Christ the Word Catholic School ChildcareStatement of Purpose

Christ the Word Childcare is situated within the grounds of Christ the Word Catholic School. We provide excellent, affordable childcare for full day care.

Little Acorns at the Oaktree Centre and Christ the Word Catholic School Childcare are operated by Denbighshire County Council. Little Acorns was established in 2005 at The Oak Tree Integrated Children’s Centre in Rhyl. Christ the Word Childcare opened at the new 21st Century Catholic School in September 2019. Here we are able to care for up to 69 children at any one time and offer parents and their families’ quality, affordable childcare within the school’s Catholic ethos. We are able to provide care for growing boys and girls from the age of 2 years all the way up to 12 years and in some circumstances beyond - providing consistency and stability up to and throughout their school years.

Our opening times are from 7.30am through until 6.00pm Monday to Friday all year round (excluding Bank Holidays), with the options of full day, half day, sessional, before and after school care, holiday provision, Foundation Phase and Flying Start sessions.

At Christ the Word Childcare, we provide care for both boys and girls. We are registered with the ‘Care Inspectorate for Wales’ (CIW). We are registered for 19 children within the Playgroup room for children aged 2 to 4 years and 50 children aged 3 to 12 years in the Small Hall – After School Club Room .

Christ the Word Childcare operates in the Playgroup room and the After School Club room located in the small hall. We have access to an an outdoor play area to the rear of the school which is accessed internally through the nurture room. The area is secured within the school grounds which is secured with locked gates and has benefits from tarmac and turf areas. The staff within the Playgroup room will operate on a 1:4 ratio for children aged from 2 years, and 1:8 ratio for children aged 3 to 4 years. The After School Club room will operate on a 1:8 ratio for children aged 3 to 12 years. However, we are aware of children’s individual needs and pride ourselves on aiming to work above these ratios where possible to provide the best quality childcare for your child.

After parents have completed their child care agreement, the children are then able to attend Christ the Word Childcare. Each child will be offered to attend some settling in sessions prior to starting their normal booking patterns, this

enables the children have smooth transistion into the setting. Our staff and other children help the child to feel happy and secure and become familiar with our rules which have been set by the children within our club. We fully believe in equality of opportunity and welcome children from any cultural and religious backgrounds. Our first language is English, however, we will introduce the basics of Welsh to all our children.

Our aim is to provide a safe, secure and stimulating enviroment, by providing adequately aged range appropriate activities and equipment to enable each individual child to thrive and learn in a fun and playful environment.

All of our staff are completely committed to the welfare of your child. Appropriate checks are made when selecting and recruiting our staff to ensure that standards are kept to the high level of expectations of CIW and ourselves.

The staff employed at Christ the Word Childcare will be experienced and have a genuine care and regard for the children. They will have to complete an Enhanced Disclosure and Barring Service Check before commencement of their employment.

The Manager will be NVQ Level 5 qualified or above. At least 80% of the staff will hold an NVQ qualification at Level 2 or equivalent and a minimum of half of these will be qualified to NVQ Level 3 or above. Any staff who may be unqualified will be working towards a relevant qualification in childcare. All the staff are enrolled on extra training and development programmes to further their knowledge in childcare.

We constantly review the service which we provide and the statement of purpose. This is done by adhering to the settings policies and procedures in accordance with the CIW National Minimum Standards. Any amendments which need to be made are done so as and when the need arises and the statement of purpose is reviewed on a monthly basis. Any amendments needed are made to this and a revised copy of the statement of purpose is passed to CIW.

Christ the word Childcare is staffed by a highly dedicated team of professionals and is split into 2 main services which for continuity and the welfare of the child, overlap and integrate:

Childcare at Christ the Word Playgroup Room and Out of School Club Room.

Little Acorns has historically had fantastic reputation at its Oak Tree Centre site with excellent reports from both CIW and ESTYN which are also complimented by assessment’s from Flying Start and Early Education Team for ITERS (Infant and Toddler Environment Rating Scale) and ECERS (Early Childhood Environment Rating Scale) within the Toddler and Preschool rooms. This service is to be extended into Christ the Word Childcare with a

dedicated playgroup room and will cater for up to 19 children at any one time and offers sessional or full day care for children between the ages of 2 and 4 years and embraces the Foundation Phase. We feel that the early years are some of a child’s most informative years and they need a huge amount of new, stimulating and exciting experiences during this time. With our state of the art environment with top of the range indoor equipment and our unique outdoor learning environments, we are more than able to provide these experiences. Christ the Word Childcare is about providing all children with the time, space and resources needed with which they can successfully learn through play.

The children in this room are provided with a purpose created environment which helps to enable them to become independent, confident and self-sufficient learners and providing them with a good start to their education and learning through the implementation of the Early Years Foundation Phase curriculum.

WRAP AROUND

The Wraparound Basic Package between 9.00am and 3.00pm, which is term time only, guarantees your child a place in our holiday club if required. For children that attend Christ the Word Catholic School, our wraparound collection/delivery services are available.

