I am delighted to welcome you to WelTec and Whitireia. Polytechnic training is the pathway to an enormous range of satisfying and rewarding careers; careers that underpin New Zealand’s economy and support our society.

WelTec and Whitireia offer a wide range of programmes in the Wellington region and Auckland. All have been developed with industry to provide you with the knowledge, practical skills and hands-on experience required to prepare you for employment or further training.

At WelTec and Whitireia we have highly skilled teaching and support staff who work hard to ensure that you succeed as a student; staff will support you every step of the way. Our classes are small and we have a wide range of support services to ensure you achieve your study and career goals.

Student ID and Contact DetailsYou will be issued with an ID card free of charge when you have been fully enrolled. You will need this card to access services such as printing, checking out library books and access to some student spaces, so please bring it with you whenever you come to a campus.

If you lose your ID card you can arrange for a new one, but there will be a small charge for the replacement.

FinanceFEESWhen you have enrolled, you will receive an invoice for fees. You will need to pay your fees or make arrangements to pay before starting your course. Details about how to pay will be on the invoice.

If you are eligible for fees-free study, you will receive an invoice with a nil balance. If you believe that you are eligible but your invoice shows that there are fees to pay, it may be that the government processes are still to be completed. In this case, keep checking the www.feesfree.govt.nz website with your National Student Number.

For most other programmes you may apply through StudyLink for a student loan to pay your fees. Please make sure you apply early.

International StudentsThe International teams at WelTec and Whitireia are the first point-of-contact for all international students.

The friendly and welcoming staff will assist with enquiries, enrolments, student visa applications and other student support issues for international students. The team can help you arrange your homestays, orientation and welfare services. They organise a selection of social, cultural and recreational activities so you can experience and join in the New Zealand lifestyle.

FINANCESTUDY LINKIf you plan to pay your fees by Student Loan and/or apply for a Student Allowance, you need to apply online at www.studylink.govt.nz. The online application will help you work out what you are entitled to, and to apply.

What StudyLink Offers

• Student Loan: a loan to pay your fees, course costs and a weekly payment if you cannot get a Student Allowance.

• Student Allowance: a weekly payment that you do not need to pay back. You have to meet particular criteria to be eligible.

• Other assistance: the online application will work out if you are eligible for anything else (e.g. accommodation, disability, childcare).

Changing Your StudyIf you decide to change your course, you may do so within the first two weeks of your study. The exact time period depends on your course. You need to talk with your tutors and contact the enrolments team for a transfer form.

If you choose to withdraw from your course, you must do so before a certain date or you will be considered to have completed and failed the course. Check the website for the date for your course, and to see if you are eligible for a fees refund. Contact the enrolments team for advice and to complete a withdrawal form.

• While on campus or involved in institutional activities, be free from the influence of non-prescription drugs and alcohol

Disciplinary Actions If you behave in a way that is inconsistent with your responsibilities as outlined above, including using material without referencing in your assignments, copying other’s work or knowingly letting others copy your work, then you will face disciplinary action from your School.

The first step for any misconduct is an informal discussion between the people involved. The majority of incidents are resolved at this stage.

The second step is a more formal process of meetings and investigations. It is likely that the outcome will require a change of behaviour from you, as well as assistance to make these changes.

If this does not resolve the issues, then further meetings will be held, and stronger sanctions may be applied. In the most serious cases, this can result in your enrolment being terminated.

Where a staff member considers that your behaviour is affecting the immediate safety and wellbeing of other students or staff, you can be asked to leave the class or the campus for 24 hours.

At all stages of the process, you as a student are entitled to representation, support and advice. You will be given opportunities to put your side of the story, and to appeal any decision.

Complaints ProceduresWhere you have a concern about a staff member or another student, we strongly encourage you to first discuss your concerns directly with that person. If that does not resolve the issue, you may wish to take it further by bringing it to the attention of a manager or finally making a formal complaint. You should seek advice from support staff about the processes involved and the options available to you. Support staff available to help you with this include Māori, Pacific or International support staff, and the student advocacy service.

HEALTH AND SAFETYSmoke Free CampusWe support a healthy work and study environment for all. Therefore all our campuses are smoke free. This means that no person is permitted to smoke on any WelTec and Whitireia campuses:

• In all buildings or parts of buildings that are under WelTec and Whitireia’s management

• On all WelTec and Whitireia’s land holdings and perimeters, including all car parks and green spaces

Emergency ProcessesWelTec and Whitireia staff are trained in emergency and disaster preparedness. Please follow all directions from staff to ensure safety regulations are met. Familiarise yourself with emergency exits, and any safety rules applied to the classrooms/workshops that you are working in. Always ensure that you dress practically and appropriately for your study environment, which includes the correct use of protective clothing (PPE) and equipment/machinery.

