Overview The intent of this document is to provide the installer with instructions on how to program the TDS 600 Lodging Series for Hotel / Motel Applications. Specific emphasis is placed on the Lodging Features and a logical step by step approach is employed for speed and convenience. This is a supplement to the original installation and programming manual. Should you require additional information please refer to the original manual. The manual is divided into various sections in a sequential order. Follow these sections in order and refer to detailed descriptions of them as required. For dealers already familiar with the system you may use the following quick reference for programming purposes. If additional information is required on specific feature operation and programming please read the detailed description immediately following the quick reference section.

Software Tools Required To work with the TDS-600 system, you will need the following software loaded on to your PC.

Web Browser

Used to navigate the screens within the system and administer the customer database for the TDS-600. We do not recommend the use of Internet Explorer on our systems. We recommend the use of Google Chrome or Mozilla Firefox.

WS-FTP Home (Deprecated)

This is a file exchange program and is used for a variety of reasons including saving and restoring the customer database and upgrading software to newer versions. This software is a mandatory requirement. There is a small fee for this software of $34.95. It can be found at; http://www.ipswitch.com/purchase/products/ws_ftp_home.html Note: WS-FTP client software is not needed for systems equipped with next generation

(G2-MPUN series processors).

Java Plug In (Deprecated)

Not all versions of Windows are shipped with the Java plug-in installed. It may be necessary to install this as a separate application on your maintenance computer. You can find the Java plug-in for your web browser at: http://www.java.com/en/download/windows_automatic.jsp This should automatically download Java to the computer. As you might expect, you will need to be connected to the internet in order to download and install this package.

Once that is downloaded, the Java application that shows the menu of TDS-600 programming menu options on the left side of the screen should run with no problems. Note: Java is no longer needed for any new software version. It is only required to maintain older systems.

Adobe Acrobat Reader

This manual is offered in a PDF format. To best utilize the manual it is suggested you open it and use the bookmark feature in Adobe Acrobat to easily navigate. You can simply select a topic from the menu on the left and go directly to the text in the document. It is highly recommended that you use the manual while programming at the same time via the web browser. This way you can simple toggle between system programming and the portion of this manual simply and interchangeably. Below is an example of using the document from Acrobat Reader with bookmarks. Note that by clicking on Voice Messaging on the left, the text within the document automatically opens up.

Getting Started Before proceeding you should have installed all the interface and common control cards in the system. You also should have the crossover cable connected to the main processor in accordance with the installation manual and connected this to your computer with access to the main screen of the TDS-600 web browser program. Alternatively, you may have connected the system to a LAN and have successfully gained access to the system. Upon doing so you should see the main screen.

Initialize The System!

You must always initialize the system and reset the database before beginning the programming process.

First select System Programming from the main screen. There is no password required in the default database, so you may leave it blank. Click Save. The following main system programming screen will appear. You will access various program categories on the left hand side and then enter programming information into fields that appear in the center of the screen.

Click System, Program 25 and select item 3, Reset Lodging System. Then click Save.

A unique default database has been designed and created to minimize the amount of programming required by the installer. This database automatically assigns a class of service to single line station ports as Guest which assures the proper voice prompts. It also turns off features like “hold”, the ability to send a message and a variety of other features. The database also features automatic class of service assignment for TransTel digital telephone sets and they are set to forward to voice mail on busy and no answer and have an “Admin” voice mail classification which makes their feature set different from guest telephones.

Wait until the initialization process has finished. A green progress bar will appear at the bottom of the screen. When complete you will see “Done” displayed in the lower left hand of your browser. When properly defaulted the first port of the system will be station 101.

Enable Hotel Motel Feature Option- If you have purchased a software license for the use of the Hotel Feature please enable it at this time.

o Click Voice Mail o Program 33-01-02 o Set to 1= Enable o Press Save

If this feature cannot be changed the license either has not been purchased or the option has not been enabled at TransTel prior to shipment of the system. Please contact TransTel if you cannot enable the feature and you have purchased this option package.

Initialize the Voice Card!

Click Voice Mail, Program 30 and select item 0 Reset All VMU Cards, Delete All Mailboxes. Then Click Save.

Your system is now initialized and you may begin programming.

This section provides more details on programming of the various sections mentioned above. In some cases examples are provided along with required programming.

Saving the Database

You will be instructed to press the SAVE key after entering information. There is an important point about the SAVE key and Save Database routine in the system. When you press SAVE after entering information in a programming form the data is acknowledged immediately and the system will operate accordingly to that change. However, the information is NOT written into the database until once an hour when the software goes through its normal back up routine. So if you make changes and turn the system off BEFORE the hourly back up, the changes will be lost. You may avoid this from occurring if you perform a manual save by selecting the Immediate Backup function from the main system programming screen.

Program 21 Station Numbering Plan & Port Assignment

The first area of programming is to define the station numbering plan for the Hotel. This includes both administration telephone sets as well as guest telephones. This is a very simple and straight forward process.

From the web browser open Numbering Plan and Program 21 Port/Station Number.

