Message from the Director of Student Life Sports

Lindenwood University has a rich history and tradition of combining academic and athletic

success spanning 187 years. It is important that we do not lose sight of the things that have not

only made Lindenwood athletics special, but made a difference in the lives of countless young

men and women. Student Life Sports and Competitive Programs (SLS) has always been the

cornerstone of success for Lindenwood Athletics with 50 team National Championships, and

close to 100 individual national champions.

Our commitment to the concept of the “student-athlete” is resolute. Lindenwood offers

nationally recognized academic programs, personal attention, outstanding coaches and

outstanding facilities. Our coaches’ concern for the total development of each student-athlete is

evident from the first day they walk on campus to the day they graduate and beyond. Our

student-athletes are involved in a variety of campus activities and service opportunities that add

diversity to their college experience.

We are all competitive people who want to win, and certainly winning and contending for

championships is important at Lindenwood. But, we never compromise the integrity and

principles of sportsmanship in order to win. The development of character and strong personal

habits for our student-athletes is the most important aspect of their athletic experience. There is

a great deal more to being a champion than winning a championship.

All students who participate in the SLS programs at Lindenwood are required to fully comply

with all policies which apply to all students in admission, curriculum, degree requirements, class

attendance, personal conduct and other matters.

All athletic contests, practices, and related activities will be conducted in compliance with the

principles of fair play and amateur athletic competition, as defined by the University. All rules

of the University and other conferences/organizations in which Lindenwood has membership,

will be strictly observed and enforced.

Our goal is to create an atmosphere for all student-athletes to be able to participate in activities

that they are passionate about while pursuant of their post-secondary education degrees. We

pride ourselves on creating “Lions for Life” and hope Lindenwood will become a place where

you will build bonds for life.

I trust that you will take the time to read this policy manual thoroughly as it outlines the policies

and procedures pertinent to all Lindenwood student-athletes. You are responsible for knowing

these rules and abiding by them. Should you have any questions, please do not hesitate to

contact me.

Best wishes for a successful season, both on and off the range, court, table, rink, lane, pool,

road, studio, mat, or field.

Mike Elam,

Director of Student Life Sports

II. LINDENWOOD UNIVERSITY MISSION STATEMENT

Lindenwood University offers values-centered programs leading to the development of

the whole person–an educated, responsible citizen of a global community.

Lindenwood is committed to...

• providing an integrative liberal arts curriculum,

• offering professional and pre-professional degree programs,

• focusing on the talents, interests, and future of the student,

• supporting academic freedom and the unrestricted search for truth,

• affording cultural enrichment to the surrounding community,

• promoting ethical lifestyles,

• developing adaptive thinking and problem-solving skills,

• furthering lifelong learning.

Lindenwood is an independent, public-serving, liberal arts university that has an

historical relationship with the Presbyterian Church and is firmly rooted in Judeo-

Christian values. These values include belief in an ordered, purposeful universe, the

dignity of work, the worth and integrity of the individual, the obligations and privileges

of citizenship, and the primacy of the truth.

Athletics Department Mission Statement

It is the mission of intercollegiate sports at Lindenwood University to advance learning,

enliven campus life, develop leadership skills, and foster the personal growth of the

student athlete through offering a high quality athletics program. Athletics Department

personnel strive to provide model programs that develop meaningful standards of

scholarship, athletic performance, leadership, community service, and sportsmanship

conduct. Through sports, Lindenwood seeks to contribute to a sense of collegiate identity

and positive perception in the community. The Athletics Department shall strive for

excellence in the competitive environment in accord with the philosophy, rules, and

regulations of the sports' governing bodies in which Lindenwood has membership. The

University is committed to sponsoring and promoting a gender equitable sports program

where the physical, emotional, and social well-being of the student-athlete is of primary

concern.

Lindenwood Athletics Philosophy

Lindenwood University is committed to the development of the whole person

within a value system that acknowledges our Christian heritage and focuses on a

four-dimensional personal growth: mental, social, physical and spiritual.

The actions of the student-athlete affect both himself/herself and others. In

choosing to be a part of the Lindenwood learning community, the student-athlete

agrees to be responsible and to choose his/her actions in such a way that they

reflect favorably on the student-athlete and the Lindenwood community.

III. CHAMPIONS OF CHARACTER

The Champions of Character program was designed and implemented in 2000. The

primary objective of this program is to educate student-athletes and instill core values

that aid in the development and establishment of essential character traits. The five core

values are:

RESPECT “Those associated with sport show respect by treating themselves, other persons,

institutions and their sport according to the highest standards of conduct. It implies

civilized and gracious behavior to players, coaches, fans and parents.”

RESPONSIBILITY “Athletes show responsibility by making academic progress toward graduation their top

priority. They solve problems rather than make excuses and are reliable team players.

Students should be accountable for their actions and decisions, and coaches and

administrators should maintain high standards of competence and conduct.”

INTEGRITY “For student competitors and their coaches, integrity means keeping commitments and

conducting honest behavior. Student-athletes must know and understand the Champions

of Character Student-Athlete Pledge.”

SERVANT LEADERSHIP “This core value refers to putting the group first and becoming responsible for personal

and group roles while performing at your best. Students demonstrating servant leadership

have a primary purpose of serving others while striving to become a personal and team

leader. The servant-leader provides a critical service to society and the great gift of good

example.”

