TERMS AND CONDITIONS

These terms and conditions apply to events relating to Christmas/and or the New Year hosted at any Village Urban Resorts (each, an “Event”) between VUR Village Trading No 1 Limited (or any of its subsidiary undertakings or parent undertakings, or subsidiary undertakings of such parent undertakings) (“VUR” or “we”) and you.

1. Payment and deposits1. A deposit is required to be paid within 7 days of booking to secure your place and is non-refundable in the event of cancellation.2. A deposit of £20 per person is required for Events on Friday, Saturdays and/or Christmas Day. A deposit of £10 per person is required for all other Christmas events.3. For an Event on New Year’s Eve full payment is required at the time of booking.4. Full prepayment non refundable is required for all bedroom bookings.5. All provisional bookings will be held for seven days and automatically released if the deposit is not paid.6. Final numbers and full payment will be required by 01 November 2015.7. Full pre payment is required within 7 days of booking for bookings made after 01 November 2015. 8. No party bookings may be charged to account unless you hold a credit facility with Village Urban Resorts.9. Deposits and final payments are non-refundable and cannot be offset against any other products or services.10. All prices include VAT at the prevailing rate.11. Multiple cheques/credit card are not acceptable – one organiser cheque/card per party. 12. All outstanding monies are to be settled prior to arrival.13. Confirmation of your booking will be sent together with a receipt of monies paid.

2. Food & Beverage1. Pre-orders for food should be returned with final payments.2. Where a food order is not provided a set meal of the day will be served.3. If you have any special dietary requirements, including food allergies or intolerances, please advise one of our team and we will be more than happy to try and accommodate. (V) indicates dish suitable for vegetarians.4. VUR will not knowingly sell any food required to be labelled as containing GM material.5. VUR cannot guarantee that dishes do not contain nuts or nut derivatives or fish products are totally free from bones.6. No alcohol or other beverages may be brought into the venue for consumption or prizes. VUR reserve the right to search the bags of any customer. 7. The hotel reserves the right to amalgamate Christmas events to ensure minimum numbers.8. Where applicable, tables of under 10 guests may be shared with other smaller parties in the function suite.

3. General1. VUR reserves the right to judge acceptable behaviour and levels of noise from guests or representatives. The organiser is responsible for the behaviour of their group and should take all steps necessary for corrective action should that be requested by VUR or any member of its staff. 2. Please note the dress code for all events is smart casual unless otherwise stated and we reserve the right to refuse entry to any customer wearing trainers, baseball caps, hoodies or casual wear.3. VUR will not accept any responsibility, or be held liable, for anyone prevented from entering the Event, or asked to leave the Event, due to that person: (a) acting in an improper or disorderly manner or whose condition in the opinion of the VUR staff interferes, or is likely to interfere with, the enjoyment of the function by other participants; (b) bringing or using dangerous, illegal or hazardous items on the premises. (c) bringing their own food or drinks to the premises without the prior permission of VUR. (d) not adhering to the appropriate dress code for the Event.

4. You will be liable for any loss or damage to VUR’s property (including items hired by VUR) or injury to any person (including VUR’s staff) arising from the conduct of any guest at an Event, and you shall indemnify VUR against any loss or liability.5. VUR will be liable to any person attending an Event, for personal injury or loss or damage of personal items, only where VUR has been negligent or is responsible for such personal injury or loss, but otherwise will be under no liability to them whatsoever.6. Details are correct at the time of going to print and VUR reserves the right to amend these terms at a later date without prior notice.7. The minimum age for persons attending functions is 18 except by prior notification and agreement with VUR.8. All accommodation bookings must be paid in full and are non-transferable or refundable in the event of cancellation other than for a valid medical reason where proof of incapacity may be required. 9. We are unable to offer baby sitting, baby listening, child minding and on New Year’s Eve room service for food and beverage items.10. Guests and visitors are not permitted to join any event for entertainment only.11. VUR does not accept any liability in respect of loss or damage to property or vehicles brought into the venue or car park.12. Room upgrades available to UpperDeck for an additional charge quoted at the time of enquiry.

4. Miscellaneous1. VUR will not be held liable, nor accept any liability, for cancellation or non-completion of an Event, or for any delays, arising as a result of, but not limited to, industrial action, strikes, riots, adverse weather conditions, fire, flood, Act of God or any other cause beyond its control.2. Subject to 4.1 above, VUR may cancel a booking, and will refund any advance payment made, or alternatively arrange for the booking to be transferred to another Event, if it is deemed that the date of the Event booked is no longer viable.3. VUR will make all reasonable endeavours to honour commitments, but reserves the right to amend or alter all or part of the Event package (as described on our website or in our Event brochure) to at least an equivalent standard.4. While VUR have taken all reasonable steps to ensure that the information contained in its Event brochure, on its website and within all advertisements is accurate, it reserves the right, without accepting any liability, to amend or alter all or part of the package in the event of an error or omission.5. VUR and you agree that these terms and conditions constitute the entire agreement between us, and supersedes all previous drafts, agreements, arrangements and understandings between them, whether oral or written.

5 Legal MattersThese Terms and Conditions are governed by English Law and in the unlikely event of a dispute, the parties shall submit to the exclusive jurisdiction of the English Courts. The liability of VUR in respect of any breach of these Terms and Conditions, including any applied Terms shall not extend to any consequential loss whatsoever suffered by any attendee or any associated company.

You, as party organiser, are asked to inform all guests of these terms and conditions. Extra copies are available on request, together with a suggested policy statement in respect of Company Events which you may find useful.
