Djaringo Pty Ltd is a Registered Training Organisation which provides training and education opportunities in the Kimberley region to help individuals and communities build a better future.

Our Services

Djaringo is a small Aboriginal owned RTO and the training arm of Nirrumbuk Aboriginal Corporation (NAC) We offer a variety of qualifications and flexible delivery training methods to support Indigenous students. Djaringo has its own facilities and equipment to deliver training in both classroom and work place settings.

Our mission

Our Mission is to provide Aboriginal People of Western Australia, with Training to develop the skills required to gain employment in the mainstream labour market and to assist in the achievement of self-sufficiency, self-management and to obtain a better standard of living.

RTO Information

Terminology

In this handbook,

RTO means a training organisation that is registered with the relevant state and/or national training authorities;

Student means all clients of our training services, including participants in short courses and trainees undertaking longer-term courses.

Registration

Djaringo is a Registered Training Organisation (RTO 50292) providing quality training and assessment to its clients and students.

Djaringo encourages you to familiarise yourself with the contents of this handbook, which contains important information about our training services, the commitments we make to our clients and student and your obligations as a students.

Services provided to students follow Djaringo policies and procedures developed to meet the Standards for Registered Training Organisations 2015 and the Australian Qualification Framework (AQF)

About Vocational Education & Training (VET)

VET aims to provide people with the skills and knowledge they require to:

enter the workforce for the first time;

re-enter the workforce after an absence;

train or re-train for a new job ;

upgrade their skills; or

progress into further study including further VET or university courses.

Nationally Accredited Training

Djaringo offers nationally-accredited training through our training centre at 34 Blackman St Broome.

We are authorised to deliver accredited training courses under our Scope of Registration. This current list can be found on www.training.gov.au.

Djaringo abides by strong ethical standards in relation to marketing our services.

Djaringo markets vocational education and training products only within its approved scope of delivery and does so with integrity, accuracy and professionalism, avoiding vague and ambiguous statements. In the provision of this information, no false or misleading comparisons will be drawn with any other provider or any other course.

OH&S Policy

The Health and Safety Policy of Djaringo aims to protect students and others at our workplace or training venues from work-caused injury and ill health and complies with all relevant safety legislation.

Training in the workplace

When delivering training and assessment in the workplace the employer is responsible for safety issues and has to abide by workplace safety responsibilities.

If required, Djaringo would review the workplace and make any recommendations to employers on additional requirements you may need in your work routine. We would then ask the employer to sign off on a statement agreeing to keep the workplace safe for students and our trainer/assessor(s).

OH&S Responsibility

Trainers and all persons directing the work of others will share responsibility for the safety of all persons in their charge. They will actively take steps to identify hazards, which could cause harm to persons in their area of control or operation and take prompt action to remove or control, or alternatively report them to another person who has the authority and capability to do so.

Djaringo management and trainers may delegate safety duties or activities to others, but responsibility remains with them.

Students must take care of their own health and safety and that of their fellow workers to the extent of their capability. This means they must follow all safety rules, procedures and instructions of Djaringo staff, workplace supervisors or any other management personnel involved during the day to day training activities. If you have any concerns about any Occupational Health and Safety matter please talk with your trainer or the RTO administration staff.

Prevention of Workplace Bullying

Workplace bullying is the repeated less favourable treatment of a person by another or others in the workplace. Bullying is persistent unwelcome behaviour, mostly using unwarranted or invalid criticism, fault finding, exclusion or isolation.

Djaringo is committed to providing a positive learning environment free from intimidation, ridicule and harassment. Every employee and student has a responsibility to maintain a working environment free from negative and bullying behaviour.

Djaringo will investigate all complaints of bullying and will take corrective action where necessary.

Smoking

Djaringo does not permit smoking in its training areas and on its property at any time. If you wish to smoke you must use the designated smoking areas during scheduled breaks only.

Alcohol and Drugs

Djaringo recognises alcohol and drug abuse can affect one’s ability to safely perform their training and is an occupational health and safety risk. Djaringo has a zero tolerance policy in regards to the use of illicit drugs and consumption of alcohol whilst on the property. Djaringo does not tolerate attending training under the influence of drugs or alcohol. If anyone is suspected of being under the influence of illicit drugs and alcohol they will be asked to leave the premise for the remainder of the day. If there is repeat offences the student may be permanently removed from the course.

