Getting started with new social Zenlounge+

How does new Social Zenlounge+ different from earlier intranet Portals?

With the evolution of new trends in digital transformation, it is necessary to update/upgrade the user

experience on the portal by adopting new enhancements or theme changes periodically. Necessarily, to

allow new social features and sections wherever it is required. As part of change management across the

new Zenlounge+ portal, all the posting now will be reflected on the wall and same is available on the

right side panel as Trending Post and Communication Post .Presentation of theme/layout has been

changed with a vivid social wall, theme, color & news feed section around ‘Home Page’,

‘Group/Independent Pages’ & ‘Profile Pages. Interactivity is at the center of any organizational wide

social portal. For brands, it is not about interaction between associates and the brand. The objective of

social portal is to facilitate any interactions between associates by actively involving or reach them.

Going forward all the corporate level communication will be available on the Home Page wall.

What are the features of new Social Zenlounge+?

The design of new social Zenlounge+ portal has been created with one word in mind –

• Engagement. Until now, the current Zenlounge+ was used by associates as a portal that holds the access to different other important subjects, like access applications, Buy/sell thread, checks the Zensar in the news etc. Even though an associate visited the page every day, they did not explore all the hidden engagement activities inside the vast portal. But through engagement, associates can get connected every times they login to Z+ and can able to check all the trending happening on the Home Page itself which can feel like surfing any publicly accessed Social sites. No need to use multi clicks rather scroll only, unless they like to check any dedicated Group/Communities page.

• Interactivity. The interactivity could have multiple objectives such as-

o Information sharing wherein the associates form a group or community based on interests and then invite friends, discuss on any topics which interest the group, share ideas or give recommendations

o Or, Photo or video sharing wherein associates post pictures and videos with varying privacy settings and share their comments on photos and videos.

o Or, Community networking wherein associates form a relatively small community of friends and share activities, photos, locations or interests and elicit comments and likes from the network. A good intranet social portal site should have simple user experience & facilitate effortless interaction which makes the experience on the portal more reachable with wider audience.

• Platform Theme. What the new theme bring out is, everything that could interest the associate out onto the homepage and giving the associate the option to view only what they want to view. This is made possible with the all new social platform that is the center of this engagement engine.

• News Feeds. The news feeds makes all the information easily available on the homepage and all the associate has to do is scroll continuously and view all the interesting posts that they have subscribed to.

• Collaboration & Notification. The new platform of Home/Group page feature makes collaboration very simple and notifications gives a summary of all the latest updates. Now associates can now follow colleagues and build new connections in a way that has never been done before in intranet portal.

• Trending & Broadcasting. All Zensar news, internal communications mailer will move completely

to this engagement platform and the tagging feature will increase engagement like never before.

It is not just revamping Zenlounge+, here creating a platform to transform communication within

Zensar trough Trending & Broadcasting of all Zensar information, which can gives much wider

access here to Associates than moves to any other platforms.

Home Page

The ‘Home Page’ is the first landing page or screen, when a user logs on to the intranet or internet link

Http://Zenloungeplus or Http://Zenloungeplus.zensar.com with specified credentials.

What are the information available on the Home page wall?

This is a three column design –

• Where middle section will provide all the news feeds/communications

• Right side section will provide listing of all the Groups/department/communities name

• And, Left side section will provide all the information in blocks as Trending Post/Communication

Post/D-Market etc.

Currently Internal communication can post all the news feeds on the Home page wall. This would be

available to all the Associates across organization in batch of subsequently releases.

What are the Quick information available on Home page header?

You can able to find below information on Home page header-

• Quick Home icon

• Search icon

• Zen Policy icon

• Zen Applications icon

• Dmarket icon

• Notification icon

Where do I find all Application Links?

Application link icon is available on Home page Header. On click or hover, this will list down all the

Application links. Selected link will open at respective browser tabs

Where do I find the Birthday icon?