Page 8: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 8

SPORTSMANSHIP “The conduct of educational sports according to the highest standards is our expectation

for sportsmanship. Administrators, coaches, students, fans and parents are expected to act

correctly even when others do not, and demonstrate fairness and equity in all contests and

relationships.”

The Champions of Character program educates student-athletes on these values through

various presentations and achieves its objectives through the commitments of student-

athletes. All student-athletes are required to sign and adhere to the Champions of

Character Student-Athlete Pledge which symbolizes a commitment to exhibiting the five

core values when representing the University on the court and/or field as well as the

classroom and the community.

IV. ACADEMIC AND STUDENT SERVICES

REGISTRATION

Each student-athlete is assigned an academic advisor in his/her academic discipline to

assist with the registration process and provide guidance in your career direction. You

should plan to meet with your advisor at least once a semester. In preparation for meeting

with your advisor regarding your class schedule, the following key tips will aid you in a

productive and successful registration process.

1. Plan Ahead. If you plan to register for classes on a certain date, contact your academic

advisor at least two weeks in advance to meet with him/her regarding your schedule.

Only your advisor can open your portal for online registration.

2. Come Prepared. Review your degree requirements in advance and have an outline of

the courses that you plan to take prior to meeting with your academic advisor to expedite

you meeting.

3. Communicate. Prior to meeting with your academic advisor, speak with your coach

and identify any concerns regarding taking courses during season and missing class. If

you have any concerns regarding your eligibility status, contact the Assistant Director of

Student Life Sports (Jason O’Dell).

ACADEMIC TUTORS

Academic assistance is generally available within the academic division. Contact your

professor or academic advisor if you are struggling in your studies and require tutoring. If

your academic advisor is unavailable, you can also contact the Faculty Athletics

Representative (Steve Gietschier) or Director of Student Life Sports (Mike Elam).

CAREER SERVICES (Spellman Center 3185) [email protected]

The Career Development Office assists students with the transition from college into a

profession. The Career Development Office coordinates on-campus interviews as well

assists in resume building and job matching programs. For additional information, review

the University student handbook. Lindenwood Athletics has partnered with Career

Athletes to offer a website tool for student-athletes. There is no fee to use it. For

additional information, visit the Career Athletes website (www.CareerAthletes.com).

V. ELIGIBILITY REQUIREMENTS

All student-athletes are required to maintain the academic standards established by

Lindenwood. Every term, academic records are reviewed to confirm compliance with

eligibility requirements. A summary of these standards are indicated below. For

additional information, contact the Faculty Athletics Representative (Steve Gietschier) or

Assistant Director of Student Life Sports (Jason O’Dell).

Incoming freshmen, transfer students, and international students:

A. Incoming Freshmen (Includes traditional, home schooled and international students):

Must have official High School transcripts showing 2 of the 3 items listed below:

1. Minimum GPA of 2.0 (on a 4.0 scale)

2. Rank in the top 50 percent of graduating class

3. ACT (18 or higher) or SAT (860 in math and critical reading)

Page 10: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 10

B. Transfer Students:

In addition to fulfilling the academic requirements of a returning student (see below)

transfer students must complete the following forms with the Faculty Athletics

Representative:

1. Competitive Experience Form: Any student-athlete that has had a gap in

enrollment since high school.

2. Transfer Player Eligibility Statement: Any student-athlete that has attended a

college/university prior to competing at Lindenwood.

Returning Students:

In order to maintain continued academic progress towards a degree, returning

students must pass a minimum number of credit hours coupled with a minimum

cumulative grade point average.

24 Hour Rule: All returning student-athletes must pass a minimum of 24 hours in the

last two full-time semesters prior to the season that they plan to participate. **

**A student-athlete may only take credit for a course one time. For example, if a

student receives a “D” in Psychology, retakes the same course at a later time and

receives a “B”, they may NOT count the hours the second time. If a student

receives an “F” in Psychology, retakes the same course at a later time and receives

a “B”, then we will count the hours the second time because the student did not

receive credit hours the first time. The maximum number of hours a student can

take during summer and j-term is 12.

GPA Requirements: Student-athletes must maintain a minimal cumulative grade point

average based on the number of credit hours earned:

1. 0 to 24 credit hours Cumulative GPA = 1.60 minimum

2. 25 to 54 credit hours Cumulative GPA = 1.80 minimum

3. 55 or more credit hours Cumulative GPA = 2.00 minimum

Once a student-athlete reaches junior status, the eligibility coordinator must also

confirm that the student-athlete is making academic progress towards a degree.

(i.e.: Taking required coursework) During a student-athlete’s last season of

competition, they must have completed 48 semester hours of course work in their

major and general education (excludes electives).

Terms: The maximum numbers of terms (semesters) that a student-athlete can compete

for one sport is determined by the governing body of the sport. Part-time terms/semesters

do not count and the normal number is ten full time semesters.

Seasons: The maximum number of seasons of competition for one sport is determined by

the governing body of the sport. The normal number is four seasons, however some

organizations allow additional years if the student-athlete is completing a master’s

degree.

2014-15 Lindenwood Student-Athlete Handbook – 11

One-Time Appeal: Student-athletes who fall below GPA and credit-hour requirements

are authorized to write an appeal letter to the Vice President of Student Development, Dr.