Disruptive Behaviour

To ensure all learners are provided with an equal opportunity to learn and achieve, dysfunctional or disruptive behaviour will not be tolerated. Any student or client who exhibits such behaviour will be asked to leave the premise immediately and risks forgoing future training and assessment.

Code of Practice

Djaringo will maintain high professional standards in the marketing and delivery of industry education and training services .We are customer focused and we will strive to grow and continuously improve. Djaringo has the capacity to deliver the courses on the scope of registration, and other advertised courses and will ensure that the facilities, methods and materials used in the provision of training will be appropriate to the outcomes to be achieved. We uphold the integrity and good reputation of the company and its services by:

Acting with honesty, due care and diligence

Behaving ethically and professionally and being openly accountable for our actions

Avoiding any practice or activity which could reasonably be foreseen to bring the company into disrepute

Djaringo has clearly documented procedures for managing and monitoring all its training operations and reviewing student’s satisfaction. Djaringo will maintain systems for:

Recording and archiving students enrolments;

Attendance;

Completion;

Assessment outcomes;

Recognition of Prior Learning (RPL/RCC);

Complaints and Appeals and

Qualifications and Statements of Attainment issued.

RTO Compliance

As part of our obligations as a RTO, Djaringo will:

Maintain adequate and appropriate insurance, including public liability and Workcover

Advise State and Federal Training Authorities in writing of any change to the information contained in the application for registration

Allow the State and Federal Training Authorities or their agents access to training records, delivery locations and staff for the purpose of auditing or verifying compliance within the conditions of registration

Supply State and Federal Training Authorities with delivery details for each course within the Scope of Registration, including trainee information in accordance with AVETMISS requirements

Resolve any complaints and appeals raised by students

As a Registered Training Organisation, Djaringo undergoes regular audits by State and Federal Training Authorities. These audits contribute to the ongoing improvement of our services and should you be contacted by a representative from one of these training authorities, please provide genuine and comprehensive feedback on your experience of our training services.

Information for students

Responsibilities of students

As a student you will be required to take responsibility for:

Be committed to the completion of your study within the designated timeframe. Re-enrolment fees apply after this time.

Reading all relevant course and training information

Advising your trainer if you have previous skills and knowledge and seeking recognition of this prior learning

Monitoring your progress by self-assessing your skills and knowledge against the competency standards in your qualification

Attending all training sessions as required and be on time!

Meeting with your trainer to review progress

Indicating whether you are ready for assessment at the scheduled times or seek alternative assessment dates

Working closely with your trainer and other students to present training and assessment session role-plays as evidence where required.

Handing in all assessment tasks as per requirements unless otherwise discussed with trainer

Ensuring all work is students own

Retaining evidence of your working notes and assessments and any other documents in your portfolio of evidence and presenting this for assessment

Discussing any concerns regarding the training course, session activities and your ability to learn with your Trainer

Advising the Trainer if you require any special adaptive equipment or support for the training course

Participating in course evaluation and providing feedback

Provide Unique Student Identifier (USI) or provide Djaringo authorisation to apply for a USI

Responsibilities of Djaringo to students

Djaringo will:

Provide you with a safe and healthy learning environment

Provide you with a training and assessment schedule

Provide you with the appropriate unit of competency details included on your plan

Treat you with respect

Follow all legislation affecting the learning environment

Provide opportunities to practice the skills and knowledge required

Deliver and record training and assessment outcomes

Provide you with access to your file records if requested

Set up work tasks to provide training and coaching to help achieve the competency standards in your training plan

Provide training materials and recommend other resources for further learning opportunities

Prepare you for assessment when you are ready and encourage self-assessment. Advise you where, when and how assessment will occur and what to bring

Assess your skills and knowledge through observation and questioning using assessment tools developed for the purpose

If required, provide further assessment on documents presented in an evidence portfolio

Give feedback to you on your progress

Provide results and review the assessment process after assessment

Remind you of the appeals process and options for further assessments if you are unhappy with the results

Access and Equity

Djaringo actively supports and encourages people of all abilities to participate in training programs. We are committed to integrating access & equity principles within all services we provide to our students, clients and community. All staff recognises the rights of learners and provides information, advice and support on our services. Students will not be denied access to services where they are deemed eligible for such a service and where the organisation has the appropriate resources to provide high quality services.