Birthday icon is available on below Home page Header. On click, this will pop up birthday box to highlight

all the birthday falls on that day.

Does Home page wall section is static or dynamic in nature?

Dynamic or rendering of information is the classic example of Social portals. All the news feeds

information will be available once get posted by Communication team. Wall will display always current

post first then so on.

How do I find my colleagues/friends in Zensar?

On the top left side of the Home page header (as shown in picture), there is a search bar provided, you

would like to search for. You can enter the name of the person you are looking for, and enter or searched

name from the matching list and can get all the users with the matched name, along with their other

details.

How do I share a post or status on Zenlounge+?

Currently associates can post any information on their wall only. It wouldn’t be available on the public

wall but you can’t share any Public/friend’s post

When I post something on my wall, who can see it?

When you post any information/data on your wall, only your connected friends will be able to see it on

your wall or if you post anything on friend’s wall, however it wouldn’t be available on the public wall.

Can I change the audience for whatever I publish?

This facility is currently not available.

Note – This facility will be available on the subsequent releases.

Can I send private messages to anyone using Zenlounge+?

No, you cannot send private messages to anyone in Zenlounge+.

Note - Private Group posting/communication will be available on the subsequent releases.

Is there chat functionality available?

No, there is no chat functionality available on Zenlounge+.

Note - Planning to integrate with Lync or independent chat functionality in the subsequent releases.

What is a like & Comment features?

As the name suggests, if you ‘like’ the particular post/blog/image etc., you can express your appreciation

by clicking on the ‘like’ button. Also you can see the number of users who have liked the same.

Similarly you can also ‘Comment’ with your valuable appreciations or thoughts

Group Page (Departments):

A Group (often termed as a community, sub-groups or forum or departments etc.) is a feature in many

social network services which allows users to create, post, comment to and read from their own interest-

and niche-specific forums, often within the realm of virtual communities. Groups which may allow for

open or closed access, invitation and/or joining by other users outside the group, are formed to provide

mini-networks within the larger, more diverse social network service. Groups are also owned and

maintained by owners, moderators or admin, which possess the capability of editing posts to discussion

threads and regulating member behavior within the group.

In new social Zenlounge+, all the departments, practices or communities under the ‘Our Organization’

section will be termed as a ‘Group’ with having ‘Sub-Groups’ as represented at the left column section of

‘Home Page’ with a difference of social feel and more employee reachable.

What are all the information available on the Group/Department page?

Group page designed in such a way, where associates can get all the information regarding all the

Departments. Information includes About Department, Dept. Head, Documents, Quick links etc.

Department admin can only update the information through ‘POST’ and related information would be

available on respective Tabs. Department can set their profile/timeline view.

Al the departments are now Public group, Associates can visit all the departments and can View, Like &

Comments on any postings.

Who is responsible to manage any Group page?

Group Admin is responsible to manage the Group pages

How does Administrator will be administrate/or, manage the Group Page?

All the Group pages will be managed by Group Admin only. They will have special privilege to manage

the Department pages. Below is the list of processes while managing the Page. Process is simple and will

be managed through ‘POST’ action only.

Admin will first visit the required page to get update with content

Admin will get the ‘POST’ screen on the ‘Activity tab’

Then select 'Add Document/Photos/Videos' from file choose icon

On click, this will open with window file selector

Then select the desired File to be

Once select the required file, It will show you how many files got selected over Screen

Now can detailed out the description on description area provided on the screen

Once all the necessary activities done, select 'Post' (shown as ‘Blue’ mark)

It will be posted on the Group wall

For better clarity, all the documents/Photos/videos once posted on Group page will be

segregated and can available on respective tabs shown in the screen

All the Post which are available on Group page 'Our Organization' & 'Communications' will be available

on Home page wall and globally all associates can View/Like/Comment on their Home page wall

But, Those are posted on ‘Communities’ & inside ‘Profile’ page won't be available on Home page wall

and will be viewable on their respective pages only.

