Call to the Audience:

Chief Diversity Officer- Dr. Carmen Phelps

- Thank you all for having me I am the new chief of diversity officer here on campus and so I work with the presidents office. My office is actually in Babbitt administration that I was told that many students don’t know where it is. But that’s where I’m located and with the kind of work that I am doing on campus that I’m going to talk about but ways in which I would like to work with all of you to realize some of the goals that will help the institution realize and the president. Being Situated in Babbitt, I have conflicted feelings about. People think of Babbitt administration as a place where the higher-level administrators reside. That’s where all the university business happens. Or your there because your in trouble. But the nature of my work its really important that I am a member of the presidents team, because that really speaks to the evaluated aspect to diversity work on this campus and to how important it is to the president and her team that this person that is the chief diversity officer be a member of that group symbolically it speaks volumes to the priorities on this campus. Because of the nature of my work it is really important that I build meaningful and productive relationships with students, with faculty, with staff with administrators, with the broader community outside of NAU to do this work. This work is essentially working to promote and increasingly diverse inclusive assessable equitable social just campus culture. That is the work that I am here to do and as you can imagine that is work that requires participation from every community and culture

Page 2: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

on campus. I have been here since August 1st and since then I have been working to build a lot of those relationships, I am in meetings all the time again and I was just in a meeting with the president, which was why I was late, getting here. I have been meeting with a lot of people to kind of get a since of the culture here at NAU, Some of the challenge’s and some of the concerns of the accomplishments around and oriented around diversity centered ideals. I’m meeting with deans and I’m about to meet with chairs and academic directors and faculty. Some students have been reaching out to me and of course you guys have just got back to campus so I haven’t heard too much from students. But those emails are starting to trickle in from students that are expressing a lot of excitement and enthusiasm that a position like this exist on campus and that there is someone there to facilitate all off the processes. Some students reaching out to me have a lot of concerns and having a lot of challenges on campus that they feel like others should know about. Moving forward and doing this work I will say that there is one material goal that I have. But a tangible material goal and that is to produce a diversity strategic plan. So there has never been a diversity strategic plan at NAU. So this is really important that this is happening and again it speaks to the importance of this kind of work and the goals that are being set in the interest of diversity here on campus. So by the end of academic year there will be a draft of this strategic plan that I will be presenting to the campus community only after getting feed back from the president and the chief of staff, my peers, deans, chairs, etc. student affairs personal, leadership. Any sort of primary stake holder on campus will offer some feed back and give me some initial impressions about what there thinking about that plan. So that plan is going to address a lot of stuff. Including for instance recruitment, retention, faculty, underrepresented groups, cultural competence and a whole lot of stuff. There is going to be a lot there that is going to address student culture on campus. Like in what ways are we encouraging students to become better educated about issues of difference, realities of difference, understanding what members of a culture in that a systemic privileged power, oppression, discrimination and all these things that influence all of our relationships on campus. To what extent are we encouraging students to become better educated and ultimately we want all of you to be better prepared when you leave and graduate. It will help when you are applying for positions in diverse cultures then can you speak to that confidence you would have and it will make you competitive with some of your peers going for these jobs. There are a lot of ways and reasons for which I’m doing thins work in which is to benefit everyone here on campus and primarily students of course because we are here to support the development of student but we cant do that effectively if we are supporting the development of the faculty at the same time. Staff for instance and administrators that are working students. So that is the work that I am doing on campus hopefully you all will see me a lot I am not in my office a whole lot as you can imagine. I am usually out and about meeting with many different people. When Cindy invited me to be here and to introduce myself to all of you and get better acquainted with

this body I was really and extremely excited I came here from Temple University in Philadelphia, which is a completely different culture from Flag. I’m originally from St. Luis I grew up in the Ferguson area. I have hopped around a lot in my life but this is the first experience in this area and region so I’m adjusting a lot to all of it, which is probably why I’m hosting a series of town halls that many of you should know about. These are for students of various of groups on campus and I’m doing the same thing with faculty and the same thing with staff and service professionals on campus and I’m really you can help to get the word out about those town halls. What is shared in those town halls is going to be critical to my thinking and about this diversity strategic plan. Know that we all can be a little surveyed fatigued but the type of questions that will be in the town hall are going to be intentional questions that will help me in my plan. Thank you guys very much for letting me come and speak with you. And I mean it when I say that my relationship with all of you is critical to doing this work. To that end this is my email address [email protected] please feel free to reach out to me. I cant be everywhere so its important for you guys to be my ears and eyes on campus if you see something going on and you think I should know about or hearing about something without giving me names or anything please let me know and I try to be as accessible to students as possible. At temple students would text me, call me and email me. That is the level of communication that I want to have from you guys as well as the student body. Thank you once again.