This provision is situated within the playgroup room and supports the children who attend nursery school in the morning and afternoon. The morning children will be cared for from 8.50 -12.30, whilst the afternoon children will be cared for from 11.30am until 3.00pm within the playgroup room. They will continue on from their school Foundation Phase environment, enhancing their play opportunites and experience within our Foundation Phase environment.

Children are to bring a healthy packed lunch or they can purchase a hot nurtious meal from Denbighshire County Council at a minimal additonal cost. All lunch boxes will be stored in the fridge allocated on the wet area, ensuring they stay fresh ready for lunch.

These sessions provide the children with safe, stimulating, fun and educational play opportunities. We extend the children’s learning experiences through real experinces by going on trips to the local amenities such as local play park, farm and nature walks.

A keyworker system is in operation throughout the wrap sessions to ensure that your little ones needs are fully met and their develomental needs and experiences are met.

Healthy snacks are provided at no extra cost to parents, these consist of selection of fruit, vegetables, crackers and milk or water. We promote healthy bodies and well being by following the design to smile and healthy pre-school programme.

We have a range of activities planned daily, incorporating any special and religious events such as Mother’s Day, Father’s Day, Lent, Easter, Advent, Christmas, Divali etc. We encourage children to take part in the activities. This is led through regular children’s circle times, this encourages the children to be involved in the running of the setting and incorporate their ideas within our planning, to ensure their time at Christ the Word Childcare is as enjoyable as possible. We will also follow the School’s Catholic ethos within our practice and will attend chapel with the foundation phase children on a weekly basis.

Any activities that are planned will be adapted to the children’s age and stage of development, to promote individuality within the setting and to provide all children with the same learning and play experiences relevant to their individual needs. We have an extensive range of educational and fun resources and equipment including role play equipment, outdoor pursuits equipment, musical instruments, toys, puzzles, craft, books, bikes, scooters, small world, construction and many, many more. The excellent staff to child ratios and highly trained staff encourage the children’s development through play and fun. Routine:

Full Day Care

Full day care open 7:30 – 6pm is available within the Christ the Word playgroup room which is situated in the grounds of the school, benefiting from a state of the art, purpose build childcare area. The room caters for up to 19 children at any one time and has a carpeted area and wet area for the

children to have access to a wide range of stimulating and educational play experiences. Here, we follow a Foundation Phase environment, ensuring that all the children embrace the 7 areas of learning at all times - role play area, cosy area, small world, contruction area, malleable and tactile, sand, water, music and sound, creative, graphics area, ICT, table top and together time will also be available at all times. The areas are clean and very well equipped to ensure that we enhance the development of each individual child. All toys are age and stage appropriate.

During 9.00am to 11.00am, we operate early entitlement (rising 3’s). Your child will be eligible for 10 hours free educational play experiences from the term after your child’s third birthday, with the first intake commencing in January. The children have the opportunity to experience an insight into the Foundation Phase ready for when they attend nursery class in the forthcoming September. Each child will have a keyworker within their group who will work with them to ensure that they receive the best possible outcomes as appropriate to their level of development through the activities and equipment provided. ‘What we have done today’ will be used for recording the children’s activities, meals and displayed in the window for all parents to see, as well as verbal feedback at the end of the day. Nappy changing, toileting and other information will be recorded seperately. All activities will be adapted to each child’s individual age and stage of development. The children not only have access to all seven areas of learning within the Foundation Phase indoors, but also our amazing outdoor classroom to enrich their play and learning opportunites. The children also have access to school yard and playing field to help enhance their development and play experiences to their fullest potential, (this is only used when school aged children are having their education).

We also understand that having so much fun can be very tiring. A cosy area will be created for the children to take themselves off for some quite time. There will be large cushions and snooze mats provided for the children who wish to have a sleep. The children will have their own labelled sheets and blankets which will be stored in indiviual bags on their pegs for use each day. These will be washed weekly or when soiled if required. Soft muslin sheets will be used for under their heads and will be replaced daily. The chidlren are not disturbed during their rest time.

After School Club…

… Consists of out of school care, including Breakfast Club open from 7.30am to 8.50am and Afterschool Club open from 3.00pm until 6.00pm every day during term time and a Holiday Club operates during the school holidays and staff training days and is open from 7.30am until 6.00pm. Also with fantastic inspection reports received at The Oaktree Centre site, the club heavily promotes child participation, with the children contributing to all aspects of the club from planning activities and events to interviewing staff. We pride our Out-of-School Club on the importance of child participation and fun! We firmly

believe that it is the children’s club; therefore, the children are consulted on decisions, events and planning activities.

Our sessions are based in the Small Hall located at the front of Christ the Word Catholic School, which is a large room which can be split into 2 separate spaces. This room is staffed on a 1 to 8 ratio for up to 50 children up to the age of 12 years old.

