Agenda Item 5: BOARD CHAIRMAN’S REPORT | Responsible Member DAMIEN SLATTERY

Damien Slattery presented the following report:

I would like to thank our Parish Priest Father Kaz, Principal Cathie Bauer and Deputy Principals Giselle Konle

and David Hamersley plus the wonderful, dedicated and committed teaching and support staff.

It has been a pleasure working with the school leadership team and administration staff throughout 2017. As

we can all appreciate, a progressive and modern school like ours needs the continual support and guidance

from a range of people within the school community and our School Board is no different, having many

committed members from different walks of life who have our children’s interests at heart. They are also

supported by Father Kaz, a representative from the P & F executive and the Parish Council.

Combine our wonderful learning environment for our school beginners and the Out of Hours School care it is

clearly evident that we are on a winner, not only in increasing student numbers but through quality teaching at

all levels.

This year we had a full complement of 6 Board Members. Therefore, we were able to have our planned

meetings each month with a scrumptious supplied supper thanks to our board members.

Our Principal, Cathie once again has proven to provide the school with her passion, genuine and generous

commitment to do what is best for Xavier each day that has seen the Out of School care flourish and become

successful.

To our office staff, Robyn Kelly who has made a smooth transition into the way our financial side of the school

is run, Gretal Cardoz who is always there to meet people who come into the school with assistance from Karla

D’Lima who has stepped into the assistant role. Our Groundsmen Richard D’Rozario and John Hatha must be

commended for the way in which you support Xavier in each of your roles. Your kindness and warmth to new

and existing parents plus to our children contributes to our continued success.

I would like to thank Sue Richter for the dedicated and hard work that she does in running our School canteen.

I would like to thank Maureen Moore in our Uniform Shop this year with able assistance from Carol Cresswell.

You have both done a fantastic job.

I would like to thank our most dedicated and loyal teachers and assistants plus our Out of School Hours care

personnel led by Lyn Baxter for making this year so successful.

I would like to thank Father Kaz for his valuable contribution in supporting us not only spiritually, but also in

his wisdom. The board are indebted to what you offer and deliver to Xavier.

Once again, the P & F have excelled and their contribution to Xavier is nothing short of outstanding. Your

ability to provide morning teas, Teacher’s lunches, School Fun Run and outside catering such as the Melbourne

Cup in the parish this year and the many other significant days throughout the year, combined with your

exceptional fund-raising activities have provided Xavier with many great interaction opportunities between

our school community and teaching staff. The many and varied resources that you provide Xavier to extend

our children’s learning journeys are truly appreciated and meaningful.

Sheree and her Executive team and the P & F members can be proud of what you have all achieved. Your

approach to also fundraise externally is also acknowledged as this not only reduces financial pressures from

within our Xavier families but also showcases to others the great school community that we are blessed to have.

This year saw the opening of Stage Four of our Capital Development Plan which included four classrooms in a

teaching block besides the library, another hard court and fencing extensions on the oval. We also developed a

School Strategic Plan and upgraded our Information Technology Systems.

I would like to thank Casey Finlay for running the EMU program on a Wednesday afternoon to give extra help

to the children that need it in their maths learning.

I would like to thank Cher Spurrier in the role of co-ordinating the Breakfast Club at Xavier. The breakfast Club

has been very successful with each Tuesday and Thursday their being an average of over 40 students. A special

thank you to the teachers for helping to supervise the students and to the students who have volunteered to

help with the dishes.

Finally, all our Board Members, Father Kaz, Cathie our Principal, Giselle and David our Assistant Principals,

Ben D’Lima as the Secretary, Jon Slee as the Treasurer, Fiona Cooke, Kate Grljusich and Kylie Agostino who

have helped in a number of various roles, Karen McCagh as the P & F Executive member and the Parish

Council representative Damien Slattery I can’t thank you enough for your support, knowledge, light hearted

banter and inspiration you have given to the board in 2017.

I would like to thank the current board members who are stepping down this year. Ben D’Lima who has been

on the board for 6 years and has worked tirelessly in the role of Secretary and also helping David to get our IT

to an advanced level. Kate Grljusich who has been on the board for 4 years and who has volunteered on the

P&F and also the reading Book Co-ordinator for a number of years. Kylie Agostino who has been on the board

for 2 years and also assisted with the P&F and the reading books for a number of years. Jon Slee who has been

on the board for 2 years and worked well in the Treasurer’s role.