FIRE If you discover a fire, dial 111 and make your way to the emergency exit. Assemble in the designated area away from the building. Do not re-enter the building until it has been deemed safe by fire authorities and/or the Chief Warden/Floor Wardens. In the event of an evacuation, alert others, listen to and follow instructions, leave bulky items behind and exit the building via the emergency exits. During any emergency do not attempt to use the lifts and do not attempt to carry others down the stairs. Keep fire/smoke stop doors closed at all time.

NATURAL DISASTERSIn the event of an earthquake we advise you to drop, cover and hold. Following the incident, please follow directions from staff and evacuate to the nearest evacuation point.

ACCIDENTS, INCIDENTS AND NEAR MISSES If you need medical help for an accident or other emergency, report it immediately to a staff member who will take action. For any serious medical emergency, call 111 immediately. If you are on the Whitireia Porirua campus, send someone (or go yourself) to Kia Ngawari Health Centre (near the student hub) and ask for the nurse.

To report an accident, incident or a near miss, report it to a staff member who will use our online forms to report this further and escalate to the correct team.

Student Logins, Email and File Storage You will be given a computer login and a password and email account once you have accepted your offer of place on your programme. Please note the first time you login you will need to come into one of the campuses to do this.

HOME DRIVES: All students get a Home drive (P:\) and it is the responsibility of the student to manage this space by deleting unwanted files. Students may also save data to a personal USB or Flash drive. Storage is also available through Office 365 Online (see below)

WiFi on CampusWireless Internet Access is provided across all WelTec and Whitireia campuses for staff, students, and business partners. The wireless/WiFi "name" for each institution is:

• WelTec-BYOD for WelTec Campuses

The login details for the Wireless are the same that you use for a computer.

Office 365 Online The software ‘Office 365 Education for Students’ (Office) is available for free to students who are enrolled at WelTec and Whitireia. Students can install Office on up to 5 PCs or Macs and mobile devices, including Android, iPad, and Windows phones and tablets. You can access Office 365 here, using your WelTec or Whitireia student email (see above): portal.office.com. Click here for Instructions on installing Office 365 on your devices.

Office 365 Online is the name for the Microsoft Office applications that can be accessed via the internet. Applications include Drive for file storage and Outlook for email. This means you can use email and store and access your work from anywhere with an internet connection. Students are provided with an Office 365 email. To access Office 365, you will need to log on to your student email (see above).

Printing, Photocopying and ScanningYou will have access to photocopying, scanning and printing facilities using Multi-Functional Devices (MFD) – Full information available here. MFDs are situated in various areas around each campus including each Campus library. WelTec and Whitireia use a system called SmartPrint. This will allow you to pick up your printing from any printer on that campus by using your Student ID card. SmartPrint is setup as the default printer on all student computers.

You are charged for photocopying and printing. Scanning is free of charge.

Social MediaOUR SOCIAL MEDIA PAGESLike and Follow us on Social Media to catch the latest news, photos, videos and stories of what is happening and what our students and graduates are up to.

USING SOCIAL MEDIA RESPONSIBLYSome of your classes or programmes may have social media pages and groups. Using social media for your study can be beneficial, and we encourage and promote the positive aspects of social media, interconnectivity and shared learning.

It is important that you are courteous, responsible and respectful with the content you share and comments you make. This will ensure that everyone has a positive experience on your class social media pages and groups. Here are some tips on Net Etiquette that you can use to guide how you use or interact on social media.

You have a responsibility to not bully and discriminate any student or staff on WelTec or Whitireia affiliated social media communities. If you are responsible for or involved in the bullying or discrimination of any student or staff you may undergo disciplinary actions (see above).

If you are ever made to feel uncomfortable or have a complaint about content on a WelTec or Whitireia programme social media page or group, we encourage you to talk to a trusted tutor, a support services staff member or one of our advocacy services. ONLINE LEARNINGMoodleWelTec and Whitireia supports your learning by blending practical training, classroom time and online learning. You can study some programmes partially or completely online, or enhance your study using Moodle, the online Learning Management System. This gives you flexibility and increases access to the information you need. Most WelTec and Whitireia courses have a Moodle or online presence.