Port Number = Cabinet, Card Slot and Circuit. TDS 80 cabinet slots begin with 0 and end with 9. TDS 40 cabinet slots begin with 1 and ends with 4. Station Number - Assign the appropriate station number for admin and guest stations according to the equipment type and port desired. Name - You may assign names to stations as desired. Type - This is system generated and does not need to be changed except for use of virtual ports which will be discussed later.

Note: For the DSS Console, enter and underscore “_” followed by the extension number for the telephone with which it will be paired. On larger systems you may have more than 1 DSS console associated with a telephone. However, all DSS consoles will be programmed on this form in the same manner.

Note: It is suggested you install your digital station cards first and then add your single line station cards for guest rooms.

After you are finished press the SAVE key.

Program 04 Attendant Console Assignment

Click System, Program 04 Console Assignment

Enter a single station number as the console or a pilot hunt group number if multiple

stations are to ring when the console is called by dialing 0 or when a trunk line rings on an incoming call to an operator group.

After you are finished press the SAVE key. Note: The default Attendant Console Group is 1.

Program 01 and 02 CO Line Ringing Assignment Day & Night

Defines a station or groups of stations that will ring on various incoming CO Lines.

Click Trunk, Program 01 & 02 for Day and Night Ringing Assignment.

Trunk numbers by default are designated as 801 through 8XX.

The default is station number 101.

Enter the station or pilot hunt group number if a group of stations are desired to ring for each trunk line. Enter information for both Day and Night modes of operation if desired.

You will enter a FAX extension only if you are using the Automated Attendant function of the Hotel VMU and want the system to automatically detect incoming FAX phone calls and route them to a specific extension.

Program 67-69 Hunt Group Assignment

As mentioned above you may want to use hunt groups for a variety of reasons. You may direct incoming calls to hunt groups which contain certain station numbers that you want to ring. In many lodging applications this can be the main operator console plus several administrative telephones and even perhaps a cordless telephone. This section will discuss basic incoming ringing options. More advanced applications and uses of hunt groups are discussed later.

Click System, Hunt Group Assignment, Program 67-69

Select an available group number or use the default group 1 with pilot number 888. Some

systems use the default pilot number of 650. Select the type of hunting desired. Enter a pilot hunt group number if you wish to change from the default pilot number. Enter members of the hunt group for the day mode and night mode.

Hunt Group Ringing Options

Common Audible - Rings all station members within the group at the same time Linear - Always selects first available member in the order in which they are programmed. Circular - Always selects the next available member in order in which they are programmed.

Hunt (M.R.) - Rings phones in an add on mode based on a timer in the order in which they are programmed. (M.R. = Multiple Ring)

Private - Used for personal lines assigned to a specific station or to use information from the first ringing station for any call forward/voice mail preferences. Hunt (S.R.) – Rings phones one at a time. If the call is not answered by the first ringing station, the call is stepped to the next assigned station after the No Answer Timer expires.

ACD

ACD is addressed outside of the Lodging Documentation in the main programming manual.

Hunt Timer

If Hunt Types Hunt (M.R) or Hunt (S.R) are selected, this parameter controls the time before the next extension is rung.

Ring Frequency

This allows you to select a specific ringing frequency or Music selection (DK6 sets only) that will be used to indicate a new incoming call. If left at default, the ringing type that the station user has selected will be used.

Enable Call Forward Option If this option is selected the software will honor the call forwarding set on any of the telephones within the hunt group. This may be helpful in some applications where you want to overflow to a secondary phone or group of phones. You may even use this option to overflow to a station that is set to external call forward to an outside telephone number such as a cell phone.

Hunt Group Members Valid entries for both day and night modes include station numbers as well as other pilot hunt group numbers. It is possible to chain or link from one hunt group to another.

Automated Attendant

Program 35-tk-04 DISA Service (Day/Night) In the TDS 600 System automated attendant is a function of DISA. You must first enable DISA for each trunk line in the system for both day and night modes of operation as desired.

Available Settings are as follows; 0 = Day & Night Disable 1 = Day Disable / Night Enable 2 = Day Enable / Night Disable 3 = Day Enable / Night Enable

Click Trunk, Program 35 from your web browser. If you want to enable automated attendant for both day and night modes of operation make the setting a 3 for each trunk as required.

Above is an example of enabling trunk 801 through 804 for DISA/Auto Attendant for both day

Program 05-01-04 DISA Answer Time Day

Program 05-03-05 DISA Answer Time Night

These two parameters define the length of time before the automated attendant answers an incoming call for both day and night modes of operation. Use of this timer is quite important. In the day mode you may have a live operator answer incoming calls and after 15 seconds overflow to the automated attendant. In the night mode you may have the automated attendant answer immediately.

To achieve this simply enter the Operator station number or hunt group in program 01 Day Ring Assignment as described above.

In program 05-01-04 (DISA Answer Day Time) set the delay answer timer for 15 seconds.

In program 05-03-05 (DISA Answer Night Time) set the delay answer timer for 0 or 1 as desired.