We provide a safe learning environment to all students regardless of cultural background, gender, sexuality, disability or age. All participants have the right to learn in an environment that is free from discrimination and harassment and to be treated in a fair and considerate manner. Djaringo is committed to complying with State and Federal anti-discrimination and equal employment opportunity laws. Students who have a language barrier, may request that an interpreter attend the training. This must be supplied by the student at their own cost. A full time student support Mentor & Tutorial support options include Face to face tutorial support is available in our Broome based office Monday to Thursday from 9am – 4pm.

In addition, we can also organise contact with other students so you can provide support to each other through the learning process. If you have indicated on the Enrolment Form that you would like this option, your telephone and/or e-mail details will be provided to other clients completing Units of Competency from the same Qualification and vice versa.

Please provide details of any potential barriers to your learning on the Enrolment Form in order for our training staff to tailor a more flexible learning pathway. Djaringo may refer students to additional support services they may require at the students own costs.

Prevention of Sexual Harassment

In accordance with legislation and our commitment to providing a safe learning environment, harassment, bullying and intimidation will not be accepted in the workplace, or in the training environment.

If you have any concerns please speak with your trainer, our RTO administration staff or Executive Officer.

Literacy, Numeracy and Additional Needs

Djaringo is committed to assisting students with differing learning abilities to succeed.

Students individual needs will be assessed at enrolment via a language, literacy and numeracy assessment. Requirements such as alternative formats, adaptive technology and adjustments for other disabilities will be identified and provided where practicable.

Should you require any special assistance such as literacy or numeracy help, disability access or other physical or learning needs, please inform your trainer, or the RTO administration staff.

Some training courses demand a high level of literacy and numeracy to successfully complete. Please discuss any concerns about the levels required for specific training programs and work projects.

Unique Student Identifier

As of 1 January 2015, every student studying in Australia must have a USI number. Your USI number will remain with you for life and will collate information on your VET achievements regardless of where you study. Students can create a USI number by logging onto www.usi.gov.au, prior to attending training or they may authorise Djaringo to create a USI number on their behalf.

Student Records and Privacy

Djaringo treats all personal records of clients confidentially and in accordance with the Privacy Act. As a Registered Training Organisation we must collect and report certain information to the national VET regulator, Department of Training and Workforce Development and other government agencies. This includes your name, address, telephone number, email address, drivers licence details, including the additional information:

Unique Student Identifier Number

Languages spoken at home and level of English language proficiency

Aboriginal and Torres Strait Islander origin

Level of schooling completed

Employment status

Reasons for undertaking the relevant educational course

We keep enrolment forms, training schedules and records of your assessment on file stored confidentially. State and Federal government agencies and Djaringo will use the information gathered for statistical and reporting purposes. It may also be used to claim State and/or Commonwealth Government funding for your training.

The personal information we collect about you will not be used or disclosed other than in accordance with the Privacy Act, and for the purposes for which the information was collected

If at any stage your personal details change throughout the course of your training, please inform your trainer so that your details can be amended.

You have the right to access the personal information recorded at any time and provide any necessary corrections. Please contact your trainer, or RTO administration staff to arrange access to your personal information.

Selection of students

Recruitment of students will be conducted at all times in an ethical and responsible manner and be consistent with the requirements of the curriculum/training package. Djaringo will ensure that application and selection processes are transparent and appropriate and comply with access and equity principles.

Djaringo will provide accurate, relevant and up-to-date information to students prior to course commencement. This will include, but not be limited to:

Individual Training Plan for Trainees

Each student involved in a Traineeship will have an Individual Training Plan developed upon enrolment. This plan will list the units to be achieved as well as assessment tasks and dates for completion. This plan will be continually reviewed during the training program so you can re-negotiate any aspects of the plan.

Recognition of Prior Learning (RPL)

RPL refers to the acknowledgment of the full range of an individual’s skills and knowledge. It includes competencies gained through formal study, work experience and other ‘life’ experience.

Djaringo aims to ensure that an individual’s prior learning is recognised, irrespective of where or how the learning has taken place.

To apply you will be required to complete an application form and supply further documentation, which may include evidence such as:

A certified copy of your qualification/s

Verification from your current manager indicating your current involvement in relevant subjects – on official letterhead

Documented evidence of your current work including samples as requested.

Please talk with your trainer, or RTO administration staff if you have any questions about RPL or would like to commence an application. Please be aware that RPL application will incur an additional fee not covered in funding arrangements.