For the older children we have an Over 8’s only area. This area gives our older children their own space and independence if they choose to use it. The Over 8’s can choose whether to take games or activities into the area or just go in and chill out.

Christ the Word Childcare will follow the same admissions policy in line with priority of need for individual families and within Christ the Word Catholic School which it is located. We offer reasonably priced childcare to help families in need and also to help eradicate poverty within the Rhyl area.

Before your child’s starts any of our services, we recommend all new children and parents come and have a look around the setting before making the decision that we are the right child-care service for them. This way you will get to meet the staff, ask any questions and your child can make themselves comfortable with the surroundings before the start of their first day. Children with additional needs, including special educational needs and disabilities, will have access alongside their peers to the facilities, activities and play opportunities provided wherever possible.

Toileting:Nappy changing facilities are available within the main toilet area. Children will be changed at 11.10am and 2.00pm, or as and when required. Parents are asked to provide nappies and other changing equipment for their child. Staff are required to keep the area clean and tidy at all times. A hand wash sink is available in the nappy change area for hand washing only. Parents can gain advice and support on potty training from a member of staff if required.

A nappy changing procedure is available for all parents to read in our policy and procedure file, which is situated in the parents notice area and is displayed for all staff in the main changing area. This includes advice and guidance on good hygiene procedures as set out within environmental health guidelines such as storage and cleaning procedures.

We have the sole use of 3 small child size toilets which are situated in the Playgroup room. There are 2 adult sized, disabled accessibility toilets situated in the corridor outside the playgroup room. All toilets have temperature controlled taps, liquid soap and hand dryer that the children are encouraged to use. Potties are available for use wherever necessary.

Christ the Word Childcare Playgroup room and Afterschool Club School room are secured internally by an electronic access system which can only be activated by a designated electronic pass. The external door can only be opened from the inside. The school grounds are secured with locked gates and access to the school has to be through the main school entrance which operates a buzzer system. Parents accessing the small hall for the out of school room will access through the main waiting area and will be let in by a member of staff through the secure school hall entrance. Playgroup children will be met at the same entrance with their parents and will then be escorted by the staff through the internal corridor to the playgroup room. Any visitors to Childcare will have to access through the Christ the Word Catholic School reception who will then notify a Christ the Word Childcare staff member. A member of staff will greet the persons, and adequate checks are made if necessary before any persons are allowed to gain entry. All children are signed in and out on a register when arriving and departing at Christ the Word Childcare by a member of staff, noting the time of arrival and collection. Staff ensure that it is a responsible adult who collects the child, and must sign the child out prior to leaving stating who collected the child. Visitors must sign in the visitor’s book before gaining entrance and when leaving the premises.

The children’s safety is our priority. We have procedures in place to ensure that only the agreed family members are able to collect the children. If a child is not collected by their allocated time then our failure to collect policy is enforced. This will then lead us to call CIW, Children’s Services and the Police. To ensure that this does not happen please ensure that a phone call is made to let us know if they will be collected later than the allocated time and by whom.

Strangers/visitors are not allowed in the childcare areas unless constantly accompanied by a member of staff.

Healthy Eating

We have a snack weekly menu which incorporates part of the Welsh Government: Food and Nutrition for Preschool Settings, Best Practice Guidance, “5 a day” and Change For Life. We also follow and are working towards the healthy pre-school awards. Fresh fruit is always provided along with milk and water. Within our snacks, we include a variety of bread, crackers, vegetables, fruit etc. We also cater for vegans, vegetarians, diabetics and any other special dietary requirements. We do try to cater for most personal preferences. However, on occasions this may not suit the tastes of all so gentle encouragement will be given to promote the diversity of food tasting.

Meals

For lunch, children are able to bring a healthy packed lunch, which will be stored in the fridge until dinner time, or a 2 course hot meal can be purchased from the school catering department, which is provided by Denbighshire

County Council at a minimal additional cost. A morning and late afternoon snack is provided in line with the Healthy Pre-school Initiative. Please find enclosed a copy of the 3 week menu supplied by Denbighshire County Council.

If you are sending in a lunch box with your child, please try and ensure that they are healthy and varied for your child. For more information and some great ideas on easy ways to make lunch boxes healthier, please look at the change for life web site or call in to see a member of staff who will be happy to help.

A selection of fresh fruit and vegetables are included in our snack menu. This menu may change due to avaibililty and themes for example Chinese New Year, St Davids Day.

We encourage exercise within the club, providing them with a Jabadao area either indoors or outdoors. Children access the outdoor play area daily, which has a wide range of gross motor skill resources, children can play sports both outside and inside to encourage children to take part in team games and exercise. Regualr dance activites are carried out to provide children with music and movemnt sessions, which are planned for appropriately to meet the age and stage of development. All staff enhance exercise through children’s play and encourage children to set up their own activities and adventures. We are fortunate to have the complete use of the school field and grounds, which the children thoroughly enjoy. We partake in the school sports day which is great way of incoorparating physical opportuntites and is key with transistion for the children starting school in the forth coming september. We work closely with other organisations which means that we can bring different activities to the club for the benefit of the children.