Guffey. While the appeal needs to be directed to Dr. Guffey, it should be sent to Mike

Elam, Director of Student Life Sports for review first. The appeal should contain an

introduction and an explanation for previous academic performance. Every student-

athlete is given ONE opportunity for appeal during their career at Lindenwood

University. Appeals are granted on an individual basis, they are never guaranteed. Also,

any institutional appeals are subject to the required academic standards of the governing

body of each sport.

Student Athlete Code of Conduct: The University expects student-athletes to represent

themselves and Lindenwood with the highest degree of respect and integrity. Student-

athletes are considered to be valuable role models on the court, in the classroom, and

within the community. As a result, certain expectations have been established in addition

to the expectations of traditional students as outlined in the student handbook. Failure to

meet these expectations may result in the dismissal of the student-athlete from the

athletics program and/or the University.

Academics: In addition to maintaining the academic standards established by

Lindenwood, all student-athletes are required to achieve a specific level of academic

achievement approximately every four weeks throughout the semester.

Week 4: If the student-athlete is attending classes, but has six or more hours of “F”, they

will be given the option of signing an Athletic Success Contract to continue to participate

until mid-term grades are reviewed. This applies to both in season and out of season

participation. Failure to sign an Athletic Success Contract: In season student-athletes will

be allowed to practice, but not compete until mid-terms. Out of season student-athletes

will not be allowed to participate in any practices until mid-terms. If the athlete is NOT

attending classes and has six or more hours of “F”, both in season and out of season

student-athletes will be ineligible to participate until mid-term grades are reviewed.

Mid-Term Grades: IF out of season student-athletes have six or more hours of “F,” they

will not be allowed to participate in out of season practice or conditioning for the rest of

the semester. If in season student-athletes have six or more hours of “F,” they will be

ineligible for participation, but can practice and attend team study halls. Coaches may

choose to appeal for a student-athlete, based on academic progress (not athletic need) by

asking the Director of Student Life Sports to request an updated from an instructor. The

student-athlete may also ask his instructor to email the Director of Student Life Sports an

updated grade. If the appeal has merit, the student-athlete may be allowed to remain part

of the team until week 11.

2014-15 Lindenwood Student-Athlete Handbook – 12

Week 11: If the student-athlete has NOT lived up to the agreement and still has failing

grades, he/she will be ineligible to participate or practice but may attend team study halls.

At the end of the semester, eligibility reverts back to Lindenwood eligibility rules.

Academic Tutors Tutors are generally available in each academic division. Student-athletes should contact

their advisor and/or professor to see if tutoring is available.

VI. STUDENT-ATHLETE POLICIES

Drug Use and Testing Policy All student-athletes are required to follow the drug use and testing policy outlined in the

student handbook. Use or possession of drugs, or alcoholic beverages by any student-

athlete while on campus or at a university sponsored event is prohibited, and will result in

an immediate suspension from their team, and will be subject to expulsion from the

University.

Student-Athlete Drug Use and Testing Policy Lindenwood University is committed to the physical and mental well-being of its student-

athletes. The University holds a strong belief that the use of drugs and alcohol has a

negative effect on the academic and athletic performance of its student-athletes. This

testing and education policy is designed to be in accompaniment to the NCAA Drug

Testing Policy and University policy. This policy is intended to set a minimum standard

by which sanctions are to be enforced. Additional team policies, University policies or

past rules infractions may increase the severity of incurred penalties.

Selection

All Lindenwood University student-athletes listed on a current NCAA squad lists are

eligible for drug testing. Drug testing can be random, at the request of a coach, or if there

is reasonable suspicion. For random drug testing, random numbers will be selected from

a numbered roster. The student-athletes whose names correspond to these selected

numbers will be tested.

In addition, the term reasonable suspicion means that information has been received by a

member of the coaching staff, athletic training staff, staff personnel, or others, in good

faith, from a reliable source, regarding the student-athlete’s use of banned substances.

Furthermore, a student-athlete’s possession of, or use of a prohibited substance, arrest, or

conviction related to the possession of, or use of or trafficking of banned substances, all

rise to the level of reasonable suspicion.

Page 13: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 13

Method of Testing

Student-Athletes will be informed about the drug testing program -- a copy of this

program will be available to the student-athlete as part of the Student-Athlete Handbook

and is available on the Lindenwood University athletic website. Student-Athletes are

required to annually sign a drug testing consent form. Student-Athletes may be

inconvenienced during practices, meetings, strength and conditioning sessions, etc. The

Student-Athlete may even be tested in off hour times such as early morning, meal times,

and/or late evenings.

Tests will be primarily conducted for, but not limited to, drugs of abuse, such as,

amphetamines, cannabinoids, cocaine, and other controlled substances. All other

substances on the NCAA Banned Substance List may also be included in testing. Drug

testing can consist of the collection of urine or hair samples from the student-athlete, or

other similar drug tests, under the direct supervision of trained personnel. Analysis of the

sample will be performed by a laboratory contracted by the University to do such testing.

All samples having positive results, indicating the presence of prohibited drugs or their

metabolites, will be further analyzed. All Student-Athletes refusing to provide a urine

sample will be sanctioned as if their results were positive. All student-athletes refusing to

provide a urine sample will be sanctioned as if their results were positive.