Fees and Charges/Cancellation and Refund Policy

All payment must be made at least 7 days before commencement of a course as per Djaringo Fees & Charges Policy. Once payment has been received, RTO administration staff will issue the Enrolment Confirmation letter. The Enrolment Confirmation will provide the Djaringo commitment to deliver training within the nominated delivery period for the course, the venue, and any other requirements for the course. The cost of the course includes a $50.00 enrolment fee which is not refundable. If a booking is cancelled with at least 7 days notice we will refund the remainder of the course cost (that is, less the $50.00 enrolment fee). We will rebook a student to another course date without cost, provided that at least 7 days notice is given. If the booking is cancelled or rebooked with less than 7 days notice or if the participant does not attend there is no refund. Apart from this, there are no refunds except in genuine emergencies OR extenuating circumstances such as illness. In these cases, a written application must be provided to the Executive Officer, indicating the extenuating circumstances. Please note that we may ask to see evidence such as a medical certificate before granting a refund. Substitutions of students are permitted at no charge provided prior written notice is given and the substituted participant meets any prerequisite qualifications required for the course. The onus is on the client to make sure that the substitute has enough time to study any background materials before attending the course. Djaringo reserves the right to cancel a course due to unforeseen circumstances. Should this occur, any fees paid will be refunded in full. In such cases, Djaringo’s liability will be limited to the amount of fees already paid. The Executive Officer may consider full refund in the event of extenuating circumstances. Certificates and Statements of Attainment or attendance will not be issued until all fees owing are paid.

Payment of Fees in Advance

Requests or acceptance of fees in advance of delivery of training services needs to be made in accordance with the SRTO’s 2015 Schedule 6.

This means that we will not collect fees before the commencement of the course of more than $1500 from an individual or where the payer is a company. Our payments policy for traineeships (progressive billing as units are issued) is designed to comply with this condition.

Djaringo will collect no more than $1500 prior to the commencement of the course. Further increments will be paid during and upon completion of the course. These increments will not be greater than $1500 in any one payment. Please refer to individual qualification payment schedule available at reception.

All outstanding fees must be paid prior to Djaringo issuing Statement of Attainment and/or Certificates.

Payment Plans

Alternative payment plans (including scheduling of payment) may be assessed on individual basis and must be discussed and approved by the Executive Officer.

Payment Methods

Payment can be accepted via, EFT, Direct Bank transfer (see bank details below), cheque or cash.

Payment Terms

Payment must be made within 14 days from the issue of the invoice.

Overdue invoices may be forwarded to Debt Collection Agency for recovery. Cost for debt collection will be charged to the individual/company.

All outstanding fees must be paid prior to Djaringo issuing Statement of Attainment and/or Certificates.

RPL Fees

The application fee for RPL will be 40% of the course fees if the full qualification is issued. If complete RPL of a qualifications is not achieved, then an RPL fee per UOC is charged at 40% of unit fee.

Service Quality Commitment

Djaringo is responsible for the quality of the training and assessment in compliance with the Standards for RTOs 2015, and for the issuance of the AQF certification documentation. Once the student has commenced the assessment service in their chosen Course or Unit of competency, Djaringo is committed to completing the delivery of the assessment within the agreed duration and will further negotiate the timing for completion of the assessment if a student is unable to complete the course due to illness or extenuating circumstances.

Course Delivery and Assessment

Djaringo ensures that training and assessment occurs in accordance with the requirements of the course and State and Federal training guidelines.

All training is provided in fully equipped training facilities. Delivery methods and activities may include:

individual or group activities

additional projects which can be completed at your own pace

completion of reports and documents

practical projects in the workplace

Our trainers select a range of delivery methods to provide the best learning experience and outcomes for students.

Djaringo complies with health and safety and other laws relevant to the operation of our training premises, and we ensure that training facilities have adequate heating, cooling, lighting and ventilation. Djaringo ensures that training facilities, equipment and other resource materials are adequate for the courses being delivered and are maintained in good order.

Djaringo conducts course assessments in a variety of ways including;

Written theory questions

Oral questioning

Practical tasks

Third party evidence

Portfolio of evidence e.g. photographs, reports

If a student is deemed to be unsatisfactory in a unit of competence, the student will be provided with 2 re-assessment opportunities. When a student has not yet gained competency the student will be required to pay further assessment fees for the unit of competency.

If you have any concerns about the delivery and assessment of your course or the training facilities please discuss with your trainer or our RTO administration staff.

