2017-2018 Yearbook Contract

Being a member of the Scimitar Staff will be a lot of hard work, but should also be a fun and rewarding experience. For the next nine months the students, will be a part of the production of what is hopefully a national award winning yearbook. Students need to understand that being a part of the yearbook is very different than any other class they may have taken. This class is more like a real world business than a traditional class. There are real world deadlines that have real money implications. However, unlike a business, students earn a grade instead of a paycheck. The other difference is that the goal of a yearbook is not to make the most money possible, but it is to be self-sustaining, while producing the highest quality product and ensuring that students learn industry standard skills in the process.

The text provided herein constitutes the contract between Scimitar Staff and Mr. Brumley to apply to the 2017-18 academic year.

Instruction: The first two weeks of class will be dedicated to basic training. The three editors are responsible for training all staff members. Following basic training, the students will be creating spreads that will be used in the Yearbook.

Spread Assignments: There will be a draft for the first deadline. After the first deadline, spreads will be assigned on a first come, first served basis if the spread is turned in early. In other words, the first person to finish their spread gets the first choice for the next deadline.

Editor Responsibilities: The Layout Editor is responsible for ensuring that: the overall look of the layout is appealing to the eye, necessary theme elements are in place, the amount of white space is appropriate, a dominant photo or other theme element is included, grid lines have been used to line up objects, headlines and subheadings are the correct size/font, font size/type is consistent throughout, and page numbers are included in the correct size/font and location.

The Photo Editor is responsible for ensuring that photos are: adjusted for lighting, not blurry, free of red eye, facing the correct direction, not also used on another spread, not including the same person multiple times on the same page, and not of people frequently featured.

The Copy Editor is responsible for ensuring that: grammar is correct, spelling is correct, names are spelled correctly, correct tense is used, headlines and subheadings are well written and match the theme, captions add understanding to the photo and are more than one sentence, focus of the copy is clear, well written and adds substance to the spread.

Staff Responsibilities: The staff members are the ones who will actually do the majority of the creation of the book. It is their responsibility to take all photos necessary for their spread(s), write all copy and place all of their content on the page according to the style guidelines set forth by the layout editor. Once completed, the spread will be submitted to

the appropriate editors for approval. If there are items that need to be fixed this is the sole responsibility of the assigned staff member. Pages will not be deemed complete until approval has been granted from all relevant editors.

Approval Forms: A folder will be set up in the room for students to store approval forms while working on a deadline. Approval forms are required for each spread assignment and will not be accepted until complete.

Grading: A preliminary deadline will be set with one week allowed for the approval process. All page elements are to be on the page prior to the preliminary deadline so the editors can begin the approval process. Once approved by all editors and photographers, the final deadline is considered to be met. Final deadlines for all staff members are worth 100 points each. Each day their spread is late is a deduction of 5 points. Because the publishing company counts weekends, breaks, and holidays as days, these will also be counted for grading purposes. However, if a staff member completes spreads prior to the deadline, 5 points of extra credit will be given for each day it is early. Spreads are not considered to be complete until Mr. Brumley receives the approval form signed by all editors and photographers. Not having your spread done due to editor’s being backed up with checking over other’s spreads is not an excuse for turning in pages late.

Editors will be graded by a combination of staff ratings and Mr. Brumley’s discretion. Staff will rate each editor on the approval form on a scale of 0-10 based on his or her effort, teamwork, attention to detail, etc. The staff needs to remember that the editor’s job is to point out mistakes and look for ways to improve the yearbook, so they should not get upset with the editors for having them redo part of their spread, rather, they should be rewarding the editors for doing his or her job and helping make the best yearbook possible.

Other assignments may be required in addition to spread deadlines at Mr. Brumley’s discretion.

File System Maintenance: It is the photographers’ job to maintain the photo section of the file system. All photos need to be uploaded to the appropriate folder. If there is no logical and obvious folder to upload photos, one may be created only by a photographer or Photo Editor. No other staff members should create folders for

photos. In the spreads section of the file system, all spreads should be saved as the actual page number. If, for whatever reason, a different version of a file needs to be saved, the name of the old file needs to be changed so the current version is always saved as the page numbers. All spreads and photos need to be saved to the Yearbook folder. It is encouraged to save a copy of your spread on your student file. All staff members must change their password if it is currently their last name or if anyone else has knowledge of it and can access their account. Under no circumstances is someone from outside of the Scimitar to have access to the yearbook folders. Granting access to anyone outside of class is grounds for immediate removal from the staff.

Ad sales: Ad sales are based on the dollar amount goal of the class and then divided by the number of students in the class. Each dollar will be worth one point. For example, if each person needs to bring in an average of $150, then it will be worth 150 points. If $125 worth of ads is sold the grade earned will be 125 out of 150. Extra credit will apply at a half point per dollar above the base amount. Should two or more staff members work together on their ad sales, all sales will be split evenly among those involved in the sale.

Proofs: Proofs are the responsibility of the editors and must be completed by the given deadline; however, they are encouraged to delegate to the staff members who worked on the spread. All editors must sign the outside of the envelope upon completion. All spreads in the folder must be reviewed and approved before they can be sent back to Walsworth.

Motivation: The editors are encouraged (but not required) to recognize any staff members and photographers that they deem to be doing outstanding work. The editors are responsible for all aspects of motivational awards.

If everyone in the class gets all spreads for a given deadline completed on time, there will be a class reward.

Professional facilitators helped the team navigate the process by teaching them how to evaluate and review the content from each publisher. Public notice was given as required by board policy. Resolution 17-07

“Allowing Newly Elected Board Members to Attend WSSDA Annual Boot Camp”

“WHEREAS the Washington State Attorney General’s Office recommends that the board of directors pass a resolution to allow newly‐elected members to attend WSSDA Annual Boot Camp.

“WHEREAS school directors are elected before, but take office after the Annual Conference of the Washington State School Directors’ Association; and

“WHEREAS it is to the advantage of the District to have its directors and directors‐elect attend the workshops and orientation programs at the Conference and to exchange ideas with school directors from elsewhere in the state;

“THEREFORE, BE IT RESOLVED that those persons newly elected on November 7, 2017, to the Sultan School District board of directors be designated to attend the Annual Conference of the Washington State School Directors’ Association, to be held November 16‐19, 2017, as representatives of the district.

“Expenses of the representatives shall be paid by the district in amounts and in the manner permitted by the law and the directors and representatives shall make a conference report to the Board at the first regularly scheduled meeting of the Board in January.”
