Funds Transfer – ACH

Terms to Know

Participant – The individual or company that will be debited or credited according to the ACH transaction.

Template – The essential characteristics of the ACH batch such as the name of the template, the type of ACH transmission (CCD or PPD), and the offset account.

Transaction – An entry within the ACH file that references the participant, their account, how the participant’s account should be affected (a net payroll deposit or a withdrawal for services rendered), the amount, etc.

Batch File– The file that is sent to the financial institution for processing that contains the template and the transactions to be performed.

An Overview of the ACH Process:

The user’s steps for setting up and submitting an ACH batch are typically as follows:

Define participants (Participant Maintenance)

Define batch attributes (Batch Template Maintenance)

Assign participants to the batch (Transaction Entry Maintenance)

Submit the batch (Initiate Batch)

(Optional) Check on pending/recent activity (ACH Activity)

(Optional) Edit a previously started/saved batch (Edit Batch)

Funds Transfer – ACH – Participant Maintenance

Participant Maintenance: Allows the user to Add, Update, or Delete participants. The participant information is referenced by the ACH transaction upon debiting or crediting the participant’s account.

Required Fields:

Participant ID: A unique identifier that is assigned to each participant and is included in the ACH file. The Participant ID is used to search for, and identify, the participant on the various ACH screens.

Participant Name: The name of the individual or company that will be debited or credited by the ACH transaction.

Routing Number and Account Number: The ABA number and account number of the participant.

Amount: The amount to be debited from or credited to the participant’s account. NOTE: Any amount entered here will display as the initial setting for this participant and may be changed prior to submitting the file to the financial institution for processing.

Funds Transfer – ACH – Participant Maintenance

Optional Fields:

Prenote: Check this box to send a pre-notification upon the initial batch submission to the financial institution for processing. The system will switch off the Prenote setting automatically after the batch is initiated.

Addenda: A message to be displayed to the participant.

NOTE: The receiving financial institution determines whether or not to display this message.

Ending Date: The last day that the participant should be included in an ACH transaction. Example of use: contractors or interns in a payroll file.

Transaction Type: How the participant’s account will be affected (debited or credited) by the ACH transaction. (See figure on right.)

Funds Transfer – ACH – Batch Template Maintenance

Batch Template Maintenance: Allows the user to Add, Update, or Delete batch templates.

Template Name: The name of the ACH batch template used to identify a batch on the Initiate Batch screen and referenced in the ACH file.

Template Description: The description that defines the purpose of the ACH batch template.

ACH Batch Class: The Standard Entry Class (SEC) Code of the ACH batch template. These SEC Codes are enabled for the Company in the FI Admin Platform and typically include PPD (personal) and CCD (corporate).

ACH ID: The ID of the business that this is going to be initiating the ACH batch. These IDs are set up for the Company in the FI Admin Platform;

“1” followed by the TIN is the standard format.

Company: Leave as Primary company, or select a secondary company if any are set up for ACH functionality within the primary company.

Offset Account: The Company’s account that will receive funds transferred in or provide funds transferred out depending on the ACH transaction.

NOTE: If the financial institution is not requiring balanced files, this field is optional and the “Create Offsetting Transaction” box will not be checked.

Transaction Entry Maintenance: Allows the user to associate or disassociate participants with templates.

Initiate Batch: Allows the user to submit an ACH batch to the financial institution for processing. The user can make some edits prior to submitting the batch to the financial institution. The user can also save their work for future modifications. The system will generate a Batch ID in order to reference the updated version of the batch file.

If a user clicks on the Initiate button and ACH approval is not required, the system will generate an email notification to the financial institution. If approval is required, an email is sent to all approvers who have the appropriate limits and have not exceeded their limits.

NOTE: The ACH batch’s effective date must be at least one business day in advance but not out past the financial institution’s Effective Date Control setting.

Funds Transfer – ACH – Initiate Batch

To deter fraudulent transactions, employ a token-based MFA with ACH files. Business Banking VIP requires a tokencode to initiate or approve an ACH. This product is contracted for separate from Business Banking, thus has its own training course.

