONALITY=1; in the AdvancedSQL tab.

Queries from Multiple Subject AreasThe simplest and fastest way to generate an analysis is to use a single subject area. If the dimension aributes and factmetrics that you're interested in are all available from a single subject area, then you should use that subject area tobuild the analysis. Such an analysis results in beer performance and is much easier to maintain.

If your analysis requirements can't be met by any single subject area because you need metrics from more than onesubject area, you can build a cross-subject area query using common dimensions. There's a clear advantage to buildinga cross-subject area query using only common dimensions, which is recommended.

Keep in mind that if you use three subject areas for an analysis, your common dimensions must exist in all three subjectareas. Joining on common dimensions gives you the benet of including any metric from any of the subject areas in asingle analysis.

While you can create an analysis joining any subject area to which you have access, only a cross-subject area querythat uses common dimensions returns data that's at the same dimension grain. This happens so that the data is cleanlymerged and the result is an analysis that returns exactly the data you want to see.

Knowing how cross-subject area queries are executed in BI helps you understand the importance of using commondimensions when building such an analysis. When a cross-subject area analysis is generated, separate queries areexecuted for each subject area in the analysis and the results are merged to generate the nal analysis. The datathat's returned from the dierent subject areas is merged using the common dimensions. When you use commondimensions, the result set returned by each subject area query is at the same dimensional grain, so it can be cleanlymerged and rendered in the analysis.

Both Outer and Equijoinare supported. The following example demonstrates this technique.

Currently Oracle Transactional BI doesn't support Lead as a dimension for Revenue. However, this example illustrateshow you can combine pipeline and lead data in an analysis by combining the logical SQL found on the Advanced tab.

Step 1: Write a BI Answers query using the "Sales - CRM Opportunities and Products Real Time" subject area to showthe Revenue line amount and Opportunity. Once the correct results are achieved, go to the Advanced tab and grab thelogical SQL associated with this query.

Custom and Standard Subject Areas JoinsAnalyses can be build using combinations of standard, as well as both custom and standard subject areas. The addsubject area option appears once you have created an analysis from a single subject area. You can delete subject areasusing these same steps. When you create your analysis, you select a single subject area during the creation steps. Oncethe analysis is created, you add additional standard or custom subject areas.

For example, if a custom object is used to record past sales value, a join analysis can be created to show the pipelinetogether with the sales history using a join between the standard subject area CRM Customer Overview, and a customsubject area that includes past sales from the custom object. Only certain objects can be used when you're combiningyour own custom subject area with a standard subject area.

Data Structure for AnalyticsOracle Business Intelligence repository contains the metadata that denes which columns (or piece of data) areavailable for you to include in analyses, and where data for each column originates. Note: If your analysis has columns from multiple subject areas, then you:• Include columns only from dimension folders that are common to all of those subject

Note that when you are reporting on HTML content, for example, Message Body of an SR Message is a report column,you can observe that HTML tags are displayed in the report, in addition to the desired content. In order to display thecontent correctly without the tags, set the Column Properties > Data Format to Treat Text as HTML for the column.Select Save as the system-wide default for that particular column (not the default for this data type). Once you do this,any time a report is created that contains this column, it will automatically display HTML content correctly

Register Business Intelligence to Support Deep LinkingDeep linking lets you to navigate from an analysis on the interface pages to specic aributes and objects in your workareas so that you can work with them directly. What does that mean? It means that if you are looking at an analysison leads, for example, you can click a record on the analytic and go edit the lead record on the edit object page. Tosupport deep links, use the Setup and Maintenance work area to register the Business Intelligence Server as a third-party application.

Edit Prebuilt AnalyticsOut of the box you have plenty of analytics to start o with. But you will probably want to modify many of them andmake them your own.

1. Make a copy of the analytic you want to edit.2. Name the copy.3. Find the new analytic and click Edit.4. Select a dimension and the contents appear in the pane.5. From the tabs select Criteria.6. Drag and drop columns from the Subject Area pane to the editing palee.

• Adoption and usage from dierent channels over a period of time.

• User Log in by channels, such as web, mobile, mail.

Here are some of the details on usage tracking values:

• The primary metric used in user adoption subject areas is # of Active Days. This metric provides informationabout an activity such as how long a signed in user has stayed on the device.

• The # of Active Days value is not a sign-in count.

• The day value is based on the server time zone.

About the Object Activity Subject AreaThe primary metrics used for object activity subject area is Insert Action Count and Update Action Count. Thesemetrics provide information on the number of records added, and the number of records updated.

Here is the information you can analyze using the object activity subject area:

• Track the type of object that was updated.

• Name of the employee who did the update.

• Manager of the employee that did the update.

• Number of records that were added.

• Number of records that were updated.

• Date the record update was made.

• Month the update report is produced.

Remember These Usage Reporting MustsSeing up the time parameters for user adoption reporting can be tricky. For best results follow these guidelines:

• To be sure the analytics you created in R12 work after you upgrade to 18A+, you should apply the # of ActiveDays > 0 lter.

• Add a lter for a specic year. The User System Usage subject area shows usage for all Time Periods andUsers/Resources. This reporting method tracks when the user is actively using the application and the monthswhere there were no activities/system usage. For this reason you should dene specic time lters. Withouttime lters, the report shows results for the complete 100 years Time dimension.

• Avoid reporting by date. Instead use Month or Quarter.

• Filter by group of users, instead of individual users.

• Apply a lter on the # of Active Days fact > than 0 to ensure the analytic shows positive reporting values.

How to Create an Historical Trending AnalysisHistorical Trending analytics use the subject area Sales - CRM Opportunity Sales Stage Snapshot. This subject area isspecically designed for reporting on opportunities and revenues against their daily, weekly or monthly (depending onthe enterprise calendar period setup), quarterly and yearly trends or to compare opportunity and revenue data againstspecic points in time.

Dimension folders include the grouping of dimensional aributes for the subject area. Columns (such as date of birthor name) which are grouped for a dimension are known as aributes. Fact folders contain formulas for geing numericvalues, such as counts and percentages.

What's the relationship between dimensions and fact in a subjectarea?A subject area is based around a single fact. The dimensions are all related to each other through the fact only. The factis automatically included in any query that is created, even if none of the measures in the fact appear in the analysis.

What's a common dimension?A common dimension is shared across multiple subject areas. For example, Time, Department, and Location arecommon dimensions. When constructing a cross-subject area analysis, only common dimensions can be used.

How can I determine which dimensions are shared across twosubject areas?If the dimensions exist in both subject areas, they are common dimensions, and are often among the rst folders in asubject area. You can join any subject areas you have access to in Answers, but analyses are subject to the normalizeddata structure. Unless the underlying tables are joined by design, joining subject areas in Answers results in errors.

What's a dashboard?A dashboard is a container page to display analyses, reports, and other objects. Administrators can create shareddashboards for groups of users with common responsibilities or job functions. Personalized views can be created basedon a user's permissions.

Overview of SandboxesYou use sandboxes to make application changes and test them without impacting other users in the environment.Wherever possible, make changes to the application in a sandbox rather than making direct changes in the mainlineenvironment. Sandboxes set apart untested conguration changes from the mainline environment. So you can test yourchanges in the sandbox and then publish it. After publishing, your changes become available in the mainline metadataor other sandboxes after they're refreshed. So everyone can then see your changes in the environment. Mainlinemetadata is the primary branch of metadata a sandbox is published to.

Why You Need SandboxesToday's business landscape is quite dynamic. Companies are expected to respond quickly to address both customerand market needs. So multiple teams need to make application changes at the same time while sharing the same datamodel and conguration starting point. But you may get conicts between teams working that way. To avoid suchconicts, sandboxes come in handy.

Unied SandboxesYou can either use the Unied Sandboxes UI, which is the default feature you get, or opt out of it using the Oeringswork area to get the Classic Sandboxes feature.

With Unied Sandboxes, you can refresh your sandboxes to bring in the latest changes from the mainline metadatato your sandboxes, and do many other new and versatile sandbox activities. You get a consistent sandbox experienceacross all conguration tools and a more robust user interface with this feature.