Positive Drug Tests

The Lindenwood University Athletic Department will make every effort to keep the test

results confidential and will oppose disclosure thereof to any unauthorized persons within

or outside the University.

The Head Coach, Athletic Trainer, Compliance Office, Sport Supervisor and Athletic

Director will all be notified of all positive drug tests or alcohol related infractions. The

Athletic Director will inform the student-athlete of the presence of a substance in his/her

sample. The Head Athletic Trainer and Associate Athletics Director for Compliance and

Academic Support will be present and a witness to procedure. The Head Athletic Trainer

will advise the Student-Athlete of the nature of the substance and the negative health

effects of the use of the substance. The Associate Athletic Director for Compliance and

Academic Support will inform the Student-Athlete of the right to an appeal and the

process for doing so.

Any test that comes back positive for an NCAA banned substance will be subject to

following:

1. An initial offense, whether tested at random or for reasonable suspicion, will result

in mandatory enrollment in University Drug Intervention Program, resulting in loss

of play and all team activities until they produce a clean drug screen. Student-

athlete will be required to sign Success Contract with the Dean of Students.

(Agreement attached)

Page 14: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 14

2. A second offense will result in expulsion from the University for failing to

maintain their agreement under the Success Contract.

Appeals

1. All Student-Athletes who incur sanctions under the terms of this program will be

entitled to an appeal hearing before the Drug Policy Grievance Committee.

2. Appeals will only apply to sanctions under the terms of this program and will not

apply to individual team sanctions.

3. Members of the Drug Policy Grievance Committee shall include the Director of

Athletics, Dean of Students, Head Athletic Trainer, Associate Athletics Director

for Compliance and Academic Support and Faculty Athletics Representative. The

Committee will meet at the convenience of all members’ schedules.

4. The request for an appeal must be made in writing to the Director of Athletics by

the end of the second business day after the Student-Athlete is notified of their

results.

5. The Director of Athletics will notify the Student-Athlete of the Committee’s

decision in writing.

6. The results of the hearing are final and binding.

Policy on Excused Absences for Students Engaged in LU Authorized Events

Basic Policy: Lindenwood University allows students (including student-athletes)

engaged in official sports contests, arts events, approved field trips, approved conference

attendance, etc., to be excused from class for university-sponsored events in which those

students are officially representing the University. Students are required to communicate

with their professors and make arrangements for missed work in advance of their

University authorized absences. When make-up work is pertinent, students who have

provided advance notice should be provided the opportunity to complete that work or an

educationally equivalent and substitutable activity at a time and place mutually agreed

upon by the student and the affected faculty member.

Premises of the Policy

1. Lindenwood University exists principally for the education and development of the

student.

2. Intercollegiate athletics, field trips, special performances and recitals, faculty

supervised travel to conferences, and other such co-curricular and extended

Page 15: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 15

experiences are necessary and beneficial components of modern university campus

cultures, and they support the education and development of the student.

3. Students miss academic and student-work activities to participate in scheduled,

organized intercollegiate athletics and other co-curricular pursuits because they have

been asked to do so by the University and are serving the University via that

participation.

4. Students must not be punished for authorized and proper participation in

Lindenwood-sanctioned events for which they would normally be excused under

prevailing University policy. They must not be placed at an academic or other

disadvantage because they are fulfilling their commitment to represent the

University in scheduled, organized co-curricular events.

5. Lindenwood University and its faculty have an obligation to afford reasonable effort

and accommodations to any student who must miss class to represent the University

in any scheduled, organized activities. If circumstances prohibit reasonable

accommodations, the decision between academic responsibility and the conflicting

activity resides with the student. If a student feels an appeal is in order, the Provost

will receive input from both the student and the faculty member and then render a

decision.

6. Student-Athletes are also authorized to miss school for non-institutional sponsored

events (EG. National team events). Students must file the appropriate paperwork and

be approved prior to the event.

Responsibilities

All members of the Lindenwood community have responsibilities to ensure that the

Students’ Excused Absence Policy functions properly and efficiently for students, staff

and faculty. Below are the responsibilities of each party affected by or involved with the

student-athlete Excused Absence Policy:

(1) Department of SLS: The Lindenwood Department of SLS will provide at least 48

hours written notice of necessary, upcoming student-athlete absences for a sporting

event or related, excused sport activity with the online excusal system. The notice

will contain a listing of each student who will be absent from class or other

University related event because the student is representing the University in an

athletic event or function. If a situation arises where 48 hour notice is not possible,

the Department of SLS will notify the faculty of changes or additions to the

(2) Academic Departments: A faculty member or academic department sponsoring a

special co-curricular event or outing should first complete a field trip form and

submit it to the office of the Provost for approval. This form should include a list

of the students attending the outing and a sponsor signature stipulating that all

students who will be traveling have signed a travel waiver. Once the outing is

approved, the sponsor must provide at least 48 hours written notice to the

University community by sending a listing of each student who will be absent from

class or other University related event because the student is representing the

University at an event or function. This listing is to be sent to the Director of

Executive Communication for distribution. If a situation arises where 48 hours’

notice is not possible, the professor or department should notify the faculty of

changes or additions to the excused-student list as soon as possible.