Funds Transfer – ACH – Edit Batch

Edit Batch: Allows the user to edit their ACH batches that have been denied by an approver or batches that have been saved, but not yet initiated. The user can continue to Save their edits to the batch or they can Initiate or Delete the batch. When initiating a batch that was previously denied, the status shows as Resubmitted on the Approval screen (if approval is required).

NOTE: Resubmitted and/or saved batches remain here until they are deleted or initiated.

Funds Transfer – ACH – Admin Approval/Activity

ACH Admin Approval/Activity: Allows the Company Admin and/or a user with ACH approval permissions to view all of the company’s ACH Activity. The ACH Approver can also Approve ACH batches that are within their daily/transaction approval limits or Delete or Deny any ACH files.

Funds Transfer – ACH – Admin Approval/Activity

Pending ACH Activity: Lists all of the company’s ACH batches that need approval or have been resubmitted for approval.

• Approve: Sends the file to the financial institution for processing. The system will generate an email notification to the financial institution and the Initiator.

• Delete: Removes the file from all ACH Activity screens. The system will generate an email notification to the Initiator.

• Deny: Enter the Deny message first and then click the Deny button. Places the file on the Initiator’s Edit Batch screen as well as the Initiator’s ACH Activity screen. The system will generate an email notification to the Initiator indicating that the file will need to be resubmitted.

NOTE: Pending files remain here until the Approver approves, deletes, or denies the file from this screen or the Initiator deletes the file from their Activity screen.

Denied ACH Activity: Lists all of the company’s ACH batches that have been denied. The deny messages can also be viewed.

NOTE: Denied files remain here until the Initiator resubmits the file from their Edit Batch screen or deletes them from their Activity screen.

Completed ACH Activity: Lists all of the company’s ACH batches that have been sent to the financial institution for processing:

• Approved: File has been sent to the financial institution for processing.• Downloaded: File was processed by financial institution. • Deleted by Financial Institution: File was deleted by the financial institution.

Send ACH Activity & Import ACH Activity : Lists all of the company’s successful and failed attempts of inputting a Send or Imported ACH file into the system. Click the reference number to view batch details for successes or error descriptions for failures.

NOTE: Downloaded ACH files, Deleted by financial institution ACH files, Imported ACH files, and Send ACH files remain here for ten (10) calendar days. Use the Export button to archive files out of the system.

Remember, security best practice is to approve ALL transactions where money leaves the host financial institution and do so with a different user login that initiated the file as well as from a different computer.

The ACH Batch details screen displays the first 200 participant records and gives the user paging controls to access the remaining records. If a batch contains more than 10 pages of records, the image below will appear in the gray paging controls bar so that the user can type in the page number and click go. Batch header information is displayed at the top.

ACH Activity: Allows the user to view all of their ACH Activity. Pending Activity can be deleted and Denied Activity can be resubmitted (without editing) or deleted. Denied RCK files can only be resubmitted or deleted from the Re-presented Check screen.

NOTE: Downloaded ACH files, Deleted by Financial Institution ACH files, Imported ACH files, and Send ACH files remain here for ten (10) calendar days. Pending and Denied activity remains here until action is taken.

Send ACH File: Allows the company to upload a Standard NACHA file. Companies will manage their participant entries and batches outside of the Business Banking system. A single file may include up to 15,000 transactions.

 

Funds Transfer – ACH – Send ACH File

If the financial institution is NOT requiring balanced ACH files:Step 1: Click Browse to select the NACHA formatted file.Step 2 (optional): Check the “Balanced ACH File” box if the NACHA file contains an offsetting transaction. NOTE: If the box isn’t checked and the file is balanced (contains an offset transaction), the offset transaction is considered as a regular transaction and counted against the company’s ACH limits.Step 3: Select the appropriate company from the Company dropdown.Step 4: Click Upload.

If the financial institution is requiring balanced ACH files:Step 1: Click Browse to select the NACHA formatted file.Step 2: Select the appropriate company from the Company dropdown.Step 3: Click Upload and the system verifies that the Company selected is permitted to the offset account in the file.