With Unied Sandboxes, you can do these additional sandbox activities:

• Select the conguration tools to enable for your sandboxes while creating them.

• Enable all conguration tools in the same way using the Sandboxes UI. So you get a consistent sandboxexperience across tools.

• Restrict access to various sandbox activities for users. For example, you can specify these access rights for yoursandboxes:

◦ Full access

◦ Edit and preview access

◦ View only access

• View just your application changes without having other context layers hide your content.

• Test your changes in a preview mode that shows you exactly how your application changes would appear in apublished sandbox.

• Refresh and merge sandboxes with latest changes in mainline metadata from other published sandboxes. Aftermerging all changes, you can publish your sandbox.

• After opting in to the Unied Sandboxes feature, if you register your target environment in your sourceenvironment, you can do these additional migration tasks using the Migration UI:

◦ Migrate your changes from the test environment to the target environment without manuallydownloading and uploading the conguration set le.

◦ Move only new changes from the source environment to the target environment.

Sandbox UsageYou typically use sandboxes for either of these purposes:

• Test-Only: You can make application changes using test-only sandboxes, which you don't want to publish tothe mainline code.

• Publish: Once satised with the application changes made in the test-only sandbox, you can replicate thesechanges in a sandbox that you want to publish. And then publish your changes to the mainline code. Thissandbox type is also known as the integration sandbox, because teams working in parallel use this sandbox asthe nal staging point before publication to the mainline code.

Note: Before each patch or upgrade, publish or delete your sandboxes. If you haven't yet completed yourwork, restart with a new sandbox.

Enable or Disable the Unied Sandboxes FeatureYou get to use Unied Sandboxes by default. But if you want to use Classic Sandboxes instead of the default sandboxes,opt out of the Unied Sandboxes feature.

Before you start, consider these points:

• Make sure you totally understand what it means to opt in to or opt out of the feature and what impact thatwould have.

◦ When you use Application Composer in your Unied Sandbox, an object can only be edited in any onesandbox in the environment at a time.

Create and Activate Unied SandboxesTo make changes to the application, you must rst store the changes in an active sandbox. You can either create asandbox or select an existing one, and make it active. You must activate the conguration tools you want to use in yoursandbox. If you plan to use Page Composer in your sandbox and need to edit pages at any layer, not just Site, create aseparate sandbox just for using this tool.

Note: You can create up to 20 sandboxes. But, you can increase this limit using the Maximum Number ofSandboxes prole option. In the Setup and Maintenance work area, use the Manage Applications CoreAdministrator Prole Values task in the Application Extensions functional area.

Create and Activate SandboxesFollow these steps to create and activate sandboxes for most conguration tools. For exelds, use the ManageDescriptive Flexelds task or the Manage Extensible Flexelds task instead.

1. Click Navigator > Conguration > Sandboxes.2. On the Sandboxes page, click Create Sandbox.3. Enter a name and description for your sandbox.4. In the All Tools section, select the tools you want to activate for this sandbox. The context layers for all selected

tools are set as Site by default. So the changes you make using these tools aect all users.5. If you select Page Composer, you can click the Edit Sandbox Context icon and change the context layer

from Site to another layer, for example External. You can nd the Edit Sandbox Context icon in the SupportContext column.

Note: If you want to use other tools along with Page Composer in your sandbox, don't changethe context layer for Page Composer, even though you can. That's because all tools except PageComposer support only a single context layer, Site. If you change the context layer for PageComposer from Site to any other layer, you can't activate those tools in the same sandbox.

6. Click Create to just create the sandbox, or Create and Enter to enter or activate the sandbox after creating it.

Here are a few things to know about activating tools in your sandbox.

• If you try to use a conguration tool in a sandbox without activating the tool in it, you get a message promptingyou to activate the tool. You can add more tools to your sandbox later also.

• To create and manage saved searches and make UI adjustments (for example, change a table's column width)just for yourself, you must leave your sandbox before making these changes. But if you want to make thesechanges for others too, then make the changes with Page Composer open, in which case you also must be in asandbox.

Activate Existing SandboxesYou can activate only one sandbox at a time.

1. Click Navigator > Conguration > Sandboxes.2. From the list of sandboxes, if available, nd the one you want to activate, and click the Enter Sandbox icon for

that sandbox. Your sandbox is activated, and you can see its name on the sandbox bar above the global header.You can use the options available on the sandbox bar to quickly do some activities, such as view sandboxdetails, publish the sandbox, or leave the sandbox.

Publish Unied SandboxesAfter you're done making changes to the application, publish the sandbox to make your changes available to allusers. You must have the Administer Sandbox (FND_ADMINISTER_SANDBOX_PRIV) privilege to publish sandboxes.Remember, you can't make further changes in the sandbox once you publish it.

Before you start, do these tasks:

• Test or validate your changes in the sandbox in preview mode before actually publishing it. If you madechanges using Page Composer, don't forget to close it before testing. To preview your changes, click theSandbox Mode drop-down buon on the sandbox bar above the global header, and select Preview as ifPublished (Context: All).

Note: You can see the sandbox bar only when you're in an active sandbox.

• Resolve all conicts agged in the merge log of your sandbox.

To publish a sandbox:

1. Click Navigator > Conguration > Sandboxes.2. On the Sandboxes page, click the name of the sandbox you want to publish.3. Click Publish.

Note: The Publish buon might be disabled for your sandbox because of variousreasons. For example, you haven't yet made any changes in your sandbox, orthe Control Publish Sandbox Action in Production Environment prole option(FND_ALLOW_PUBLISH_SANDBOX) is set to No.

4. Click Continue to Publish. The sandbox is published to the mainline metadata.5. Click Done.

Enable the Sales Pages

Set Up Sales Infolet PagesThe Sales and Sales Infolet pages are where your sales team sees key analytics relevant to their job role. Prebuiltanalytics are displayed inside portals on the pages called infolets. The infolets come with a set of default analytics forroles in your organization. You can manage which analytics you want your users to see. You can add prebuilt, or yourown analytics to the infolets. You can also change the way the infolets appear on the page, by changing the infolet size,the shape, and so on.

Note that if you're in accessibility mode, only non-graphical report views such as Table, Pivot table, and Tile aresupported in Infolets. Charts or graphical views such as Pie and Bar aren't supported in accessibility mode.

Sales Infolet CachingAs you make changes to your infolets, remember that infolets are cached by default. Currently the default seing is tobe cached one hour before the existing infolet content is invalidated and refreshed with new content. This means thatany new updates to your analytics aren't visible in your infolets for an hour, when the cache is refreshed.

You can manually override this action by opening your analytic in BI, then going to the Advanced tab, and checkingthe Bypass Oracle BI Presentation Services Cache. Once this check box in enabled your infolet analysis is visibleimmediately.

Enable the Sales Infolet PagesOut of the box the sales infolet pages should be enabled for the standard roles by default. But If you add custom roles,you must enable the sales infolet page for each new role.

Edit Infolet ContentYou can change the analytics that show in any of your sales infolets.

1. Click the arrow next to your name and select Edit Work Area Pages. You see the Edit Pages dialog. SelectJob Role and select a role. All of the changes you make in this sandbox once saved apply only to employeesassigned to the job role you choose. Click OK.

2. Select the infolet you want to change and from the list select Edit Content. The Edit Content Dialog appears.Select Add Content.

3. The reports directories appear. Navigate to Reports and Analytics > BI Presentation Server > Shared Folders >Sales > Embedded Content. Select the report to add to that infolet and select Add. Publish your sandbox whenyou're nished with your changes.

Add an InfoletYou can add infolets to your Sales and Sales Infolet pages.

1. In your sandbox, click the arrow next to your name and select Edit Work Area Pages. You see the Edit Pagesdialog. Select Job Role and select a role. All of the changes you make in this sandbox once saved apply only toemployees assigned to the job role you choose. Click OK.

2. On the page where you want to add the infolet, select the documents icon.3. Select Create Infolet.4. Name your infolet and click Save.

Your new infolet appears on your Sales Infolet Page. You still must add content by following the steps in Editing InfoletContent.

