Sage 50c Subscription 

There are two types of plans available to customers.

Sage 50c is the new subscription plan that includes cloud connectivity. This is the recommended plan for all customers.

The Sage 50 Classic plans are only available for existing customers. These are the current traditional plans.

The product downloads for Sage 50c and Sage 50 Classic are identical. The key differentiator is 50c is the only plan that will offer cloud connectivity.

Sage 50c Cloud Connectivity‐Sage Drive 

Sage Drive is a service that enables you to store your company database in the cloud and then access it from anywhere you have Sage 50 installed and have internet access.

For SAN members and customers with a Sage 50c subscription plan, the Sage Drive service is included, at no additional cost, as long as the subscription remains active.

Why use Sage Drive? 

Provides a secure, convenient means of accessing data from multiple locations

Eliminates the need to port data to different locations using a USB drive

Accountants can access client data without leaving the office

Serves as an offsite storage to protect against fire or other disasters

Who should use Sage Drive? 

Sage Drive was intended to be used in the following situations:

Business owners who want to have access to their data from the office or from home

Small businesses where the accountant enters all or nearly all of the accounting information

Sage Drive User Environments 

Ensure you are making the best choice for your business when using Sage Drive.

Sage Drive can be used in a multi-user environment; however, it will require you to access the company in a single-user mode while it is being shared on Sage Drive.

Microsoft® Terminal Services or Microsoft® Remote Desktop Services is an alternative, if you require simultaneous remote access for multiple users.

Onboarding 

Notification Activation Registration

Customer activates Sage Drive from inside the software: File > Sage Drive

Customer receives email notification and clicks to activate

Customer logs on to existing Sage ID, or

Customer creates new Sage ID account to activate

Activation entitles the data owner to:

Share a company

Invite/manage users

Stop sharing

Requirements 

The following are the requirements to use Sage Drive.

Customers must have the latest release of Sage 50c Accounting installed on their computer

Requires one of the following Internet browsers:

- Internet Explorer 10

- Firefox

- Chrome

A high speed internet connection

Sage Drive terminology  

The following table defines the terms specific to Sage Drive.

Term Definition

Sage Identification /Sage ID

Sage ID is the authentication system that provides a single sign-on solution for all Sage services. A customer needs to link each Sage service using their Sage ID that is registered within the Sage ID portal.

Owner The data owner is interpreted by Sage Drive to be the Sage ID that initially shares the company to the Sage Drive server. The data owner acquires certain rights:

Only the data owner can stop sharing (remove the company from the Sage Drive server)

Only the data owner can add or modify users in the Management Center

The following terms explain how the company data is synchronized among all the users.

Payload Payload is a collection of data that represents a change in the database. It combines all of the changes into a payload, which consists of one single transaction.

Rebase The rebase is backup that includes the payloads.

Sage ID Activation 

In order to use Sage Drive, you will need to create or use an existing Sage ID.

The following steps are used to create a Sage ID from within the product:

Step Action

1 Click File, Sage Drive, and Share Company… from the drop-down menu.

You must active the product to enable the Sage Drive menu option

This will open the Sage Drive Company Share Wizard.

2 Click the Sign up now link if you do not have an existing Sage ID.

If you have an existing Sage ID account, you can skip these steps and activate your Sage Drive service.

The steps to activate Sage Drive are in the following topic.

3 Click create a Sage ID account link on the Welcome to Sage Drive page.

4 Enter the account information to create your Sage ID.

Ensure you have access to the email address, as you will receive a confirmation email to activate your account.

You will use this email address to access all components of Sage Drive.

Step Action

5 After completing all of the account information, the Awaiting activation screen will display and the automated email is sent to the email address you entered in the previous step.

6 Open the automated email and click the Sage ID Activation link.

7 After a successful activation, the Welcome to Sage Drive page will display.

If you are the owner that will share the company, you can select the Register link to activate Sage Drive.

Sage Drive Activation 

Once you have activated your Sage ID account, you will have to activate Sage Drive before you can upload your company to the cloud.

The following steps are used to activate Sage Drive from within the product.

Step Action

1 Click the Activate it now link from the Sage Drive Company Share Wizard.

2 Enter your Sage ID login credentials. See the Sage ID Activation topic.

Your email address used when creating your Sage ID is how you access all components of Sage Drive.

3 You will receive a message that you have successfully registered for Sage Drive.

Share a company 

In order for you to connect to the data, you must share the company. Once the company is shared, only one person can access the data at a time.