(3) Professors: Each affected professor should make reasonable accommodations for

excused students who are missing class or other academic activities because of

their participation in an event or other function related to their participation in a

scheduled, organized co-curricular event. Professors should communicate, in

advance, a written stipulation of expectations and procedures for students who

must miss class for authorized purposes. Each professor’s expectations and

procedures should meet the parameters outlined in this Excused Absence Policy.

(4) Students: Students who must miss class for a Lindenwood event must provide

personal advance notice to all of their affected professors regarding their specific,

upcoming absence. If possible, this notice should be given to professors at least 72

hours in advance of the affected class meetings. If 72 hours’ notice is not possible,

then the student should notify his/her professor as soon as possible. This personal

notice should be given in addition to the general notice provided by the

Lindenwood Department of SLS or a professor or academic department via the

Director of Executive Communication. In each case, the student is also expected

to rigorously prepare for and promptly appear to engage in any substitute or

“make-up” assignment or activity.

Best Practices (1) The Lindenwood Department of SLS will update the online excusal report, that

will notify all professors of student-athletes' absences at least 48 hours in advance

by email.

Page 17: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 17

(2) A sponsoring faculty member or his/her academic department will provide a

general student absence notice via the Director of Executive Communication to

professors at least 48 hours in advance.

(3) Professors will provide a written stipulation of expectations and procedures for

students who must miss class for authorized University purposes. This policy will

be written in each professor’s syllabus and reviewed with the students during the

first week of class.

(4) Students should individually communicate an upcoming absence to the affected

professors either in person (during office hours or before/after class) or via email

using their lion-mail accounts. If possible, the students should make the professors

aware of the absence at least 72 hours in advance. It is highly recommended that

student-athletes communicate verbally and via email.

(5) At the time that a student personally communicates his/her absence to a professor,

the professor will communicate the steps that the student should take to make-up

any missed class work or assignments, when “make-up” work is pertinent.

Hazing

Hazing is defined as “…an often ritualistic test and a task, which may constitute

harassment, abuse or humiliation with requirements to perform random, often

meaningless tasks, sometimes as a way of initiation into a group. The definition can refer

to either physical (sometimes violent) or mental (possible degrading) practices…” Hazing

includes discomfort, embarrassment, harassment, humiliation, or destruction of property

for the purpose of initiation onto a team. The person’s willingness to participate in such

an activity is irrelevant. Lindenwood has a zero tolerance policy on the hazing of any

student-athlete. Any such exploitation will result in immediate action by the

administration.

Date Rape

Rape is any sexual intercourse occurring against an individual’s will (i.e. rape does not

require the brutalizing of a person or sexual intercourse at knife-point). “NO” simply

means “NO!” Date rape often occurs in conjunction with alcohol use and/or abuse.

Student-athletes should not misread or give out misleading signals. Student-athletes

should also protect themselves from risky situations and be aware of drugs such as GHB

or “Liquid G” and rohypnol, which can cause blackouts and are commonly used by

perpetrators of date rape.

Page 18: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 18

Sexual harassment

Sexual harassment is any unwelcome sexual advance, request for sexual favors, or other

verbal or physical conduct of a sexual nature when

• An individual’s employment or education is put in jeopardy if that individual

should refuse to submit to such conduct,

• Submitting to or rejecting such conduct is used in making decisions about an

individual’s employment or education,

• The conduct unreasonably interferes with an individual’s work or educational

performance or creates a hostile environment.

Sexual harassment includes but is not limited to

• Suggestive/insulting sounds, leering/ogling, and obscene gestures;

• Sexually explicit statements, questions, jokes, or anecdotes;

• Remarks of a sexual nature about a person’s clothing or body, about sexual

activity or previous sexual experience;

• Unnecessary touching, patting, hugging, or brushing against a person’s body;

• Physical assault or rape.

If you are sexually harassed

• Know your rights;

• Avoid isolation and self-blame;

• Keep a written, dated record of what took place and who else was present

• Tell the harasser to stop;

• If necessary, seek a formal resolution through the grievance process.

Disciplinary Actions and Grievances

University decisions regarding disciplinary actions will supersede any decision of any

coach. Coaches may also assess additional punishment where applicable.

If a student-athlete has a grievance or an issue with a teammate, the matter should first be

discussed with the head coach. Should the matter not be resolved in a satisfactory

manner, all parties will meet with the Director of Student Life Sports. Should the matter

not be resolved at that level, all parties shall submit the issue in writing to the Vice

President for Student Development, who shall review the matter within 30 days.

If a student-athlete has a grievance with a coach or any employee of the Athletics

Department, he or she should present the grievance in writing through the grievance

reporting mechanism available on the Athletics Department website.

The matter is submitted automatically to an employee of the University outside of the

Athletics Department, who shall present the grievance for review through the Department

of Human Resources, which shall gather appropriate information and review the matter

within 30 days.

Social Networking and Public Forms of Communication

(Facebook/MySpace/Twitter) Lindenwood respects each student-athlete’s right to free speech and expression.

However, student-athletes are responsible for the manner in which they choose to use this

expression. The University’s primary concern regarding social networking sites such as

Facebook, MySpace and Twitter involves the safety of students as well as the integrity of

Lindenwood and its community. Potential employers, clients, and family members may

access this information. Unfortunately, the information can also be accessed by predators

and criminals. Once information is posted to the web, it becomes part of a public realm

accessible to anyone with internet capabilities. You forfeit any right to privacy when you

submit pictures, blogs, and/or comments on these websites. In addition, these items can

be archived forever. Remember, what you do represents you and your team, as well as

Lindenwood University.