SICKNESS

If a place has been booked and the child is absent due to sickness (unless hospitalised) full fees will be charged. Parents are required to contact the club at the earliest convenience to inform us of the child’s illness. If your child is hospitalised a doctor’s note will be required before we can waiver the fees.

HOLIDAYS

If your child is booked in on a regular basis and has set days, Christ the Word Childcare will require 2 weeks written notice of any holidays that will be taken. No charge is paid for holidays.

CANCELLATION

Cancellation of pre-booked sessions will incur full fees unless 2 weeks notification to the manager is given.

NOTICE OF TERMINATION OF PLACE

If you withdraw your child from Christ the Word Childcare, we would require 2 weeks’ notice in writing. We would also give 2 weeks’ notice of termination of any place in writing to you.

BENEFITS

We are happy to sign any forms that may help you receive monies for childcare from the working family tax credit. However, we are obliged to inform the tax credits should any child be withdrawn from our care.

COMPLAINTS

The setting aims to provide a high quality, efficient and accessible service to parents and children and the way that we work is reviewed regularly. However, from time to time a parent or child may feel that they have a complaint against some aspect of our childcare provision, or an individual member of staff. Usually it should be possible to resolve any problems locally as soon as they occur, however, in certain situations it may be necessary for a formal, concurrent investigation to take place with the registered person and may include involving other organisations such as the Police and/or Social Services.

In the event of a parent/carer having a complaint the procedure below will be followed:

A parent/carer may make a complaint to the childcare Room Leader, either by a letter, complaint form, or put forward the complaint verbally. If you prefer to make your complaint verbally then the Childcare Room Leader will record the details of the complaint/concern on the relevant form. Full details along with names and dates will be included, letting us know what it is you are unhappy about.

We will acknowledge your complaint as soon as possible and fully investigate the matter within 14 days. If there is any delay, we will advise you of the reasons. We will keep you up to date with what is happening and give you a full reply.

The response you receive will be copied to the staff members concerned with any recommendations for action to be taken.

If at this point, the parent/carer is not happy with the response then this can be escalated to the Childcare Development Manager who will re-investigate

the complaint or concern and provide a full written response to the parent/carer within 14 days.

All complaints and concerns are ultimately the responsibility of the Registered Person who will be kept informed of any complaints or concerns raised and may conduct their own investigations if they are escalated to this level.

If during any investigations which are undertaken, it is found that we need to amend or be reflective within our practices then this will be put into place immediately and will also be reflected within the settings policies and procedures.

All registered childcare settings are regulated by the governing body of CIW (Care Inspectorate Wales) and must conform to minimum standards and requirements of their registration.

Dawn Anderson – Childcare ManagerAunty Dawn has over 13 years’ experience working in childcare and holds a QCF Level 5 qualification in Leadership and Management in Child Care Learning and Development and CACHE Level 2 in Playwork. Aunty Dawn always strives to provide the best possible outcomes for the children who attend the Centre and also for the team who work with the children.

FLYING START & EARLY ENTITLEMENT INITIATIVE

Within our sessions, we support the Welsh Assembly Government Flying Start Initiative. The initiative is to provide children who may live in areas of deprivation, access to 2 and a half hours of free childcare per day, from the age of 2 years old. The areas depend on postcode and parents will need to register their child on the scheme through their Health Visitor.If your child turns 3 whilst attending Christ the Word Childcare, they then become eligible for the Welsh Assembly Government Early Entitlement Scheme. This scheme provides children from the age of 3 until they go to nursery school, 10 hours free childcare/education per week.

CHRIST THE WORD CHILDCAREARRIVALS AND COLLECTIONS

Children – Arrivals and Collections

On arrival or collection of your child at Christ the World Childcare. A member of staff will the greet you and your child will be marked on the rooms register with the time of arrival and collection.

As we adhere to strict ratios, it is important that your child is collected on time as any late collection may comprise this. We would also ask that if you anticipate being late in collection that you advise us as soon as possible by telephone.

Please ensure that all policies and Procedures are read and understood as these form part of the

childcare contract and registration agreement of your child’s place.

Parents must give the names of all persons authorised to collect their child on the registration form along with a password for extra security and only the persons named will be able to take the child, unless prior arrangements in exceptional circumstances have been made known to the Childcare Room Leader or Childcare Manager. No child will ever be released if a parent/carer appears under the influence of alcohol or substances. An alternative named contact will be called to collect the child and the relevant authorities may be informed.

In the case of a parent/carer failing to collect the child at the time specified, the Childcare Room Leader/ Manager will call the parent or emergency contact to confirm collection arrangements. If an emergency contact or parent/carer cannot be contacted within 30 minutes of the expected collection time, it will be our policy to contact Children’s Services. No child will ever be left unsupervised because a parent/carer has failed to collect them.