The following steps are used to share a company.

Step Action

1 Click Sign In with your Sage ID on the Sage Drive Company Share Wizard.

2 Enter your Sage ID email and password credentials.

3 Click Allow to grant Sage ID permission to access Sage Drive.

4 Ensure that you are signed into the wizard successfully.

5 Click the Create Backup button to make a local copy of the company data.

As a best practice, it is strongly suggested to create a local backup.

6 Click the Share Company button to start the company upload process.

Currently, you can share an unlimited number of companies using Sage Drive.

There is not a company database size limit.

7 Once there is a successful upload, you will see a green status bar and Upload Completed.

Upload times will vary depending on the size of your database and internet connection speed.

During the upload, a baseline backup is being created and sent to the cloud.

8 After a successful upload, you will receive a screen indicating the company was successfully setup on Sage Drive.

9 You are ready to setup users in the Sage Drive Management Center.

If you select Don’t show this screen again check box, you can open this screen manually by

selecting Help, Sage Drive Welcome Page.

Sage Drive Company – Visual Indicators  

There are several ways to visually identify when a company is being shared via Sage Drive. Once the company is shared, the Share Company feature is disabled.

The following table provides the visual indicators.

Sage Drive Management Center 

The Sage Drive management center enables you to add users to access the shared company.

The following steps are used to Add Users.

Step Action

1 Click File, Sage Drive, and Manage User Access (Management Center) from the drop-down menu.

The Sage Drive Management Center browser is opened.

Click the add user icon to add a new user to the company.

You are entitled to four users and one accountant user.

The total of entitled users does not correspond with the Sage 50 US license agreement.

Currently, there is not a difference between users and the accountant user.

3 Enter the user information.

If you have multiple companies on Sage Drive, select the appropriate company for which you want to define user access.

Once the user information is saved, you cannot change the Name or Email.

4 The user will receive an email inviting them to use the shared Sage Drive company.

If they do not have a Sage ID account, they will need to create an account.

Download a Shared Company  

Once a company is shared, you can download it from anywhere you have the product installed and a high speed internet connection.

The following steps are used to download a Sage Drive Company.

Step Action

1 Click File and Download a Sage Drive Company. This option is available when there are no companies open in the program.

2 Click Sign In with your Sage ID.

3 Enter login credential for Sage ID.

4 You are now logged into the Sage Drive Company Access Wizard.

5 Select the company that you would like to download.

6 During the download process, a local copy of the company is created in your datapath.

A download only occurs once.

After downloading, you will open a Sage Drive company like any other company.

7 Once the download is complete, you will see the cloud emblem adjacent to the company name.

You will see a brief message Opening a Sage Drive company. Please wait.

Once the Sage Drive company is open, you can proceed working in the company as normal.

Stop Sharing  

The data owner is the only user that can stop sharing a company.

The following steps are used to stop sharing a Sage Drive company.

Step Action

1 Click File, Sage Drive, and Stop Sharing from the drop-down menu.

2 Click Yes to confirm that you want to stop sharing the company.

This will remove the company from Sage Drive.

Any user that has previously downloaded the company will still have access to the local copy; however, they will not have the latest changes saved to the company.

3 You will receive a confirmation message that the company is no longer shared.

Sage Drive Management Center – Delete a User 

The Sage Drive Management Center will allow you to delete users.

The following steps are used to delete a user.

Step Action

1 Open the Sage Drive Management Center to remove a user.

2 Click the By user radio button to display all the users.

Highlight the user name and select the button.

If the delete button is not enabled when you select a user that indicates the user is the Owner of Sage Drive.

When the user is associated with multiple companies, this will remove access to all companies and they can no longer download current versions of the data. However, they will have access to the previously downloaded local copy of the data.

Sage Drive Management Center – Edit a User 

The Sage Drive Management Center will allow you to edit users.

The following steps are used to edit a user.

Step Action

1 Open the Sage Drive Management Center to edit a user.

Highlight the user name and select the button.

The edit button is available when filtering the Sage Drive Management Center by company or user.

Sage Drive Management Center – Delete a Company 

When filtering the Sage Drive Management Center by company, there is an option to delete a Sage Drive company. You should never utilize this option! The proper way to remove a company from Sage Drive is to stop sharing the company from within the program.

New Folder, Files, and Menu Option 

Folder: Sage Drive Payloads 

The Sage Drive Payloads folder is the queue where payloads are written waiting to be uploaded by the program to the cloud. There is a thread that runs to check for payloads. As transactions are saved, they are written as one or more payloads in that directory.

