Team Leader
As a Team Leader, you provide inspiration and motivation for coworkers, and are vital to the success of Bike to Work Week! To get your team started, you
need to decide who your team will be. You can register your entire office, or just your department and challenge another department! Let everyone in
your area know about Bike to Work, as teams are made up of everyone in
the organization, not just those who already cycle. You are there to motivate and support your co-workers who already cycle, and to encourage new co-
workers to give it a try.
What you need to do as a Team Leader:
Post sign-up sheet(s), poster, and Celebration Station Schedule in a
place where all your collegues will see.
Encourage colleagues to ride to work. Boost your participation by getting as many people to ride as possible. Send an informational email that
entices potential participants. Build up the idea of a fun competition or the benefits of cycling. Make sure to mention the great team prizes that can be
won! Wear your BTWW shirt and show your enthusiasm for cycling!
Give away small prizes (see below for ideas).
Attend one or more of the Celebration Stations. Each morning we will host a Celebration Station with free refreshments, bike draws, free bike tune-ups,
photo booth, yoga, and more! There are lots of prizes to be won during the week. There are even extra prizes for coming to three or more
stations. Use your Passport to collect stamps at each event you attend.
Report your results. Log your commutes at www.biketowork.ca. Each
team member can log their commutes, or the Team Leader can do it for them. Track as the week goes on, or use our team tracking sheet during the
week and enter the results online all at once at the end of the week.
Prizes
The items in your prize package are for you to give away at your discretion.
You want to get as many people to ride as possible in your office,
department, floor, or group. Teams are competing in their size category for
the highest participation rate. Participation is based on the number of people who ride that day divided by the number of people in your workplace. Use
the prizes to entice more people to participate.
Here are some ideas: Give prizes out before Bike to Work Week to people who have an
excuse for not riding. Many of the prizes in the package will help your teammates to overcome their obstacles.
Give a prize to everyone who rides each day of the week Give a teammate a prize if it is his or her first time riding to work
Put a few prizes together and do a draw at the end of the week - the more people ride, the more chances they have to win
Give out a prize before BTWW starts to new recruits Withhold prizes and give them out as a person arrives by bike each
morning
Buy some candy or something fun and give out one to each daily rider
Team Prizes Teams with the highest participation rates in each size category (mini, small,
medium, and large) can win tickets for dinner and a show from Kelowna Actors Studio, wine tours from Tantalus Vineyards or Distinctly Kelowna
Tours, $100 GC from Urban Harvest, a month of unlimited Kickboxing or Jiu-Jitsu from First Strike, a comprehensive bike fit from PhysioActive, 45 min
massages at The Wellness Spa, and lots of other great prizes.
The highest participation is determined using the number of riders that logged trips and the number of trips logged per team. This provides more
incentive for new riders to join in the fun too.
Daily Draw Prizes There will be random prize draws daily. Any team that is registered for Bike
to Work Week will be automatically entered in this draw. The Team Leader will be notified and they can distribute to someone on their team. The daily
prizes include:
10-class punch pass for Ekahi Yoga Center 3-session starter pack for Okanagan Acupuncture Centre
45 minute massage at The Wellness Spa One Cryo Care treatment
$50 gift certificate for Orchard Park Shopping Centre $50 GC for Urban Harvest
Celebration Station Daily Prize Draw This is the big one! Anyone who is on a Bike to Work team and visits a
Celebration or Satellite Station during BTWW can enter our daily bike draw.
These bikes are proudly brought to you by our bike shop sponsors: Monday – The hub
Tuesday- The Lions Cyclery
Wednesday – Outbound Cycle Thursday – Cyclepath
Friday morning – Kelowna Cycle Friday afternoon – ChainLine Cycle

NEW this year! Two bikes will be given away on Friday! One using the draw entry ballots from all morning stations (including Satellites), and one in the
afternoon, from the draw box located at the Urban Systems Celebration Station at the Tree Brewing Beer Institute. Don’t miss it for your best
chances of winning a bike!
Daily Activities
Share your photos: Get wacky at the photo booth! There will be a costume box and Speech Bubble board at each Celebration Station for cyclists to
dress up, be heard, and have their photos taken. Post your photos to the Facebook event page “Bike to Work & School
Week 2016” and include the hashtag #smartTRIPS. A $20 GC for either Yamas Greek
Restaurant or Tonics Pub will be given to our
favourite photo from each day.
Tire Toss: Test your skills by participating in our Tire Toss competition! See if you can toss a bike
tire onto a delineator – we will increase the distance as the week goes on and whoever sets
the record with the furthest successful throw will win a prize pack from Tree Brewing, including a
stainless steel Growler with a free fill, one custom growler bike rack holder and a $150 gift
card for the Beer Institute! Start practicing now!
Passport Prizes
Visit three or more Celebration or Satellite Stations to get your Passport stamped and you will be entered to win one of three two-night stays with
Accent Inns, plus other great prizes! Just drop off your Passport at the last station you are going to visit, scan or snap a photo of your Passport and
email it to [email protected], or pop it in the mail slot at our office (#200-1262 St Paul Street). Deadline for submissions: June 7, 2016.