Delete an Infolet

1. In your sandbox, click the arrow next to your name and select Edit Work Area Pages. You see the Edit Pagesdialog. Select Job Role and select a role. All of the changes you make in this sandbox once saved apply only toemployees assigned to the job role you choose. Click OK.

2. Select the menu on the infolet you're deleting and click Delete.

Analytics on Object Pages

Analytics on Object PagesAdministrators can add analytics to object landing and edit pages. The object landing pages are the pages sales teamsinteract with every day like the Opportunities, Accounts, or Contacts pages. When you add analytics to the tabs in thesepages users can see analytics specic to the record they select.

For the object landing pages there are two steps:

1. Enable the Analytics tab.2. Add an analytic to the enabled tab.

For the edit object pages, there are three steps:

1. Set the "Is "Prompted" lter on the analytic in BI.

Enable Analytics Tabs for Object Landing PagesThe analytics tabs on your object pages don't show by default. Administrators must enable the tabs before they can addanalytics to object pages.

Enable Landing Page Analytics TabsThis uses the Opportunities object landing page as an example. The steps are the same for all of the object landingpages.

1. In Navigator click Structure.2. Choose Opportunities.3. On the analytics row, change the value for visible column to "Yes."4. Click Save and Close.

Add an Analysis to the Object Landing PageAfter the analytics tab is enabled, administrators add the analytic to the landing page tab. This procedure uses theOpportunity landing page as an example. The procedure is the same for all object edit and landing pages.

Add an Analysis to the Opportunity Landing Page Tab

1. In a specic opportunity, select the Analytics tab. You enabled this tab in the previous section.2. At the top of the Home Page click the arrow next to your name and select Edit Pages.3. Select Job Role and choose the role to which your change should apply. Any analytics you add in this context

apply only to the role you dene here.4. In Opportunities on the analytics tab click Add Content and navigate to the analysis you want to show on the

Opportunity page.5. Click Add next to the analysis and close the dialog. The analysis is now added to the Analytics tab.

Enable Sub Tabs and Add Analytics to Object Edit PagesThere are three steps to adding analytics to object edit pages.

1. Set the "Is Prompted" lter in the analytic in Business Intelligence. This step is used when the requirement is toview contextual data specic to the record selected.

2. Enable the sub tab on the object page.3. Add the analysis to the sub tab on the object page.

All of these steps are done using the Opportunities landing and edit pages. You can use these same steps for any of theobject pages listed as analytics work areas in the sub table at the start of this section.

For service, the Service, Work Order, and Queue pages use the same procedures.

Set the "Is Prompted" FilterFor analytics to show on your user Opportunity pages you enable the "Is Prompted" lter on the name or object IDfor the analysis. Adding this lter adds an analytic with data that relates only to the opportunity your user is currentlyviewing.

1. Open an existing analysis, or create a new analysis in BI.2. In the report Criteria sub tab, select the Filter icon for the appropriate column. Under Operator, select is

prompted. Leave the other options blank.3. Click OK.

Enable Object Edit Page Analytics Sub TabsThis procedure uses the Opportunity object landing page as an example. The procedure is the same for all object editpages.

1. In Navigator click Application Composer.2. Select Sales from the Application drop-down list.3. Expand Standard Objects and go to Opportunity.4. Under Opportunity click Pages.5. Under Detail Page Layouts copy the standard layout or select an existing created layout where the Analytics

2. Select Job Role and choose the role to which your change should apply. Any analytics you add in this contextapply only to the role you dene here.

3. In Opportunities on the analytics sub tab click Add Content and navigate to the analysis you want to show onthe Opportunity page.

4. Click Add next to the analysis and close the dialog. The analysis is now added to the Analytics sub tab.5. Next step you want to either save the default parameters, or add parameters specic the object your are

Direct LinkingDirect page linking lets your users drill down on a record without leaving the page. You can add direct page linkingfor records in most custom objects in Engagement. When users click the custom object name, or any record with anassociated ID value, it opens up a separate window to provide further detail on that record.

There are three parts to direct page linking:

1. Dening an action link.2. Constructing the direct link URL.3. Updating the direct link URL and parameters to navigate to a selected record.

Dene an Action LinkYou can add a direct page URL to any column of an analysis created for a custom object by adding an action link fromcolumn properties. Note that the analysis must have a column that holds the identication of the record, such as RecordID in the case of a custom object.

1. Create or open an analytic that contains a column for the name of the document. Select the gear icon on thecolumn and then from the drop-down list choose Column Properties.

Note that you can test the URL by replacing the host name with your actual host name and using a valid recordvalue in place of <YYYY>. Put the URL in a browser to see if the record details page appears and the URL isvalid.

2. Once you have determined that the URL is valid, the next step is to embed this URL in the analytic and ensurethat the object ID, represented in these instructions as <YYYY> is dynamically retrieved from the analyticwhenever the Product Docs name is clicked. When you have added the URL click Dene Parameters. The nextpart of these instructions is to construct the direct link URL.

Update the Direct Link URL and ParametersThe dene parameters elds are populated with some prompts and values already. The purpose of these steps is toensure that the object ID is dened as a parameter.This shows some Prompt and Value elds on the Create New Action page.

To update the direct link URL and parameters:

1. Because you're changing the value of the ID only, delete the default parameters and leave only one parametermapped to the ID.

2. Update the rst parameter by renaming the Prompt value to ObjectId and set the value to a column value byselecting the record ID from the drop-down list. For example ProductDocs_c.Id.

3. Paste the URL again in the URL eld and replace the ID of <YYYY> value with @{1} as shown in the followingexample:

Paths and Links to AnalyticsYour analytics are stored in BI. You are expressing that analytic that's stored in BI in a dierent location. So when youadd an analytic to an infolet, you need to dene that path to the analytic. Navigating away from the page takes you outof editing mode, so it makes sense to get the pathway before you add it to the infolet.

Find Analytic Pathways1. From the Navigator, click Reports and Analytics.2. Click the directory icon on the Reports and Analytics page.3. Go to Sales, Embedded Content, and navigate to the analytic.4. Highlight the analytic you want, right-click and click More.5. Under your analytic name, click More, then Properties.6. From the General area, go to Location and copy the path.

The path is your report location for your sales infolets.7. Click OK.

ADF Contextual Event ActionAdministrators can set the ADF Contextual Event action on the object name or other aribute columns of an objectin the analysis to enable drilling down to sales objects. When this action is set, the drilling down feature works on theanalytics you add to the object tabs, Sales Infolet pages, sales pages or Analytic page. User can click the column nameand see the details for that particular record.

1. Create a new analysis from the subject area Sales-CRM Pipeline. (See Chapter 5, Creating and Editing Analytics).2. From the Subject Area pane, drag the following columns onto the Selected Columns editing palee:

Viewing the ADF Contextual Event ActionThe analytic to which you added the ADF Contextual Event can be added on the interface. Using the ADF ContextualEvent action, users now have the option to view the additional details of a particular object, or make changes to detailson an object pages.

To set your analytic an edit object page, do the following:

1. Enable the analytic tab on the Accounts page and add the newly created analytic. See the section called"Adding Analytics to Object Pages."

2. Click the Customer Name from the BI report and it opens up the detail page for a particular customer as adialog box. You can close the dialog box and open up any customer name or opportunity name to get a detailpage dialog box.

USER_PARTY_ID Session VariableYou can congure analyses to show user-specic analytic data on user Analytics pages. This is done by adding sessionvariables to the analytic. Adding a session variable, such as USER_PARTY_ID tells the application to show only the datathat's specic to the signed in user. The variables exist for each user for the duration of a browsing session and expirewhen the user closes the browser or signs out. There are two types of session variable: system and non-system. Sessionvariables are primarily used when authenticating users against external sources such as database tables or LDAPservers. If a user is authenticated successfully, session variables can be used to set lters and permissions for thatsession.

Add USER_PARTY_IDTo add session variables you select the gear icon on the column name. Then you select New Filter. The USER_PARTY_IDis used on the Employee Login ID column since it tells the application to only show data in this analytic specic to thelogged in employee. There are several other session variables and you can choose from the options available when youclick in that eld.

This shows the New Filter option for adding a session variable that shows an analysis for a signed in user.