Files: Syncstate.txt and Payloadqueue.xml 

File Description

Syncstate.txt Location: specific company folder

When opening the company, the file communicates the current state of the company and its value is checked against the Sage Drive server to decipher whether it needs to retrieve payloads or not.

Payloadqueue.xml File is created if you lose internet connection and the company closes with payloads not uploaded.

When the company is reopened, it captures the payloads which have to be uploaded and the order in which they must be recovered.

Update to the Entitlements.XML file  

Sage Drive is enabled by the Sage Drive node in the entitlements file.

This is set by Sage PASS when the Sage 50c subscription plan is present on the Fusion record with valid dates.

Sage Drive is not tied to the serial number directly, however since the serial number ties the user to their entitlements, it is linked.

It is the same process as the payroll node of the entitlements file.

Rebase Sage Drive Company 

The rebase command is available just in case there are companies that will not sync (download) payloads due to errors in transit.

You can force a rebase of the company, which will cause a full backup to be restored when the user reopens the company.

This can also fix problems where payloads are missed because of a program crash or internet connection outage.

You should rarely use this option. However, this could help get two companies back in sync as the program will take rebase/baselines over payloads.

If you receive sync errors when opening the company, go to the other machine or last access location and force a rebase with this command. Then, reopen the company from the machine that is unable to sync.

Futurefunctionality

Currently, the Pause sharing a company & Resume sharing a paused company are not available options. These features will be offered in a future release.

License Agreement 

Sage Drive enables you to install the program on one additional client device in addition to the number of installations allowed by your license agreement for the program.

Single User Tasks 

When sharing a company, you can make backups and change the accounting period. However, there are other single user tasks you cannot perform when the company is being shared.

You will have to stop sharing the company in order to perform the following tasks:

There is no error message for this task. However, you cannot complete this task as the wizard will not allow you to make a backup.

Posting Method 

In order to use Sage Drive, it requires Real Time posting method.

When you share a company, it will automatically change the posting method to real time.

If you stop sharing your company, you will have to manually change your posting method back to Smart Posting or Batch.

Troubleshooting  

Unable to open Company 

Sage Drive only allows one user in the company at a time. When accessing a Sage Drive company that another user has open, the following message will display:

There are no workarounds for this error message, you will have to wait until the current user closes the company or reaches the inactivity time limit.

Inactivity time limit 

Since Sage Drive is single user, there is a built in activity timer. Therefore, if you are inactive for 60 minutes, the company will automatically close. The following message will display:

Scenario Error Message

When creating a Sage ID account for Sage Drive, I receive a message “Account creation was unsuccessful. The email address is already in use. Please enter a different email address.”

Reset Sage ID Password Resolution 

The following steps are used to resolve the scenario.

1 Cancel the sign up process for creating a new Sage ID.

I am unable to run the Sage Drive Company Setup Wizard. When I try to sign in with my Sage ID, I receive a message “The Sage ID you have supplied has not been registered for Sage Drive.”

Unable to run the Sage Drive Company Wizard Resolution 

The following steps are used to resolve the scenario.

Step Action

1 Close the error message.

The message will display, if you attempt to Sign in with your Sage ID on the Sage Drive Company Share Wizard without activating your Sage drive account.

2 Click the Activate link on the Sage Drive Company Share Wizard.

4 Reopen the program and the company.

5 You will receive a prompt to login with your Sage ID credentials.

6 Enter your login information to open the company.

There is a risk that you could lose previously saved data. You should only proceed through the following steps, if the previous data related steps did not resolve the error.

Step Action

1 Open the Sage Drive Management Center using the data owner credentials.

Since the data could not be downloaded from the cloud, you will have to delete the company.

2 Highlight the company that you are unable to download and select the button.

3 Confirm that you want to delete the company.

4 Re-share the company from the machine that last modified the company.

This step is extremely important to avoid losing transaction or other changes made to the company.

If you are uncertain which machine updated the company last, you can find the folder in the datapath and look at the date modified.

You can proceed with sharing the company if you are uncertain which computer made the last change, however you this could result in losing data.

5 Open the Sage Drive Management Center to give the users access to the company again.

Unable to Save Changes in Company Scenario

When trying to save a transaction or record in my company, I receive a message “Sage 50 has lost contact with the current Sage Drive company.”

Unable to Save Changes in Company Resolution 

The following steps are used to resolve this scenario.