Green Fund Fee Increase Campaign- Jessica Lazor

Jessica Lazor- Thank you for giving us the opportunity to come and speak with you guys. We have some information that we brought that you guys can look at to spare some time if you guys want to pass them around. Also this is Brandon he is the co-chair of the green jacks. My name is Jessica I am the chair of the green fund. The biggest thing on campus that we want to talk about is the green fund campaign. Which I think most of you are new senators, so last year we started trying to raise the green fund fee. Brandon will talk more about that and we will be speaking more to the time line that we have which is the same one in front of you in which we do not take you by surprise.

Brandon- Hi guys, last year we started to launch a campaign to raise the green fund fee from five dollars to 25 dollars. We came to you all in April and asked you all what we need to get your approval for the green fund fee increase to bring to president Chang. We ran out of time with the parameters that we had to use in order to get your endorsement, which was through voting and a petition to be signed. So this year we are coming back to try to get your endorsement again. You can see on the first sheet that shows our timeline. Some endorsements that we have earned are from the green fund, COCOSUS that is an authorities on campus which works with sustainability. We also have the environmental caucus and the green jacks. The next two that we hope to earn are your endorsement and once we have earned your endorsement we will work to earn President Chang’s endorsement and then later the endorsement of ABOR. Then in the fall of 2017 the green fund fee increase will be adopted into NAU standards. So your probably asking how we earn your endorsement, which is what we worked through last year.

Page 5: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

Jessica- So last year we came across the conclusion that we needed petitions, because you are the Associated Students of Northern Arizona University and you work on the behalf of all of the student body, you needed the rest of the student body to say whether or not they did want to endorse the fee. We totally understand that and that was why we kind of had to move our timeline to start more or less this semester because we weren’t able to finish it last semester. So we are going to work on a survey that will go out and from my understanding it has to be advertised for two weeks and open for one. So at the bottom of the page that I gave you there is a campus discussion event, which there will be three of them. We are hoping that those will mesh with the survey. The first two will be when the survey is being advertised and the last one will be when the survey is open. All three of those are on different days, different times and at different locations on campus to really provide an opportunity for all students to attend and learn about what is this fee, what is it going towards, what is the green fund which I’m sure all of you are asking which I apologize. We gave a really awesome presentation last semester but it took up a lot of time. So we really would appreciate ASNAU’s help in that attending those and asking questions and that’s what these are for, so that we can really provide you all and the students with the information needed to participate in that survey. So how ASNAU can help, we really want to clarify our represented who can assist us while were going through and that we know what the parameters are. Last semester we got all gunho and ready to do it and we got here and you were like wait, wait, here is what we need. So making sure that we have a clear connection between our campaign and ASNAU. Also working together to prepare the survey so last semester we were told that you will send out a survey and we just want to make sure the terminology is correct and that were asking if the information that is being presented in the survey is correct. So hopefully we will working with someone on that. So we started petitioning last semester and were going to continue. I know that you have to make sure that all those petition signers are students and that were not just putting in names. So making sure those petitions signatures are done in a timely matter as you can see we are on a time limit and I don’t want to say a time crunch because we do have more time then we did last semester. But we are hoping to have a meeting with the President in November 8th which it is set right now. It could change, She is a very busy women. Then with the discussions, ask us questions, and ask the hard questions we are there to answer them. So the basic timeline is there and if we could figure out some kind of connection between the to of us, your body, our body and making sure that we are following the same page.

Brandon- So I feel kind of weird because we haven’t been able to provide you guys with all the information that we provided last year. In that big long informative session. But with the pieces of paper that we gave you is all the information that includes what we want to do and why. On the back it has some interesting statics on how much it costs to reach carbon neutrality on campus by 2040. We encourage you to check that out as well.

Page 6: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

Jessica- These documents are the forms that are going to the President and has been circulated everywhere. So I don’t know if there is time for questions but our contact information is there on top if you have any questions comments and or concerns don’t hesitate.

President Pomeroy- I do have a quick question, I might not be familiar with this but do you by any chance have a set of by-laws that determine how you allocate these funds from the fee?