Visitors – Arrivals and Departures

On arrival ALL visitors must make themselves aware at Christ the Word Catholic School reception and sign in the visitor’s book. Proof of identity MUST be provided and the reason for the visit must also be ascertained and recorded in the visitor’s book. No visitor will be left unattended whilst in the Child Care setting and will be escorted around the premises until they have finished their visit. Once they have completed their visit, they will then sign out of the visitor’s book and will be escorted off the premises.

20.5.19

CHRIST THE WORD CHILDCARE SICKNESS, ACCIDENT, INJURY AND MEDICATION

ADMINSTERING PROCEDURES

In the event of sickness, accident or injury to a child or setting visitor the following procedure should be followed

1. The member of staff dealing with the accident or incident should arrange for the child or person to be escorted to a quiet area, unless there is a doubt about the seriousness of the injury. In this instance the injured person MUST NOT BE MOVED until seen by a

designated First Aid staff member or ambulance personnel. The childcare Room Leader/ Manager must be informed also.

2. In either instance, a member of staff trained in first aid should be requested to assess/treat the injury

3. In the case of a head injury, eye injury, or possible fracture, the childcare Room Leader and Childcare Manager must be informed immediately so that a decision on the appropriate action can be taken e.g. attendance at hospital

4. In the case of minor injury this should be treated appropriately with the injured person returning to Christ the Word Childcare. The adult treating the injury is responsible for all relevant notifications and must be recorded on an accident or incident form, head injury advice form to be given if appropriate and logged.

5. Any treatment carried out must be recorded on the accident/incident form and reference must be made PRIOR to carrying out treatment to the Christ the Word Childcare personal information file if the injured person is a child.

6. Always check for notifications or known information from colleagues in respect of allergies or conditions that may affect the treatment of the injured person. If in doubt do not treat, call the ambulance services immediately

First Aid Equipment

A designated member of staff will have responsibility for ensuring that the first aid boxes are adequately and properly stocked

All Child Care staff will hold a relevant and update certificate in Paediatric First Aid.

7. Administration of Medicines

a) Only the child’s Keyworker can administer medication once full permission of parent has been sought and training received from medical practitioner or registered nursing staff if necessary.

b) Medication should only be given on explicit instruction of parent/carer and once a signed medication consent has been completed with dosage amount, time of the child’s last dosage and time of next dosage

c) All medication should be in containers clearly labelled with the name of the drug, the child’s name and dosage (time and amount). If a date is on the bottle it should be checked that it has been recently prescribed and is still in date if this is specified on the bottle

d) No more than one weeks supply should be provided to the setting at any time, and preferably only daily needs with the medicine being returned to the parent/carer when the child is collected

e) All medicines should be kept in a locked cupboard at all times. An exception is the use of inhalers for children with asthma. These should be kept out of reach of other children but within easy access of staff members

f) Access to the cupboard should be by designated staff members only. At least 3 members of staff should be fully conversant with the medication regimes.

g) A medication form should be completed by the parent/carer on arrival at Christ the Word Childcare for the medicines to be administered stating clearly, dosage to be administered, time previous to attending Christ the Word Childcare administered and times to be administered in Christ the Word Childcare. When the medicine has been administered the form will be signed by the designated member of staff who checked and administered the medicine and a second member of staff who witnesses the administration

h) Any error in dosage should be immediately reported to parents, the Childcare Room Leader and Childcare Manager so that any necessary action can be taken

i) If there is any concern about any specific medication brought in by parents, the Childcare Room Leader/Manager should contact the GP for clarification and advice.

j) The first dose of any prescribed medication must be administered prior to the child attending the setting. This requirement is made to rule out the possibility of any unwanted side effects that the medication may have.

In the event of the onset of any illness or infection, we adhere to the Denbighshire School guidance on infection control as set out from the Health Protection Agency. This is to limit the risk of infection or illnesses spreading within the setting. Some of the illnesses which have recommended periods of exclusions are:

21.5.19

CHRIST THE WORD CHILDCAREHEALTHY EATING & DIETARY NEEDS POLICY

Christ the Word Childcare encourages all children to eat healthy

balanced meals based on the information we are given by the Dietician and relevant literature passed to the centre via CIW and Tiny Tums.

The setting has been recognised as a Healthy preschool setting and has completed the initiative and is inspected annually by Healthy Schools to ensure that all procedures and best practices within the framework is continually followed.

Children who bring a packed lunch to the setting are asked to ensure the contents are healthy and balanced whilst still being fun for the children to eat.

We discourage food such as chocolate, sweets and fizzy pop and encourage healthy alternatives such as fruit, sugar free juice and water. A low fat or semi skimmed milk option will be available at parent’s request for children who eat a varied diet. Water is available at all times and is provided by a filtered water dispensing system, these are located in the main reception area and the preschool room snack area.