Step Action

1 Ensure you have internet connection and click Retry button.

Sage Drive periodically synchronizes data with the cloud.

When saving a transaction or record, the Retry button will take you back to the transaction or record. You can try to save the record again. If you are unable to save, proceed with the next steps.

2 Click the Close company button, if the retry button does not resolve the error.

3 Restart the computer and open the company again.

This will force a synchronization of the company as long as no other users have the company open.

Unable to Open Company Scenario 

Scenario Error Message

When opening my company, I receive an error message “The Sage Drive company is no longer shared.”

I select OK and the cloud emblem adjacent to my company name is no longer visible.

However, I am able to open the company locally on my computer and it no longer shows Sage Drive under the menu bar.

The following steps are used to resolve this scenario.

Step Action

1 Verify the company is being shared by the owner.

Typically, this message indicates the data owner has stopped sharing the company.

If not, the owner will need to re-share the company.

2 Re-download the company to ensure you have access to the latest version of the company.

1 Verify that you have purchased a Sage 50c subscription.

Sage Drive is only available for those on the Sage 50c Subscription.

2 Activate the product.

If the produce is already activated, you will need to refresh Sage 50 subscription.

3 Close and reopen the program.

The menu option is not enabled until the product is closed and reopened after activation.

2 Is there a limit of data files with Sage Drive?

Currently, there is not a limit to the number of companies

3 Where are the Sage Drive servers located?

Currently the Sage Drive servers are leased from Amazon and all Amazon servers are in the US.

4 Can the Sage drive allow multi-user log in at the same time in one Company?

No. When a company is accessed via Sage Drive, it must always be in single user mode.

5 If the client has multiple users (5 users), when I do my month end work though Sage Drive, do all client’s staff have to stop their work?

If the client is multi-user and they share their company on Sage Drive, they will be in single-user mode all the time (until they stop sharing the company).

6 If I have the Accountant Edition, do I need Sage Drive? If yes, what are the charges?

Yes, you will need Sage Drive to download companies on your computer. For SAN members the Sage Drive service is included with SAN membership.

7 If data from Sage 50 is stored on a server rather than a local drive, will there be any issues in uploading to Sage Drive?

No

8 If an attempt is made to use the data in Sage Drive and another user is accessing it, will you be notified if it is in use and will you be notified when they are finished?

Yes, you will be notified when you attempt to open the Sage Drive Company.

No, you will not be notified when they are finished. By default, they have access for 12 hours, or the company is released after 1 hour if there is no activity.

9 If you attempt to log in to Sage Drive and your credentials are not authorized – then you have the opportunity to log in using a different Sage user login. In what circumstance would someone have additional credentials?

There's a scenario where a series of different people might be using and possibly sharing a variety of Sage IDs. Also, a SAN member who is working on behalf of multiple clients would not easily be able to switch companies without being able to log out of one ID in order to use another.

10 Are there plans to consider Sage Drive for multi-user in the future?

R & D has been asked to estimate the scope of this effort. Whether they actually do it will depend on the time and resources required.

11 If a user is removed from the list of users of the Sage Drive company file, what happens to the Sage 50 data file currently on their system? Can the database be opened at all on that person’s computer so that the data can be seen?

If a user is removed from access to a Sage Drive company, they will still have a local copy of the company that can be opened, but it will no longer be synchronized and it will be out of date.

Payment Center Enhancements 

The Payment Center dashboard is a central location for basic payment management: processing customer credit cards, viewing transaction reports and history, and managing batches. You can view your credit card processing information in a single place with the new dashboard.

From the dashboard, administrators can launch the Payment Center Portal (Sage Exchange) to perform more advanced payment activities such as connecting the Payment Center Portal to Sage 50 to post journal entries or to set up recurring entries. In addition, they get access to all transaction processing data for every account, which is ideal for companies that have multiple locations.

How can I get a Sage Payments merchant account?  

You can apply for one inside the product by clicking the green Accept Credit Cards button in the navigation pane. The application will have certain fields automatically populates to help expedite the process.

Payment Center Dashboard 

After you activate payments, you will have access the dashboard. The dashboard is a quick and convenient way for you to view payment information and perform your most common payment activities.

The interactive dashboard contains all customer credit card processing transaction in one place.

At the end of the day, you can perform batch management from the dashboard.

Dashboard exceeds industry standards for user security and PCI compliance.

Payment Center Portal  

The Payment Center Portal provides more advanced capabilities and insights.

Administrators and managers can see transactions and batch information for multiple accounts.
