Manager’s Expectation of this Role

I am looking for someone who brings reliability, commitment, and enthusiasm to the role alongside technical skills and knowledge. Someone who understands the importance of business support and the difference it makes to the effective running of the integrated team

I need you to:

Develop and administer systems and processes which reflect and are proportionate

to a service which is integrated in its broadest sense

Actively promote the purpose and operating principles of adult social care and health

Specifically this role requires:

Operationally:

Systems

Support colleagues to work effectively using corporate or service specific digital systems

FLO:

Support colleagues to create and record a care and support plan

Responsible for ending a care and support plan

Support colleagues to create and record an integrated assessment/CTP assessment

Responsible for systems administration e.g. adding a new user, removing duplicates, troubleshooting, adding police notification etc.

Responsible for creating a new person and closing a case down This will include use of the application Tell us Once, CHC and FNC correspondence – closing a case

Responsible for the administration of FLO allocations (MHCT)

Represent the team at the Flo Systems Group

CEQIP: (Integrated Services Teams)

Support colleagues with satellite store equipment ordering and stock control

Support colleagues with the processing of equipment returns

EPEX: (MHCT)

Responsible for inputting onto EPEX to ensure CTP compliance/cross referencing

Finance

Support the team manager with the monitoring and validating all financial information (including maintaining and updating the finance spreadsheet)

Responsible for recording changes to care packages e.g. hospital admissions and discharges, closures etc. on FLO

Monitor and review dates of FAF provision and receipt

In liaison with others support the resolution of finance queries with care providers.

Responsible for maintaining supplies and stock control

Responsible for raising purchase requisitions (Agresso/Oracle)

Responsible for raising goods receipt notes once invoices have been received against purchase orders (Agresso/Oracle)

Responsible for maintaining outstanding commitments by closing down purchase orders no longer required

Responsible for sales invoicing – across both MCC and ABUHB

Responsible for handling cash e.g. daily kitchen takings, meals, SW emergency fund, travelling expenses, fund raising, individuals weekly allowances and food bank vouchers

Responsible for managing and reconciling petty cash

Responsible for the banking of monies

Responsible for end of month transactions liaising with finance - including monthly spreadsheet of daily takings

Support colleagues with general incoming and outgoing correspondence e.g. letters, emails and communications requiring mail merges

Responsible for general administrative tasks e.g. photocopying, scanning, printing

Support catering colleagues with catering administration e.g. menus, food labels, kitchen monitoring forms

Responsible for minute taking e.g. team and Best Interest meetings, MDT’s and Safeguarding across both MCC and ABUHB

Responsible for file management of paper and electronic notes and records across both MCC and ABHB

Support colleagues to store information correctly across both MCC and ABUHB

Gather information to respond to Data Protection Subject Access requests (SARs)

Responsible for room and transport bookings

Responsible for creating new IT users across both MCC and ABUHB

Responsible for database of IT equipment allocation, management and troubleshooting IT systems and equipment issues across both MCC and ABUHB

Communication:

Responsible for creating a friendly and welcoming atmosphere on arrival

Responsible for front of house (reception), providing information and advice and resolving emerging issues

Responsible for handling incoming calls, taking and passing on messages and managing the outcomes of conversations

Responsible for troubleshooting and working with colleagues to investigate solutions to presenting issues across both MCC and ABUHB

Responsible for informal resolution of complaints (as appropriate to job role) providing appropriate solutions and follow up to ensure positive outcome