Does the Group page information will be available globally to all associates?

Yes, it is available to associates across organization. Associates to open the respective Department page

and check all required information

If, any Department wants to create their own page. Then what are the procedures to follow?

When any new department or any sub departments wants to create any page, they will be required to

raise a service ticket for Zenlounge+. The back-end technical team will develop the page for you to add

any information

How do I join any Groups?

Group pages are Public to all associates now globally. All associates will be able to receive the

information on their home page wall if any POST happened on the pages.

Note – Facility to join any Groups will be available on the subsequent releases where it will be restricted

to every associates. Join action will be required to view any information on Group page

I can see ‘Subscribe’ button on every Group pages. What does it means.

This facility is available on every Group pages. If any associates wants get the notification from any

particular group then it required to subscribe the same Group. However all the Public group information

available on Home page wall

User Profile Page

The new Social Zenlounge+ Profile page lists all the posts that the associate has posted/liked/commented

on. Here associates can make or send join request to other fellow associates, can start a discussion

within the group where they have joined or subscribed. This page also hold all the information about the

associates and their own pictures and videos. Associates can set their own Timeline view.

What are the information available on the Profile page?

Profile page designed in such a way, where associates can feel of own social page. Associates can check

all the necessary data/information through Activity & My Achievements tab, can send friend connection

request, Join any communities, Upload profile/cover picture etc. Here Associates can change their

Cover/Timeline view.

What are the information available on my page is Private & what are Public?

On your Profile page, ‘My Profile’ information along with connected friend’s/Colleague’s list is Public in

nature, However other than this information (remaining Tabs) are Private in nature.

Your connection list friends can visit your page and can view all the information includes

Documents/Photos/Videos

What is ‘Activities’ & ‘My Achievement’ tab meant for?

Activities – In this section, user can ‘POST’ any information. Once submitted same will be available on

user walls and get notified your connection list friend’s & colleague’s.

My Achievements – This will list all the information what you have performed on the Zenlounge+ portal.

This is again segregated into three different sub-tabs inside main tab

• My Groups – This will list all the information when user subscribed the Groups (Our

Organization & Communications).

• My Subscribed – When any Post on Home page wall got subscribed will be available

here.

• My Activities Log – The information that you have posted on your wall, Friends wall or

on Dmarket buy/see etc. or wherever user have shared their thoughts will be available

here.

How do I update my profile picture?

You can change your profile picture from ‘Change Profile Picture’ option available over Cover Photos. For

better integration with all the internal applications available on organization, the change of Profile

picture will be reflected on all the applications along with Outlook. Also all associates set their

Timeline/Cover view image.

On your Home Page, you can see your name on the top left hand corner, clicking on this link, would be

redirected you to your profile page where you can change your Profile/Cover or Timeline picture and

update any information as required

How do I add friends/colleagues from Zensar?

Once you visit your friend/colleague’s page, who you wish to make your friend, there is an “Add

Connection” button provided, on click, a request will be delivered with your friend on their ‘Notification’

under ‘Request List’ tab. Friend will be added in connection list of your profile page Once ‘Confirm’ or

rejected once ‘Ignore’ action done . Same facility can be done through ‘Search’ option available on

Home page header.

My Name/Designation/Zensar Email Id appears incorrectly. What do I do?

If any of the above details appear incorrectly, please raise a ticket with HRMS or contact Admin.

How do I update my Desk Number/Extension Number?

If any of the above details appear incorrectly or need to be changed, please raise a ticket with HRMS or

contact Admin.

Who can see my list of friends?

Everyone visiting your profile can see your list of friends, on the right side of ‘Connection List’ details.

POST (Action on user Profile page/or, in Public posting)

How do I comment on Wall post?

You can comment on the wall posts, by clicking on the comment icon, right below the wall posts.

How do I comment on my friends post?

You can comment on your friends post by clicking on the comment icon, right below the wall posts.