Feedback

Djaringo is continuously working to improve the quality of our training services.

Feedback from students is a fundamental part of improving our training services. A Student Feedback Form will be provided to you during or after your training and we hope that you will take the opportunity to complete the form.

Please be assured that any comments you provide as part of this process are totally confidential and are only used for the purposes of improving the quality of our services to students.

Certificates and Qualifications

Certificates awarded

On successful completion of your training program Djaringo will issue a Qualification, Statement of Attainment or Statement of Attendance, whichever is relevant for the course you are completing. In addition, if you are completing an accredited course, we will supply the unit names with their national codes included on the Statement of Results. Further details on the manner in which your certificate and results will be provided to you are available from your trainer, or RTO administration staff.

Partial completion of qualifications

If you are unable to achieve the full qualification or if you only enrolled for some of the units of competency, you will be issued with a Statement of Attainment with a list of the units achieved. Further units can be achieved at a later date through re-enrolment in a course and the full qualification can be achieved in stages.

Information appearing on certificates

Certificates and Statements of Attainment will include the following:

Djaringo Pty Ltd name and logo

The name of the person receiving the credential

The title and code of the accredited course and units

A unique certificate number

The date of issue

Signature of Djaringo authorised signatory

The Nationally Recognised Training logo

The ASQA logo

Where appropriate, units completed and/or national competencies achieved will be identified.

Provision of certificates and replacement certificates

Certificates and Statements of Attainments will be provided within one month of successful completion of training. Qualifications are issued under the authority of Australian Skills Quality Authority and recognised nationally within the Australian Qualifications Framework.

Replacement Certificates are available on request. A fee of $30 will apply.

National Recognition

Djaringo will at all times abide by the mutual recognition agreements formed between all states/territories of Australia, in the recognition of other RTO's training and certification therein awarded. Therefore Djaringo recognises qualifications and statements of attainment that have been issued by other RTOs, which meet the requirements of the AQTF and the current AQF Implementation Handbook. Students who present a Statement of Attainment or Qualification from another RTO deeming they are competent in the specific unit will receive credit transfer.

Complaints and Appeals Processes

Complaints

Djaringo has an Informal and Formal Complaints and Assessment Appeals Procedure to help resolve any issues you may have in relation to your training with us. Djaringo’s Complaints and Appeals Procedure is based the principles of natural justice and procedural fairness and aims to assist all students to resolve disputes and settle grievances, and receive a fair hearing. If you are not happy with any part of the course (including assessment appeals), you may have your situation reviewed through our Complaints and Appeals Procedure.

Informal Process If you believe you are not being fairly treated, your first approach should be discuss your concerns with your trainer. Your trainer should note your concerns and assist you to resolve them. If you are unable to approach your trainer because the problem is between you and them or because the problem is of a personal nature, we encourage you to speak with the RTO Training Administrator. Formal Process If at any stage you wish to proceed with a formal complaint or appeal, you will need to state your complaint in writing using our Student Complaint Form which is available from the RTO administration staff. Formal complaints will be handled by the Executive Officer who will meet with the complainant to discuss the issue and attempt an amicable resolution. Appeals Process If dissatisfied with this outcome the complainant may lodge an appeal with an independent party who will consider the matter and make a final judgement. If the process is likely to take longer than 60 calendar days you will be advised of this in writing along with a reason for the delayed response, and you will also be informed of the progress of the appeal response.

Your concerns will be handled in the strictest confidence. Lodging a complaint or appeal will not affect your ability to continue studying or obtain other services that you are eligible to receive from us.

Appeal on Assessment

If you are dissatisfied with the outcome of your assessment you must lodge an Assessment Appeals Form within 14 days of the final assessment. Djaringo will assess the appeals request and inform the student of the result in writing within 5 days. If you are dissatisfied with this outcome you may lodge an appeal with an independent party who will consider the matter and make a final judgement. Please contact your trainer or RTO administration staff if you wish to commence this process.

Compliance with Legislation

Djaringo will inform all students of any Commonwealth, State and regulatory requirements that would affect their participation in training. Students will be provided this information at their initial orientation training sessions. Copies of this will be made available to students upon request. Please ask your trainer, our RTO administration Officer or Executive Officer if you require any further information. Additionally, Djaringo will keep all students aware of any legislative or regulatory changes affecting them during the course of their training. This will be conveyed to all students individually in writing by the Executive Officer.