Jessica- So currently the green fund operates off of a $200,000 budget and that’s the five dollar green fee that comes from every student who attends the mountain campus. There are a bunch of by-laws, but specifically we look at proposals that are based off of a criteria that goes along timeline, longevity which are we going to be funding a proposal 20 years down the road or is this a one time thing. Is this a start up? Is it visible to the student body? Do the students know that it was given by the green fund? The other important thing to remember is the green fund is made for students. So students have the opportunity to present a proposal to the green fund, all equally we look at it all the same. Then we allocate the money based off of those proposes that we received. So for you all in your other clubs and students and you have a proposal that you want to see being funded then you can definitely come and propose it to us.

President Pomeroy- By any chance for our knowledge to as were learning I appreciate you brining these so that we show everyone that is new to ASNAU that this year, I know that everyone wasn’t here for the very informational presentation unfortunately. But I know I would personally and really like it if you provide us the by-laws or the procedures on how the funds are allocated because with the proposed 25 dollar fee a semester you would be working with well over a million dollars so im curious on how those procedures would go.

Brandon- So we wouldn’t kind of shift everything around when raising it to 25 dollars. We were planning on keeping five dollars from student projects that are given to the green fund from students. The students that manage the green fund will distribute the money and then the remaining 20 dollars will be managed by COCOSUS. The primary document that they would be using to guide the need on campus could be found on this document. This is everything that we are trying to do. We can provide more criteria and what not but this is a good foundation to look at but it is a pretty flexible thing.

Jessica- Also I don’t know if all of you knew or were around when the solar project went through but that took up most of the money in the green fund. All of the committee meetings were dedicated to the solar project, which was the solar panels on top of san Francisco parking garage. Currently out of our hands and now in the hands of the administration. But students would not be working with large projects like that anymore and that would go to COCOSUS. They would work on making sure that our sustainability action plan and sustainable goals

Page 7: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

are met. Such as climate neutrality and making sure that carbon that were taking out is the same as were admitting so our carbon foot print is low to zero.

Brandon- If you would like we could come and give that presentation again.

Chair L’Ecuyer- We can defiantly make time for that and that would be great. What ever day that works for all of you I think it is pretty imperative that these senators see what you showed us last year.

Jessica- Great, I guess we will be working on finding a time. Also if anyone has any questions in the meantime defiantly feel free to email us at any time.

Chair L’Ecuyer- Does anyone have any questions?

Senator Holditch- Its not a question, its more of just a note. We do have in our constitution and by-laws for a sustainability intern and under our constitution one of the duties of the sustainability intern is to help with the green fund increase. So if you would want to send someone to help with that I know that it says that.

Anderson- I think that you might of mistaken your parliamentarian is looking it up now.

Senator Holdich- It says under article 21 working to increase the Green Fund fee that students pay, includes petitioning, gaining support, and presenting to appropriate boards to get approval. Which is the revised 2016 copy.

Kristen- I suggest that it be a senator or exec member and not an intern that is more knowledgeable with the bylaws and procedures.

Senator Holdich- Right, I was just noting that you might have someone in mind that once we hire that position then they can assist also.

Chair L’Ecuyler- Are there anymore questions… If not then we will be in contact and figure out a day that will work for you guys to come and present to the senate.

Unfinished Business

New Action Business

Chair L: For all the clubs that are here today when I call your item. Come to the podium and if you are here for recognition tell us about your club: number of people, what you do, what you wish to accomplish. If you are here for funding come up and tell us what the funding is for, how much, how will this impact the college.

Item A- Club Recognition: College Health Education Club

Motion: Senator Beghtol moves to vote on Item A- Club Recognition: College Health Education Club

Page 8: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

Second: Senator Carr

Discussion: Hello my name is Carl and I am representing the College health Education Club, we have been around for a while but we are not yet an official group. But for purposes we are run by health promotion services on campus. Our purposes are to educate other students about various college student health issues such as sex, drugs or relationships, stress, food, sleep etc. we are open to all students there are no dues and we currently have 15 active members. We have four officer positions which we all have filled. And is there anything else that I am missing?

Chair L’Ecuyer- I don’t think so are there any questions from the senators?

Vote: Unanimous, Item A- Club Recognition: College health Education Club has been approved.

Item B- Club Recognition: Leisure Writers

Motion: Senator Carr moves to vote on Item B- Club Recognition: Leisure Writers

Second: Senator Beghtol

Discussion: Leisure Writers is a brand new club that is designed for students that are interested in writing as a hobby or as a form of leisure, rather then academic writing that is required for class, but an opportunity for students to exchange ideas and have there personal writing projects peer reviewed by others in a safe place that can’t be copywrited . This club will probably draw writhing majors and upper classmen in particular it will be open to any student who will like to have there creative writing or nonfiction writing reviewed by others and it will consist of collaborative writers as well as sharing through Google docs. We have about eight people currently interested in the club.