Program 05-08-06 DISA Transfer No Answer recall Time

Determines the amount of time a station will ring before going back to the automated attendant with a no answer message and given option to dial 0 for the operator or dial another station.

Important Interaction Note: 05-08-06 DISA No Answer Transfer Time interacts with

05-01-08, the Call Forward No Answer Timer and 78-ST-05 Call Forward No Answer Time for individual stations. If you want unanswered calls to go directly to the personal greeting of the mailbox owner, the call forward no answer timer must be shorter than the DISA no answer recall timer. Note: Call forward no answer timer is programmable on a per station basis in program

78-ST-05. If a station does not have a valid mailbox assigned the caller will be prompted with a generic busy or no answer message with options to dial the operator or another station number.

Program 05-08-07 DISA Transfer Time (No digits dialed)

Defines the amount of time the system waits after the main greeting is played before transferring the call to the Operator group.

Click System, Program 05-08-07 and select a timer.

Press Save when you are finished.

Program 05-09-03 CO Loop Disconnect

This is a critical setting for the system when the Automated Attendant and Voice Mail Features are being utilized. When the calling party hangs up the central office should send a disconnect signal on the trunk line. Typically this signal is 600 msec to 1000msec. If the software detects an open loop for more than what is programmed it will consider it as a disconnect signal and release the trunk line and voice channel.

Click System Program 05-09-03. Set this parameter 4 which is 320 msec

Program 05-09-04 DISA Busy Tone Detec(tion)

Some carriers no longer provide CO Loop Disconnect indications. This is very common among alternate carriers. Your system should also be configured to recognize Busy/Reorder tones as a method to indicate disconnection. For most Western Hemisphere installations, this should be set to 7= 480+620Hz 250 (reorder) or 500 (busy) milliseconds On/Off.

Program 27 Auto Attendant Main Menu Digit Assignment

This program defines what can be dialed at the automated attendant menu. On the left of the screen are the digits 1 through 9 plus * and #. Under first digit function is a pull down menu offering various actions for the digit dialed.

Pull Down Menu items and descriptions are as follows: 0 = Normal Digit. The first digit of a valid station number. 1 = Console Code. To call the operator console. Typically associated with the digit 0 2 = Access Trunk Code. Used to call into the system and access another trunk outgoing. 5 = Access 2nd Language in the automated attendant and voice mail system. 6 = Department Code 7 = Into Voice Mail Feature. To access voice mail from outside the system.

Automated Attendant Single Digit Dialing

Program 05-11-08 DISA Single Digit Dialing

DISA single digit dialing allows callers to access individual stations or groups of stations (i.e. hunt groups) by dialing a single digit at the main automated attendant greeting. The value you place in program 05-11-08 serves as a pointer to Program 10 Single Digit Dialing. You will assign one of 8 single digit dialing groups in program 05-11-08. Then in program 10 you will define where the single digits will terminate when they are dialed. Example: In the program below we have set DISA single digit dialing to go to group 2 in program 10.

Click System Program 05-11-08 to enable DISA single digit dialing.

Enter 2 from the pull down menu which will serve as a pointer to single digit dial group 2 in program 10.

In program 10 Single Digit Dialing if the caller presses 2 the call will ring members in hunt group 887. If they press 3 it will ring members in 890 and dialed digit 4 will ring members in 891.

Click System, Program 10 Single Digit Dialing.

Enter 887, 890, 891 for dialed digits 2, 3 and 4 respectively as shown above.

Note: DISA single digit dialing cannot conflict with the leading digit of a valid station number.

They are mutually exclusive.

Program 05-07-04 DISA Recall Capability

If you are using the system in skin voice mail card leave this setting at 0 for proper operation. With a setting of 0, if the dialed station number does not have a mailbox the caller will be given a generic no answer or busy message with the option of dialing another station number or the operator. For all other applications refer to the original installation and programming manual.

Program 05-08-04 DISA Transfer Group

For any station that does not have a voice mail box, this parameter defines what console group will be rung when an unsuccessful DISA call has expired. 0 = Call the station’s console group as defined in program 41-ST-01 1 = Call the console group as define in trunk definition 36-GP.

Program 05-11-06 DISA Transfer Count Console Busy

This parameter has no use for automated attendant and voice mail applications. Please refer to the original programming manual if you are using the in skin voice card for auto attendant applications only.

Voice Messaging

IMPORTANT! If this is a new system or you are adding a voice card to an existing system you must first initialize the card.

Program 30 Reset / Initialize Voice Mail Parameters Select Voice Mail, Program 30.

Select 0 and press save for a new installation.

0 = Initialize all VM Cards, delete all mailboxes. Reset System Voice Mail parameters, VMU card

and mailbox settings. Used for initial installation. Resets the card, messages, greetings and mailbox assignments in program 31.

1 = Initialize all VMU Cards. Reset System Voice Mail parameters, VMU card. Resets the card, messages, greetings Does not affect mailbox assignments in program 31.