Embed Analyses and Dashboards

Whitelist Safe DomainsYou whitelist safe domains to approve access to specic content. For security reasons, external content can't be addedto reports and reports can't be embedded in other applications unless it's safe to do so. Only administrators can addsafe domains to the white list.

Only authorized users may access the content. Except in cases where Single Sign On (SSO) is enabled, users areprompted to sign in when they access content on safe domains. After you have added a safe domain to the white list,users need to sign out and sign back in to access content from that source.

1. Click Navigator > Reports and Analytics.2. Click Browse Catalog.3. Click the Administration link on the BI Home page.4. Click the Manage Safe Domains link.5. To allow users to embed their analyses in content located on other domains, enter the name of the safe domain

as well as the port. Here are a few formats you can use for port names:

6. Select the types of resources you want to allow and block any resource types you think aren't safe. For example,to allow embedding, select Embedding.

Embed Your Content in Other ApplicationsYou can embed your reports in other non-Oracle applications and portals. This is a good way to share content and dataamong multiple systems. When other users click on embedded content, if you don't have single sign-on, they mighthave to sign in again to see the content.

Before you can embed a report in other applications or portals, your administrator must add the URL for the targetapplications or portal to the domain whitelist.

1. Obtain the URL of the analysis or dashboard you want to embed.

a. Go to the catalog and open the analysis or dashboard.b. In the URL displayed in the browser's address bar, delete "Portal", so that your URL resembles this

example, then copy the URL.

7 Custom Subject Areas

About Custom Subject AreasWith Oracle Engagement Cloud, you get prebuilt analytics that answer typical business questions you might have. But incase your questions aren't answered, you can create your own analytics using prebuilt subject areas. And, if the prebuiltsubject areas don't cover what you need, then you can create your own custom subject areas to use to create analyticsthat do answer your questions. This feature is especially useful as you work through the process of conguring yourapplications. For example, if you create custom objects and want to report on them, then you will need to create customsubject areas.

Subject Areas and AnalyticsWhat's the relationship between subject areas and analytics?

A subject area is the starting point for building analytics. It's basically a collection of related information from yourdatabase. Analytics, meanwhile, are like snapshots of a subject area. They give you a focused view of that collection ofinformation, so you can get more meaningful insights from your data.

You can look at a subject area like a painter's palee and the resulting analytics are the completed paintings that youcreate. The subject area contains all the colors you need to paint one or more pieces of artwork. And your nishedartwork gives you the intelligence you need to beer understand and operate your business.

When to Create Custom Subject AreasCreating custom subject areas isn't required, and you do get prebuilt subject areas that contain a lot of information fromwhich you can build your own custom analytics. You will need to create custom subject areas, however, for two reasons:

• If you create custom objects and want to report on them

• If the existing prebuilt subject areas don't contain the measures (facts) you need for reporting

How to Create and Use Custom Subject AreasTo create a custom subject area, you're guided through the process step by step, but here's a quick overview:

1. Navigate to Application Composer.2. Click Custom Subject Areas on the Overview page of Application Composer.3. Select Create from the Actions menu.4. Complete the guided process.

Next, to actually build analytics from that subject area, use BI Composer. Using a custom subject area in BI Composer isthe same as using a prebuilt subject area.

1. From the Navigator menu, select Tools > Reports and Analytics.2. In the Contents pane, click Create.3. Select the published custom subject area and start creating your analytic, such as a report or an online analysis.

Things to RememberBefore you start creating custom subject areas, you should know the following:

• Tools: Use Application Composer to create custom subject areas. Then use BI Composer to create analyticsbased on those custom subject areas.

• Objects: A subject area is always built around a business object. That object is the focus of any reportingcreated using that subject area. You can add related objects to a subject area, but there is always a primaryobject and you can't change it.

• Dates and numbers:

◦ The real meaningful substance of any reporting is typically "how much" or "how many." You'remeasuring things to get insights into how well your business is doing. When creating a custom subjectarea, you can tag aributes of the custom subject area object as measures, which means you specifywhich date and number elds are measurable. You will use these measures when you later use thissubject area to create analytics.

◦ You can also enable date leveling, which means that you can group the data in your analytics by dierentcalendar aributes. You do this by mapping a date aribute to a calendar object, like Week Of the Year,Month of the Year, or Enterprise Quarter. This mapping lets you view data in your analytics by a specicquarter or year, for example.

• Publishing: Once you create a custom subject area, you can't actually use it in BI Composer until you publish it.

In the next few topics, we will review some of these key concepts. We will then talk in more detail about how to createcustom subject areas.

Custom Subject Area ObjectsWhen you create a custom subject area, one of the rst things you do is pick the primary object. The primary objectis the focus of any reporting created using that subject area. Does your subject area need more data to be helpful? Ifso, then just add child objects to the subject area. A subject area always has one primary object and, depending onyour reporting needs, could have one or more child objects. Still need more data? You can further expand the scope ofinformation by adding related objects as well. Let's look at these objects in more detail.

Primary ObjectYou pick a primary object during the rst train stop when creating a custom subject area. The list of available objectsincludes all standard objects as well as top-level custom objects. A top-level object is simply an object without a parent.

After you save your custom subject area, the primary object is frozen and can't be changed.

Note: You can't include Notes and Tasks in a custom subject area.

Child ObjectsTo expand the scope of information that you can report on, you can add one or more child objects during the secondtrain stop when creating a custom subject area. After adding child objects, you can include data from both the primaryobject and its children in the analytics you create from this subject area.

In a family, one parent can have many children; we call this a one-to-many relationship. In Application Composer,you create this type of relationship by creating a parent object with one or more children. So, if a parent object is theprimary object of a custom subject area, then you can add its children to the subject area, too. Note that in ApplicationComposer, you can't create a child object of a child object (grandchildren).

When you create custom subject areas, however, it's a lile dierent. Yes, you can add child objects to a subjectarea. But, you add child objects in sequential order. It's a single hierarchy of objects: parent-child-grandchild-great-grandchild.

Here's a screenshot of what the parent-child-grandchild-great-grandchild hierarchy looks like.

The parent-child-grandchild-great-grandchild hierarchy supports adding up to three levels of child objects with onechild object at each level; for example, parent-child1-child1.1-child1.1.1. If no child objects exist for the selected primaryobject, then you can't add child objects to a custom subject area.

After you publish a custom subject area, you can't add or remove child objects.

Related ObjectsIf you need still more data in your custom subject area, above and beyond what you can get from the primary objectand its child objects, then you can also include aributes (elds) from related objects. You do this during the third trainstop when creating a custom subject area.

Think of related objects like friends of the primary object. They aren't quite children, but they still have a relationshipwith the primary object. A related object doesn't have a parent and can exist on its own. In contrast, child objects can'texist without a parent. So, instead of the parent-child one-to-many relationship, related objects have a many-to-onerelationship with the primary object. You can think of that like many people can be friends with the same parent. InApplication Composer, you create this type of relationship by creating a many-to one relationship on the Relationshipspage.

After you publish a custom subject area, you can't remove related objects.

Custom Subject Area FieldsAfter you pick the primary object and add child objects to a custom subject area, the next train stop in the process is topick the elds (also called object aributes or just aributes). If you recall, a subject area is a collection of informationfrom your database, and analytics are snapshots and measurements of that information. Picking the elds is the part ofthe process where you build that collection of information in your subject area. When you're later using this subject areato design an analytic, you will be able to choose from the set of elds that you included in this step.

Where Fields Come FromThe elds that you can pick belong to the primary object and any child objects that you added in the previous train stop.You can also add elds from objects that are related to the primary object.

Types of Fields You Can AddThere are dierent types of elds in your applications. You can add most of these types to custom subject areas. Here'swhat you can add:

• Text

• Number

• Date

Keep an eye out for date elds that are canonical date candidates, which are predened for some standardobjects and subject areas, and display with a read-only check mark. Optionally add canonical date elds fromthe lowest standard object in your custom subject area. This means that, if you later join your custom subjectarea to a standard subject area in BI Composer, you can create analytics that can drill up and down the datehierarchy.

