How JobPro works ..JobPro allows the user to set up Customers, Products, and Resources

Customer requests for work are entered into the despatch system as a Job.

Resources eg people, equipment, are allocated to that Job which can then tracked through to its completion.

The Job is automatically rated by having the quantity of work done entered against product codes. Once rated , jobs are consolidated into invoices and sent to the customer.

The invoices are passed to an accounting program.

Various sales analysis are available for completed work.

The very unique Desktop Diary

JobPro has several features that are quite unique.

One of which is the ability to set up work flows to mimic the manner in which a business operates.

Walk into any service industry business and the common feature will be the large diary sitting in front of the dispatcher. This is the Bible.

It contains all the details of what needs to be done, who is doing it, what has been rescheduled, what jobs are urgent – the lot. It also contains hieroglyphics intelligible only to the dispatcher.

The Desktop DiaryJobPro allows the user to have not one but five separate desktop diaries at any one time.

Jobs can appear in more than one diary. Updating a job in one diary automatically updates it in all diaries.

The slide shows the 5 diaries enabled for this user (Scheduled Work, CallOut, AllJobs, FIX type work, and Future work.

The selected diary is ALLJOBS. This shows all work types in one tile.

HARRY and TOM are the active resources that have work assigned or under way.

The D10 Caterpillar tractor D1 and DICK are resources also available if required

The Desktop Diary – Scheduled Work

This is the diary for Scheduled Work. All the planned maintenance work is displayed in 3 separate tiles using DATE as the filter.

The front tile – the most important shows work due to begin this week. That is followed by work scheduled for next week, with all future work being shown on the last tile .

The layout of this diary differs markedly from the ALLJOBS diary.

This is just a small example of the flexibility inherent in JobPro when it comes to configuring the system to suit individual users

Despatch OptionsDetails of the customer request for work are entered as a Job.

As well as recording what is required to be done, other important details such as Who Pays; Where to go; What time to be on Site; as well as the all important customer reference numbers are also recorded.

Jobs can be quoted at time of entry, and can even be costed so that the user is aware of not only the likely revenue from the job, but also what the costs are going to be.

Invoicing OptionsJobs are completed and then released to invoicing

These Jobs are then consolidated into invoices using filters for Charge Customer, Completion date and Job type.

The invoices are then printed and sent to the customer.

If needed, credits can be raised.

Finally the jobs are exported into an accounting system – the one here is the MYOB financial accounting package.

Analysis OptionsAt the entry level, JobPro allows the user to analyse sales by Customer, Product and Resource.

These initial analysis can be augmented by a range of reports.

JobPro – Unique configurability options

Track & Trace In the service industry, there tends to be a larger number of jobs that are for relatively low value.

Any query about a previous jobs needs to be able to be resolved quickly without wasting time searching through piles of paperwork.

The Track&Trace function allows the user to find jobs based on as little as 3 consecutive characters of information, whether this is a name, address, work instructions or a reference #.

Here we are going to try and find all jobs that have the letters ‘TAP’ somewhere in the job details.

Track & Trace One Job has been found – the letters TAP being part of the notes – ‘ Leaking Tap in second bathroom’

This job can now be opened – DblClk, Printed as a Job Sheet, or Duplicated into a new job, ready to start again.

Note, job# 14261 is a call out job (type = CO). This has resulted in this repair job being needed (type = FIX)

This job in turn can be duplicated and a sub job generated for an inspection job to follow the FIX job.

Track & Trace The subjob has been generated with a job# of 14262/1, indicating that it is a subjob of 14262, This sub job will get billed in the same invoice as the parent job, providing a narative to the customer for the work done.

Problems faced by the Service Industy #1:Pricing

If you are not charging the correct price every time, you are either wasting a lot of time raising credits, or you are giving your customer a discount they

haven’t asked for and probably don’t deserve.

Whichever way the net result is the same Lost Profit

So what is the JobPro Solution ??:

You have done the work – the customer is happy. You have paid your staff – they are happy. You have incurred all the costs. The only thing you have not done is charged the customer the correct amount. Because of the hassle involved in raising a credit, rating staff will under rate if in doubt. Studies show that this is between 1% and 5%. This is not income, this is pure profit. How much are you giving away because your system cannot automatically rate all your invoices at the agreed price. At a minimum this is 1% of turnover – you do the maths!

The customer books a job for three weeks time – how do you make sure that you keep track of not only when to do the job, but what the customer has specifically asked to be done.

Do it right and the customer will ask you make for more repeat work. Do it wrong and not only do you have the hassle and cost of making good, but you can kiss goodbye the chance of any follow on work .

We are all drowning in paperwork. It would be nice to get rid of it all. However, some of that paperwork being carried around by your technicians has valuable billing information eg time spent, consumables used.

The paperwork gets lost and thus the billing doesn’t get done. Once again the result is Lost Profit.
