MEISTER MINUTES...Our ski season will be starting off very soon. All

of the week trips are full, with waiting lists, except for the trip to Sunday River (January 6-11), which still has some space. Most of the weekend trips still have space but, unfortunately, we had to cancel the Mount Snow trip (scheduled for Dec. 14-16) due to a lack of participation. Partially filled trips are a serious concern to the club because of the contract liabilities

we have with various vendors and we may be forced to cancel several of them. Cancellation of a trip is unfortunate for those who have signed up, but the membership must realize that larger hotels and resorts give us group rates based upon a certain number. They may not, and cannot be expected to, give us prices for a small number when two or three times that was expected. We must remember that their expenses are not only for a room, for example, but also cover housekeeping staff, kitchen staff, food purchases and preparation, etc.

Members are saying that they are “thinking of going” or are “waiting to see how the weather is.” For those of you thinking about going on trips, I urge you to make the commitment now. Sometimes trips with low numbers may still be run to smaller establishments because their overhead may be less, or they receive last minute calls for the rooms we are not using. Bus trips bring up additional concerns because of the cost of the bus and the room for the driver. Again, please sign up ASAP for any trip that you are thinking of going on.

There have been some inquiries about getting “single rooms” on some of our trips. Occasionally single rooms are available, but not usually. The lodging which is held for a trip is almost always based on double occupancy, and has been reserved for the group when the contracts are signed sometime between May and July of the previous year. If some of these rooms are taken as “singles,” then another club member will not be able to go on the trip. On bus trips, this also means that there would then be a vacant seat and a loss of the money which would have been collected for that seat (typically around $85 for a weekend trip). Although drive trips do not have the “empty seat” issue, not being able to fill rooms with two people still means another member did not get to go on the trip. In instances where a lodging property has rooms available, we do attempt to accommodate requests for single rooms.

~ and now a Few reminders ~

(a) Those of you on trips that involve airplane tickets must make sure that the trip leader has your Full and Legitimate Name for your ticket, as it is written on the government-issued photo identification you will use at the airport (i.e. Driver’s License, Passport, etc.). If you fail to do so, you

will be responsible for any re-ticketing fees.

(b) Please be aware of the Payment schedules for each trip you are going on and do your best to get your payments to the trip leaders on time. The payment schedules have been set up in accordance with the club’s obligation to make payments to tour operators or establishments. Trips with for 40 – 60 people are an expensive proposition and, since the club is not a bank or loan company, we cannot afford to lay out money for anyone wishing to go on a trip. If, for example, 20 people on a trip costing around $1400 did not pay on time, the club could theoretically lay out approximately $28,000 and, with three air trips on the calendar, this could total $84,000. Payments for trips should be viewed the same as an automobile, insurance, or energy payment, all of which must be made on time or there would be consequences. For club trips, if you do not pay on time you could be moved to the wait list.

(c) canceling off of a trip may result in “cancellation charges.” Recently some members have had a misunderstanding of how cancellation charges are determined and when someone is, or is not, liable. The following are examples of charges that may be assessed. (1) The club has a $15 cancellation charge policy because, in past years, people signed up on many trips just to get on, and then canceled several weeks later. The only exemption to this charge is a documented medical reason for a person not to be able to go on a trip. If their spouse (or traveling companion) also cancels, he or she is liable for the club charge. (2) If a person cancels and there is no one to fill their spot, they may create a “single room” situation, for which a “single supplement” may have to be paid. If that happens, the person who cancels is responsible for the single supplement, which could be anywhere from $50 to $800, depending on the trip. (3) If people who were rooming together cancel there could be numerous charges, depending on how near the cancellation is to the date(s) of the trip. A tour operator, hotel, or travel service may assess a charge for things like the hotel room, airline tickets, or seat(s) on transportation which was included during a trip, just to name a few.

The main thing to keep in mind is that if you cancel, any charges which you cause are your responsibility, not the club’s, your roommate’s, or others in a condo. So, even if you have a medical reason for canceling, do not assume that you will automatically get “all of your money back.” In the worst scenario, you might only get the $15 club fee back. One way to be protected from a loss due to a cancellation is to purchase “Trip Insurance.” Discounted insurance is available through the National Ski Council Federation – check the newsletter and/or the website for information on this.
