Readiris RCCDSB SEA Training Manual
Preamble of App
Readiris is an Optical Character Recognition (OCR) App
witch converts “Text to Speech.” This converted file can
then be exported to have the text edited (Pages App) or
to iBooks to be read. Readiris does not “read” the
document within the App, it must be “exported” to another
App; Readiris creates a “Readable” document. In
comparison, Readiris is a “Basic” version of Kurzweil.
Readiris works as a simplified version of Kurzweil. It will analyze the page(s) and
create zones: a text (orange) zone and graphic (blue) zone. Editing in Readiris is
limited to deleting and resizing zones. The better the quality of the original
document reflects on the output that Readiris can convert text to speech.
With Readiris you can take a picture of a book and it will retain the format of the
book, including the colour. Other OCR Apps remove the pictures and “pulls” the
text out of the original document and puts it in a “simplified” text form.

Importing Documents
Documents can be imported using the iPad’s camera (including screenshots), taking
a photo from within the App, Internet downloads (EQAO and W. Ross MacDonald
Library) and scanned images from a photocopier or with a PC scanner. Note: Images
obtained from outside the iPad must be transferred using a Virtual Cloud Drive or
“AirDrop” them from another iPad. In general, files can be imported into Readiris
from anther App and or source when the “Share / Export / Open in…” features
that shows the Readiris App as a choice.
iDevices have limited internal storage and use Virtual Drives as external storage
and to obtain files from outside of an iPad. If a photocopier is used to scan, that
file requires to be sent to a Virtual Drive used on the devices. Files from a
computer can be uploaded or copied and pasted into the Virtual Drive, which then
can be accessed from an iPad with the same Virtual Drive. Images taken from an
external camera can also be used by placing them into the same Virtual Drive from
a computer, much like any other file.
Some Basics on What a Student Needs to Know About Readiris
Most students will be using the iPads camera to take pictures and process them
with Readiris and send the new document to iBooks to have it read aloud.
Therefore to use the Readiris App students will need to know:
1. How to use the iPad’s camera
2. How to import into Readiris (camera and a Virtual Drive)
3. How to re-title the document
4. How to reframe pictures and analyze pages
5. How to identify unnecessary zones and delete or resize them
6. How to delete, re-take and re-arrange the pages
7. How to export the document as a PDF Image / Text and Open in iBooks

Getting Started
Settings:
The only setting that may need to be changed is “Main zones only.” This will remove
text and graphic zones that are too small and probably do not contain readable
text or usable graphics.
Tap on “Settings,”
Image Analysis:
Language – Vast selection to choose from, default is English.
Auto-analyze image – In most cases leave selected to on. If
using digital pictures that need adjustment this can be turned
off. But remember to turn it back on!
Main Zones only – Default is off. Turning on will allow
unusable smaller zones to be deleted automatically.
Recommend turning this option to on.
Image Import:
Open added pages – Default is off, displaying pages in thumbnail view. Turning on
this setting the imported page will open in full size.
The “Auto-analyze image” may be turned off when importing pictures with no text,
taken with the iPad camera, including from within the App. This is not a necessary
step, for at times you may forget to turn this feature back on. As well, if you wish
to export / share the document to some other Apps, to edit text, the image(s) will
not appear.

Reset Readiris App to Original Settings
At times it may be required to “reset” the Readiris App to its default settings.
One (un-recommended) way is to delete and re-install the App. Deleting is not
recommended for there may be account and password issues and the App may not
be able to be reinstalled. The recommend way is from the “Settings” on the “iPad”
itself.
Open the iPad settings. Icon located on Home
Screen.
On the left hand (side) bottom pane scroll down
and find “Readiris” and select it.
On the right hand pane slide the “toggle
switch,” beside “Reset application,” to the on
(green showing) position.
Press the Home Button to exit settings and
then access the Apps running on iPad in the
background.
With the one finger swipe up motion, shut down
the Readiris App.
The next time the App is opened the resets
occur. As well the reset application toggle
switch, from settings, will be turned off.

Syncing with a Virtual Drive
As with many other Apps we are using with the SEA Claims, a Virtual Drive is used
as the iPad’s “external” storage. This will allow access to the same file from other
devices, including PCs, with access to the same “Virtual Drive” account. Once setup,
this setup does not have to be repeated unless the App is deleted reset or signed
out from the Virtual Drive.
Example of Syncing to a Virtual Drive is used:
Tap “Export / Share” icon.
At the very bottom of this new menu tap on Dropbox “Sign
In” to desired drive
If the iPad is signed into a virtual Drive account a window
appears, select allow.
Readiris does not create a folder in a Virtual Drive like
some other Apps.
Note: Google Education Drive will become the Virtual Drive to use for students. At this time the accounts for all students have not been setup.