Reporting Results As the Team Leader you are responsible for making sure that your team’s
results are reported at www.biketowork.ca. This task can be done by you, or each team member can enter his/her own results.
1. Login, then click on “Log a Trip” (on the left side of the page). You can
begin entering your team’s results daily starting May 30. You can enter them daily or all at once at the end of the week.
2. Select the rider, ride date, and kilometers for that day. You can log
several trips at once by clicking the “Add another rider” button and filling out
each row for each trip taken.
3. Get your teammates to record their commute on the Team Sign-up Sheet during the week. If you’d prefer you can have them check in with you daily
and record it yourself. If you’re offering a prize or a treat, all the more reason for them to report to you.
4. At the end of the week, sign in and check your Trip Log to determine
whether your teammates have entered their own results or not. You can then cross-reference with the Team Sign-up Sheet and enter any missing
results.
5. To enter results quickly, simply add up the kilometers travelled on the Team Sign-up sheet, then select “My entire team” under the rider drop-down
menu. Select the date, enter the total kilometers cycled by your team, and
click “Log now”.
6. Results Deadline: June 10, 2016
Please note: entering your results online helps us keep the event going!
This helps us keep track and report on how many people rode, how far they rode, and how much GHGs we saved. This shows our sponsors that Bike to
Work Week is a great event making a positive difference in our communities! Get your whole team's results entered online at www.biketowork.ca before
Wednesday, June 8 and your team will be entered into a draw to win a Burley Travoy commuter trailer from Kelowna E-ride!

Messaging to send to employees
at your workplace
Copy some or the entire message to entice more people to participate.
We are participating in Bike to Work Week, May 30 to June 5. This means that throughout the week, we will be competing against other workplace teams in
the Central Okanagan to see which team can get the highest percentage of people to cycle to work. Think you can join in the fun?
Teams with the highest participation rates win adventure tours in the Central
Okanagan and of course, wine. But the best part is that everyone has a chance to be a winner. Our team has prizes already to give away (water bottles, bike
bell, free coupons to local businesses), plus everyone is eligible to WIN bicycles,
bike accessories, clothing, gift certificates, free food, and more!
Cycle to one of the Celebration Stations for free food, coffee, and even more chances to win. See me for details. The Celebration Station schedule is posted
.
Why get involved? Cycling to and from work is a great way to incorporate exercise into your daily routine and studies show that people who bike to work
are happier and healthier, plus:
It’s fun. You’ll feel like a kid again.
You can win great prizes. You can eat more. It’s a great way to get in shape. It’s good for the environment.
It’s cheaper than going to the gym. You’ll arrive home de-stressed after work. It’s good for your heart and lungs. You’ll have more energy.
So get out your bicycle, try cycling to work, and be sure to put your name on
the sign-up sheet located in the [PUT LOCATION OF SIGN-UP SHEET HERE].
Other Messages of Encouragement
Two Weeks to Go! Better get your bike ready so you can ride, ride, ride during Bike to Work Week May 30-June 5. Need a tune up? Come see me. I have some
coupons to give away!
Free food, coffee, and chances to win for teammates who ride their bikes May 30 – June 5. Bike to Work Week hosts six Celebration Stations around
Kelowna/West Kelowna and there are even more Satellite Stations hosted by local businesses! View the schedule at [INSERT SCHEDULE LOCATION].
Remember to get your Passport stamped to be eligible to win a two-night’s stay at Accent Inns.
Frequently Asked Questions
a) How much does it cost to participate in Bike to Work Week?
Bike to Work Week is FREE! Thanks to the support of the City of Kelowna, District of West Kelowna, Westbank First Nation, District of Lake Country,
Regional District of Central Okanagan, District of Peachland, and all our local sponsors; all aspects of the events are 100% free!
b) Are walkers, rollerbladers, bus riders, or carpoolers counted? Not for Bike to Work Week, which is focused solely on cycling. Don’t let that
discourage you from taking other forms of active transportation though if you can not cycle! Your Bike to Work Team Leader may reward your efforts.
Bike to School Week, however, includes all modes of active transportation: cycling, walking, rollerblading, skateboarding, scootering, etc.
c) How big is my team? Your team size is not the number of cyclists participating, but rather the
total number of people in your workplace, department, or organization. If you’re only one to two people, you are not eligible to be part of a team.
Individuals can still register and be a part of the Celebration Station festivities, but do not qualify for team prizes.
For really large employers (over 50 staff) you may break into smaller teams
by department or floor and then count the total staff from your area. For example, a large government building should have several Team Leaders
and break into floors or departments. This structure encourages more people to join a team, because the more participants, the higher the rate of
participation.
d) Do I include all of the names of my team members in my
registration? Yes. With the new Bike to Work BC website, each participant will have their
own account under their own name. You can send invites to your co-workers to join your team using the “Team Communications” function on the website.
Co-workers will receive your email invite and can then join your team by registering themselves and confirming that they are on your team.
e) How do individuals from my team win prizes? Individuals can win prizes by visiting one or more Celebration or Satellite
Stations during Bike to Work Week and entering their name in the prize draw. As a Team Leader, you will also have prizes in the Team Leader kit
that you can award to individuals on your team however you like. If your team wins a weekly prize draw or wins for highest participation in your size
category, it is up to the Team Leader to distribute the prize from there.
