Desktop Diary - The phone rings

The user has the CallOut diary open. This diary shows the Call Out jobs plus a tile for Tom and Dick. The phone rings; a customer wanting some work done.

The user clicks the New Job option on the menu

Taking the job detailsThe user enters the Bill To customer (or selects from a drop down list). The Bill To details fill in name and address automatically.

Similarly for the Job At customer.

Job Type, and any customer reference numbers can be recorded

Date and time the tradesman needs to be on site are noted,

as is the product code and an estimate of the time to be spent on the job

Taking the job details –

Recording work to be done

The user enters the details of the task to be performed.

Any notes that are recorded against this specific customer are shown automatically and stay with the job.

Job Number allocated automatically

While the user can enter their own unique Job numbers, more usually they will leave it to JobPro to allocate the Job Number automatically as shown.

Call Out DiaryThe Call Out diary now shows the new job.

It has a status of ‘L’ for Live – it has not had any resources allocated at this stage.

The user can DoubleClick the job (or any job) in any of the tiles displaying the job and the Job Entry amendment screen will be displayed, showing all the job details.

Resources Allocated

The Job has been allocated to DICK by Dragging the job from the job tile and Dropping it on the DICK resource tile.

The job status has changed to ‘A’

Both the job tile and resource tile reflect the changed status.

Job Status Changed

The Job is now has a status of IP for In Progress

The status has been changed by clicking the ChgStatus button on either the job tile or the resource tile.

These are Quick Status Changes based on the set up of the job type. The user can elect to control the status changes by unticking the Quick Status Change box just below the logo in the screen header

Now clicking the Change Status button results in this window being displayed.

It shows the user the planned Status Change , allowing them to enter comments and docket numbers.

The user can also access the full status tree for this job type as well as the history of this job using other tabs in this window.

Job Completed Status

The job is now Complete.

This means that as far as tracking the job is concerned, all the work that needs to be done has been done.

The job can now be invoiced.

This can be done at any stage by DoubleClicking the job the bring up the Job Entry/Amend window and clicking the Price Job button at the top right of the form.

Rating the Job

The Rating tab shows the initial job information.

This can now be amended and added to if need be.

In this case the original 1 hour of call out time has been confirmed at 2.5 hours and $235.44 of consumables have been added as billable items.

Daily Job Maintenance

Adding ‘Work Completed’ notes

The Notes tab shows the initial job information of Site Specific Notes and original work instructions.

To this can now be added a description of the work carried out.

This description is printed on the invoice to support the charges being made.

Releasing the job to invoicing

Once all additional information has been added, the user completes the rating of the job by making sure that the Revenue assigned to the resource is correct …

… before finally releasing the job.

Note that the job status is now ‘CC’ for Costing Completed.

Call Out Diary –

Costed Jobs do not show

In order to keep the diaries as relevant as possible, jobs that are fully costed do not show on the tiles.

As it is possible to configure the diaries to show jobs of any status, showing fully costed and even invoiced jobs is possible, though we would recommend that these be a separate diary and preferably be linked to a separate user eg an ACCOUNTS user.

Consolidating Jobs into Invoices The invoice generating program is accessed from the MainMenu\Invoicing\Consolidate Released Jobs into Invoices.

This program groups all the fully costed and realeased jobs for a customer onto the one invoice.

The program can be run at any time, with filters for Charge or Bill To customer, Up to Date, and Job type.

Printing the Invoices Invoices can be printed or reprinted at any time.

There are a number of standard invoice layouts with the header and footer details able to be amended by the JobPro installer.

JobPro Systems Limited was formed in 2008 to develop and market a software solution to specific problems being experienced by the service industy. This software package, JobPro, was the result of a streamlining of the proven Transport and Logistics package – TDS – into its base components, and then broadening the result to make it applicable to a wide range of businesses in the service industry.

JobPro Systems Limited is part of the Axis group which includes both Software Associates and Christopher Main Associates – the developer of the original TDS package.

JobPro Systems Limited specializes in providing integrated solutions to the Service industry using JobPro as the entry point.. Quite often a successful implementation will require that JobPro be interfaced or integrated to other systems or products from other companies.