Readiris provides an easy to use contextual help feature. When accessed from any
screen, the information provided is for the screen you are on. Therefore, there is
no need to search pages of information for the help you need.

Importing “Adding” Images
There are three main methods to import into Readiris. One is from a pictured that
is stored in the iPad’s Camera Roll. The second is from the taking a picture, with
the iPad’s camera, from within the App. The final one is from a Virtual Drive.
Imported files from a Virtual Drive can be pictures as well as various PDF files.
There are other methods that can also be used. One is directly from other Apps
using the Open in and selecting Readiris as the destination. Another is from a Web
Page where “Open In...” appears. One other method is “From Clipboard,” however
this feature does not always work.
Importing Options Views: As a default on the App there are usually just two options: “From Photos” and
“Take a picture.” When a Virtual Drive has been signed in that drive option will
appear. If there is an image that has been “Copied” on the iPad “From Clipboard,”
will also appear. Note: the Copy and From Clipboard do not always work. Depending
on the source and “rights” to perform this function into Readiris the copied image
may or may not appear. Remember the quality of the item being used directly
reflects on the ability for Readiris to process and convert text to speech.
Default shows:
From Photos (camera roll).
Take a picture.
From Clipboard is added. An image has been copied
from the Camera Roll or elsewhere on the iPad.
However nothing seems to paste into Readiris.
Importing Photo From Clipboard: When an image, from another source within the iPad, has
been “Copied,” this image can be inserted into Readiris.
However this feature seldom works. With being unreliable, its
use is not encouraged.

Importing Images
Importing From Photos (iPad’s Camera Roll):
Tap on the icon.
Tap on “From Photos.”
If prompted to “Allow Access,” tap on Allow.
Tap on “Camera Roll” and then on desired
picture. Only one picture can be imported at a
time. Repeat steps until all desired pictures
are imported.
Usage: Great for when all you need is a page or two and the iPad Camera App was used to take pictures. This method will take numerous pictures quicker that using “Take a picture” option and waiting for each photo to process. As well the photo(s) remain in the camera roll.
Importing using Take a picture This replaces using the iPad’s Camera App and importing from the Camera Roll.
Note that the picture is not saved in the camera roll for further uses.
Tap on the icon.
Tap on “Take a picture.”
If prompted “Allow Access to Camera,” tap on Allow.
After taking photo, tap “Use Photo” on bottom right of screen. If photo needs to
be retaken tap on “Retake” on bottom left of screen.
This is an example of a picture that can be used
in Readiris and the results were acceptable.
Although taken in landscape mode the picture
will be rotated when used in Readiris.

Importing from a Virtual Drive (Dropbox)
Tap on the icon.
Tap on the Dropbox icon with Dropbox account name.
Navigate and select the document to import and tap on it and
“Open.”
For this example the file is located in Dropbox – Scanned to
Dropbox – 09-10-2013.pdf.
If this is a document with a number of pages Readiris will
import all of the pages. The more pages the more time
needed to import and process the document.
All pages will be viewed as thumbnails.
Note: The only restriction to the number of pages seems to
be to that of the memory available on the iPad.
Usage: When you have a number of pages that have been scanned and can be accessed from the Virtual Drive. Or a PDF file has been downloaded from the Inherent (including W. Ross MacDonald Library and EQAO) which require zone editing.

Import Pages from Another App Into Readiris
Another method of importing is by using the Exporting / Sharing feature from
other Apps into the Readiris App.
When the “Open in...” feature from another App shows the Readiris App, this
method can be used.
At this time, there seems to be a “bug” that sometimes occurs. Readiris may
import the document twice.
Locate the Export / Sharing feature in the App.
This is usually a blue square with an arrow exiting
the top of it. On some Apps it may still be a black
square with a curved arrow exiting it.
From other Apps locate and tap on the
export / share option. Tap on “Open in…”
Look for and tap on “Open in Readiris.”
Importing PDFs from Webpage
After navigating to the Webpage you may notice on the right side under the
Browser’s menu bars an “Open in iBooks and Open in...” option appears. When this
option appears the document can be downloaded to the iPad. This option window will
disappear; just tap back in the right hand corner under the browser’s menu bar.
When Open in iBooks appears there may be no need to bring into Readiris. Unless
you have discovered that the document requires editing prior to reading in iBooks.
For example, in the case of some EQAO documents the paragraph number is read
when opened directly into iBooks. In these cases opening the document into
Readiris allows you to modify the “zone” so that the paragraph numbers are no
longer read as part of the text.

