Available Voicemail FeaturesDepending on what you're doing, you can use your phone, Cisco Webex Settings, the Cisco Webex app, andemail to manage your voicemail messages and settings.

From your phone, you can:

• Record a personal greeting and change it at any time.

• Listen to, save, or delete your voicemail messages.

• Reset your voicemail PIN.

From Cisco Webex Settings, you can:

• Reset your voicemail PIN.

• Obtain your external voicemail access information.

In email, you can receive a notification whenever a voicemail is left for you. This feature is available only ifyour administrator has set up this option for you. In each email notification, you receive:

• Your voicemail message as a .wav file

• A transcript of your voicemail message

Keep in mind that transcription works only for messages left in English.

Set Up Your Voicemail1

Voicemail PIN RulesYour voicemail PIN must meet the following requirements:

• Must be at least six digits long. Numbers only!

• Must not be any of your previous five PINs.

• Must not match the numeric representation of your first or last name.

• Must not contain your extension number.

• Must not contain single or groups of repeated digits (for example, 228883, 121212, or 408408).

• Must not be a numerical sequence (for example, 012345 or 987654).

• Must not contain numbers that are dialed in a straight line on the keypad.

Activate Your Voicemail AccountWhen you get your phone, you must complete a few steps to get your voicemail up and running.

Before you begin

Familiarize yourself with the rules for setting your voicemail PIN.

Keep in mind that Cisco Webex users cannot set up a second voicemail account.

Procedure

Step 1 From Cisco Webex Settings, go to My Profile, click More , choose Reset Voicemail PIN, and create anew PIN.

Step 2 Do one of these actions:

• Desk phones—Press Messages .• Conference phone—Press Messages.

Step 3 Enter the PIN you created and press #.

This completes the voicemail enrollment process.

Change Your Personal GreetingYou can change your voicemail greeting at any time. For example, if you're going to be out of the office, youcan say so in your personal greeting. You can inform callers about the reason for your absence and tell themthat you'll return their call later.

Procedure

Step 1 Do one of these actions:

• Desk phones—Press Messages .• Conference phone—Press Messages.

Step 2 Enter your PIN.Step 3 Press 4 to access Setup options.Step 4 Press 1 to listen to your current greeting.Step 5 Press 2 to record a new greeting, and press # when you finish recording.Step 6 If you are happy with your new greeting, press 1 to save it, and press * twice to exit.

Reset Your Voicemail PIN in My Cisco Webex SettingsYou need a voicemail PIN to access your voicemail messages. If you didn't set your voicemail PIN when youreceived your phone, you can set your PIN at anytime. Reset your PIN when you encounter either of thesesituations:

• After three failed sign-in attempts within 5 minutes, your account is locked for 30 minutes. To unlockyour account right away, reset your PIN.

• Your PIN expires after 180 days.

Before you begin

You don't get a default PIN. Use the Reset Voicemail PIN option in Cisco Webex Settings to create it.

Familiarize yourself with the rules for setting your voicemail PIN.

Procedure

From Cisco Webex Settings, go to My Profile, click More , and choose Reset Voicemail PIN.

Reset Your Voicemail PIN on Your PhoneYou can reset your voicemail PIN on your phone. Your account cannot be locked or expired.

Use a One-Time PIN to Reset Your Voicemail PINVoicemail can send a one-time PIN (OTP) to your Cisco Webex app. This temporary PIN allows you to signin on your phone and generate a new PIN.

If this feature is turned on for your organization, you receive OTP credentials in these cases:

• You are activating your voicemail.

• Your voicemail account gets locked.

• Your voicemail PIN expires.

Before you begin

You need the credentials that are sent to your Cisco Webex app in the Voice space.

Procedure

Step 1 Do one of these actions:

• Desk phones—Press Messages .• Conference phone—Press Messages.

Step 2 Enter the OTP that you received in your Cisco Webex app.Step 3 Enter the new PIN you want to set and press #.Step 4 Enter the new PIN again and press # to confirm.

Your new PIN is now active.