While Lindenwood has no specific policy negating the use of these web sites as it

recognizes that they can be educational, the University does possess resources to

determine whether items posted defame the University, its students, faculty, and staff.

Student-athletes will be held accountable for any such items, which may result in

dismissal from the program and/or the University. Listed below are a few guidelines to

follow:

1. Avoid posting personal information like addresses, residence hall locations, cell

phone numbers, etc.

2. Do not make references to alcohol or drugs in photos or blogs.

3. Do not post explicit pictures.

4. Do not post negative references to students, your teammates, instructors, staff, or

your opponents.

5. Logos and pictures posted on the University’s website are copyrighted and cannot

be used without University permission.

Team Travel 1. Regarding class absence, student-athletes are excused from class for all approved

away competitions as well as related, approved home competitions. Although the

faculty will make every effort to work with student-athletes, it is ultimately the

student-athlete’s responsibility to contact the instructor(s) at least one week prior to

the competition and make arrangements to make up the work in a timely manner.

The Faculty Athletics Representative will serve as an intermediary between the

student-athletes and faculty to insure that this process is taking place. In addition, a

weekly excuse notification report is forwarded to all faculty confirming a student

athlete’s participation.

2. Student-athletes are expected to be on time for departure.

Page 20: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 20

3. Student-athletes must travel to and from competitions via University-authorized

transportation, unless they complete the alternative travel form and obtain approval

from the Director of Student Life Sports 72 hours in advance.

4. Student-athletes are expected to conduct themselves appropriately as

representatives of Lindenwood.

5. Student-athletes are expected to travel to/from competitions in University-issued

travel suits.

6. Any hotel damage must be reimbursed by the student-athlete.

7. In addition to Athletics Department policies, student-athletes must adhere to all

University travel policies when traveling.

8. Alcohol is not allowed at any juncture during University-sponsored travel.

9. When traveling co-ed, hotel rooms must remain open.

To ensure adequate parking for home competitions as well as daily classes, any team

traveling to other locations for competition must park at the designated location for

charter bus departures. Any vehicle violating this rule may be fined or towed.

Attendance of Non-Lindenwood Athletic Events Policy

Students who wish to be excused for a non-Lindenwood athletic event, such as an

international competition for their home country, must complete the Athletic Leave

Contract completely prior to their attendance. This form may be acquired from your

coach. With an approved Athletic Leave Contract, all classwork is required to be

completed in advance, or made up in a timely manner after returning, as agreed to by

each class instructor.

VII. Co-Curricular Residential Requirement Policy

Lindenwood is by design a residential University. Living-on campus provides

educational living and learning experiences that lead to a student's growth and

development and an enhancement of one's total education at LU. Because residential

living is such an integral component of the collegiate experience, only in very rare and

special incidences would a student be exempted from the University housing requirement

for institutionally funded co-curricular participation. The residential requirement is a

commitment between the students and the University to enhance the student’s experience

and success. As a result, all students participating in institutionally funded co-curricular

programs, e.g., NCAA and Student Life Sports, must live on-campus. When we do not

have sufficient space for all residential applicants on-campus, requests for authorization

to live off-campus will considered on a case-by-case basis, as with all such requests.

Students may apply and appeal to live off-campus if they meet one or more of the

following qualifications.

Page 21: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 21

1. Current active military or veteran status: Students must verify by submitting a copy

of the DD Form 214, Certificate of Release or Discharge from Active Duty (if a

veteran) or written proof of current military active duty.

2. Married and/or with legally dependent children: Copies of legal documentation

will be required to accompany the exemption form request.

3. Medical and disability circumstances: Exemption requests for medical or disability

reason will be forwarded to the Institutional Appeals Committee and reviewed with

the Student Support and Accessibility Coordinator. This committee will render a

decision and notify the Department Residential Life Office and the applicant of the

outcome.

4. Other: Special circumstances can be considered when a significant personal

hardship is worsened by living on-campus and cannot be remedied by normal

means. Verification of special circumstances will be required.

In each case, a student must submit a written appeal to the Vice President for Enrollment

Management. In medical and psychological/psychiatric cases, students must provide

documentation from a physician, psychologist, or psychiatrist, including diagnosis,

specific needs related to condition, and recommended treatment along with an

explanation of why alternative housing is necessary. Students must also submit a written

statement authorizing the attending physician, psychologist, or psychiatrist to discuss the

student's case with University staff. In cases of financial hardship, students must submit

appropriate documentation including such items as tax returns, financial aid statements,

and payroll receipts. Students may also be required to meet with an Admissions/Financial

Aid Officer to review his/her financial status and to explore the possible availability of

additional aid in response to changes in status.

All requests for exemption are reviewed by the Vice President for Enrollment

Management and the Appeals Committee. Students requesting an exemption are

responsible for assembling and presenting any and all information to assist the

Committee in the decision making process. Students are informed in writing of the

decision.

Signing an off-campus lease without housing approval does not exempt a student

from financial responsibility for an assigned space in on-campus housing.

