Why Join Us?We are pleased to give you details of this year’s annual conference and how you, as one of ourvalued partners, can confirm your place at this prestigious event which takes place on HamiltonIsland between Friday 1st and Sunday 3rd March 2013.

The annual conference is open to our network of Travel Counsellors and is the most importantevent in our calendar. We invite our supplier partners to attend this event as official sponsors.

This year, we are happy toconfirm that participationincludes an invitation tothe full programme ofevents including the galadinner and annual awardsceremony, plus a stand atour ‘Pow-Wow’ which isattended by all our TravelCounsellors.

This is a chance for youto showcase your productand talk to them on a oneto one basis and is thebest platform we canoffer, for you to networkand sell your product toour entire organisation inone location.

With over 1200 Travel Counsellors operating across the UK, Ireland, Australia, the Netherlands,South Africa, Canada and now Dubai, plus having the support of over 200 staff at our head officein Bolton, we are a globally expanding business well equipped to an ever changing environment,not least because of the personal relationships our individual Travel Counsellors enjoy with theircustomers.

Getting Involved & Additional OpportunitiesFor those suppliers who want a bigger presence at this years event, we can offer brandingopportunities and we can also accept holiday prizes for our ‘pick a box’ draws which will takeplace during the conference session.

‘Pick a Box’ Prize DrawsWe are happy to offer sponsors, who are looking to contribute a substantial holiday prize, guaranteedcoverage over the weekend. We will work with you to create a prize video using supplier footage and/orimages which will appear during a conference session when a prize is won.The prizes will all be drawnthroughout the course of the weekend.Please note that the prize must be a fully inclusive holiday (flights and accom etc).

Evening Events and EntertainmentThe finer detail for the evening events and entertainment is yet to be finalised, if you would beinterested in getting involved please ensure to tick the entertainment box on the booking form on pageand we will come back to you with the options available and potential costs

Additional BrandingFor the first time we are providing a selection of additional opportunities to increase your brand visibilitythroughout the event. These opportunities are limited and as such are offered on a first come firstserved basis so act fast if you’re interested and submit your booking form!

NEW Dual Branded LanyardEvery attendee must wear their name badges at all times and this year we aremoving from the traditional pin badge to a brightly coloured lanyard. Thelanyards will hold the Travel Counsellors logo plus one or two sponsoringcompanies.

$450 for single sponsor branding

NEW Programme AdvertisingThis year there will be dedicated PowWow section within the eventprogramme which will allow attendees to plan their route and make notes asthey work their way around.

We are opening up the Programme to allow you to have a half page ofadvertising to entice the agents to your stands. We also have a number ofideas to ensure that you get the opportunity to see as many of the TCs aspossible and we look forward to sharing these with you.

Payment Terms: A deposit of 20% is required on completion of this booking form via cheque or direct payment - details can befound on page 7. You will be issued with an invoice for any outstanding fees showing detail of payments made.Booking Terms: Completion of this booking form is a contract. Cancellations must be made in writing at least 40 days before theevent by 4pm for the attention of Amanda Steele, and will incur a 35% fee. No refunds can be given for cancellations received lessthan 40 days before the event or for non-attendance. In the unlikely event of cancellation by the event organisers, liability will berestricted to the refund of fees paid. Booking Information and Terms & ConditionsBooking Terms† Gala dinner seating allocation for sponsors is as follows:Standard Sponsors: You will be allocated to a table with other sponsors, Travel Counsellors are not guaranteed.Premium Sponsor: You will be allocated your own hosted table with Travel Counsellors and their partners.Platinum Sponsor: You will be allocated two hosted tables with Travel Counsellors and their partners.Completion of the booking form is a contract. Cancellations must be made in writing at least 30 working daysbefore the event by 4pm for the attention of Amanda Steele, and will incur a 35% fee. No refunds can be givenfor cancellations received less than 30 working before the event or for non-attendance. In the unlikely event ofcancellation by the event organisers, liability will be restricted to the refund of fees paid for attendance andaccommodation. The organiser reserves the right to make changes to the programme, speakers or venue shouldthis become necessary

Payment procedureThe rate for the Sponsorship package contracted is payable to the organiser as detailed on the booking form. (a) The deposit payment of 20% must accompany the application form either:

i) Via cheque made payable to Travel Counsellors Pty. Ltd , sent to us at Travel Counsellors, Level 4, 34 Queen Street, Melbourne 3000ii) Via Direct Payment using your company name as reference and paying to Travel Counsellors, Pty. Ltd - BSB 063009 A/C 1042754, Payment is non-returnable.

(b) If the balance of money outstanding is not paid by the final settlement date, the organiser reserves the right tocancel the application, reallocate the stand and retain the deposit payment. (c) A sponsor booking a package within the 30 days prior to the opening date of the exhibition will be required toremit the total cost of the chosen package (plus GST) with the completed space application form.

Security and insuranceEach sponsor is responsible for the security and insurance of his/her own stand and exhibits and for his/her ownemployees’ insurance cover including travel insurance. In no circumstances will the organisers or the premisesaccept responsibility or be liable for loss or damage whatsoever or howsoever arising.

Opening hoursStands must be ready during the published hours of the PowWow and remain open continuously until thepublished closing times.

Clearance of stands(a) No stand or materials may be removed before the official closing time of the PowWow. Sponsors attemptingto break down before close of conference will be fined $200. (b) In the event of the sponsor failing to clear his/her exhibits and fittings by the prescribed times, a charge shallbe made by the organiser of $200 and the organizer may arrange for the work to be done.

General stand fitting for all stands(a) Sponsors will be held responsible for any damage to the tables and coverings of their stands, and will be re-charged at replacement value. (b) No part of any stand may overhang any gangway or exceed the allocated boundaries of the exhibition standspace. (c) No petrol, spirit or other hazardous spirit, liquid or vapour is to be brought into the PowWow premises unlesspreviously approved in writing by the organiser.(d) The use of helium balloons and gas cylinders is strictly forbidden. (e) Sponsors wearing promotional costumes that obscure their faces must ensure that their conference namebadge is worn at all times ontop of the costume and clearly visible.(f) Power will not be available to any stands throughout the PowWow.

Conference photographyAttendees agree to the usage of any photography taken by the official photographers. If you prefer an image notto be used by the party, please inform Amanda Steele, Event Manager in writing.
