Business Challenge & Objectives
Purdue University is addressing America’s college affordability crisis by charging students less to attend
in 2019 than in 2012 (based on inflation adjusted dollars). Purdue has achieved this goal through
Transform Purdue a Digital Transformation initiative to gain operational efficiencies in order to stop tuition
and fees from escalating. Intelligent Enterprise technology is another tool to locate opportunities for
improving operational efficiencies, cutting waste, and removing redundancies by digitizing and
standardizing processes across departments.
The Transform Purdue journey to a SAP Intelligent Enterprise (SAP S/4HANA, SuccessFactors, Ariba, and Concur) is focused on automating processes while consolidating and improving data to provide visibility to better run Purdue’s business. Purdue now runs their operations on the SAP data model and leaders have greater visibility and full transparency across all of their back office operations. In this journey, Purdue redesigned its financial hierarchy to provide clarity and consistency and eliminated over 600K pages of forms and has been replaced with real-time information; eliminated 30K spreadsheet forms running on disparate systems and replaced them with the ability to record transactions against budget. Without chasing paper, Purdue employees can focus their efforts on strategic analysis activities and on gaining operational efficiencies. Purdue’s Human Capital Management (HCM) processes which had been running on 9 disparate systems have moved to one platform, the SuccessFactors (SFSF) suite. The hire to retire processes are efficient, transparent, consistent and allow employees to have a visible career path and for leadership to have current views of the Purdue workforce. All in service to Purdue’s 2012 tuition freeze.

Project / Use Case Details
Purdue University was founded in 1869, is the Land Grant University for the State of Indiana and a member of the Big Ten Conference. Purdue is known for its technology and engineering pedigree. The first and last men on the moon (Neil Armstrong and Gene Cernan) are Purdue alumni. The university’s annual budget is $2.3B and educates more than 40,000 students each year. America is facing a major college affordability crisis. For almost 40 years, the cost of attending college has outpaced inflation and has made college unaffordable for many Americans. This has caused many students and their families to take on student loans. Experts predict that student loan debt is a major threat to the United States economy. Data from the Federal Reserve shows that student loan debt totals about $1.5 tril lion, greater than any other category in the United States except mortgage debt. Tuition costs at public universities have risen by 344% since 1980.
Purdue is addressing this affordability crisis by charging students less to attend in 2019 than in 2012 (based on inflation adjusted dollars) by holding tuition at 2012 rates. Purdue is achieving this goal by relentlessly focusing on driving operational efficiencies. One way that Purdue has addressed this is with their Transform Purdue program in order to achieve Purdue's mandate: simplify, organize, streamline, and automate. The foundation of this transformation has been the SAP Intelligent Enterprise. The operational dollars saved with the Transform Purdue are being invested into Purdue’s core mission of teaching, research, and engagement.
Starting February 2015, SAP embarked on improving the disparate IT landscape at Purdue and driving improvements across Purdue ’s existing SAP landscape. Throughout 2015 and 2016, SAP worked with Purdue to demonstrate that SAP’s Intelligent Enterprise could be a way to enable Transform Purdue to occur by partnering in the university’s mandate of keeping college affordable. Late in 2016, Purdue decided to move forward with SAP’s Intelligent Enterprise and purchased S/4HANA, SuccessFactors, and other components to enab le their transformation. 3 separate Transform Purdue projects were identified. Beginning in January 2017, Purdue embarked on the IT component of their Transform Purdue program. The first project, which went live in October 2017, was to eliminate Oracle’s Maximo and Primavera by turning on Plant Maintenance and Project and Portfolio Management ECC components along with providing mobile access to their maintenance personnel to simplify processes, remove paperwork, and drive procurement efficiencies via Ariba in the course of their normal work process. The second project, their Financials Transformation and migration from ECC 6.0 to S/4HANA 1610 went live in July 2017. By moving to an intelligent, next-generation ERP software suite, Purdue is now able to manage information in real-time. This resulted in immediately eliminating 600K pages of paper that, in the past, needed to be transported manually across the campus. The university is also benefiting from simplified user interfaces via Fiori, and the elimination of 400K approvals and pre-audits that were unnecessary. Purdue has complete financial transparency. The third project, went live in January 2019, was the replacement of their 9 Human Capital Management (HCM) systems to the complete SuccessFactors (SFSF )suite including payroll. Now, Purdue has complete transparency across their workforce. The new system has eliminated waste and inefficiencies in their recruiting, hiring, and onboarding processes; improved their time entry and payroll processes; and is providing Purdue’s leadership and 28,000 employees complete visibility on job functions and career paths.
Transform Purdue via the SAP Intelligent Enterprise is now a reality and in 2012-2020, Purdue families will have saved more than $400MM in tuition fees.