Agenda Item 8: PRINCIPAL’S REPORT | Responsible Member CATHIE BAUER

Cathie Bauer presented the following report:

Xavier Catholic School is developing into a double stream primary school that, when fully two-stream, will

cater for approximately 450 students. Enrolment numbers continue to increase with a current school population

of almost 400 students. The population in the catchment area of Xavier Catholic School is currently estimated

to be around 37,500 people and is forecast to experience a strong growth among all age groups; there is a

forecast increase by 59% between 2017 and 2027. The challenge is how to move the school forward cohesively

with a shared vision and clarity of purpose that is focused on improving the learning outcomes for all students

across the school. In addition, an on-going challenge is keeping Xavier Catholic School’s market share with

competing schools in a rapidly expanding location.

Xavier Catholic School has now begun a more consistent and systematic approach to school improvement by

developing and sharing a vision centred on learning of all students. In the last twelve months there has been a

significant shift in our school in regard to alignment of school processes and structures. We continue to focus

on fostering the development of the whole child, supporting students in developing independent learning

skills, as well as a positive sense of self-worth and achieving their full potential. This is evident through our

strong emphasis on literacy and numeracy specialist support provided across the school including Reading

Recovery taught by Helen Moir; Levelled Literacy Intervention taught by Trish Leeder and the Mathematic

Understanding program taught by Casey Finlay along with on-going support in Literacy and Numeracy

provided by Aoife Johnson. These teachers also provide in-class support for groups or individual students on a

regular basis. I would also like to acknowledge the hard work that Susan Russell has put into coordinating the

Early Years team from Pre-Kindergarten to Pre-primary I thank them all for their leadership and dedication to

assist the teachers in raising the outcomes for all our students.

Xavier Catholic School staff are on a shared journey with the aim to develop a school where children, parents

and staff feel welcome, and all students are provided with the knowledge and skills required in a fast-changing

Page 8

world. We are always looking at ways of implementing continuous improvement through reflective practice.

Recently we have moved to a strength-based approach to building capacity as a way to model and grow

leadership capacity in all staff. This has been well received by the all and we look forward to further exploring

this work collaboratively in 2018. Xavier Catholic School staff agree that positive beliefs and behaviours are

occurring. Our aim is to continue to focus on developing these ideals and continue to facilitate the

reinforcement of this attitude among the staff, both present and future and turn Xavier Catholic School from a

‘good’ to a ‘great’ school.

I would like to acknowledge each and every one of our teachers who continue to support students in their

learning by providing stimulating and challenging learning opportunities in all areas of the curriculum. The

staff at Xavier use teaching and learning strategies that align with a developmental approach. They respect and

value that children learn in different ways and that learning expectations and opportunities may need to be

modified at different stages of development. They spend time getting to know the students well and identify

their particular strengths and challenges so that they may best meet their spiritual, physical, emotional, social

and intellectual needs.

Information Communication Technology (ICT) has been an important focus at Xavier over the past couple of

years. More recently there has been a substantial amount of funds spent on improving the connectivity,

resources, training and teaching of ICT to allow the school to progress with 21st century teaching and learning.

From mid-2015 all teachers were issued with a laptop; at the same time Digital TVs started to replace IWBs in

all classrooms from Years 2 – 6 including Apple TVs; a small bank of ipads were allocated to each year level;

and our Digital Technologies teacher, Giselle Konle, was employed to teach Digital Technologies as a specialist

subject to all students and to lead staff in the DigiTech area. ICT is continuously evolving as the school

continues to go from strength to strength as staff want and dare to experiment and innovate in their practice.

The school supports and recognises staff for taking initiative and risks particularly with the introduction of

Leading Lights.

Xavier Catholic Primary School is a welcoming community with a commitment to supporting all students,

families and staff. A strong relationship exists between the school and parish and reflects the values, vision,

policies and motto of Xavier Catholic School – “Growing in Wisdom”. At the beginning of the year we

launched our Strategic Plan 2017 – 2020 which will guide the next stage of our school’s journey. It outlines the

school’s strategic priorities and the outcomes against which our future performance will be measured.

As a Catholic primary school where all are ‘Growing in Wisdom’ we are committed to being a welcoming,

family focussed community based on Gospel values. In partnership with parents we strive to “Nurture and

enhance the faith and learning of each and every member of the school community.” We continue to help

support the personal faith development of all members in the community through Christian Witness and

Catechesis. Priority also continues to be on an inclusive and welcoming community for all. This includes

increasing enrolment of students from marginalised groups within our community and increasing

opportunities for staff, students and community members to engage in Christian Service.

Through the online Student Gallop Poll taken in March this year, students in Years 5 & 6 indicated that they

were experiencing positive emotions at school, feel connected to the school and feel like they belong at Xavier.