Processing and Analyzing Image
When images are imported Readiris automatically analyzes them. Text and Graphic
zones are identified; as well orientation and rotation of the page(s) occur. The
more pages being imported extends the processing time of the App.
On the right shows the image being “Analyzed” by the
Readiris App.
The second image that may appear after processing
indicates that borders or small zones were deleted.
When multiple pages are being imported the page
number of total pages being processed will appear,
shows 1 out of 18 pages.
Currently, there has not been an issue where too many pages are being imported. The only limit seems to be the amount of storage available on the iPad.

Modifying and Viewing Pages
When the “Open added pages” setting is turned off (as previously covered) all
images will appear in a Multipage Thumbnail” view. Tapping twice on a thumbnail
selects and opens that thumbnail picture to the “Full Page” view of that thumbnail.
Two additional icons appear on the menu bar. One, the arrow pointing to the left, is
to return to Multipage Thumbnail view. The other, a CCW circular arrow, is for
manually rotating the document. In Full Page view, you can edit and or modify the
zones created by Readiris.

This also shows the blue graphic zones and
orange text zones.
In addition take note that the paragraph
numbers are within a text zone. This is a good
example of when Readiris can be used to
resize these zones to not include this number.

Editing Page Order (not zones)
Re-Ordering Pages:
To re-order the pages in thumbnail view
touch and hold the page to be moved.
Once a vertical grey bar appears to the
right of the page slowly move that page
to the desired location.
The page can only be moved in a
vertical or horizontal direction at one
time, not diagonally.
Usage: When a page(s) is of poor quality and needs to be re-imported. The newly imported page will appear as the last page.
Re-Analyzing Page
Ooopppps!!! – If you deleted too many text zones
you can get them back. Tap on the “Analyze Page”
icon. Readiris will re-analyze the page. Note all
zone modifications will be erased for this page.
This option is available on the Multipage
Thumbnail or single page view only.

Rotating Page:
The majority of the time Readiris will automatically rotate the image during
processing. In a case where this did not happen, then the rotation feature can be
used.
Select the direction you wish to rotate the image. You can
rotate right or left 90° or 180°.
After rotating the image Readiris will automatically analyze
the page for text and graphics.
Renaming Document Title:
Title can be changed in Readiris after importing images. The defaulted title is
usually the first few words on the first image imported.
Touch and hold the existing title. When the white window opens, you can rename it.
There is also an option to name the
document while exporting the document
to Dropbox.
Deleting Pages
From the multipage thumbnail view, all or one page at a time can be deleted. You
are prompted to confirm deletion.
Deleting -Tap “Garbage Can.”
Deleting All –Select “All Pages.” You will be prompted to
confirm deletion.
Delete Page – Select “Selected Page.” Selected page
will be surrounded with a blue border. The thumbnail
you have selected, outlined in blue, will be deleted. You
will be prompted to confirm deletion.

Editing Zones in Readiris
Once images have been imported zone editing can begin. For text and graphic zones
it is recommend deleting the unnecessary ones. Note that zones cannot be added,
only deleted or adjusted. Joining zones can be done by adjusting them until they
join.
Editing within Readiris is limited to
adjusting two zones.
“Touching and Holding” inside the zone
activates the editing options.
Blue zones are graphics and will not be
read. The orange zones are the text
that will be converted to speech and
read in iBooks.
To select zone tap and hold inside the
highlighted zone until the entire zone
changes colour (as seen). To unselect
tap somewhere outside the zone.
Empty zones, that do not contain text
or graphics, are not necessary and can
be deleted.
Small “outcrops” on zones may be
difficult to edit. Using the “two finger”
zoom feature will enlarge the area you
are working on.
Note: If a graphic zone is deleted and contains an image, that image will not be exported when using DOCX full layout.