Once the user clicks Submit, the system checks the following criteria of the file:

1.NACHA formatted: The file must be in Standard NACHA format.2.Limits: The file’s amounts must be within the established limits for the Company and the user.3.Effective Date: Date must be at least one business day in advance but not out past the Financial Institution’s Effective Date Control setting. NOTE: This validation can be bypassed if the financial institution checks the “Update Invalid effective entry date for ACH Send” box in the FI Admin Platform. 4.ACH ID: If the financial institution is requiring ACH ID validation, the system cross-references the number with the ACH ID table in the FI Admin Platform. NOTE: This validation can be bypassed if the financial institution checks the “Suppress ACH ID Validation” box in the FI Admin Platform. 5.SEC code: The SEC code in the file must been one that was enabled for the company in the FI Admin Platform.6.Balanced: If the financial institution is requiring that ACH files be balanced, the system checks that the amount of the offsetting transaction equals the sum of the debit/credit transactions in the batch. The system will also check the following details of the offsetting account:

• Routing Number: The routing number must match the Financial Institution’s Originating Depository Financial Institution (ODFI) number established during Implementations.

• Account Number: The account number must match an account that has been enabled for ACH processing and linked to the primary or a secondary company (in the FI Admin Platform) and user (User Maintenance).

• Transaction Code: This must be opposite of the origination file type (debit /credit).

After clicking Upload, the user is prompted to verify the key information. NOTE: If “Update Invalid Effective Entry Date for ACH Send File” is checked in the FI Admin Platform under Policies, the Effective Date is updated and displayed here.

Funds Transfer – ACH – Send ACH File

Upon clicking Submit on the Verification screen, the user sees a reference number with a message to check the ACH Activity screen.Whether or not approval is required, the message says that the file is submitted for processing.

On the Approval/Activity and Activity screens, the system marks the ACH Send file as one of the following statuses:

• Success – These files are automatically sent to the financial institution if ACH approval is not required. If approval is required, the file must be approved first.

• Failed - The user can click the Reference Number to see the reason that the file failed. The user receives an email notification that the job failed.

Funds Transfer – ACH – Import ACH Data

Import ACH Data: Allows the company to import a NACHA, comma-delimited, or fixed-column file as input to the Business Banking system. Once imported the company can manage their participant entries and batches in the Business Banking system.

NOTE: Imported definitions are not distinguishable from manually-entered ones.

Imported NACHA files: These files have a pre-defined Standard ACH map and do not require the user to create a map layout . The NACHA file must contain both participant data as well as batch template data. The only action for importing this file is to add participants to the system.

Imported comma-delimited and fixed-column files: These files do not have a pre-defined map and do require the user to create an Import map in order for the data to populate into the correct places within Business Banking. The map defines the file layout with key characteristics of the file and the location of data within the file. Unlike NACHA imports (that always add participants), the delimited and fixed file formats allow the user to define if the imported data is added, updated, or deleted, using different map types. Plus, these two import options only add participant records to Business Banking; the Batch Template must already exist.

Re-Presented Check: Allows the user to electronically re-present checks that have been processed through the check collection system and returned because of insufficient or uncollected funds. The user can create a new RCK batch or edit previously saved or denied batches on this screen.

NOTE: The financial institution must enable the SEC Code of RCK for this feature to work.

Re-Presented Check: Allows the user to enter the details of the check(s) in the RCK batch to be sent to the financial institution for processing. Multiple checks can be added to a RCK batch. The details of the check(s) can be edited and deleted. The user can also Save the RCK batch for future modifications or Delete the RCK batch.

If a user clicks on the Initiate button and ACH approval is not required, the system will generate an email notification to the financial institution. If approval is required, an email is sent to all approvers who have the appropriate limits and have not exceeded their limits.

NOTE: The RCK batch’s Date to Represent must be at least one business day in advance but not out past the Financial Institution’s Effective Date Control setting.

ACH Reversal: Allows the user to Submit an email request to the financial institution to reverse a previously submitted ACH transaction.

Contact Information – The name, phone, email, etc. of the user completing the form. The system will pre-fill this information.