For example, maybe users want to see sales commission amounts on their closed opportunities for the quarter,and then drill down to view amounts by week. And maybe they also want to drill up to view amounts by year.This drill down is enabled because the canonical date eld in your custom subject area is automatically joined tothe standard Time dimension in the standard subject area.

• Percentage

• Date time

• Currency

• Check box

• Fixed choice list

In your analytics, only the actual user selections are displayed, as text strings.

It's a good idea to avoid adding multi-select xed choice list elds to your custom subject areas, since only therst selected values are displayed in analytics, not all selected values.

Types of Fields That BI Composer SupportsMeanwhile, BI Composer supports a corresponding set of data types when creating analytics. It's basically the same asthe types of elds you can add to a custom subject area in Application Composer. But, there are slight dierences interms of how check box elds and choice list elds in a custom subject area are interpreted in BI Composer.

• Boolean

Note: Check box elds from your objects are interpreted as Boolean elds on the BI side. If you'reusing the Boolean data type for elds other than check boxes, then those elds are displayed aseither 0 or 1 in your analytics.

• Number

• Currency

• Date

• String

As mentioned above, xed choice list and dynamic choice list elds are interpreted as string elds on the BIside.

• Percentage

MeasuresWhen you want to see how your business is doing, you typically review analytics to nd out "how much" or "how many."Keeping on top of this kind of summary data helps you to evaluate your company's performance. To get the exactsummaries you need, you specify the date and number elds in your custom subject areas that you want to summarize,and you also specify how you want to summarize them. These elds are called measures.

What's a Measure?Measures are a set of functions applied to a date or number eld so that your users can see summaries in theiranalytics. Examples of typical measures include a SUM of the revenue in Euros, or a COUNT of the number ofopportunities worth over $500,000.

When you create a custom subject area, you pick the aggregation function (SUM, COUNT, and so on) for measures. Youcan apply these functions on elds of type Date, Numeric, or Currency. After you dene the measures for the requiredelds and publish the custom subject area, you can select these elds and the applied measures when creating analyticsin BI Composer.

Tip: The measures you dene in Application Composer display in the Facts folder in BI Composer.

Things to RememberYou can specify measures only when creating a custom subject area. You can't delete measures in an already publishedcustom subject area, but you can add new measures. You can't edit or add measures to a standard, prebuilt subjectarea.

If you don't dene a measure, then one will be automatically selected from the lowest object in the custom subject areawhen you submit the subject area for publication.

Measures and Field TypesSelect measures based on your reporting needs. For example, you can use measures to view product sales per store,state, or country. Or, use measures to view the number of support tickets opened or closed per day, week, or month,and so on. But keep in mind, the measures available for selection might dier depending on the eld type.

Here are some measures you can apply to elds of type Numeric, Currency, or Date.

• For Numeric and Currency elds, a measure can be:

◦ All

Note: All isn't a measure, but an option in the UI that selects all of the measures.

◦ Sum: Calculates the sum of the values.

◦ Average: Calculates the mean value.

◦ Count: Calculates the number of rows that aren't null.

◦ Count Distinct: Calculates the number of rows that aren't null. Each distinct occurrence of a row iscounted only once.

Note: Although Count Distinct is usually used in cases requiring a count on a foreign key(because a count of distinct rows is what's wanted), it's not required. If your requirements allowmultiple instances of the same foreign key value to be counted multiple times, you can useCount rather than Count Distinct.

◦ Maximum: Calculates the highest numeric value.

◦ Minimum: Calculates the lowest numeric value.

◦ First: Selects the rst occurrence of the item.

◦ Last: Selects the last occurrence of the item.

◦ Median: Calculates the middle value.

◦ Standard Deviation: Calculates the standard deviation to show the level of variation from the average.

◦ Standard Deviation Population: Calculates the standard deviation using the formula for populationvariance and standard deviation.

Custom Subject Areas DatesOnce you pick the elds for your custom subject area, you can then review just the date elds for two additionalconguration steps: allowing date leveling and picking one canonical date eld. First, you can enable one or more eldsfor date leveling which enables the aggregation of report data over a period of time. You can also enable one eld tobe the canonical date which lets you join this custom subject area to the standard Time dimension. Using this commondate, your users can lter data across multiple subject areas in a single report, and drill up and down the date hierarchy.Let's look at date leveling and the concept of canonical date in more detail.

Why Date Leveling is UsefulDate leveling gives you additional date context about your transaction data, and enables the ltering of data by calendaraributes. Date leveling means that you're connecting (mapping) a date eld in your custom subject area to a very largecalendar object in BI Composer. Later, in BI Composer, that date eld will display with a series of calendar aributes.(The calendar object supports both the enterprise and scal calendar.) When you design your analytics, you pick thatdate eld plus the calendar aributes you're interested in, such as Day Name, Week of the Year, Month of the Year, orEnterprise Quarter. In your resulting analytic, transaction data displays along with the helpful date context that you haveadded.

For example, a report can display a set of opportunity records along with the enterprise quarter they were created in: Q1,Q2, and so on. That's date leveling. And, maybe you need to know which day the opportunity was created on, such as ona Monday or Wednesday. That's also date leveling.

Maybe you want to see a report of all orders entered, but you would like to know what enterprise quarters they wereentered in. If you enable date leveling on the creation date for your sales order object, then you can create analytics thatshow orders per enterprise quarter.

Let's rene that report a lile more. Maybe you want to see only orders created in 2019 Q1. When you design that report,add a lter on the enterprise quarter to display only records where the quarter is equal to 2019 Q1.

If you don't enable date leveling for a date eld, then later in BI Composer, that date eld will still display for inclusion inan analytic, but without the added calendar aributes that are so helpful.

Congure Date LevelingTo congure date leveling, use the Congure Dates step of the guided train process to either allow or disallow levelingfor a date eld. You might need to expand the eld list in the Date Field column to view the Allow Leveling check box.

Enable date leveling only for those dates that you want to report on. And, even after you publish the custom subjectarea, you can always come back and select additional dates for date leveling, and then republish.

Why the Canonical Date is UsefulA canonical date in a custom subject area is useful because, when you join your custom subject area to a standardsubject area in BI Composer, the canonical date automatically joins to the standard Time dimension. The Timedimension includes the date hierarchy, so this means that the analytics you create can drill up and down the datehierarchy.

But rst, let's understand where the canonical date comes from. Canonical dates are already dened for some standardobjects. You can see these elds in the Fields step when adding elds from standard objects to your custom subjectarea. (A date eld that's a canonical date will have a check mark in the Canonical Date Candidate column.) If you plan to

design a report that lets users drill up and down the date hierarchy, then include a canonical date eld in your customsubject area. But that's only the rst step.

In the next Congure Dates step, you must select the radio buon for that eld in the Canonical Date column. Do this forone eld only, and only for the lowest standard object in your custom subject area. Canonical dates are available onlyfor standard objects because custom objects don't have corresponding subject areas in BI Composer with the standardTime dimension to join to.

Let's look at an example of drilling up and down the date hierarchy. Maybe users want to see sales commissionamounts on their closed opportunities for the quarter, and then drill down to view amounts by week. Maybe they wantto drill up to view amounts by year. This is drilling up and down. To achieve this, you must do the following:

1. In Application Composer, create a custom subject area for opportunity and opportunity revenue, with the LineClose Date as the canonical date from the opportunity revenue object.

2. In BI Composer:

a. Create an analysis that includes both the custom subject area and a standard subject area, such as Sales -CRM Pipeline.

b. In addition to including at least the Sales Commission eld, include the date hierarchy in your analysis,such as Enterprise Time, from the Sales - CRM Pipeline's Time dimension folder.

Congure the Canonical DateTo indicate which date eld should be the canonical date, use the Congure Dates step of the guided train process.To enable a date eld as the one canonical date for a custom subject area, view the date elds for the lowest standardobject in the custom subject area, and select the radio buon for the desired date eld in the Canonical Date column.You might need to expand the eld list in the Date Field column to view the Canonical Date radio buon.

You can add a canonical date to both new and existing custom subject areas.

If you publish a custom subject area without a canonical date, then you can always come back later and select acanonical date, and then republish.