It is also recommended that within the child’s lunch box is either an ice pack or cool box so the food is kept at an appropriate temperature before consumption.

All hot meals are provided through the catering services department at Christ the Word Catholic School and are nutritious and have a healthy balanced approach. These are governed and initiated through Denbighshire County Council and provide the level of vitamins and nutrients in accordance with Welsh Assembly policy. There is a full and comprehensive list of ingredients used in meals available upon request.

Children are encouraged to eat all snacks and lunches at the table with their friends and with members of staff. They are encouraged to use this time talking about their day and other events they may like to discuss, this is considered to be a social time and children are not rushed but allowed to enjoy this time. Children will be given plenty of time to eat and withholding food will not be used as a form of punishment. Stickers and non-food rewards will be used.

Within the setting, our menus are designed within the Tiny Tums healthy eating initiative and dieticians within the NHS have been consulted and menu’s verified within the set guidelines of the initiative. All children will have suitable food available dependant on their age, development and needs, using the recommended servings table as a guide. This will include children with any special dietary requirements.

The menu provided will be balanced, varied and tasty.

Breakfast will be provided for those who don’t have it at home. Parents/carers should inform the nursery if their child needs breakfast.

Children will be allowed to have second helpings of fruit and vegetables.

Children will be offered a dessert if they do not eat their main course.

Treats will not be provided on a daily/weekly basis.

At Christ the Word Childcare we like to celebrate children’s birthdays and recognise cultural and religious celebrations such as Easter, Diwali etc. During these celebrations we will offer related foods for children to try and will encourage parents to join in with the celebration of their children’s birthday. Cakes brought into the setting will need to be shop bought, sealed, with full ingredients list and allergens included. This will be offered as part of a main meal / sent home with children at the end of the day.

Children who attend the setting with additional dietary needs will be accommodated to the individual needs of their diet. This also includes diabetes, Gluten free, Vegan, Vegetarian, Lactose Free and any religious or personal dietary requirements.

Where there is professional involvement with outside agencies such as NHS Dieticians or paediatricians etc, we will accommodate and work alongside these professions to ensure any additional dietary needs are met.

21.5.19

CHRIST THE WORD CHILDCARE BEHAVIOUR POLICY

At Christ the Word Childcare we promote good behaviour with consistent praise and positive reinforcement. Staff will never physically punish children or even threaten them. Children are never smacked, shaken, humiliated, shouted at, intimidated or shamed.

In order to maintain an acceptable standard of behaviour within Christ the Word Childcare, the following procedure will be followed

Unacceptable/unwanted behaviour is quickly identified and ignored if possible or dealt with positively.

The child will be encouraged to “say sorry” in a way in which they are capable.

The reasons for the behaviour being unacceptable shall be explained fully to the child in a manner appropriate to their age and development.

We will only use physical interventions as a last resort if there is significant danger of a child hurting themselves or another child. These actions will only be of minimum force and will always include continually talking calmly to the child.

Incidents will be recorded on our incident forms and shared with parents/carers. If necessary in order to allow the child to calm down, they will be removed away from

the situation if necessary and enable the other children involved to recuperate. This will give the child time to for quiet reflection prior to their apology.

If the matter remains unresolved then a meeting shall be arranged with the child’s parent/carer to make them aware that this behaviour is unacceptable and it shall be discussed how best to proceed. The child’s records will be available for the parents/guardian to view.

If the behaviour still continues and the positive steps and meetings have failed to bring about an improvement. The parent/guardian shall be contacted to meet once more, and the severity of the situation explained in full.

Outside agencies may be contacted to help the child and Parent or for an assessment to be made. This could be through the positive implementation of Individual Behaviour Plans or play Plans to support the child and include strategies to help alleviate further occurrences or possible triggers.

The child should only be excluded from the setting as a final action or if the behaviour poses a risk of harm or injury to another child or adult. Parents/ carers will receive notification.

We would endeavour to explore every possibility to avoid this final action being taken.

21.5.19

CHRIST THE WORD CHILDCARE PAYMENT OF FEES POLICY

Payment of fees should be made weekly; on the first day of the week your child

attends the setting. Individual payment arrangements will be negotiated between the Childcare Manager and parents/carers.

Accepted methods of payment are Cash, Cheque, Credit or Debit Card, Childcare Vouchers. If you wish to pay your fees through the Childcare Voucher scheme, you

will need to check with your employer that you can do this through their payroll in the first instance.

We will be sympathetic to requests for daily payment. Parents/carers wishing to negotiate this or any other alteration to the standard fees policy should arrange a meeting with the Childcare Manager at the earliest possible opportunity.

Full fees are payable if a child is absent through illness as the childcare place is reserved for the individual child. The only exception from this would be if the child was hospitalised.

2 weeks’ holiday per year are applicable per child. During this time, 50% of fees will be payable. No fees will be charged for Bank Holidays or periods where the centre is closed. Holiday period runs from January to December. No holidays can be carried over to the following year and will be lost if not used.