5 = Add VMU Card 02 Used to re initialize a new VMU card installation. 6 = Add VMU Card 03 Used to re initialize a new VMU card installation. 7 = Add VMU Card 04 Used to re initialize a new VMU card installation.

Program 31 Assign Mailbox Settings In this program you will assign mailbox numbers and several other parameters related to them.

1. Assigned Number - Enter the station/mailbox number or a virtual mailbox number. 2. Total Units - Enter the total number of units for message storage on the mailbox. Each unit is

equivalent to 60 seconds. 3. One Mail Max Unit - The total time of a single message duration. For example, if the desired

maximum time is 10 minutes enter a value of 10. 4. Use VMU Card - Enter card number 1 for installations with a single voice card. 5. Mail Indicate by Dial Out - Click this if the mailbox is to have external notification 6. Mail Indicate by Email – Not used in Lodging applications. 7. Dial Out Timer - The number of minutes in between dial out attempts. 8. Dial Out Counter - The number of dial out attempts. 9. Script Menu Mailbox –Used in some Auto Attendant Applications. When checked, a mailbox

will not allow a caller to leave a message.

Program 32 Administration Password Assignment Enter the password for the VMU installed. This password is enforced when the system console operator accesses the voice administration program. There is no password by default.

Program 33 Voice Mail Parameters

There are several generic system wide settings that must be programmed pertaining to voice messaging features.

Program 33 Item 01 VMU Leave Message Method- Determines if a caller goes directly to the greeting of the mailbox owner or is offered other dialing options. It is recommended to set this to a 3 which is enabled and allows callers to go directly to the personal greeting of the mailbox owner.

Program 33 Item 02 Hotel VMU Feature- For lodging applications this MUST be enabled.

Program 33 Item 03 and 07 ACD Mailbox Number- If you are using the ACD feature whereby you direct incoming calls to an operator group and would like to queue calls for an available operator with the option of playing messages during the hold time, you may also provide an option for them to leave a message in an ACD mailbox. Mailboxes must be set as Virtual in program 21 and the mailbox MUST be set up as mailbox 1 and mailbox 2 in program 31. During the second level ACD message (ACD2) you may record a greeting that allows callers to press 1 to leave a message ACD mailbox 1 (33-03) or 2 to leave a message in mailbox 2 (33-07). In summary you may offer the ability to allow the caller to leave a message in 2 separate virtual mailboxes by dialing a single digit 1 or 2 during the second level greeting.

Program 33 Item 04 DISA Leave Message Indication- If set to enabled calls to stations who do not have their telephones set for call forward no answer or busy will be prompted with a generic busy or no answer message with instructions to dial the operator, or another station user or press the pound key to leave a message. If this option is Disabled callers will have the ability to dial the operator or another station but cannot leave a message.

Program 33 Item 05 Minimum VMU Recording Time- Determines the minimum amount of time a recorded message will be considered valid. Any messages less than this value will be discarded.

Program 24 Voice Mail Leading Digits Use _ (underscore) for on line recording and transfer to mailbox. A setting of _ will assure that on line recording and transfer to mailbox will access the internal voice mail card. All other parameters are used for external voice mail systems exclusively and are not applicable to the internal voice card.

Station Class Of Service Programming

The following COS options are identified and should be set accordingly.

Program 46-st-07 Call forward no answer to voice mail When using the internal voice card set this option to VMU if the station has an assigned mailbox in the system.

Program 78-st-04 Call Forward Busy to voice mail When using the internal voice card set this option to VMU if the station has an assigned mailbox in the system

Program 78-st-05 Call Forward No Answer Timer Note that each station user may have its own timer for no answer to voice mail. Set as required. If set to 0 it will follow the system wide call forward no answer timer in program 05-01-08. Note: Set the DISA transfer no answer timer (05-08-06) LONGER than the call forward no

answer timer if you want calls to go directly to personal mailbox greetings.

Program 07-01-xx Function 77 New Message Key Function for VMU applications. This is a new feature key that allows admin telephones to view new and saved messages when they have a flashing message indicator. Also, special soft function keys will appear on F1, F2 and F3 for call options while viewing message status. In default this is already set under the message key on digital telephone sets.

Program 50-st-08 0 Guest Telephone 1 Admin Telephones It is critical that you assign the proper class of service for guest telephones vs. admin telephones. The prompts played differ for guest and admin stations.

Program 46-st-02 Message Waiting Level It is recommended that you assign a message waiting level so that guest telephones cannot leave a message for another station in the system. If you set the guest room to 0 then the room phone cannot leave a message for another station and can ONLY get a message waiting indication from the console operator or the voice mail system. Message levels of the same value above 0 can leave messages for one another. Lower message levels cannot leave messages for higher levels.

Program 07 Feature Assignment for personal mailbox via access Code. FN:77 is used for personal mailbox access. Assign FN: 77 to admin phones and when they press this key it will automatically take them to the log on greeting of their mailbox.

Program 45-st-08 Enable SMDR Verify that SMDR is enabled for ALL stations for which you wish to generate call records.