This was evident in their answers that indicated a relatively strong connectedness to school and confidence in

their own learning. The majority of students indicated that they had positive relationships with their peers.

Students also frequently commented on the feeling of safety and community that they feel throughout the

school in the staff and other students. The students love the way the teachers all know who they are and show

care and compassion for them.

Page 9

We follow a Restorative Justice approach when dealing with inappropriate behaviours. As adults we need to

allow our children to be responsible for their own actions and show respect for themselves, others and the

environment. Xavier school promotes a Positive Behaviour Support Program with a whole school focus on

promoting self-control and self-regulation through our SUPER Program. This program is a positive behaviour

management program where students are taught expected behaviours. Students are able to collect SUPER

tickets for demonstrating the key indicators on our school matrix.

Xavier Catholic School offers many services to help support the education and care of our families. These

include the 3-Year-old pre-kindergarten education programme that has been operating every Thursday this

year but at this stage is low on numbers to make a viable start to the beginning of 2018. This program is aimed

at ensuring the best possible start in terms of the children’s readiness for school in all of the educational

domains – social, emotional, physical, intellectual and spiritual. Pre-kindergarten programmes do not attract

any government funding assistance and therefore can only be provided on a user pays full fee system which

we have endeavoured to keep as affordable as possible whilst covering costs.

Outside School Hours Care that operates every school day from 7am to 6pm for families that need this service.

We also operate this service on Pupil Free Days and during Vacation Care but also with viable numbers to

operate. I thank Lyn Baxter as the Supervising Officer with Rhiannon, Zara and Jess for providing this value for

money, on-site service that is home-away-from-home for many of our families!

Mums and Bubs Playgroup that runs on Tuesday mornings from 9 – 11am for ALL interested families

(including Dads and grandparents who have attended) with children from birth to 4 Years of age. Families

attend our Playgroup to make new friends, learn some skills and have fun with their children. I thank Trish

Leeder for her stories, games, activities and music that she shares to support this family friendly group in our

school.

Breakfast Club that has been operating for almost 18 months every Tuesday and Thursday of the school terms

supplying a good healthy breakfast for those who may otherwise go without or have something not as

nutritious. It is also a great source of social training for our students as they sit together at tables with support

from our staff volunteers. This service is sponsored by the Make A Difference Foundation in partnership with

IGA, Westfield and The Good Guys, Cockburn. Breakfast Club is run by a volunteer coordinator and parent

volunteers. I would like to sincerely thank Cher Spurrier for her coordination of the breakfast club menu,

shopping and volunteers. Special thanks to the wonderful band of helpers who have been consistently there to

supply this service to our children in the mornings and to the staff members who also consistently volunteer to

supervise and support this service in their own time. WE NEED MORE parent helpers to continue and would

love to have your support.

Homework Club has been very successful since we began at the beginning of the school year. Thanks to our

dedicated staff who stay behind an extra hour to ensure your children have a space to complete their work and

assistance if they need it. Thanks to Julia Grant for her coordination and to the staff who are mostly there every

week to help the children.

I would especially like to acknowledge here the many staff members who volunteer for

the multitude of extra-curricular options available to our students including Dance Troupe, Before School sport

training for Netball, soccer and footy along with Interschool sport training at many other times when the need

arises. Your generosity is appreciated.

I would like to take this opportunity to especially thank our Assistant Principals, David and Giselle for their

professionalism, guidance and the knowledge that they all bring to the running of the school. Their hard work

Page 10

and dedication are truly appreciated as well as their support of the pastoral needs of our school community. I

would also like to acknowledge the hard work of Helen Moir, Casey Finlay, Susan Russell and Aoife Johnson

as key leaders of the Literacy learning area and members of our Curriculum Team.

I also add my thanks to what Damien has already said to Gretal, Robyn and Karla. I also welcome our School

Counsellor, Beth Bellotti and look forward to her continued support of our students and their families. To ALL

of you I say a BIG THANKS.

As a school community, we are truly grateful for the wonderful help received by ALL helpers and volunteers

who have contributed in any way to the functioning of Xavier School in 2017. Thank you especially to the team

of dedicated parents who help with changing the reading books in the classrooms, with a special thanks to Kate

Grljusich for her organisation of this important part of our Literacy program. We also thank those who assist at

sporting events, those who go on excursions, and everyone who shows their support for the many other

activities and functions in the school year. We truly appreciate everyone’s contributions especially those that go

unnoticed.