Editing Zone Options:
Tap and hold to edit a zone.
Copy – Selection can be copied to iPad’s
clipboard to be used elsewhere.
Delete – Removes zone permanently.
Resize – Tap on resize and one of the
sides will change to a checked colour
(graphics with yellow, text with blue).
This is the side that can be “slid” to
adjust. Tap on or near the checkered
coloured side and drag that side in or
out.
To select another side tap inside the
selection, the adjustment side moves
clockwise around the zone.
There isn’t a need to adjust graphic zones, for they are not read and could just be deleted. However, if the document is not going directly to iBooks the images must have a blue Graphic Zone around them to appear.

Editing Digital Pictures:
This feature is used when a picture is taken with the iPad Camera. Under settings
“Auto-analyze image” can be turned off, but is not necessary. Note: If you do turn
it off remember to turn it back on.
The output quality from Readiris depends on quality of the picture taken; many
factures play a role in this: The quality of the document, reflection from the
document, the “roll” of the page if taken from a textbook, lighting and shadows in
the room and the angle from how the iPad was held.
Using Framing Tool. When using a digital picture and the
image is out of “skew.” For example,
being narrower at the top then at
the bottom.
A “skew” occurs when the picture the
iPad was taking, was not held parallel
to the image. The more “out of skew”
the picture is, the poorer the
“pronunciation” of text quality will
result. Even with this correction, it
may be necessary to get a re-take
the picture.
Adjusting Frame.
After tapping on the framing tool a
red borders appear. Move these
borders, by touching and holding the
screen, in (top) or out (bottom) to
compensate for this “skew”.
The smaller red line is the text
border and the larger red line is the
document border.
Using the “Framing Tool” will allow to
correct this “skew” to help character
recognition and equalise the size of text.
The larger red border also crops out
unwanted parts of the image.
After adjusting image tap on “OK” from the menu above. In the modified image you
see that the text from the top to the bottom is more the same size than before.

After selecting OK Readiris processes the image and “squares” it off.
If in settings “Auto-analyze image”
has been turned off you will have to
tap on “Analyze Page” from the
toolbar.
Zone editing may have to be done
after these steps.
Usage: When the camera wasn’t perfectly parallel to the document.
If you had turned off Auto-analyze image
or wish to re-image the page select the
“Analyze Page” feature from the menu bar.

Export / Sharing Document for Reading in iBooks
Once the zones are adjusted, the document is ready to be sent to an App to be
read. On the iPad Readiris uses iBooks on the iPad to read. The “Format” used for
iBooks is the “PDF Image / Text” option.
Destination iBooks:
Select the Export / Share feature for the menu bar.
The Format required is PDF Image / Text.
If not, selected tap the “>”and select this format.
Select Open in… and after the document has been
processed a window will appear with Open in options.
Select iBooks.
The iBooks App will open and the newly created
“Book” will be opened. Select “Open in iBooks” App.
Note for use on PCs: This PDF Image / Text can exported to a Virtual Drive
Destination and then used on a PC. Adobe will open the document and WordQ will
read the document.

Exporting / Sharing Document for the Text to be Edited
Once the zones are adjusted, but you feel the text does not look readable or you
discovered that there is text that needs to be edited. As well you can exchange
names of people or places within the document to other names more familiar to the
student(s). The “Format” used in this case is “DOCX full layout.” With this layout
the document can be opened in and edited in a word-processor App. For this
example the App “Pages” is used. With this option images that do not have a blue
zone will not appear in pages.
Destination Pages App:
The Format required for this option is
DOCX full layout.
Select the Export / Share feature for the
menu bar.
If not selected tap the greater than symbol
“>” and select the DOCX full layout. Once
selected this selection window closes.
Select Open in… and after the document is
processed select “Open in Pages” App.
The Pages App will open and Import the
document into it.
You may receive an Import Warning that
indicates font substitution. Select Done and
document is in the “Documents” folder of
the Pages App.

Other Exporting Document Formats
Other options for exporting the document are PDF Text, DOCX simplified layout
and Unicode text. The PDF Text is similar to PDF Image/Text however the Text, is
not searchable within iBooks. DOCX simplified pulls the text together and places
the images at the end of the document. Unicode text pulls out only the text and
places it in sentence format.
In our applications used in SEA the PDF Image / Text and DOCX full layout are the
preferred formats to use.
AirDrop Note
In the above exporting examples after selecting sharing you will notice the blue
icon for the “AirDrop” share option.
This caption shows the AirDrop Share
icon with no iDevices available.
This is because no other iDevice is within range or the AirDrop feature is not turned on to everyone.
In this caption the AirDrop icon has
been replaced by 4 icons representing
4 iDevices within range to receive the
file.
AirDrop is covered in another section of the SEA training manual.