Program 05-03-07 Intercom Dial Tone Settings. There are a host of options available for guest stations as it relates to intercom dial tone and tones that are offered when

various features are activated like do not disturb, call forward and message waiting. It is suggested to set this option to a 2 which is steady dial tone for all conditions to alleviate confusing the guest and having them call the console operator because they are receiving an interrupted tone when placing a call.

Program 44-st-02 Call Hold. Disable this feature to alleviate the potential of the guest performing a hook flash on a trunk as opposed to hanging up.

Program 78-st-01 Set LCR level to 1 if you are using a single carrier for long distance. The LCR level MUST be turned on before calls can be routed and costed in the system. If you are using internal call costing you MUST enable LCR for all guest stations. Generally review ALL class of service options related to guest stations and Disable any and all features that are not required and may cause service calls for one reason or another.

Call Accounting

The following areas are required for proper operation of call accounting in the system.

Program 14-01-01 Recording Start Time This is the grace period for the initial call before the timer begins.

Program 14-01-02 Record Incoming Call Suggest it to be Disabled.

Program 14-01-04 Record Unanswered calls Suggest it to be Disabled.

Program 14-01-05 Print Page Header Prints Hotel name at top of printed call record.

Program 14-01-06 Records between headers Defines the records between header and is usually specific to the type of printer you are using. Do not set this to 0 if you are printing call records. This will completely disable printout of calls.

Program 14-02-01 SMDR Output Port Default is the serial port on the MPU card.

Program 14-02-02 Polarity Reverse Detection NEVER enable this feature in the USA unless you have ordered special trunks to provide a polarity reversal upon answer. If this is enabled and PR is not provided by the CO, the system will not generate any call records.

Program 14-02-03 SMDR Output Output must be enabled.

Program 14-02-04 Set to 0 Actual dialed number

Program 14-02-05 SMDR Output 0 = Normal SMDR – This setting provides for on-the-fly, raw call records to be output. No costing is applied. 1 = Enable PMS – This setting is used when connecting using the Micros series of PMS interface and SMDR records are output as part of the PMS data stream. *2 = Enable Mitel PMS Interface – When this is selected, Mitel SX-50 emulation is enabled and SMDR records are output as part of the PMS data stream. *3 = Disable No Metering PMS. Not used in North America. 4 = Hospitality Call Accounting – Selected when TDS is providing costed call records using the built in hospitality package.

Note: Call records are not printed on-the-fly with this option. Call records are accumulated and can be called up by the web based hotel terminal, or printed on-demand using a lodging operator telephone. *5 = Enable PMS Protocol + SMDR – When selected, this enables the PMS data stream to be sent using the PMS output port. SMDR is sent using a separate port. Micros compatible format. *6 = Enable Mitel PMS Protocol + SMDR – Selects Mitel emulation and splits SMDR to a separate port. *7 = Disable No Metering PMS + SMDR – Not used in North America.

* Options 2, 3, 5, 6 & 7 are only available with G2-MPUN next generation processors.

Program 14-02-06 Intercom SMDR Suggest it to be disabled.

Program 05-04-01 SMDR Baud Rate

Set the baud rate to be compatible with printer. You will need to set this if you are using a serial

printer connected directly to TDS or if you are using a serial PMS interface.

Define Hotel Report Format from browser- Log into user programming from the main screen. Enter the station number and password (if applicable) of the operator console. Select Hotel Programming and Report Format. Enter the Hotel Name and lines per page. If you are using the Shower Alarm function, you may assign a name to display when a Shower Alarm is activated.

Call Costing & Least Cost Routing- The actual rates for calls are programmed in the LCR

table based on the digits dialed by the guest.

Program 79-st-01 LCR Level If you are using a single carrier set this value to 1. This program setting enables LCR for the guests when they dial an outside call.

Program 75 LCR Digit Analyze Table This program is used to input your dialed number plan and to enter the data required for costing calls.

Program 75-01 Route Table The default is 0. If you are using a single carrier leave this setting at 1.

Program 75-02 LCR Number This is the leading digit or dialed digit pattern of the numbers on outside lines. In the example below digits 2 through 9 are treated as local calls and are billed at a flat rate of $.50 per call. Note that special entries are made for 411 and 911. These entries MUST be made BEFORE 4 and 9 for local calls in order to be recognized as exceptions by the software and not incur a charge.

Program 75-04 Basic Fee is referred to as an initial set up charge that is a flat rate. In the first example screen below all calls are charged a flat rate fee of 50 cents per call.

Program 75-05 Unit Fee This defines a rate per unit. A unit is a number of seconds as defined in 75-06. If the Unit Fee is 0.10 and the Unit Seconds (75-06) is 10, then the charge would be 0.10 every 10 seconds or 0.60 per minute.