If the fees are not paid on time, we will notify the parent/carer in writing and request payment at the earliest possible opportunity.

The Childcare Manager will issue a formal warning to the parent/carer. Non-payment of fees up to 3 weeks may result in termination of your child’s place and a chase for payment through the Debtors Department linked to Denbighshire County Council will be made,

Parents/carers are encouraged to speak to the Childcare Room Leader or Childcare Manager if they have any query about the fees policy, or if, for any reason, they are likely to have difficulty in making a payment on time. Parents/carers are strongly advised to arrange a meeting at the earliest possible opportunity, to avoid jeopardising their child’s place.

21.5.19

CHRIST THE WORD CHILDCARE FIRE DRILL & EMERGENCY EVACUATION POLICY &

PROCEDURE

Christ the Word Childcare staff within their roles, will ensure that all measures are taken to ensure the safety of the children within the setting, this will include;

Daily Health and Safety inspections ensuring Fire Exits are clear and easily accessible.

All electrical equipment will be regularly PAT tested and fire safety equipment checked regularly by the fire safety officer - Dawn Anderson.

Staff will be made aware that any indication of a fire should be reported immediately and the fire alarm raised, resulting in the Fire Evacuation Procedure.

Regular impromptu fire drills, giving staff and children the opportunity to experience a more realistic scenario. Children will be encouraged to leave the building, following members of staff immediately, then praised and reassured when they have reached the fire evacuation point.

Any parents arriving with or collecting children will be encouraged to leave the building/grounds and accompany the children and staff to the fire evacuation point.

In the event of an emergency or if the fire bell sounds, staff will leave the building with the children through the nearest available exit. The staff situated in each room will ensure that the registers are collected and taken to the fire evacuation point.

The Childcare Manager/Room Leader will check the corridor and toilets before closing the doors to prevent the spread of the fire.

When the staff from each room reach the fire evacuation point, they will start an immediate head count of children and staff within their rooms and the register be retaken, these number will be checked with the corresponding totals on the register.

The Childcare Manager or Room Leader will inform the fire brigade and will also inform of any missing persons as soon as possible.

No person may re-enter the building to collect belongings and no children or staff will re-enter the building without the all-clear from the fire brigade.

21.5.19

CHRIST THE WORD CHILDCARE SAFEGUARDING POLICY

All childcare staff have a responsibility to prevent and protect children from any form of harm or abuse. It is a sensitive subject, and the staff have been trained to recognise, understand and deal with these issues, in the unlikely event that harm or abuse is discovered. If there were instances where there was suspected radicalisation or terrorism, we would instigate the safeguarding procedures which would be followed and the relevant authorities would be informed.Child abuse is a criminal offence and the welfare of the child is the first consideration of all staff at all times.

The setting has adopted the All Wales Child Protection Procedures, which give guidelines and procedures to follow if an incident should occur. The Procedures outline the steps to be taken by staff to safeguard the welfare of children and young people, as well as safeguarding themselves from being alleged victims of abuse. The document is kept in the Childcare office. ProcedureShould a member of staff have any concerns regarding a child they will contact the childcare Room Leader who will then escalate to the Safeguarding Officer for the setting Dawn Anderson, who will then contact the Social Services Department by telephone and speak to the Duty Social Worker and a referral would then be made. To ensure the safeguarding of all children, individual files are kept on each child within our care and these can be shared with both Parents as well as Safeguarding Professionals. All procedures are to be followed in conjunction with the Safeguarding Procedure and the Professional Involvement Procedure. Should a parent/carer have a concern or complaint about any aspect of the care that their child receives at the centre, please let Dawn Anderson - Childcare Manager know. Complaints will be dealt with promptly, fairly and in a confidential manner. If you are not satisfied with the response from the setting or feel that expressing your concern could cause harm or distress to your child, you should contact the Care Inspectorate for Wales on the number below.

CHRIST THE WORD CHILDCARE ATTENDANCE POLICY

Although attendance at Christ the Word Childcare through the Flying Start or Early Education programme is not compulsory, prolonged or regular absence may indicate other issues that need to be addressed to protect and support the children or parent/carers and family.

All children’s addresses and telephone numbers should be kept up to date. Parents must notify the Childcare Room Leader or Childcare Manager of any changes in address or contact details immediately.

Absences will be noted in the daily register and a reason for absence.

Fees are payable even if a child is absent from the setting. However, fees will be waived if your child has been hospitalised and can produce a doctor’s note.

o If the parent/carer does not contact Christ the Word Childcare to inform them of an extended absence, or notify staff of a return date, the place will be given to another child from the waiting list.

Full fees are payable if absent for any other reason.

Staff may follow the Safeguarding Procedure if they feel a pattern of absence or continued absence may be as a result of neglect/abuse of either the child, parent or carer.