Vote: Unanimous, Item B- Club Recognition for Leisure Writers has passed.

Item C- NAU Logging Sports

Motion: Senator O’Reilly moves to vote on Item C- NAU Logging Sports

Second: Senator Carpenter

Discussion: So our basic things are that we chop wood with saws and chainsaws, or old time saws. We cut trees, log roll in the water and all kinds of events that relate back to old time logging practices. Making a new club is important to us because it is the last things that we need to build on competition grounds. We can host the western regional competition this spring, which is a really big deal for us. It is the first time that NAU will host it in over 40 years. It is something that is a lot of fun to me and it is my fifth

Page 9: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

year on the team and my partners second year. The team is open to all students and we are mostly forestry right now. But it open to everyone and we are excited to continue this year.

Second Speaker – We are apart of the forestry club and group but we are looking to become our own group that is a little more fun and do our own things and keep it going for the long run.

Vote: Unanimous, Item C- Club Recognition for Logging Sports has been approved.

Item D- Club Recognition: The Navigators at Northern Arizona University

Motion: Senator Beghtol moves to vote on Item D- Club Recognition: The Navigators at Northern Arizona University

Second: Senator Desabrais

Discussion: The Navigators is like the other Christian ministries on campus, we meet once a week. Right now we have currently 10 to 12 members. We focus on recruiting students and teaching them on what we believe and are open to anyone. Our program is to welcome all sorts of people with any kind of faiths. And they are always welcome at our meetings and our events. We host weekly meetings with members and visitors and then we also meet in small groups around campus in groups of four to five. Then in addition we do additional outings such as hiking and things like that on a monthly basis. We do not collect dues. We are apart of the national group, which is called the Navigators which is active on campus and has around 12,000 students. A faculty member who works for the Navigators and can lead group discussions would lead our chapter. Then small groups would be lead by student members.

Senator Olas- Are you working with TJ?

Speaker- I do, do you know them?

Senator Olas- We text every week.

Speaker: Ya so we are trying to get club recognition and mostly so we can be on the NAU website so we can be more searchable. Also to be allowed into club fairs and stuff like that. Just to get our name out there because we are still really small.

Vote: Unanimous, Item D- Club Recognition for The Navigators on at Northern Arizona University has been approved.

Item E- Club Recognition: Progressive and Innovative Education Club

Motion: Senator Gibson moves to vote on Item E- Club Recognition:

Page 10: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

Progressive and Innovative Education Club

Second: Senator Carpenter

Discussion: This club will be open to all students that have been admitted into the College of Education. Then it is open to everyone in early ED, Elementary ED, Second ED, then both undergraduate and graduate with a minimum of a 2.5 GPA. The Progressive is a crazy name but it is a style of teach and there are many different styles of teaching but the progressive is not as known as the rest. So talking about new ideas, and people in our class will be like what is that, then we were explain and they would say that they didn’t know that. The main purpose is to be advocates and to have discussions reverent to search practice relevant to the degrees. We will have work shops where people apart of the club or not will be able to come in and see what this is in front of them whether it be theories or abstract ideas in front of them. So we are hoping to host our own conference and become apart of the college of Ed welcome week.

Vote: Unanimous, Item E- Progressive and Innovative Education Club has been approved

Item F- Club Recognition: Youth Voters Alliance

Motion: Senator Holditch moves to vote on Item F- Club Recognition: Youth Voters Alliance

Second: Senator Claus

Discussion: We are a strictly non-partisan political club that is focused on registering NAU students to vote. As we gain more recognition and population I hope we will be able to work with young Democrats and College Republican groups, turning point USA to host Debate and election watch parties to get people with multiple political ideologies together, cooperating and bridging what gaps there may be.

Vote: Unanimous, Item F- Club Recognition for Youth Voters Alliance has been approved.