YOUR WELLBEING AND HEALTH Health ServicesBeing a student can be stressful at times. For new students it can take time to settle in and adjust to a new environment. For any student, studying and student life brings its challenges and highs and lows. If life gets tough it’s important that you share what’s going on for you with people who you trust. This could be family, friends or a trusted health professional such as a doctor or counsellor. WelTec and Whitireia provide a wide range of support services including safe and professional health and welfare services and financial advice.

Vitae Counselling ServicesOur counselling services are provided by Vitae, a team of independent counsellors and psychologists located throughout New Zealand, who offer individual counselling programmes and trauma support for all enrolled students. This is a self-referral service providing up to three free counselling sessions. This service is available 24 hours, 7 days a week.

Prayer RoomsThere are prayer rooms on all our campuses. This is available to offer you a quiet, safe and peaceful space to pray.

There are many local healthcare providers in the area, including free health care services in some cases. WelTec doesn’t have any on-campus General Practitioner (GP) or nursing services. However we recommend that all students register with a GP/Healthcare provider of their own. For further advice and information on health services, including a list of affordable healthcare providers in your local area, contact a Student Advisor.

Kia Ngāwari Health Centre provides accessible, safe and professional health and welfare services to Whitireia students and staff during term time. All services are confidential. You can book free appointments with a health nurse and minimal cost appointments with a doctor and other health providers such as a physiotherapist, massage therapist and hearing therapist.

STUDENT LIFEFree Bus ServiceThere is a free bus service for all students enrolled in 2018. The service starts on 5 March, runs Monday to Friday during term time, and connects the Petone, Wellington City and Porirua campuses. To use the free bus service you must present your student ID card to the driver.

AccommodationSTUDENT ACCOMMODATIONWe offer student accommodation provided by 222 Willis Street, Wellington, CBD. They have a mix of studio, two and four bedroom flats, all fully-furnished and with their own kitchens and bathrooms. It’s self-catered so you have the freedom to eat when and what you want.

Cafés Our cafeterias provide hot and cold food and drinks at reasonable prices. You will also have access to microwave facilities to heat up your own food.

Student HubsTHE LEARNING COMMONS – WELTEC The Learning Commons at WelTec Petone can provide free advice for all students and refer you to the appropriate source of support. This is also a place to get involved with Student Connection groups (a student voice committee). You can put forward any ideas regarding teaching and learning to the student forum. You can also discuss any ideas you have for events and leave feedback regarding your experience at WelTec. STUDENT HUB – WHITIREIA The Student Hub at Whitireia Porirua provides free and independent advocacy and advice for all students. This is also a place to get involved in the Student Voice. You can put forward any ideas regarding teaching and learning, events or any feedback regarding your experience. At the Student Hub you can seek advice, support, advocacy, ask anything, relax, get a free hot drink, eat, browse second-hand clothes, grab a free book, get sports equipment, laminate or bind a presentation, use a computer or phone, or just come in and talk to someone. Study SpacesThere are common rooms and breakout spaces situated on all campuses which are available for students during the day. Each campus has designated study spaces, some of which include access to computers and power sockets. There are additional quiet study spaces situated in, or near the library areas. You also have the option to book quiet rooms for study and meetings via the Information/Help Desk at any campus.

After-hours AccessYou will need your student ID cards and in some cases a swipe card in order to gain access to your campus after hours. Some campuses extend their hours to accommodate later study and late classes.

Gym We encourage you to keep fit as it will help you to stay healthy while studying. Dynamics Gym is available at subsidised rates to all students studying at WelTec. The gym features a separate cardio area with training machines and free weights, as well as a large variety of weight and strength training equipment. You can get all the information on membership pricing, opening hours, available classes and how to join on the WelTec website.

ChildcareRaising children while studying can be challenging. WelTec and Whitireia provide quality childcare on the Petone and Porirua campuses. Both providers offer the Ministry of Education ‘20 Hours ECE’ for 3-5 year olds, at no cost to you. Please contact the corresponding centre for bookings and fees.

It ensures the opportunity for students to be heard and contribute to decisions that lead to a high quality teaching and learning environment. Your Voice on CampusSTUDENT VOICE REPRESENTATIVES Each class is encouraged to elect a Student Voice representative. Re-enrolmentYour enrolment ends when the final date of your course enrolment period is reached, which may not be the end of your course. For example, you enrol for your degree course one year at a time, even though the degree takes three or four years. You must re-enrol each year to continue studying, and to be entitled to a student loan or allowance. You must also re-enrol if you move onto a different course, for example a Level 4 course once you have completed the Level 3 course. Information about re-enrolment is available from your tutors and from the enrolment teams.