How do I delete or edit a comment I posted on my wall/I posed on my Friend’s wall/Friend posted on

my wall?

You can ‘Edit’ or ‘Delete’ on all the action mentioned above. However you can only perform any ‘Edit’ or

‘Comment’ on your action done in the Public posting on your Home page

Notifications

What is a Notification?

A notification is how you are informed about any activity performed by your friends or in the community

such as posting on wall, accepting friend requests, posting a blog, participation in community etc. You

can find the notification icon at the top right side of page header.

Where do I see the notification?

The Notification icon is available on the top right side of Home page header. It prompts as a bell icon. On

click, this will list down all the notifications received till date.

Can I get any notification for all the Trending/Broadcasting communication Post?

You won’t get any information on your Notification bell unless you ‘Subscribe’ that page. For better

informed, you need to subscribe all the Broadcasting ‘Communication’ & ‘Our Organization’ group page.

This will help you to prompt you with all the latest notification. However without subscription you can

able get the information on your Home page wall.

Also Associates can check on the right side of block/portlet named as ‘Trending Post’ and

‘Communication’. All the notification which are available will be blinked for 12/24hrs and archives are

available on ‘See More’ option on lowest part of block/portlet.

Privacy

Who can view my profile?

Everyone can visit & view your profile information, except few tabs which are designed to be used by

Profile owner only (means only you) till you have not your connection list. Your connected

friend’s/colleagues can able to view your remaining information.

How do I change my password?

By clicking on the “Self Service Password Change” Link provided under Zen Application icon.

Community

Community networking wherein Departments or Associates form a relatively small community of friends

and share activities, photos, locations or interests and elicit comments and likes from the network. A

good intranet social portal site should have simple user experience & facilitate effortless interaction

which makes the experience on the portal more reachable with wider audience. Activities includes

posting on community wall, posting blogs and forms. You can find all the list of Communities on your

profile page. On join this will be available on the left side of Home Page.

How do I find communities to join?

All the Communities name are available in your profile section under ‘Communities’. This tab shows all

the Community list available in organization. Inside Tab on selection of ‘Join’ button same will be

available on your left side of Home page under Community section as well as on your Community tab.

Few Communities can also highlighted or suggested on your Home page based on their usages like

maximum people visit, maximum Post/like/comment etc.

How do I join a community?

Once you visit your profile page, you will find the “Join Community” button on ‘Community’ Tab .Press

the Join button, now you can join the community.

What happens when I join a community?

Now that you are a community member, you can view all the contents present in the community. All the

information will be available under Tab section including wall posts, View/download

documents/Photos/Videos, Join discussion with Comments/Like etc. You can also post the same.

Who can see communities I have joined?

Only your ‘Connection list friends/colleagues’ can see the communities under ‘Community’ tab in your

profile page.

How do I leave a community?

You can leave any Communities that you have joined. The ‘Un-join’ facility is available on your Home

page or your profile page.

Can I start a new community?

In current release you can’t start any new Communities. The facility to start a communities will be

available in the subsequent releases

How do I share any content within a community?

You can’t share any content but Post within a community

How do I reply to a comment?

You can reply to a post/comment by clicking on the comment icon provided beside the wall

post/blog/etc.

How do I comment on a photo?

You can comment to a photo in a community, by clicking on the comment icon provided below the

image.

How do I comment on a video?

You can comment to a photo in a community, by clicking on the comment icon provided below the

image.

What is the maximum limit to upload photos?

You cannot upload a photo in any group directly, if you are a normal user. However, if you are an

admin/Group admin, you can upload as many numbers of photos as you want, in the

Group/Communities.

You can upload collective photo of size up to 100 MBs.

Normal user can upload upto 25 MBs collectively in size

Can I upload a photo in my Profile page/Home page wall?

You can upload photos in your profile page, however this facility is available for Home page wall for

normal user other than Group/Communication admin

Can I share a Photo, if yes, how do I share a photo?