Executive Reports

a. President- Vanessa Pomeroy - Hello, Hello that was a great first senate meeting. It will probably be the quickest one we have in awhile. The polo’s are ordered and they will be coming in, we had to wait a little while to order because we had to wait

Page 11: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

for the new logo to be confirmed. Which is why we didn’t have them ready for retreat. We just got conformation this week about the conformation of the logo. So for now just please dreassing In business attire. You all look great. We will have then in as soon as possible along with your business cards. This week I have been working in setting up meetings and there are a couple of individuals and organizations that want to meet with me. Such as GSG to discuss the memorandum that we put into the packet for retreat about possibly contributing’s less funds from there GSG budget so that’s something that we are going to discuss this year. Faculty senate is coming up next week, the higher learning committee that I sit on in tomorrow and I met with president change the first day of school to talk about some of ASNAU initiatives so we are all on the same page. She let us know of her plans and we are setting up more meetings. We also are setting up a meeting with Kristine Farley to talk about ABOR plans and what they are proposing, as well as putting a presentation for us with all the key elements that will be present at the meeting. We are working on building a great communication with the administration and the students this is the first time starting those meetings with the President so I will be doing that. We are also still receiving more student body email requests. So if any of your clubs need anything advertised in the student body email just please get there information and what they want in it as a blurb and shoot it my way. Hopefully we can find away and something for the website to have a submission box, that is something that we will have to work with chanze about. I have been helping the departments work on there events for this year that im rolling out and I know that tailgate packets have become available and our first tailgate is coming up September 17 th and our PR team will talk more about the in there report. Tomorrow is also the last day to turn in the front desk and senate clerk applications. If you know people that are interested then have them fill it out before five pm. Then we will be starting those interviews as soon as possible once we finish shifting through the applications. We are also having a raising the bar conference coming up and it is something that NAU has been going to for the last couple of years and it is student leaders for effective alcohol and other drugs prevention conference and I went last year with a group of us and it was really educational and how you could bring it back to campus and inform students about the issues. It was a great experience and if anyone is interested in attending it is in Phoenix so there would be cars that would go down on Saturday September 24th from 9:15 to 5:00 pm. If you are interested please email me.

b. Vice President of Student Affairs - Parker Schrandt- There are a lot of great events and things in store for NAU I have been working on. Tailgates begin this Saturday! Remember folks, I really need everyone to work at least three of the tailgates handing out "21 and up" wristbands, and helping clubs and organizations find their spots. If you are

Page 12: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

available this Saturday for the tailgate, please respond to this email and be at Pine Ridge parking lot (P66A) no later than noon. This is going to be a great kick-off event for the NAU Lumberjack season! Arrive spirited and ready to have a great Lumberjack time!

I have also been working on the applications for the Sustainability Intern. These applications will go out the beginning of next week. Club Headquarters is also getting back in the swing of things, with restocking materials and setting up the computers properly.

C. Vice President of Academic Affairs - Lauren L’Ecuyer - This I have been working on a lot of emails, but please continue to check

them. You guys have been doing an excellent job and have been diligent. I am still looking at committee times, they will be chosen by tomorrow. They will be ether Monday or Tuesday for sure with appropriations.

Senator Holditch- I thought it said on the spreadsheet that it was Monday and Wednesday.

Chair L’Ecuyer- It said Monday Tuesday and Wednesday on the spread sheet.

Senator Holditch- I did not see that.

Chair L’Ecuyer- Oh ok, That’s alright if you could go back and fill it out with all of your available times, I know that we all are supper busy, and none of our schedules seem to match up this year but lets make sure that every second of the day that you are somewhat available. Even if it’s not every single week. Academic standards committee, I have been in contact with the chair of that and I will be at there meeting hopefully some time this month will be there first meeting. I scheduled our one on ones, I believe I have scheduled one with all of you but if I am wrong please shoot me an email, but I am looking forward to all of those. But then shifting around some schedules for you guys like Vanessa said meeting with graduate student government. I set up the agenda and the packet. So I’m glad that it worked for all of you in your emails. Also there is a Facebook group for a shift swap for senators, I think Senator Begtal will be setting it all up and then adding you guys to it soon. This will be for you guys and if you cant make your chq hours for some reason just put it on the Facebook page and then someone can be able to take it or you. But of course you cannot go over six hours.

D. Vice President of Government Affairs – John Bower- So these past few weeks have been pretty busy as I’m sure some of you

already know. We started the pledge campaign collecting signatures for the thank you letter. We have collected a total of 610 after five whole days of tabling. We still have more to gain because some of ASNAU member have not signed yet so I’m going to pass it around. In terms of voter registration, Shout out to all of you that collected signatures by the way. We have had a lot of people take some time out of their day