I would also like to acknowledge the volunteer assistance of our School Banking Coordinator, Sherelee

McGregor for providing the banking Commonwealth Banking service for our school families. This is a great

service that assists with teaching children financial literacy and to be responsible for their own saving.

I thank and acknowledge the Xavier P&F for their fundraising, community events and activities. They are

supported and helped in the great work that they do by some of the Class reps. We are really grateful to YOU

all.

Thank you to each and every one of the members of the School Board who assisted with the financial decision-

making and management of the school this year. Members of the Board work to support all children at Xavier

school and their commitment and support is indicative of the family atmosphere and Catholic ethos that we

engender. Damien has already acknowledged the hard work and commitment of our 2017 School Board

members and I too add my sincere THANKS for your time and commitment. I would like to personally

acknowledge the unwavering support of Ben D’Lima who not only was the School Board secretary but also

attended most of the site meetings for building Stages 3 & 4, was on our staffing interview panels and a valued

member of our IT committee. Not to mention security patrol and night callout when alarms go off. I can’t thank

you enough Ben for the hours you put into helping our community.

Again, this year, the collaboration and collegiality between the three Catholic schools (Salvado CC and St John

Bosco CC) and the Chi Rho programme of our parish has set a great tone for the growing Sacramental

programme. Everyone works together to support the Sacramental programs of our parish. We are grateful to

Father Kaz, for your ongoing pastoral support and the parishioners of the St Francis Xavier Parish for

welcoming our families at the special Masses throughout the year.

Xavier Catholic School was founded by the Sisters of Mercy in 1938 on Third Road in Armadale. We therefore

look forward to celebrating our eightieth anniversary in a big celebration next year.

Before I announce the teachers for 2018 I would like to remind our families that EVERY staff member is here for

your children. WE understand that everything doesn’t always go as planned - it is our human nature – but WE

ARE HERE for YOUR children – we care about each one – their safety, happiness and well-being and we want

the best for them too just as you do. Class composition will be based on academic, social, emotional and

behavioural indicators of each student to support where they will work best with which other students and

teacher. It is important that parents/guardians allow the Principal and teachers who have the experience,

Page 11

knowledge and expertise to decide what class grouping and teacher is best for your child. Every teacher brings

their own uniqueness to the classroom and it is this diversity that assists your children to be the best people

they can be. All teachers are hard-working and dedicated so please let your children grow, develop and build

resilience for the many times in their life when they will have to adjust to change.

Agenda Item 10: P&F PRESIDENT’S REPORT | Responsible Member KAREN McCAGH

Sheree Namnik presented the following report:

First off What a busy year, we as the P and F have jammed just about as much as we can into this year that has just

seemed to fly by in the blink of an eye. None of this would not have been possible without the generosity of so

many Xavier families donating their support in the form of time, effort, and supplies. So, to each and every one of

those individuals and families Thank You.

I am going to run through what we have been up to term by term and hopefully I don’t leave anything out.

We started Term 1 off with a bit of fizzle, with the Welcome Back Movie night having to be postponed to the last

day of term due to inclement weather. When it did go ahead with the Movie “Ice Age” screening on the internal

smaller oval, it was a great evening, well supported and with just the right amount of food.

Term 1 also saw the school being invited to once again run a fundraising sausage sizzle for the city of Armadale’s

Movie Night, unfortunately it was not well attended but the city of Armadale did offer us a chance to run the

popcorn machine at their Harrisdale pavilion opening which was an easy money raiser and Kept Karen and two

young boys run off their feet all night. Thank You Karen.

Despite Easter falling in the Term 1-2 school holidays we decided to still run the Easter Raffle which was a great

success.

Term 2 saw us run the usual Mother’s Day Raffle and Gift stall. We also contributed finances towards Edu Dance,

which the kids all love and I am sure I am not the only one who loves to watch the concert at the end of term and

see all the hard efforts pay off. We also collected and compiled Class Room cash. We tried the Entertainment Book

fundraiser this year this went well but not as well received as we had hoped for, for how much work was involved.

But a huge thank you to Jayne Smith for all the running around she did for it. We also catered the official opening

of the Stage 3 and 4 of the school. All Who attended were blown away by the selection of food and real Coffee.

In term 3 we had the Jade Lewis talk to the elder students, parents and teachers about Drugs and choices. Father’s

Day, Gift Stall, Raffle and Breakfast. Earn and Learn coupon collection and compilation. And a Disco, which the

kids absolutely loved. We also held coffee and cake stall for the faction carnival.

