Axon Registry Participation Guide Introduction After a practice has completed the registry enrollment process, an Axon Registry ® introduction call is scheduled to review the steps in the on-boarding process with FIGMD, the AAN registry vendor. We will invite the physician champion, the practice administrator, and IT support using contact information that was provided during enrollment. Any additional staff may join that the practice deems necessary. Data Transfer The initial step in the registry integration process is to determine which data transfer method the practice will use to get encounter data into the Axon Registry. Practices that plan to connect to the registry via the pull data transfer method will receive the Registry Practice Connector (RPC) installation email. For more information, refer to this overview. Mapping After the initial data test file is received at the registry, it is analyzed by the FIGMD mapping team. The analysis is comprised of the review of the Provider & Location (P&L) spreadsheet and followed by the review of the EMR spreadsheet. At this point, the practice will indicate which neurology providers (MDs, DOs) will participate in the registry. APPs who are not members of the AAN may have data included in the registry. The APP data will help the AAN neurologists measure performances for their mutual patients. Only AAN members can participate in the Axon Registry and view their measure performances. Both the P&L and the EMR are verified by the practice to ensure the practice data is correctly understood by the FIGMD system and mapping team. Approximately three to four weeks after the spreadsheets are completed by the practice, the mapping team creates the practice’s user dashboard. The FIGMD client account manager will schedule a mapping call with the practice to look at specific patient’s documentation in order to fine tune the mapping for each registry measure. It is important to include on this call someone who knows where documentation is stored in the EHR (i.e., provider, administrator, or clinical member of the staff). The FIGMD mapping team knows where many data elements are stored based on the EHR system the practice uses. The mapping team also understands that there will be variation in provider documentation styles.
Once the initial mapping has been completed, the process is repeated three to four times until the practice is satisfied with the accuracy of the mapping.
User Dashboard The user dashboard is a way for providers to view their performance for each registry measure and compare themselves to the national registry average. It includes all registry measures and uses colored graphs to quickly illustrate performance. There is also a line graph for tracking progress over time and drill-down capability to see patient data. All of this information is easily accessed in one space for the provider.

This link will direct users to the Axon Registry login page that will ask for the user’s AAN ID and password to gain secure access. Use Chrome or Firefox if experiencing issues when using Internet Explorer to log in to the Axon Registry user dashboard.

Production When the practice feels the mapping for the measure performances accurately captures the practice’s documentation, the practice is moved into Production status. The client account manager is always available for questions and assistance but the practice registry management is automated at this point. Providers will receive an email notification when their user dashboard data has been refreshed, approximately monthly.
Each provider participating in the Axon Registry will typically only see their own performance on their user dashboard. In addition to the providers having user dashboard access at the provider level, the practice also will be given “practice admin” level user dashboard access. Typically this access is for the primary practice contact, who could be the practice administrator or practice manager. The practice admin access includes the measure performances for the practice as a whole and for each provider in the practice participating in the Axon Registry. If the primary practice contact is not an AAN member, then AAN nonmember credentials will be created to access the practice user dashboard. The AAN does offer a business manager membership level. If interested, contact AAN membership to view the benefits provided at this member level.
Full Data Extract After the initial mapping call, the client account manager from FIGMD will share notes and screen shots with the mapping team to improve the mapping. The data transfer will now gather data for each provider (established in the P&L spreadsheet analysis) going back one year. There is a two- to three-week window when the revised mapping is applied to the practice data, after which the practice registry user dashboard is available.