Transaction Information – The details of the original ACH transaction to be reversed (including affected participant, amount, effective date, etc).

Financial Institution Information – The routing number and account number affected by the original ACH transaction. A reason for the reversal is also needed.

NOTE: This form can be globally disabled for all companies.

There are two types of Book Transfers:1. Single transfer2. Recurring transfer

Notes about transfers:

• Future-dated, single transfers as well as recurring transfers are managed by Intuit Financial Services’ SRT engine (SRT=scheduled and recurring transfers).

• Your financial institution sets the run time(s) for transfers (sweeps and transfers use the same run time(s)). On a run, the system automatically checks the criteria for future-dated transfers scheduled for that day and performs those transfers if the funds are available. o Batch clients: Run time should be set for just once a day, one hour prior to

your IFS export file is required. o Multi Batch clients: Run time(s) can be set up to five (5) times per day, one

hour prior to each IFS export file. o Hybrid clients: Run time(s) can be set up to five (5) times throughout the day,

the last run must be the host daily processing cut-off. o Real-Time clients: Run time(s) can be set up to five (5) times throughout the

day, the last one must be before the host daily processing cut-off.

• Your financial institution chooses which balance (available, current, etc) is checked for funds availability as well as any additional loan payment types, other than regular, on the FIAP Policies screen. Balance types and loan payment types are host dependent.

• If the “NSF Book Transfer” feature is selected for the debit account, the balance check is bypassed for same-day transfers. However, future-dated transfers will not observe this feature, therefore all future-dated, single transfers and recurring transfers fail if the funds are not available at the time of the transfer.

• If the “Allow Transfers from Overdrawn Accounts” box is checked on FIAP Policies screen in conjunction with the NSF Book Transfer box for an account, then account will display in the From Account dropdown list even when it has a negative balance.

• The Memo field displays on the Update Book Transfer Screen, Activity Reports and Email Notifications. The financial institution does not see this field.

A summary email detailing the total number of SRTs, sweeps and alerts that were examined and executed is sent to a designated email address at the financial institution.

Add Transfer: Allows the user to schedule a single, one-time transfer between two of their accounts. If enabled, transfers can be between different companies linked to the Primary Company in the FI Admin Platform. The transfer date can be scheduled up to one year in advance, except for cross-company transfers, which must be a same-day transfer.

Steps to add a transfer:

1.Set up the transfer.2.Click the Add button and the transfer displays in a list at the lower part of the screen. 3.Click the Submit button to initiate the transfer(s) entered (maximum of 10 at a time).

The confirmation screen shows all transfer details and also shows if same-day transfers were successful or failed. An email notification is sent to the user for future-dated book transfers to indicate a successful/failed transfer. An email is not sent for same-day transfers.

Pending Tax Payments: Lists all of the company’s EFTPS files that need approval or have been resubmitted for approval.

• Approve: Sends the file to the financial institution for processing. The system will generate an email notification to the financial institution and the Initiator.

• Delete: Removes the file from all EFTPS Activity screens. The system will generate an email notification to the Initiator.

• Deny: Places the file on the Initiator’s EFTPS Activity screen. (Enter the Deny message first and then click the Deny button.) The system will generate an email notification to the Initiator indicating that the file will need to be resubmitted.

NOTE: Pending files remain here until the Approver approves, deletes, or denies the file from this screen or the Initiator deletes the file from their Activity screen.

Denied Tax Payments: Lists all of the company’s EFTPS files that have been denied. The deny messages can also be viewed.

NOTE: Denied files remain here until the Initiator deletes or resubmits them from their Activity screen.

Completed Tax Payments: Lists all of the company’s EFTPS files that have been sent to the financial institution for processing:

• Approved: File has been sent to the financial institution for processing.

• Downloaded: File was processed by financial institution. The system will generate an email notification to the Company Admin, the Approver, and the Initiator.

• Deleted by Financial Institution : File was deleted by financial institution.

NOTE: Downloaded and Deleted by financial institution files remain here for ten (10) calendar days.