Page 13: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

to help us out for an hour or two which I am very appreciate. Terms of voter registration we have been working a lot of that and I we have contacted around 15 different student organizations to ensure a successful outcome. My goal for this is to make sure that all students are able to register and get them empowered. We are looking to get tables on south campus currently. We are still waiting for responses from organizations but looking forward to a lot of student involvement in that as well. Its on us week we are booking the Haze which is about a survivor and her fight with the san Francisco PD to get hers and many other rape kits tested. That will be really interesting presentation and a really good message to get to the student body. Counseling services, health promo, victim whiteness services I have met with all of them to work on events all throughout the week. In other news we have launched the Axe vacates which some of you may remember it’s the advocacy group that we are trying to get started this year. Sign ups are available at the front desk so if you know of anyone that is interested in helping us out please let us know and have them sign up. My internship is open and applications are open as well and will stay open till the 30th so again if you know of anyone that is interested have them apply. Again it closes on the 30th. Finally ABOR will take place from September 21- 23rd. If you want to go come talk to me afterwards. You will need an institutional excuse because it does take place between Wednesday and Friday. Just a heads up if you get this excuse and you fail to attend everyday of ABOR you will be written up.

e. Chief of Staff- Jake Gavin - First and foremost I would like to apologize for not being at retreat. I had an unexpected delay in an medical emergency that I had to take care of in which I was not able to travel. I look forward in meeting each and everyone of you if I haven’t already. Last week without trying to steal any thunder from my staff. With NSG we organized the NSG kickoff which was held last week Tuesday in the central quad area. That went very well. I would say we got a good amount of signatures. About a couple pages. And so we are working on finding a time to host the meetings. For PR we have been working with John and all the campaigns and he has been spamming PR with many requests but we can of course handle it as PR is. I cannot be more happy with there work. For special events we have been planning the caravel which is the most important thing coming up here. I have been also attending meetings with Kristine and Cindy on Friday from 3 to 4 and have been going over the infinitive schedule of the carnival which I will get to you guys as soon as it is finalized. Special events we are actually planning on hosting a different sort of event for family weekend this week if we can as well. I will let them cover that as well.

Staff Reports

a. Student State Affairs - Angela Garvey, Sydney Stogner, Kaylee Clark- Like John said we have been tabling for the past two weeks to thank the administration and it has gone very well. We have been still talking and email with 15 different clubs and organizations on campus to try to get some companionship

Page 14: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

with tabling. Personally I have been in contact with Patty Redmen to get reservations for tables on south campus. Kaylee has been preparing questions for our meeting on Monday, with northern Arizona interfaith council. Hopefully we can have them come to NAU and help with voter registration. But we will keep you updated with that. Angela has been working on recruiting interns for the SSA internship as well with John with the ABOR meeting. We are still working on the Axe vacates they will be people that we can send out to do our tabling for us which will be very helpful.

b. Public Relations - Kyra Johnson, Angelica Doan, Laura Edgerton - This past week we have been doing a little bit of PR requests and I feel

like you guys will have more coming in soon and make sure that you get them to us sooner rather then later. We did a lot with snapchat so make sure you are following us with that. We are working on getting geotags for our events and were trying to get a large cardboard of our QR code. This will be for like big events and that students can scan it and see what and where were at. We did make a Facebook event for the tailgate event but we can only invite our friends so make sure you guys invite your friends and keep the line going. Also if you guys want to do a club spot light please talk to your clubs and then talk to us on how you want it presented and we can talk to your clubs and get them recognized.

Senator Olas- What is a club spotlight?

Speaker- So were thinking about doing a video or a board on our website or on Facebook and so students know that it’s a club and stuff. So basically it’s for club recognition and not everyone is a nerd and look through true blue connects the first week of school and so its just to get there names out there.

Senator Holditch- How do we get our clubs in that spotlight? Do we give them your information we how do we find out more?

Speaker- I would say that is an option if they want to contact anyone on our PR team.

Senator Holditch- Then do you ask them who they are, and what they do?

Speaker- Defiantly and we ask them more about social media and about the video if they would want to do that. It will be more of a collaboration an not so much us telling them what they have to say and what they have to do. If they want flyers or something then they

Page 15: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

can ask about that.

Senator Brown- What are your social media handles?

Speaker- So there all listed on Facebook but Facebook is the Associated Students of Northern Arizona University. Then everything else is just ASNAU 1899.