Secure Custom Subject AreasYou can secure a custom subject area by granting or revoking access rights from the role names that access the customsubject area. You can add or delete role names, or grant or revoke access rights from those role names.

You can also add role names from a predened list and assign or revoke permissions.

Manage Role Names and Access RightsWhile dening a custom subject area using the train stops, you can use the Actions list in the Congure Security step tomanage role names and access rights as follows:

• Select and add role names for a custom subject area from a predened list of role names. This predened listalso provides the description for each role name. You can also select and add multiple role names from thispredened list using either the Shift or Ctrl keys. After you add a new role name, you can select appropriateaccess for that role name.

• Select and delete role names listed for a custom subject area. You can also select and delete multiple rolenames using either the Shift or Ctrl keys.

Note: You can't delete the role name listed as Everyone.

• Read access is granted by default to each role name you add. To revoke Read access from a listed role name,select No access for that role name.

Note: You can create custom subject areas even for the objects whose data you don't have access to. Thisway you build custom subject areas without compromising data security.

Create Custom Subject AreasCreating a subject area is simple. In Application Composer, just follow the train steps.

Tip: Before you create a custom subject area, review all the prebuilt subject areas to see if the one you want isalready available.

Creating a Custom Subject AreaTo create a custom subject area, you can't be in a sandbox.

1. Navigate to Application Composer.2. Click Custom Subject Areas on the Overview page of Application Composer.3. Select Create from the Actions menu.

Here are the steps in the train stops that you can use for conguring your custom subject area:

1. Dene Custom Subject Area

In this step, you provide the name for your subject area and select the primary object that is the basis forthe reports you create later using the custom subject area. Subject areas usually have names or labels thatcorrespond to the type of information they contain, such as service requests and orders. Display labels have theCustom: prex added automatically.

2. Select Child Objects

In this step, you select the child objects whose data you want to use in your reports. You can add child objectsonly if the primary object has child objects. Otherwise, the add icon is disabled. You can only add one childobject per level. The parent-child-grandchild-grand grandchild hierarchy supports adding up to three levels ofchild objects with one child object at each level, for example, parent-child1-child1.1-child1.1.1.

3. Congure Fields

In this step, you select the elds that you want to display on your reports. You typically add at least one eldfrom each of the objects that you have selected for your custom subject area.

Select the desired measures to generate for number, date, or currency elds from all the available objects sothat the subject area includes only those measures that you want to analyze. Also, dene at least one measure.

In the Measure Aggregations column, select an option from the list of predened formulas that you can applyto the Measure eld. When you select the formula, the application applies the selected formulas to the selectedeld as measures.

Note: You can choose measures only for the lowest child. For example, if only a primaryobject exists with no children, you can select measures for the primary object. Otherwise, ifany child objects exist, you can select measures only at the lowest child object level, not forthe parent object.

In the Canonical Date Candidate column, notice which standard object date elds are already denedas canonical dates. Canonical dates are already dened for some standard objects that support the Timedimension in standard subject areas, and display with a read-only check mark. Optionally add this eld fromthe lowest object in your custom subject area. This means that you can later join your custom subject area to astandard subject area in BI Composer, and create analytics that can drill up and down the date hierarchy.

You can change the display labels of the elds that you select in this step. Additionally, you can use the SelectFields dialog to remove elds that belong to the primary object, or add elds from the related objects. TheSelect Fields dialog appears when you click Select Fields when conguring elds for your custom subject area.

After you publish your custom subject area, the elds you have selected for your subject area are automaticallyadded to their owning object's folder. If you have also dened measures, those elds are automatically addedto the Facts folder. If you didn't dene a measure, then one is automatically created for the custom subjectarea.

4. Congure Dates

If required, select one or more Date columns for date leveling. Date leveling lets you add calendar aributes toyour analytics, which provide beer context to your transaction data.

You can also optionally select one date eld to be the canonical date for the custom subject area. Do this if youwant to create analytics that can drill up and down the date hierarchy.

Select the required security level for the Everyone Role Name, which is added by default, or add additional RoleNames by clicking in the + icon and dene the security level for each one of them.

The security denition here only controls who can access the custom subject area denition to create reports. Itdoesn't control data visibility which is automatically controlled based on the user running the reports.

Review the custom subject area conguration for all added objects, aributes, and measures, and if satised,click Submit. If changes are required click Back to navigate back to the required screen.

After you submit, the custom subject area conguration is prepared for publishing. You can create and submita custom subject area either immediately or save and close the custom subject area at any point and submit itlater. You must rst submit a custom subject area for publishing before you can select it from within Oracle BIComposer. After you save or submit a custom subject area, you can't modify its primary object.

To access the published custom subject area in BI:

◦ From the Navigator menu, select Tools > Reports and Analytics.

◦ In the Contents pane, click Create.

◦ Select the published custom subject area and start creating your report.

Editing Custom Subject AreasYou can edit a published or saved custom subject area and then republish it when your changes are done. Modifying acustom subject area doesn't aect the reports that you had created using that custom subject area before making thechanges. You can use the modied custom subject area if you need to enhance existing reports.

To edit a custom subject area:

1. On the Overview page of the Application Composer, click Custom Subject Areas.2. Locate the custom subject area that you want to edit, and click the Edit icon.

You can lter out inactive custom subject areas in Application Composer by viewing custom subject areas inActive status. This is safer than deleting them, because the inactive subject areas are still available and can befound by searching.

3. Make the desired changes and then click Submit to republish the custom subject area.

While you can edit a custom subject area in any status, there are considerations on what you can or can't do whenediting. When editing a published custom subject area, it's not possible to:

• Change the primary object.

• Add or remove child and related objects.

• Remove elds.

• Remove previously added measures, date levels, and canonical dates.

• Add more aggregation types for measures that are already published.

Note: You can't modify a predened, standard subject area. Instead, you must create separate custom subjectareas to meet your reporting needs. Before you create a custom subject area, be sure to review all the includedsubject areas to see if the one you want is already available.

Activating or Inactivating Custom Subject AreasWhen editing custom subject areas, you can activate or inactivate custom subject areas when your reporting or businessrequirements change. This step enables you to control what information is displayed on the reports that use theinformation from custom subject areas.

You can inactivate only those custom subject areas that are published and have a status of OK, and can activate onlypreviously inactivated custom subject areas.

To inactivate a custom subject area, select it in the list and then click the Inactivate buon. To activate an inactivecustom subject area, select it and click Activate. Note that if no custom subject area is selected in the list, the buondoesn't appear.

When searching for custom subject areas, you can lter out inactive custom subject areas in Application Composerby viewing only those in Active status. Inactivating a custom subject area is safer than deleting it, because the inactivesubject areas are still available and can be found by searching.

Publication Statuses of Custom Subject AreasAfter you create a custom subject area, you must publish it so that it's available for use in BI Composer. A customsubject area can have a few dierent publication statuses. Let's look at each one.

What Happens When You Submit for PublishingBut rst, let's understand the publication process. When you submit a custom subject area for publishing, two processesoccur in the background. The rst process is synchronous and creates Oracle Applications Development Framework(Oracle ADF) artifacts. You must wait until this rst process is over. The second process is asynchronous and createscentralized metadata repository (RPD) fragments and submits them to the Oracle BI server.

If you're working on multiple custom subject areas at once, then be sure to publish them one at a time. The rst customsubject area might publish successfully, but subsequent custom subject areas could result in publish failures.

Publication StatusesA custom subject area can have one of the following statuses:

• Pending: This status indicates either of the following:

◦ You saved and closed the conguration process for a custom subject area before submiing it forpublishing.

◦ A failure occurred in the background processes when creating Oracle ADF and RPD artifacts.

• In Process: This status indicates that the data is in the process of being published to Oracle BI.

Note: If the in-process status doesn't change to OK, even after multiple refresh aempts, thenthere could be an error in publishing. If an error occurs, then the details are displayed as well asinformation about how to x problems, where applicable. Use these error status details to pinpointand x problems quickly.

• OK: This status indicates that the custom subject area has been published successfully. You can use BIComposer to create reports using the objects, aributes, and measures that you have congured in the subjectarea.