All students who live on or off campus have the responsibility to uphold the Code of

Conduct. Any student whose behavior does not fall within the standards of the

Lindenwood University student handbook will be required to return to campus

housing, as well as face additional conduct consequences.

Page 22: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

Rationale for residential requirement policy

1. Retention – Resident students have greater expectations for academic achievement

and are more likely to remain in college.

2. Extracurricular involvement and greater participation in campus activities -

Students learn to work with others, manage budgets, express their ideas in

meetings, negotiate with others, and follow through with projects.

3. Positive feelings about the campus’s social climate – Students feel that the campus

is more comfortable, academic, supportive, and enjoyable.

4. Personal growth and development - Students meet more challenges, mature more

quickly, and learn to become independent.

5. Interpersonal relationships - Students build strong friendships, share more

experiences, increase interactions, develop open-mindedness, and experience

increased cultural diversity.

6. Faculty interaction - Students have more contacts with faculty members, due to

increased encounters in campus buildings after class and having closer proximity

to faculty offices.

7. Resident students have higher overall satisfaction with their college experience.

VIII. SCHOLARSHIP/FINANCIAL GRANT INFORMATION

In order to maintain your scholarship/grants, you must maintain satisfactory academic

progress. Please review the student handbook for detailed information concerning

scholarship, federal and state grant eligibility.

IX. PHYSICAL EXAMS/INSURANCE/MEDICAL COVERAGE

Tom Godar, Assistant Athletic Trainer

In order to prevent and minimize potential injury, all student-athletes must comply with

the following guidelines established by the Athletic Training Department. Failure to

comply will result in the student-athlete becoming ineligible to participate effective

immediately. Lindenwood University does provide secondary insurance to student-

athletes. However, student-athletes must be in compliance with all applicable conditions.

Eligibility for Athletic Participation

- Pre-Participation Physical Examination

Annual Examination On an annual basis, all student-athletes are subject to be screened and approved by

a medical physician before being permitted to participate with any intercollegiate

team; this includes official team practices, voluntary workouts with coaches and

other athletes, and team-structured activities in the University fitness center. The

screening is effective for one year; however, the physician may re-examine and

change the athlete’s eligibility status at any time.

Student-athletes have the option of reporting to school with a recently completed

physical examination form or having the examination performed at Lindenwood

University prior to the beginning of athletic workouts with their respective team.

Every year, the Team Physician recognized by the American Medical Association,

Physician Assistants, Certified Athletic Trainers, and Athletic Training Students,

will conduct pre-season physicals for each of the University athletics programs. A

date will be scheduled for each athletics program prior to their first official

practice. There will be a $15 charge for all physicals performed at the University.

Past Medical History Student-athletes who have sustained injuries to any of the following are required to

report these injuries during the annual physical examination: head, neck, back,

shoulder, knee, ankle, and/or internal organs. A student-athlete reporting such an

injury is subject to examination by the Team Physician prior to being given

permission to become a team candidate.

Page 24: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 24

Student-athletes who have had an infectious disease during the previous calendar

year must report this illness during the annual physical examination. A student-

athlete reporting such an illness is subject to examination by the Team Physician

prior to being given permission to become a team candidate.

Failure to report such pre-existing injuries or illnesses relieves the University of all

liability, in the event that the athlete sustains a subsequent injury or re-injury to the

affected body part, provided the original injury was a contributing factor to the

subsequent injury in the opinion of the Team Physician.

- SportsWare Online Lindenwood’s Athletic Training Department uses an online data entry system

(SportsWare Online) to complete the student-athlete’s online medical file that

needs to be updated annually. Specific step-by-step instructions for accessing and

utilizing SportsWare Online are available. Each student-athlete will meet with a

member of the Athletic Training Department to review all forms and information

submitted via SportsWare Online. These meetings are scheduled by team. The

following essential information is required:

a) General student-athlete information

b) Current mail address

c) Emergency contact information

d) Current insurance information

e) Medical information (i.e., allergies, medications)

f) Questionnaire

Physical Exams/Insurance/Medical Coverage

Insurance

Participation in intercollegiate athletics involves the inherent risk of injury. For this

reason, it remains necessary for all student-athletes to maintain a personal health

insurance policy. This policy must remain in effect throughout the entire school year,

thus covering all in-season and out-of-season training, practices, and competitions.

Students will not be allowed to participate in any team activity or training until proof of

insurance is provided to the athletic training department and the acknowledgement form

is completed by the policy holder.

The Physical Examination Form and Emergency Information Sheet are available on the Lindenwood

University Athletics Website. To ensure the highest quality of healthcare, it is imperative that all student-

athletes utilize these forms and complete them in their entirety. If you have any questions concerning the

forms or their content, please contact the Athletic Training Department at 636-949-4628.

Page 25: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 25

It is highly recommended the student-athlete’s health insurance policy has a reasonable

deductible, as this may be the responsibility of the student-athlete and/or policy

holder. Furthermore, this policy must meet the following criteria:

1. Coverage of interscholastic athletic-related accidents

2. Coverage in the state of Missouri

3. Coverage for out-patient, in-patient, specialist, and emergency care in Missouri

a. Coverage for ‘Emergencies Only’ in the state of Missouri does not meet the

University’s mandatory insurance requirement

In addition to the specific criteria stated above:

1. Out-of-state Medicaid plans DO NOT meet Lindenwood University Athletics

requirements.