You can’t share any photos on your wall or available on your home page wall rather you can Post

How do I comment on a photo?

You can comment on a photo by writing your comments in the comment box provided below the photo.

How do I remove a photo?

You can only delete/remove the photos that you are posted or your connected friends posted on your

wall

How do I delete an album?

As of now, you cannot create or delete an album in your profile page

Note – This facility is presently available with Admin on Group/Community pages.

How do I share a video?

You cannot share a video in the current release

What is the maximum limit to upload videos?

You cannot upload a video in a Group/Community, if you are a normal user. However, if you are an

admin/community admin, you can upload as many numbers of videos as you want but maximum

cumulative size of 100MB.

What format of video files can be uploaded?

Video files with the extensions .flv (preferred), .mp4, and .3gp.

What do I need to watch a video?

You should have any latest version of browsers on your system to watch video directly by using Play

button

How can I upload a video?

If you are an admin, you can upload a video by ‘POST’ on the respective Group pages or you can use

‘Post’ action to upload on your page

How can I delete a video?

Only the admin/community admin can delete a video by going to the Video’ tab in the

Group/community page, and selecting the video that has uploaded. You can delete/remove on your

profile page by selecting the ‘Edit’ or ‘Delete’ button

Documents

What is the maximum size limit to upload a document?

Maximum limit of 100 MBs for Group or Community and limit of 25MBs for individual user.

Can I share a document?

No, you cannot share a document.

Note – This facility will be available on the subsequent releases.

How can I remove a document?

You can delete any document by clicking on the Edit or delete icon available on the corresponding tab of

your page.

Blogs

How do I post a new blog?

You can post a new blog by going to the “Recent Blogs” section on right side of Home page, on selection

of ‘See More’ or ‘Add Blog’ will be populated with Blog page. Click on ‘Add Blog Entry’ and post

submission it will show Blog is pending with Admin for Approval. Once approved, Blog will be posted on

Blog section to View, Like & Comment

How do I comment on a blog?

You can comment on a blog by clicking on the ‘Comment’ button below the blog.

How do I like a blog?

You can like a blog by clicking on the ‘like’ button below the blog.

Where can I see all the recent/posted blogs?

All the recent blogs are available on the right side of Home page.

Note – Blogs recommendation facility will be available on the subsequent releases.

How do I delete my blog?

For Delete/Remove, You will be required to visit the Blog section. All actions are available for you on the

posted blogs. Use those action and Blog will be deleted.

Dmarket

What is Dmarket?

Dmarket is a social aggregate market place for Zensar associates, where associates can engage in

Buy/Sell of any items, place holders for Accommodation or Car Pool etc. which is segregated into country

wise.

Associates can open their respective countries and can initiate any post

What are the options available under Dmarket?

Associates can Buy/Sell any items, ask for Accommodation, and take help of Carpool etc.

How do I initiate a Buy/Sell on Dmarket?

Process is simple and will be managed through ‘POST’ action only.

1. User needs to Open Dmarket drop down available on below left side of Home page (ex:- Buy and

Sell->Country)

2. Once selected, desired page will be opened. Use can fill necessary information under ‘Activities’

3. Then select 'Add Document/Photos/Videos' from file choose icon

4. On click, this will open with window file selector

5. Then select the desired File to be

6. Once select the required file, It will show you how many files got selected over Screen

7. Now can detailed out the description on description area provided on the screen

10. This posted query will be available on Dmarket Section. Associates can visit your post, ask for any

further query, like or comment.

11. User can check their posting and respond information at ‘My Achievements->My Activities Log’

under their user Profile Page

How do I get/check any notification if someone visit my post?

Everyone can visit the post posted in Dmarket. However notification will be prompt if somebody raise a

comment or any action on that post. When user will initiate any Post in Dmarket section, and same being

responded by other associates will be available at ‘My Achievements->My Activities Log’ under their

user Profile Page. This won’t be available as a single notification on the Home page wall bell icon.
