...and why does it matter?

(1) Independent vs. university journal: Tells you how a journal’s funded. Independent journals are funded either through grants, book sales, or donations. Slush pile readers are generally the editors (with some help from their friends). Stylistic preferences can often be clearly discerned from reading past issues. These journals are sometimes associated with a small press; if so, I’ve listed it in parentheses on this line. University journals are funded and run by an accredited college. Slush piles are often read by students, meaning the journal’s stylistic tastes can vary widely year to year. They also are (generally) less likely to run out of funding, and therefore less likely to fold.

(2) Print vs. electronic journal: Tells you the publication medium. At one time, electronic journals were not considered as highly as print journals, but in the last decade this perception has shifted. A print journal tends to have a longer turn-around time from acceptance to publication (it’ll take longer for your work to appear). Most (though not all) paying markets are print publications.

(3) Acceptance percentage: Statistic telling you, on average, what percentage of unsolicited submissions received by the journal are accepted for publication, as pulled from the Duotrope.com report statistics. This is a measure of the journal’s popularity more than anything (though popular journals are usually popular for a reason) and is also influenced by the publication’s medium and frequency.

(4) Average response time: Tells you, on average, how long it takes from date of submission for the journal to tell you whether you’ve been accepted or rejected. Most often pulled directly from the journal’s website; when that statistic wasn’t given, I based it on the times reported on Duotrope.com.

(5) What they want: A brief blurb from the journal’s website describing their editorial preferences, or the journal as a whole. Some journals are more effusive about this than others. I copy-pasted directly from the journal (or their Duotrope.com page) to maintain the tone of the description, which can help to indicate the journal’s attitude, and whether your own might gel with it. While this is a good start in determining if a journal’s right fr you, it’s still a good idea to read an issue or two of the journal to get a feel for their style. In the rare instance there was absolutely no editorial preference given, I’ve left this section blank.

(6) Manuscript guidelines: Tells you any specific things the journal likes to see in a submission. Follow these guidelines to the letter. Most journals will reject your story unread if you don’t (some journals put weird things in their guidelines just to see if submitters read them). Industry standard is double-spaced for prose and single-spaced for poetry, with 1” margins, in a 12-point serif font.

(7) Cover letter guidelines: Tells you any specific things the journal likes to see in a cover letter. Like with manuscript guidelines, follow them well. It is common practice to include a cover letter. A sample cover letter follows on the next page. For print submissions, format it as you would a resume cover letter. If you know the editor’s name, use it; this shows you’ve done your research, and aren’t just carpet-bombing journals. For e-mail submissions, include it in the body of the e-mail. Most online submission systems include a space for the cover letter; if they don’t, include it as the first page of your submission (unless guidelines state otherwise).

(8) Simultaneous submissions: This is the practice of sending the same piece for consideration by multiple journals at the same time. Most journals are okay with this practice (albeit sometimes grudgingly) since e-mail and online submission systems make it easy to let them know if the work was accepted elsewhere. If a journal doesn’t accept simultaneous submissions, respect that decision. Most journals that ask for exclusive consideration have very quick response times to compensate.

Important note on simultaneous submissions: Keep track of where you send your work! Most journals buy work on the condition they get first publication rights, and often exclusive publication rights for up to a year after it appears. If your story is being considered by multiple markets and is accepted, immediately withdraw your story from consideration by the other journals through the method stated on their website. This is standard submission etiquette, and part of being a good literary citizen.

(9) Genre: In the context of sending things to a “genre editor” or following “genre guidelines,” this refers to the broad category of work (i.e. fiction, non-fiction, or poetry).

....and that’s it! Cover letters should be short, sweet, and to the point. If you have a previous relationship with the editor or journal, mention that in the first paragraph.

Keep your bio short—50-100 words. If the guidelines ask for a 3rd person bio, it will be what appears under your name if your work is accepted; otherwise, it’s just for you to catch the editor’s eye. List any relevant educational and work experience (emphasis on relevant!) and your 3-4 favorite or most recent publication credits. If you’ve never been published, mention that, too. A lot of journals take pride in discovering new voices.

The basic rule: Let your work speak for itself. Don’t summarize it, explain it, or tell the editor how great it is. Mention extraneous details only if they’re relevant (i.e. you’re submitting an essay about the medical field, and you want them to know you’ve worked for six years as a nurse).