Note: You must refresh the status to know whether the custom subject area was submied successfully. Youmight have to refresh the status multiple times because it could take a while to create the Oracle ADF and RPDartifacts.

How to Report on Custom FieldsIf you add custom elds to certain key Sales objects, then you don't have to create a custom subject area just to reporton those new elds. Actually, key Sales objects come with predened extension dimensions. Extension dimensions existin certain standard subject areas in BI Composer and conveniently hold all your custom elds. This means that if youcreate a custom eld for Opportunity, for example, then you don't have to do anything to report on it. Simply go to your

favorite standard subject area for Opportunity; your custom eld automatically appears in the extension dimension,ready for inclusion in analytics.

Create Analytics Using Extension FieldsHere's how to create analytics using extension dimension elds:

1. In Application Composer, create custom elds for standard objects, and add those custom elds to the userinterface.

2. Publish the sandbox.3. From the navigator, select Reports and Analytics under Tools to navigate to BI Composer.4. Select a standard subject area whose primary object is the object that you created custom elds for.5. Create your analytic.

When you specify the columns to include, you can select the extension elds from the extension dimensionfolder, which appears as the <Object Name> Extension folder. For example, Opportunity Extension.

The extension elds available for reporting vary by object type.

Hierarchies in AnalyticsSome prebuilt, standard subject areas include hierarchies, such as a customer or territory hierarchy. When you designanalytics with a hierarchy, users can drill up and down that hierarchy to view data grouped at dierent levels. Forexample, with a territory hierarchy, users can drill up and down their data to look at information grouped by region,state, and city. Hierarchies are delivered with standard subject areas only; you can't add them to custom subject areas.What you can do, however, is join your custom subject area with a standard subject area that has the hierarchy youneed. This lets you create analytics with a hierarchy using data pulled from your custom subject area.

Supported HierarchiesThe following hierarchies are supported in some standard subject areas, such as Sales - CRM Pipeline:

• Resource

• Territory

• Customer

• Partner

Example of Adding a Hierarchy to AnalyticsIf you want to create analytics that include a hierarchy, and also pull data from a custom subject area, then here's howyou do it.

Let's say you have a custom object named Ticket that you want to report on. The Ticket object includes the Accounteld as a dynamic choice list. This means at runtime, your users can create tickets and assign accounts (customers) tothem.

Now you have 1,000 tickets in your database and it's time to report on them. Your users would like to view total numberof tickets up and down their customer hierarchy.

1. Create a custom subject area for Ticket and publish it.2. Create a report using a standard subject area, such as Sales - CRM Customer or Contacts Real Time. These

subject areas include the customer hierarchy.3. Add the account hierarchy from the subject area to your report.4. Next, add your Ticket custom subject area to the report. This "joins" the two subject areas.5. Finally, add the metric, such as Number of Tickets, from the custom subject area to your report.

Schedule Analytics and Brieng BooksAnalytics and brieng books can be scheduled to run when you need them. You can also schedule other automatedtasks, for example to deliver results to specic recipients, send notications, or to generate a list of changesimplemented today using the CURRENT_DATE repository variable. You create what's called an agent to set this allup for an analysis, dashboard, or brieng book. The agent itself is saved as an object in the business intelligence (BI)catalog. Agents can

Schedule Snapshots of Your Sales Historical PipelineKeep an eye on your boom line using the Generates Sales Historical Snapshots scheduling process. You get dailysnapshots of your sales pipeline as well as snapshots of opportunity and revenue trends over time.

Snapshots are designed to work only when your enterprise calendar is congured to be either Monthly or Weekly. Soyou need to be sure to set up your calendar to be weekly or monthly before you start using snapshots.

The Generates Sales Historical Snapshots feature uses the Sales - CRM Historical Pipeline subject area to cullinformation on your key pipeline data.

Congure Historical SnapshotsThe Generates Sales Historical Snapshots scheduled process captures opportunity and revenue snapshots for openopportunities and opportunities closed within the time period you specify. You can set up a snapshot to run once, orset it up to run daily, weekly, monthly, yearly, or on your own time frame. You can also choose the number of days afterwhich opportunities have been closed to continue to take a snapshot of the opportunity and its corresponding revenueinformation.

To congure your Sales Historical Snapshots scheduled process:

Note: An upper limit of 10M snapshot records (opportunity and revenue records combined) is supported andonce the record limit is reached, the snapshot process automatically purges records by oldest snapshot dateuntil the record count is brought under the limit. The snapshot process only supports capturing snapshots ifthe enterprise calendar is congured to be either a Month or Week based calendar. No other calendar periodfrequencies are supported. To use the snapshot feature you must congure your calendar rst.

Schedule Historical SnapshotsYou can schedule your Sales Historical Snapshots processes either from the SUI, or from the desktop UI.

To schedule your sales historical snapshots processes:

1. From the menu options choose More then Scheduled Processes.2. Click the Schedule New Process tab.

9 Analytics Folders

Where to Save Analytics and ReportsYou save analyses, dashboards, and reports in the business intelligence (BI) catalog, along with other objects, includingprompts and lters. The catalog has a hierarchy of folders, starting with My Folders and Shared Folders. One importantfolder is Custom, which you nd in Shared Folders and use to store your modied analytics and reports.

My FoldersYou're the only one who can access anything that you save in My Folders. You can see your saved items in My Folderson the Reports and Analytics work area, but not in My Folders in the Reports and Analytics panel tab on any other workarea. The only exception is when you create an analysis using the wizard in the Reports and Analytics work area, andsave it in My Folders. In this case, the analysis is available in any panel tab on all work areas.

Shared FoldersIf you have the appropriate roles, you can also save in Shared Folders so that your modied analytics or reports areavailable to anyone with the correct access. You should save objects in the Custom subfolder, which has subfoldersorganized by product family.

Regarding predened analytics and reports in Shared Folders:

• You should save a copy of the predened analysis or dashboard in the corresponding product family subfolderin the Custom folder, and edit only the copy. Directly edit predened analytics only when necessary, to makesure that any references to the analysis or dashboard still work properly.

• For predened reports only, you can use a special Customize option to copy the report and also the folderstructure and permissions. The copy is linked to the original, so editing the copy is like directly editing theoriginal.

Custom FolderKeep all modied analytics and reports in the Custom folder so that:

• You ensure that modied copies of those objects are not aected during upgrades, which can changepredened analytics and reports outside the Custom folder. You might lose changes saved outside the Customfolder during upgrades.

• You can easily nd modied objects.

• You can edit objects in the Custom folder without compromising security on the original objects.

When you copy an object into the Custom folder, the copied object inherits the permission seings of the Customfolder. An administrator can reset the permissions on the object and the folder that it's in.

• How You Modify Copies of Predened Reports

Manage Predened Catalog PermissionYou may want to remove access to predened catalog folders so that those associated with oerings you don't usearen't displayed. You can hide the entire predened catalog or selectively display root catalog folders for oerings,which are controlled by the Custom BI Web cat Reporting Duty role and associated roles for each oering.

Using roles, you can manage folder access in a number of ways, depending on requirements and previousmodications you have made.

• Remove duty roles for top-level folders from the Custom BI Web cat Reporting Duty role so that all users see asubset of the predened catalog. Leave roles only for the oerings you want to retain access for.

• Delete all catalog reporting duty roles from the Custom BI Web cat Reporting Duty role to hide the entirepredened catalog and display only /Shared/Custom folders. For example, you can remove BI catalog accessfor external users such as partners who have no access to reporting.

• Delete all catalog reporting duty roles from the Custom BI Web cat Reporting Duty role. Also, add catalogreporting duty roles to a new or existing job role to allow job roles with BI access to have default access to thepredened catalog. For example, by default, Financial job roles have access to Financial reporting content butHuman Capital Management job roles don't have access to the predened HCM BI catalog. You can grant theHuman Capital Management Folder Reporting Duty role to new job roles to allow access to predened HCMreports.

Hide Predened Catalog FoldersAll authenticated users have the Custom BI Web cat Reporting Duty role, which inherits all of the folder reporting rolesthat determine access and visibility of root level catalog folders. Administrators with IT Security Manager privileges canhide predened folders by removing their associated roles from the duty role.