Program 75-06 Unit Seconds Unit Seconds determines the increments in which the call is measured. For example: 1. If the Unit Seconds is set to 6, the call will be measured in 6 second increments. 2. If the Unit Seconds is set to 10, the call will be measure in 10 second increments. 3. If the Unit Seconds is set to 30, the call will be measured in 30 second increments. 4. If the Unit Seconds is set to 60, the call will be measured in 60 second increments. The actual per minute costing of the call can be determined within reason, according to the customer’s requirements. A call rate of 0.10 per minute can be configured in any of these ways: 1. Automatic Wake Up

Auto wake up is a standard feature in the TDS 600 Lodging Package. Guest room telephones can follow simple voice prompts and set the wake up call themselves, or it can be set by the hotel operator from their telephone or through the web browser. The system also can generate a wake up call report for each room and will notify the front desk console of unsuccessful wake up attempts. The message light will flash on the operator console and when pressed the room number and wake up time will appear along with a wake up failure message. The system will attempt the wake up call every 2 minutes for 4 consecutive times before notifying the operator console.

Up to two special ACD mailboxes may be assigned and callers may be prompted to leave a message in this mailbox while listening to ACD message level 2. The ACD mailbox can be programmed to appear on the telephone set of admin phones and will flash when a message is left in the mailbox. If pressed in the idle mode the station user has the ability to record greetings and access to all mailbox features related to the ACD function.

If this option is Disabled callers will have the ability to dial the operator or another station but cannot leave a message.

Program 31 Mailbox Assignment Assign a virtual mailbox to be the ACD mailbox for mailbox number 1 and 2 respectively.

Program 07-gp-xx Mailbox Key Assignment Assign the ACD mailbox number to a key on admin telephone sets. When this is complete you have a mailbox appearance on the DSS key of the telephone set. This mailbox appearance is independent of the station user’s primary mailbox. It will flash when a message has been left in the ACD mailbox. Press it and the user will log into that mailbox.

Intercom Single Digit Dialing

You may allow guest room extensions to dial a single digit for services within the hotel facility.

The single digit is not allowed to conflict with the same leading digit of a valid station number.

Single digit dialing will reference your station group in Program 41-ST-01. From this station group number, single digit dialing will follow the entries placed

in Program 10 Single Digit Dialing Group. In other words if you are station group 1 then your dialing pattern will follow that of group 1 in program 10, Single Digit Dialing.

Program 05-03-06 Interdigit Delay Timer.

If you set the interdigit delay timer for 2 seconds you can have both a station number beginning with a 1 and a single digit dial group with a 1. After the 1 is dialed if another digit is not entered before 2 seconds the system will consider it a single digit dialed attempt. If additional digits are entered such as a valid station number, then the system will ring the station number.

Virtual Mailbox And Its Features

The concept of using virtual mailboxes has many applications in the TDS Series. Virtual mailboxes can be used in a variety of ways. In lodging applications you may use DISA Single Digit Dialing and offer the caller to dial 3 for reservations. When 3 is dialed, the call can be transferred to hunt group containing one or more telephones plus a virtual mailbox. If the stations are busy or there is no answer the caller will be directed to the virtual mailbox where the appropriate reservations message is played and a message is recorded. Simply assign the virtual mailbox number as a DSS key in program 7 on one or more telephone sets and the light will flash indicating a message has been left in the reservations mailbox. Users with this virtual mailbox appearance have full management control of the mailbox including the greeting that is recorded as well as listening to messages left by callers. Virtual mailbox appearances are totally independent from stations user’s primary assigned voice mailbox.

Adding cards to create virtual mailboxes To create additional virtual mailboxes, install virtual cards into slots.

Find an unused slot and select virtual card from the pull down menu. After doing this the additional port will become available in program 21 as described below. Each card allows 8 additional virtual mailboxes.

Numbering Plan Program 21 Assign an unused port in the system as a virtual port in the type field. Give this port a mailbox number as shown below for mailboxes 686 and 687.

Guest Services Virtual Mailbox Example You may provide dialing instructions to guests for certain services such as room service, front desk or any other service as desired. The dialed instruction can be a pilot hunt group number with service telephones and virtual mailboxes as back up when phones are busy or cannot be answered right away. It is recommended you use the ringing type as Hunt and set the timer to advance to the virtual mailbox as desired. Example: Front desk dialing instruction in guest room is 65. Front desk is station 100 and the

virtual mailbox is 112.

Handset Alarm

When handset alarm is programmed on a guest phone, it will ring to the system operator when a phone is taken off hook and no digits are dialed. If the phone is left off-hook for 2 minutes, an alarm is raised at the operator station.

Program 50-st-08 Telephone Type (Type must be 1 = Guest or 2 = E911 Enable)

Program 05-12-02 Shower Alarm Enable must be enabled for the system.

If the handset is left off-hook for 2 minutes, it will alarm the system operator.

There is no special procedure to clear a handset alarm. The operator can listen for signs of distress if the caller is unable to speak, but the alarm is cancelled as soon as the system operator hangs up.

Panic Alarm (Shower Alarm)

Panic Alarm (Shower Alarm) is available to all lodging guest rooms via system programming. It allows an emergency button or pull chain/cord to be strategically placed where it can be accessed in the case of an emergency where the guest may not be able to reach a telephone set.

Program 05-12-02 Shower Alarm Enable must be enabled for the system.