Chief of Staff Gavin- Just to emphasize a point it is very essential to our PR team that we need at least two weeks in order to fully complete any requests to the fullest and the best that they can be. Two weeks or you might not be satisfied with how it turns out. That’s the allotted time that we have worked out and decided that will work out very well.

c. Special Events - Taylor Wesner, Madi Sowerwine- So like Jake said we are doing family weekend planning we are doing

something different and every year we do a family game night that is done by Chick fl a. There are usually not a lot of people that show up and I think maybe last year we had maybe 15 people. So Jake came up with a cool idea that we blow up obstacle courses and jousting and then maybe a corn maze for kids and stuff. We would have dessert and hot coco for everyone. We will probably need volunteers to hand out wristbands and whatnot. We are going to table next week for this event and on Thursday we are tabling from 1-3 but unfortunately Jake and I are not in the office during that time so if any of your could table for us that would be great and I think that it counts towards your hours. Were going to have flyer for you to hand out so be looking out for that and for the homecoming carnival we are starting to plan that. I couldn’t make the meeting for that but we will have more information on that after that meeting. Then with donughts with the dean which I’m not sure if you guys know about that but we did it last year and me and Amy really tried to do that with every single college and it is a lot of fun and I think last year people really ahd a good time with it. Basically we will get you guys coffee and doughnuts and you guys will talk with you deans about a date and a time that works with them to meet and it is open to anyone in that college and they can come and meet the dean and ask questions if you have any. I think it is a good event to do and email us as soon as possible once you guys know that dates because we want to get them all in with in the year.

Chief of Staff Gavin- I just want to add something that I forgot, for the carnival we are going through midway west which we have always been going through, and I am in contact with them about when they are going to come in and set up everything that they want, and so she should be getting me back to me soon.

Page 16: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

d. IT- Chantz Spears- I have an idea about putting the chief diversity directors information

on the website. Last year we had a place for student resources, eye witnesses, counseling and I want to try and bring those back and maybe have a small section dedicated to student resources on campus. Other then that if any of you have any more tech. problems don’t be afraid to ask. I have helped a lot of people set up printers over the summer and I guess all of the computers disconnected from the printer. If it still isn’t working just ask. CHQ I’ve helped a couple of times to make sure the printer is working and I guess it wasn’t hookup or something but I have it set up where you have to be on NAU Wi-Fi and it will ask for your username and password. It will connect you to the Wi-Fi and it’s the CHQ printer. Up stairs you computers will say something different it’s a long line of numbers.

Kristine- Is the printer in CHQ not hard wired to the university network its on Wi-Fi?

Chantz- Yes.

Kristine- Is there a reason for that?

Chantz- It would definitely help but none of the computers are that way and the tech guy came up to the office and wasn’t sure why the Ethernet connections didn’t work. But he was looking into it.

e. NSG- Morgan DeLoach - So we had our kickoff event last week and it went really well. After that

event I sent an email asking people that wanted to be members to fill our a form and we have around 50 people signed up already. Our first meeting will be on Monday at 7:00pm in the ASNAU office. So we will see how many people show up.

f. Diversity Director- Dallas Diaz - First off we all ready have our first trans and queer no binary clothing

swap which is the first Saturday in October from 2-4 in the Kaibab room. I was wondering if I could create a Google form for volunteers to sign up and help clean up the space and such?

President Pomeroy- If its within ASNAU then definitely.

Dallas- Great then I will send it out in an email or something. The other things that I am planning are all in the beginning stages. I’ve been researching different programs and events that I think will help with kind of retention and helping with different minority students to create a better campus community and climate for them. One of the things that I saw U of A is doing is a trans and queer people of color speaker’s series. So I haven been looking at who’s been touring and there ether people that are authors or poets or artists that are trans and queer people of color. I’m looking and seeing who’s touring and what there budget is

Page 17: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

looking like. I’ve contacted the WGS department and there syllabuses are already including some of the people that I’m looking into so that department would be a good resource to work with. Another program that I’m trying to create and I’m meeting with different people to see how it would work is a commitment to diversity group. It would change the whole campus climate around diversity topice here on NAU. So I’m thinking about having a different award to clubs and organizations that if they accomplish different things such as safezone training and etc. and will have clubs work towards a commitment to diversity so that the more students that contribute and take these courses and training the dynamic of NAU will start to change and we can all work together to see improvements that are interactive. I have a meeting with DMECA, and the LGBTQIA to see what there staff looks like and how well they would be willing and prepared to do these trainings and DMECA right now doesn’t have the staff to handle such a increase of trainings. So it is still in the planning process but I will let you guys know how it goes.

goals to talk about.College of Social and Behavioral Sciences

c. Jo Olas- Contacted the dean and talked about schedules for a good time to meet. I also helped racket ball club to get a flyer. Also been talking with my clubs.

College of Health and Human Servicesa. Leah Claus- Together we emailed our dean that we will be

meeting with next Friday. I also emailed all of my clubs and looked into seeing when they meet. And hopefully I will be

Page 18: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

doing a weekly report about here this is what we offer and I will be sending an email about our PR opportunities.

b. Matt Nielson- I emailed my clubs, no one has replied yet but ill be knocking down doors soon.