2. If the student-athlete is covered by Kaiser Permanente or another HMO based

outside of the St. Charles area, he/she is required to enroll in another policy that

will provide benefits for athletic-related accidents in the state of Missouri. If an

injury occurs and it is discovered that the student-athlete’s primary insurance

carrier does not provide in-network benefits for providers in the area, the student-

athlete may need to return home, at their own expense, for non-emergency medical

care. In addition, if it is determined that a student-athlete incurred out-of-network

expenses not covered by his/her primary insurance due to lack of coverage in the

area, benefits from the secondary insurance policy may not be available.

Secondary Insurance Information

The University’s secondary insurance policy is limited to those injuries received, which

in the opinion of the team physician and certified athletic trainer, are directly attributable

to participation in sanctioned intercollegiate athletics while a full-time student and team

member at Lindenwood University.

The current secondary policy is an accident-only policy and an excess policy. This

policy carries a $1,000 deductible and eligible medical expenses payable under any other

insurance policy or service contract may be used to satisfy or reduce the

deductible. After the student-athlete’s primary health insurance policy is exhausted and

the $1,000 deductible has been met for the University policy, the secondary health

insurance may provide up to the maximum benefit for eligible medical expenses. This

may not include certain medical procedures, special services, durable medical equipment,

etc. In addition, this accident-only policy will not provide coverage for the following:

Page 26: STUDENT ATHLETE HANDBOOK 2014-2015...2014-15 Lindenwood Student-Athlete Handbook – 2 Message from the Director of Student Life Sports Lindenwood University has a rich history and

2014-15 Lindenwood Student-Athlete Handbook – 26

1. Costs incurred from the care of injuries and illnesses that are not linked directly to

a specific athletic accident or event.

2. Costs associated with injuries and illnesses incurred while participating in

activities not

directly associated with the student-athlete’s intercollegiate program.

3. Costs incurred due to the treatment of pre-existing conditions.

4. Costs incurred due to additional testing required as the result of issues or concerns

raised during the pre-participation examinations.

5. Costs incurred from the emergency care of medical conditions that are not directly

attributable to the participation in intercollegiate athletics (i.e. appendectomy).

6. Costs incurred due to dental care not relating directly to an athletic incident.

7. Costs incurred due to injuries associated with fighting (regardless of the setting).

Guidelines for Reporting an Injury/Submitting a Claim: 1. The athlete must report all injuries and illnesses to the athletic training staff in a

timely manner for appropriate evaluation and referral.

2. All medical services and referrals must be coordinated and/or approved by the

athletic training department. Any costs related to medical services scheduled

without notification and approval from the athletic training department will be the

sole responsibility of the student-athlete: this does not include emergency care. In

the event of an emergency visit, the student-athlete should seek assistance from the

athletic training staff immediately after returning to campus.

3. The student-athlete must have all medical expenses filed with his/her primary

insurance carrier first.

4. Then the student-athlete must submit the Explanation of Benefits from his/her

insurance company to the University, along with a copy of the itemized bill for

services rendered.

5. The athletic training department will then complete and submit the appropriate

claim form and the submitted EOB’s and itemized bills.

6. Copies of these items will be sent to Lindenwood University’s secondary insurance

company and final payments will be made upon approval. Original copies will be

retained by the student-athlete. Additional copies will be kept in an insurance file

on campus for reference.

7. It is the student-athlete’s (and policy holder’s) responsibility to ensure the athletic

training department has received all bills and EOB’s related to the injury. Failure

to provide the athletic training department with the required paperwork will negate

the University's responsibility toward the incurred medical bills.

8. Additional information may be requested regarding the primary insurance policy

and/or employment of the student-athlete’s parent(s). It will be the responsibility of

the student-athlete to ensure all requested documents are submitted to the

secondary insurance carrier in a timely manner.

XII. MEDIA RELATIONS

Phil Vida, Sports Information Director

636-627-2535 [email protected]

During your years at Lindenwood, you may be called upon by the Sports Information

Office to appear for interviews and photographs. You have a responsibility to the

University, your coaches, and teammates to cooperate with these requests whenever

possible.

All of these media/institutional requests must be coordinated through the Sports

Information Office. If you receive an interview request by telephone or via email, ask

that the media representative make arrangements through the Sports Information Office.

In general, when speaking to the media, be confident, courteous, and prompt. Always

remember when dealing with the media to present an image that is consistent with the

ideals and high standards of Lindenwood.

If you have any questions about how to conduct interviews, please feel free to contact the

Sports Information Office. Lindenwood makes a strong effort to gain positive exposure

for its athletics programs and your efforts in working with the media are appreciated.

Tips for Dealing with the Media 1. Always be on time for interviews. Should the interview be set for a time on the

phone, make sure you are available. Absence from class for media interviews is not

permitted.

2. Organize your thoughts before a scheduled interview so that you are sure about the

points you want to communicate.

3. Be sure to understand the reporter’s question before answering it.

4. Give proper credit to teammates and coaches and never criticize them to the media.

5. Always say complimentary things about your opponents before and after the game.

6. Keep direct eye contact with the interviewer.

7. Speak in short, clear sentences.

8. Be yourself. Do not be afraid to talk about things of importance to you outside of

athletics. “Conversations” make better interviews then “interrogations”.