Text Displayed on operator phones when Shower Alarm is activated can be programmed using the Web console in [User Programming] > [Hotel Programming] > [Report Format]

When a Shower Alarm has been activated, it will ring all system operators. To clear the

alarm, the operator must answer and then call the station back. The device used for the shower alarm can be a pushbutton or an emergency pull chain or cord that provides a momentary switch closure across the guest telephone wiring. Once triggered, the alarm is active until it is released from the operator console.

E-911 Support & Operation

When a guest room lifts the handset, accesses an outside line and dials 911 the system will simultaneously ring ALL telephone sets in the operator group. At the same time the call is processed to the 911 operator on a trunk line. A voice announcement will be played indicating this is an emergency call along with the room number. This provides the 911 operator with the exact location of the emergency to dispatch required services. When any telephone within the operator group answers the 911 call the message will stop.

E-911 Bumping

If a guest room dials 911 and there are no outgoing lines available, the system will “bump” the first line in the dial 9 trunk group, freeing it up for the emergency call. There is no special programming required beyond normal 911 support for this feature to operate.

Note: E-911 Bumping is only available on systems equipped with G2-MPUNx, next generation processors.

Fire Alarm (Emergency Alarm)

When the Fire Alarm function is activated on the system (by using a sensor or a push button), it will ring all extensions, both guest and administration phones. The type of phone will determine how it is notified.

System operators using DK series phones will get an indication of the alarm on their LCD display

Conventional single line telephones will ring. Upon answer they will hear the Emergency Script from the VMU.

TransTel Single Line Telephones equipped with Paging capabilities will hear the Emergency Script from the telephone set.

Additionally, the TDS can be programmed to dial an external number and if desired, can play a prepared Emergency Script on the line. See Appendix A of this document for a detailed explanation of setup.

Digital Telephone sets are programmed by selecting Extension Program 07.

Each button may be programmed as a function key, station, trunk, loop key, hunt group key, speed dial key as required.

Clear Mail

A guest room’s mailbox is cleared of any existing messages when the next guest is checked in to a room. However, if the need arises to remove messages for any reason, the Clear Mail function will do this.

Enter the room number (or more than one if you are clearing multiple rooms.

Appendix A

Fire Alarm (Evacuation Alarm)

This feature allows the entire system to be used to alerts guests and patrons of an emergency situation within the premises. Once activated, it remains operational until a code is dialed from a system operator to silence the alarm. It may also be configured to automatically dial a pre-determined telephone number, such as a fire department or 911 center.

Program 05-03-04 Fire Alarm Indicator

This determines the action taken when the Fire Alarm is activated.

0 = Disabled Alarm all phones. 1~9 = Dial an external System Speed Dial number and alarm all phones. 10 = Play internal script to all affected SLT and DK phones (No external dialing) 11~13 = Play internal script & dial an external System Speed Dial number. This option will also cause the internal script to play over the speaker of DK series telephone sets.

Note: All settings will cause SLT devices to ring and/or play the Fire Alarm Script Message. Settings of 10~13 will also cause DK sets to play the script via built-in speaker instead of ringing.

Program 39-ACP Sensor Assignment

1 = Fire Alarm Operation Normally Open (Activate on contact closure)

2 = Fire Alarm Operation Normally Closed (Activate on contact open)

This will select the idle status of the sensor.

Program 40-SLU-06 Be Paged

For industry standard Single Line Telephones set this to 0 = Disable.

For TransTel SLT with Paging capabilities, set this to 1 = Enable. Note: The values of 46-st-06 are reversed (0 = Enable, 1 = Disable) when a G2-STU card is

installed for a DK series telephone. This is not a factor in programming for Fire Alarm When 40-SLU-06 is set to 0 = Disable, the telephone set will ring when a Fire Alarm condition

exists. Upon answer, the script recording will be played over the telephone handset. When 40-SLU-06 is set to 1 = Enable, the system will send a signal to the telephone set to activate the built-in speaker and then begin playing the Fire Alarm script recording. This setting should only be used with TransTel Single Line phones equipped with the Paging Speaker. Note: This feature was introduced in software version G3-A071M (G2-MPUx series). It is in all

software versions for the G2-MPUNx next generation processors.

Program 90-08-06 ACP40 Idle Text – Fire Alarm Text If an alternative display message is preferred to the default “Fire Alarm” that is shown on DK series phone displays, the sixth line of text in Group 8 of ACP Program 90 can be used as a replacement. This should be left blank if the default display is preferred.

Cancel Fire Alarm

To cancel a Fire Alarm and quiet all phones in alarm, dial 777 from a DK series telephone defined as an Operator Console.

Program 22 –FN:75 Stop Alarm

This code is assigned as part of the default database as 777. TransTel documentation assumes that this is the code used. However, if you have a need to change it, you may change it to any non-conflicting code within the system.