Initiate Freeform: Allows the user to submit a wire request to the financial institution without creating a template. NOTE: Wire transfer requests value-dated for the current day or any valid processing day up to 30 calendar days in the future are allowed.

Funds Transfer – Wire Transfer – Template Maintenance

Fields on Initiate Freeform and Template Maintenance screens:

• Beneficiary Name: The name of the person/business receiving the wire.

• Beneficiary Address: Address 1, City, State are required fields if the financial institution selects the “Require Beneficiary Address” on the company’s profile in the FI Admin Platform.

• Beneficiary Account Number: The account number for a domestic wire or the IBAN (International Bank Account Number) for an international wire. (See the User Guide for IBAN specifications.)

• Bank Name: The name of the Beneficiary’s financial institution.

• Routing Number: Select from options including ABA, SWIFT, and more. The Business Banking system provides a search mechanism to let you look up ABA numbers.

• Receiving Bank (optional): The financial institution that will receive a wire if the beneficiary financial institution is not setup to receive wires directly (not online with Fed). The Receiving Bank will collect the wire funds and credit the intermediary bank (if applicable) or credit the beneficiary bank directly. For international wires, the Receiving Bank is not optional. FedLine instructions require a domestic corresponding bank.

• Intermediary Bank (optional): The financial institution that will collect the wire funds and credit the beneficiary financial institution if the beneficiary financial institution is foreign.

• Company: if secondary companies are linked under the primary company, select the desired company .

• Amount: To comply with the FedLine file format, the maximum wire amount is $9,999,999,999.99. The maximum amount per company may be lower based on limits established in the FI Admin Platform.

• Debit Account: The offsetting account for the wire transfer.

Initiate Template: Allows the user to send a wire template to the financial institution for processing.

If a user clicks on the Initiate button and Wire approval is not required, the system will generate an email notification to the financial institution. If approval is required, an email is sent to all approvers who have the appropriate limits and have not exceeded their limits.

NOTE: Wire transfer requests value-dated for the current day or any valid processing day up to 30 calendar days in the future can be sent to the financial institution.

As with ACH, a token-based MFA product can help mitigate fraud with wires. Business Banking VIP requires a tokencode to initiate or approve a wire. This product is contracted for separate from Business Banking, thus has its own training course.

Wire Transfer Admin Approval/Activity: Allows the Company Admin and/or a user with Wire approval permissions to view all of the company’s Wire Transfer Activity. The Wire Approver can also Approve wire transfers that are within their daily/transaction approval limits or Delete or Deny any wire transfer files.

Files with dates in RED can not be approved. These files can only be deleted or denied.

Denied Wires: Lists all of the company’s wires that have been denied. The deny messages can also be viewed.

NOTE: Denied files remain here until the Initiator deletes or resubmits them from their Activity screen.

Sent Wires: Lists all of the company’s wires that have been sent to the financial institution for processing or deleted by the company:

• Approved: File has been sent to the financial institution for processing.

• Deleted: File was deleted by company and not sent to the financial institution.

• Received: File was processed (downloaded) by financial institution. The system will generate an email notification to the Company Admin, the Approver, and the Initiator.

• Deleted by financial institution: File was deleted by financial institution.

Funds Transfer – Wire Transfer – Template Group Maintenance

Template Group Maintenance: Allows the user to Add, Update, or Delete a wire template group. Template groups are named collections of predefined wire transfer templates that are bundled for convenience. A typical use for a template group is to group together several templates that are usually initiated at or around the same time on a recurring basis.

NOTE: If a wire template that is part of a group is modified, the template will disappear and will not be part of the group if it requires approval. The template will re-display when it gets approved.

Exchange Rates: Displays foreign currency exchange rates table. The table shows one row of data for each type of currency. Each row specifies the Country of origin, Currency Unit (name) and the three-letter Currency symbol, plus the buy and sell rates for small and large orders.

NOTE: The financial institution can globally disable this feature during Implementations.

Investigation Request: Allows the user to send an email request to the financial institution for information about wires that have already been sent.NOTE: This form is available to all companies and can not be disabled by the financial institution.