1. Open the Security Console.2. Search for Custom BI Web cat Reporting Duty.3. In the search results, click Actions > Edit Role.4. Click Next to navigate to the Role Hierarchy step.5. To hide all folders, remove all of the roles from the hierarchy. Leave any roles for oerings you want to retain

access for.6. Synchronize security changes. Click Navigator > Scheduled Processes in the Navigator and submit the

Import User and Role Application Security Data process.7. Go to Oracle BI and click Administration. In the Maintenance and Troubleshooting section, select Reload Files

and Metadata to refresh the the BI cache.

Predened Catalog LockdownIf you try to modify the predened catalog content including folder permissions, you get an alert indicating that you'renot allowed to modify content and asking that you save your own content in the /Shared/Custom folder.

Here are a few things to know about catalog folders:

• You must save all modied content in the /Shared/Custom folder or in new folders under the /Shared folder.

• Existing modied content in the /Shared/Custom folder or custom folders under the /Shared folder and theirsubfolders is preserved. If you have modied the content in the predened catalog folders, all changes are lostduring any upgrade. To preserve content, archive your catalog content and unarchive it in the Shared/Customfolder after upgrade.

• All existing content in top-level folders under the /Shared folder is preserved.

• You can't change folder or object permissions on the predened catalog folders or content. For example, youcan't change folder permissions to hide folders or objects.

To create folders:

1. In the catalog, navigate to the desired location of the new folder in the Folders pane.2. In the catalog toolbar, click New, and select Folder.3. In the New Folder dialog box, enter the folder name, and click OK.

Automatically Created FoldersIf conicts are detected during upgrade, folders named backup_nnn are automatically created in the catalog. Afterreviewing and resolving any conicts, Oracle recommends that you manually delete the backup folders from thecatalog. You can contact your help desk to request an automated removal if you have a large number of folders todelete.

Set Folder Permissions and AributesBusiness intelligence catalog folder properties control folder permissions and other aributes. You can access theproperties of user objects or the Custom folder and any of its subfolders in the catalog to perform tasks such as viewingsystem information or changing aributes or ownership. All other users can only access and modify the properties ofthe objects that they create or own.

Set Folder PropertiesFollow these steps:

1. In the catalog, select the Shared Folders > Custom folder or its subfolder you want to assign properties to.

Caution: Don't modify permissions on predened catalog objects. Saving content in theCustom folder is the only way to ensure that the content is maintained upon upgrade.

2. In the Tasks pane, click Properties.3. In the Properties dialog box, select any of the options in the Aributes section:

◦ Hidden: Species that the object is hidden.

◦ System: Species that the object is a system object.

◦ Read Only: Species that the object is read-only.

◦ Do Not Index: Excludes the object from the index used by the full-text catalog search. Excluded objectsdo not display in the results of any full-text catalog search; the object can still be found using the basiccatalog search.

4. Use the Ownership section to take ownership of a folder or object in the catalog. This area displays only if theproper privileges were assigned to the user, group, or role. Note that the owner of an object or folder can'tautomatically access the object or folder.

◦ Set ownership of this item: Click to become the owner of the folder or object.

◦ Set ownership of this item and all sub items: Click to become the owner of the folder and any sub foldersor sub items contained within the item. For example, if you click this link for a dashboard folder, then youtake ownership of all of the dashboard's components.

Set Folder PermissionsYou can assign permissions on folders and other objects.

Access and Set PermissionsYou can set permissions or change ownership for any catalog object or folder. Nonadministrative users can access andmodify the permissions of the objects that they create or own.

To set folder permissions:

1. In the catalog, select the folder or object.2. In the Tasks pane click Permissions.3. In the Permissions dialog box, the owner and any other users, roles, or groups with permissions are listed in the

Permissions list. To add a user or role, click Add users/roles in the toolbar and search for users or roles to addthem to the Selected Members list in the Add Application Roles, Catalog Groups and Users dialog box. To deletea user or role, select the account or role in the Permissions list and click Delete selected users/roles.

4. In the Permissions list, to set ownership for a user, select Custom in the Permissions list for the account, thenselect Set Ownership in the Custom Permissions dialog box and click OK. You can also select the Owner optionfor the user or role.

5. Use the Permissions list to set permissions for the object. Object permissions vary by object.6. Use the Apply permissions to sub-folders option to assign permissions to the folder's subfolders, and the Apply

permissions to items within a folder to assign them to objects in the folder but not to subfolders.

Archive and Move AnalyticsYou can move your analytic objects by archiving them and the moving them to a new location. You can bundle theentire catalog, specic folders, or multi-component objects as a .catalog le and upload the catalog le to unarchive thedata to another location in the catalog.

Create an Archive

To create an archive le:

1. Locate the object in the catalog.2. Select More and then select Archive.3. In the Archive dialog box, select one or more of the following options:

◦ Keep Permissions: Maintain the object or folder's existing permissions. If you do not select this option,then the archiving process does not include any permissions. Upon unarchiving, the parent folder'spermissions are assigned to all of the objects and folders.

◦ Keep Time stamps: Maintain the Creation Time, Last Modied, and Last Accessed times assigned tothe object or folder. Upon unarchiving, the LastModied time is updated to indicate the time at whichthe object or folder is unarchived. If you select this option, the Old option in the Paste Overview area ofthe Preferences dialog box is available when unarchiving. You use the Old option to overwrite existingcatalog items that are older than the catalog items in the archive.

If you do not select this option, then the archiving process does not include time information and the Oldoption in the Paste Overview area of the Preferences dialog box is not available.

4. Click OK to download the archive le.

Move an Archived Object to a New LocationTo unarchive a le:

1. Select the folder in the catalog where you want to upload the archived le.2. In the Tasks pane click Unarchive.3. In the Unarchive dialog box, browse for and select the archive le.4. Use the Replace option to specify whether to replace an existing folder or object with the same name.

◦ All: Select this option to replace any existing folders or objects with the same names as folders or objectsincluded in the archive le that you are uploading.

What happens to modied analytics and reports when anupdate is applied?When saved in the Custom subfolder within Shared Folders, or in My Folders in the business intelligence (BI) catalog,modied analytics and reports are preserved during an update. Any modied objects in the Custom folder are preservedin any update. Changes to existing analytics and reports outside the Custom folder, including those you create, arepreserved only if the update doesn't include a new version of those BI objects. If the update includes a new version of apredened object that you edited outside the Custom folder, then:

• The new version overwrites the existing predened object.

• A copy of the existing object (with your edits) is automatically created in the same folder, with a new name thatindicates it's a new version.

If the update includes a new version of both the predened object and a folder in its le path, then:

• The new folder, along with the new version of the object, overwrites the existing predened folder and object.

• A copy of the existing folder (along with your edited object) is automatically created. The folder is renamed toindicate that it's a new version, but your edited object is not renamed.

analysis

A selection of data displayed in one or more views, such as a table or chart, to provide answers to business questions.

analytics

Business intelligence objects such as analyses and dashboards that provide meaningful data to help with decisionmaking.

briefing book

A collection of static or updatable analyses or dashboard pages that you can download, print, and share with others.

business intelligence catalog

The repository where all business intelligence objects, including analyses, reports, briefing books, and agents, arestored. The catalog contains separate folders for personal, shared, and modified objects.

dashboard

A collection of analyses and other content that gives in-depth insight to help with business decisions.

global header

The uppermost region in the user interface that remains the same no matter which page you're on.

mainline metadata

The primary branch of metadata that a sandbox is published to. Once published, changes made in the sandbox becomeavailable to all users.

prompt

A parameter that you set when you use analytics, limiting the data in the analysis or in all analyses on the dashboard ordashboard page (tab).

report

An output of select data in a predefined format that's optimized for printing.

role

Controls access to application functions and data.

A set of columns, or pieces of data, related to a specific business object or area.

view

A specific way to present the results of an analysis, for example as a table or graph. Other types of views, such as thetitle view, show other components of the analysis.

work area

A set of pages containing the tasks, searches, and other content you need to accomplish a business goal.