Recording Fire Alarm Script

On any system equipped with MPU(N) software that supports the fire alarm message (G3-A71L or newer and A01ABr or newer), you can record a message that will be played when the Fire Alarm and/or Floor Fire Alarm is activated. Older G2-VMU cards will not have the prompt in the system messages for selection of this message, but even without the prompts, you can still record the message. To record the script, you will access the voicemail administrative mode. This can be done from any Operator’s Console within the system.

Floor Fire Alarm

Version G3-A071L (G2-MPUx) and all versions of software for G2-MPUNx also provide support for a Floor Fire Alarm. This provides the same capabilities as the Fire Alarm function, but allows the system to be zoned. When a single zone alarm is activated only that zone is affected, other zones remain in normal operation.

o TDS-160 software using G2-MPU2 and G2-MPUN2 allow 16 zones. o TDS-320 and 640 software using G2-MPU4/8 and G2-MPUN4/8 allow 99 zones.

Programming of Floor Fire alarm differs from system wide Fire Alarm due to the following settings.

Program 39-ACP Sensor Assignment

6 = Floor Fire Alarm Operation Normally Open (Activate on contact closure)

14 = Floor Fire Alarm Operation Normally Closed (Activate on contact open)

This activates the sensor for Fire Alarm and will select the idle status of the sensor.

Program 04 Console Assignment

The Console Assignment form controls which station(s) will have the ability to clear the Floor Alarm. You will need to assign at least 1 operator for each zone that will be capable of activating an alarm in the system. The entry on this form may be an individual extension or a pilot number to a Hunt Group. A single extension (or a Hunt Group) may act as operator for multiple groups. Console operators will be included in a zone’s alarm, regardless of their assignment on 41-st-01.

Appendix B

G2-MPUN(x) Backup and Restore System Database

During 2013, Transtel Communications transitioned from the original G2-MPU2/MPU4/MPU8 cards to a newer processor, the G2-MPUN(x) series. This allows the TDS to continue to be an effective communications solution, with more powerful processing and larger memory capacity. This will allow TransTel to grow the system to continue to meet future needs in the premise based telephone market. Note: If you are using the original G2-MPUx series, this appendix does not apply to you. The

procedures for backing up and restoring a system database for the G2-MPUx series of processors are explained in both the main System Programming manual and the Hardware Installation Manual.

This appendix takes you step-by-step through the process of performing a routine customer database backup and restore. It covers the installation and use of TFTPD32 as well as a full backup and restoration of a TDS system database. It is divided into two sections. The first describes installation and use of TFTPD32 and the backup process. The second section covers restoration of an existing backup file to a system. It assumes you have already installed TFTPD32 and done at least one backup.

MPUN Database Backup

In order to Save and Restore a System Database to or from the next Generation MPUN2, MPUN4 or MPUN8, you will need a freeware program called TFTPD32. It is available from a number of sources on the Internet. The software author maintains a website at: http://tftpd32.jounin.net/ You may find it at other locations. It is widely used. As of this writing, Version 4.0 is the current release. There are a number of variants available from the website. For ease of installation, we suggest that you download the tftpd32 standard edition (installer). It requires virtually no user intervention to install. Once it is installed, you are ready to save and restore system backups.

1. Make a new folder in your PC, where you can easily locate it. With most Windows computers, we recommend that you create a folder either on your “Desktop” or in your “My Documents” section. In our example, we have named the folder “TDSBackups.” You may name it as you see fit.

2. Start TFTPD32. When the window opens, it will look like this.

The Current Directory will be the location where TFTPD32 is stored. Server interfaces is the IP address of your PC. If you have Firewall software on your computer, you will either need to make an exception for TFTPD32 or temporarily disable the firewall.

3. Click the Browse button to the right of Current Directory. This determines where any files written to your PC will be located during this session. Using the example in this document, the location will be “My Documents\TDSBackups.” A popup window will display, navigate to the location where you want the files to be stored on your PC as shown below:

When you find the folder, click to highlight it as shown and click the OK button. Your Current Directory will change to the one you have selected.

4. Now, open your web browser and log in to TDS. Once you are logged in to the System Programming Section, select Technical Program > Admin > TFTP Download. Enter the IP Address of your PC, as is shown in the TFTPD32 Window Current Directory window.

Then click “Backup System Settings”

5. After approximately 30 seconds, check TFTPD32. Click on the Log Viewer tab in TFTPD32. You should see several lines of text, which indicate that the backup files were successfully transferred.

6. The MPUN will automatically assign a Backup File name. The backup name will begin with back160, and will be appended with the date and time of the backup. There will be two files created, as shown below. It is important to retain both of these files.

Note: MPUN2 uses the filename prefix back160. MPUN4 uses the filename prefix back320.

MPUN8 uses the filename prefix back640.

MPUN Database Restore

Restore Backup RAM File (PC to MPUN). Note: TFTPD32 must be open and configured to the correct directory in order for TDS to locate

and restore the backup file to the system.

1. From the web browser, select Technical Program – Admin – TFTP Download Enter TFTP Server IP, Backup File fields then click Save (upload).

2. Within 30 seconds, you will see activity in the Log Viewer window of TFTPD32.

Your system will update immediately with the restored database. Your database is now fully restored.