College of Educationa. Kailey Lee- We emailed our dean and wants us to come to the

open house. Were working on scheduling a meeting with her she is very busy. She really wants to do doughnuts with the dean again.

b. Natalie Carpenter- Same as Kailey, So the red cross club has an IT question, the president was wondering why they couldn’t get on to true blue connects?

Kristine- Just give them my information.

College of Businessa. Tylor Brown- We have been in contact with the assistant of the

dean and scheduled a meeting for next Wednesday at 3:45. b. Tori O’Reilly- As an HRM major I reached out to Dr. Constin

who I would give her the title of the dean of HRM, and I’m meeting with her on Monday to fill her in on some information. If you on you have been in the HRM building there is a little fire side chat room and Tylor and I came up with the idea using the room for a meet and great. I had a club representative come in and it was all about NAU 100 etc. we talked about that and she gave me some little advertising its called what’s you mark to try and promote it. I was going to hand them out to all of you and if you could go to your colleges an put the on the tables, I put some on the table for the college of business. And ill put them in your boxes.

College of Engineering, Forestry and Natural Sciencesa. Sarah Holditch- Just emailed clubs and emailed our dean. The

green jacks have an everybody party coming up and so I gave john the registration form so if ASNAU wants to have a table there. All it would entail is having a table and providing information on what ASNAU does and how it helps out for the community. Maybe handing out t-shirts and stuff like that. I gave it to john and all you have to do is fill it out and put how many people will be going. It’s the September 16 at 3:00-7:00

b. Meagan Wheeler- NAc. Stella Carr- Sorry I sick, but I wrote a senate bill and have a

dean meeting on Monday. I emailed my clubs and I had a question. Some of us were discussing on getting jackets. So I wanted to know when the budget would be approved so we can see if we have enough funds. I don’t know how to do the logo thing.

Page 19: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

President Pomeroy- I emailed Kate Forman yesterday about our rollover so I’m waiting for a response. But once we get that we can reallocate those extra funds. But our budget is still passed and working with what we approved from last year.

Senator Carr- I just wanted to through this out there but if anyone has any questions about the green fund things since I know its intimidating to ask questions while there here but if anyone is confused about something and wants more info just ask me or previous senators that are here. They will come back with more information but if you try to be proactive about understanding it then it won’t prolong there time line. Then about getting a position hired for the intern I don’t know who’s doing that but once the applications are out I think we should hire them quickly.

Advisor Reports (Cindy Anderson and Kristine Heflin)

Cindy Anderson— Thank you for coming Dr. Phelps sorry that you missed the student clubs there were here earlier, but I am thinking that when we send out the proceeding from this meeting on Dr. Phelps website are the town halls and if we could future that into the minutes. Then senators if you could push that to your clubs and or colleges that would help. How is she supposed to write a strategic plan with out hearing from the students. I am going to be sending out and asking for your assistance for recruitment in serving a university hearing board. My first strategy of emailing people failed because I emailed people that are really busy so I am going to send out another email as well as doing a four-hour training. This is for students that who are appealing something from my office suspension, expulsion or a any violations. It is very likely that all of you are in a conflict of interest with me so you all know a bunch of students that don’t know me and we need a robust pool of students to sit on this board. There are two students, two faculty and one administrator. We are training about 25 new faculty tomorrow but only one student. Family weekend is coming up sooner then later and you have heard some stuff that are going on during that time from your Special Events staff but I want to let you know that we have had a heads up that tickets sales for all events for family weekend are going very briskly. So let people know not to wait but do it sooner rather then later. Also I sent out an email to all students. That have 90 completed credit hours for the gold axe award for students that are going to be graduating thing semester. If you could talk it up it is a really short application. The dead line is Monday the 26th of September.

Kristine Heflin— I don’t have much else to add but I was working with the

Page 20: Web view · 2016-10-05Then we allocate the money based off of those proposes ... This club will probably draw writhing majors and upper classmen in particular it will ... log roll

freshmen leadership group and I cant be at two places at once, I’m really excited to hearing what you guys have to say and are bring to student organizations we have about 375 student organizations total and over 6,000 individuals that are members of at least one student organization or another. The Exc is keeping me busy with more work then I can handle with contracts and events and stuff so please be patient with me and I am still shifting through emails. I am working on a lot of stuff. If my door is open you guys can always meet with me. If you have any questions about student organizations or if they have any about registration or anything like that, feel free to send that to me.