Information on children’s attendance at the centre who access the free Flying Start scheme, will be shared with partner agencies at the Flying Start allocation meeting and Unauthorised attendance and lateness numbers will be monitored and shared alongside the guidance of the Welsh Assembly Government for the monitoring of the scheme.

We would ask that if your child is unwell and will not be attending Christ the Word Childcare, that you ring the to advise of their non-attendance so that this can be recorded as sickness absence.

2 weeks holidays are allocated per year and during these weeks, 50% fees will be payable. Any other holidays which are taken outside of the allocated 2 weeks, will be liable for payment of full fees. Childcare holiday period runs from 1st January to 31st December, during this time only the allocated amount of holidays will be applicable for the discount.

20.5.19

CHRIST THE WORD CHILDCAREHEAD LICE POLICY

Head Lice are a small like insect which are found in the hair of adults or children. They live on, or very close to the scalp – they do not wander far down the hair shafts for very long and they do not ‘prefer’ any particular type of hair. They are spread from person to person through direct hair to hair contact for at least 60 seconds. It is inevitable that at some point in time there will be active cases of head lice and it is the parent/carers responsibility to check their children’s hair and to inform the setting as soon as possible if head lice are discovered.

If an active case of head lice is discovered, then the child’s parent/carer will be informed, latest information on treating head lice will be given and advised that the child be taken to the local pharmacy for treatment.

We follow current guidelines within Denbighshire County Council and it is not recommended that an alert letter be sent out to parents, this is because it can make the usual level of infection into an imaginary ‘outbreak’.

Children or adults found with head lice will not be excluded from the setting, the only exception is when the carriage of head lice is a persistent problem and part of a problem with the child’s hygiene – the child may be excluded under the provisions of the Education Act until management of the hygiene problem, including the eradication of the head lice, is complete.

We will send out ‘Ad-hoc’ information on the treatment of head lice, this does not mean that there have been active cases of head lice but is purely to support the successful management of head lice.

23.5.19

CHRIST THE WORD CHILDCARE

30 HOUR CHILDCARE OFFER POLICY

The Welsh Government 30 hour Childcare Offer allows parents to access up to 30 hours of free early education and childcare per week for eligible 3 and 4 years old, up until they start full time school education (Reception class).

Christ the Word Childcare is registered to deliver the full 30 hours for eligible 3 year olds, which consists of 10 hours of Early Education within the preschool room and 20 hours of topped up childcare per week. This commences the term after the child’s third birthday. For children who access 12.5 hours of nursery education in school, we can offer 17.5 hours of topped up childcare per week.

During school holidays, children are entitled to 30 hours of childcare for up to 9 weeks of the year. This is dependent on when the child starts eligibility of the offer. The remaining 4 holiday weeks of the year are to be paid at the normal fees structure by the parents.

It is the responsibility of the parent to ensure that they submit the childcare offer application online at www.denbighshire.gov.uk/childcare and commencement of the 30 hours will not be granted until confirmation is received by the childcare offer team. Fees will not be amended until this has been received and should be paid by the parent until notified otherwise.

If a parent falls out of the eligibility criteria, they must inform Christ the Word Childcare immediately. There is an 8 week exemption period for parents if they become unemployed or their hours decrease to allow them to find alternative employment or increase their hours. If after this time the circumstances remain unchanged, Welsh Government will be notified and the offer will be withdrawn.

If parent’s wish to increase or decrease the amount of childcare hours used, 2 weeks’ notice period must be given to allow administration and amendment of room numbers.

If a child attends for more than the topped up hours per week, the fees will be charged as per the current fees structure and these must be paid by the parent in accordance with the Payment of Fees policy.

If a child attends another setting as well as Christ the Word Childcare, it is the parent’s responsibility to ensure they inform each setting how many childcare offer hours they are using in each setting. If there is a discrepancy in the hour notified than the hour attended, the difference must be paid for by the parent.

Payment for the 30 hour childcare offer will be claimed by Christ the Word Childcare from the Childcare Offer team and early Education for the 10 hour element. No payments will be made direct to the parent.

Eligibility checks are carried out by Welsh Government and parents must complete this when requested as this may result in funding being removed. In this instance, parents will then be responsible for any fees accrued following notification of funding being removed.

All Meals and snacks are included in the daily provision of the childcare offer and no other payments will be required by parents unless they exceed the topped up childcare hours of the offer.

Give 2 weeks written notice if your child is to be absent due to any holidays, periods of absence or termination of your childcare place. (If your child is to be hospitalised, it may be required for a letter to confirm this).

Drop off and collect your child for the given times for the sessions they are booked into.

Understand that any children not officially booked into After School Club, will not be collected from school under any circumstances.

Understand that it is a legal requirement and duty of care for all childcare staff to contact relevant authorities if they suspect that any child within their care is suffering and that any records we may have of your child whilst in our care may be shared with safeguarding professionals. Copies of all documentation held can be shared with yourselves at any time.