In Term 4 we once again catered for the Parish Melbourne Cup function which was very well received. We hosted

the Teachers’ appreciation lunch, which is our way of thanking the teachers and staff for all the do for the children

on behalf of all the Xavier families. Thank you so much to Carlie and Ash Richins for their fantastic pop up

restaurant. And last but not least the fun run, which was an awesome afternoon that the children just loved. Thank

you so much to Tracy Furk for organising it. We still have two fundraisers running, The clean skin Wine Drive and

the educational Experience Toy fundraiser. If you would like any information on either of these please see one of

the P&F members or the Schools last newsletter.

There have been so many Parent and Friends helping with every event we have held this year I can’t stand here

and name them all, but thank you to each and every one of you.

Also, through the year Sheralee McGregor for her amazing and dedicated School Banking initiative which is

growing week by week, Sheralee donates at least 3 Hrs a week of her valuable time to this and it is really

appreciated.

Page 13

Now all this fundraising is for one reason and that is to be able to provide resources and support for the children

and families at the school. At the start of the year we asked the teachers to give us a wish list of items they would

like but needed funds for.

We are very pleased to say that some of the items we ticked off this this year are:

• Library Donation for new books and resources

• Kindy donation for fine motor skills equipment

• Ok for Funds for new fitness equipment for the oval

• Over size chess pieces

• Notice board repairs

We also provided the Jade Lewis talk, P&F Class reps for the class prayer services, contributed towards Edu Dance

and Year Six Camp and Graduation Award and Cake.

I think you would say it has been a satisfying, successful, fun and busy year!

Moving forward Carlie Richins will be President, Tracy Furk will be Vice President, I will be Secretary and Monica

Henry will be staying on as Treasurer. We are still calling for more class Reps though so if anyone would like to

come and help us on build Xavier Catholic Schools Community spirit and help be there for the Children let us

know. Thank you

Agenda Item 11: P&F TREASURER’S REPORT | Responsible Member JACQUI CULLEN

Monica Henry presented the following report:

It’s fair to say that it has been another hectic but successful year for the Xavier Catholic School Parent & Friends

Association. As Sheree has mentioned, we have again managed to hold a number of successful fundraising events

for the school throughout the 2017 year. With many of our fundraising efforts being so well supported by the school

community we are able to keep our expenses down and maximize our fundraising profits.

Some of our fundraising events for the year include the following:

City of Armadale Harrisdale Pavilion Opening $500

Easter Raffle $1,108

Mother’s Day – including Raffle & Gift Stall $401

Disco $1,310

Father’s Day – including Raffle, Gift Stall & Breakfast $985

Xavier School Sports Faction Carnival $1,010

Catering – Melbourne Cup Luncheon $791

Xavier Colour Fun Run $4,602 (estimation)

Entertainment Book $670 (Note: Figures are approximate based on incoming receipts and outgoing expenses)

Other sources of income include:

P&F Levies $12,514

School Banking Commission $731

Stocklands Good2Give Grant $1,000

Commission - Photo Hendriks $420

I would also like to specifically acknowledge the monies received from the Commonwealth School Banking

Commission. Thanks to Sheralee, who co-ordinates the program and actively promotes the program and collects

the kids school banking money on both a Wednesday and Friday morning, come rain hail or shine, this year the

Banking Commission has increased by 28%.

With Xavier now moving to double stream it is important to mention that, although the amount of P&F levies

collected is increasing, the amount of funds being requested also increases. Therefore, each request is carefully

considered for not only its value per child but the potential outcome value.

In 2017 P&F funds and importantly P&F levies have helped deliver support to the school by supporting a number of

programmes and initiatives.

Some of our notable monetary outgoings in supporting the school include:

EDU Dance $4,387

Yr. 1+2 Book Bag Buddies $1,448

Library Books $2,734

PFFWA Membership

Replacement Noticeboard Door at school entrance $1,392

Welcome Back Movie Night $727

Funds Allocated–Kindergarten–Fine Motor Skills Equipment $300

Funds Allocated–Jade Lewis Drug & Alcohol Awareness $650

Funds Allocated–Outdoor Chess Set $300

Funds Allocated-Fitness Play equipment for Main Oval $4,600

It is important to note that without the huge generosity of many Xavier families donating their support in the form

of time, effort, supplies and monetary support, many of these events wouldn’t be as successful. It is the wonderful

dedication and determination of a number of P&F members behind the scenes that provide us with the ability to

give as much money as possible back to the school community.

Therefore, on behalf of the Xavier School P&F and school community I would like to say a huge thank you to those

businesses and families and look forward to your continued support in 2018.
