THINGS TO KNOW BEFORE YOU GO2 0 1 9 OASC FALL CONFERENCE

1. Registration is from 6:00-7:00 p.m. on Saturday, Nov. 2nd at Seaside Convention Center and 10:30 a.m.- 12:30 p.m. on Sunday, Nov. 3rd in the Convention Center. Please bring with you to registration: A master list of students, signed participant commitment forms, and silent auction basket(s). We will provide you with name tags, bags, programs, folders, pens and other fun items!

2. Workshop Presenter(s) Check-in will be during registration. If your students are presenting you will receive (up to 5) “Presenter” ribbons per workshop and 2 “Facilitator” ribbons for Idea Share Facilitators.

3. Student Executive Council Candidate Check-in — All candidates will need to have their campaign materials approved and check-in between 10:00 and 10:30 a.m. on Sunday. There will be a table and sign in the lobby. Candidate MUST bring their own blue painters (or green) tape.

4. OASC Apparel and Leadership Books will be on sale in the lobby during Saturday and Sunday registration and also during break times. Please remind your students to bring extra money if they are interested. We will have sweatshirts, t-shirts, fanny packs, water bottles, books and more from $2-$45!

5. Dress Code — Often schools arrive wearing their school spirit gear. Dress is casual throughout the conference. The dance is themed “Groove is in the Heart” (70s/Hippie). Students will need to change during dinner before going to Seaside High for workshops unless you are staying close by. School dress code rules apply (even more conservative is better—you are leaders and role models)!

6. Meals — Sunday lunch and dinner will be on your own as everyone will be arriving at different times. There are quite a few places within walking distance of the convention center. We will serve light snacks during registration and evening activities and a continental breakfast on Monday at the convention center.

7. Buses / Parking —There is a large parking lot next to the convention center for buses and cars. You can see it on the map on page 6.

8. School Banners / Seating — Schools can bring and/or make a banner representing their school name, mascot, colors. It’s a fun way to show your spirit. You need to bring your own blue tape, zip ties and/or rope. You will not be allowed into the building early to hang your banner. The building will open at 10 a.m. for candidates only. Otherwise doors open for registration at 10:30 a.m. No need to save seating for Sunday either, we will have assigned seating based on student council recognition and order of registration. We will have open seating on Monday—bring signs or blue tape to reserve your spots on Monday morning.

9. Dance/Games & Supervision — We want you to relax, have fun and enjoy the adviser hospitality and networking, however we also need you to take time to go into the dance and chaperone for a bit. Let your students know you are there and watching! Students will ONLY be dismissed from the convention center with an adviser present. AN ADVISER FROM YOUR SCHOOL MUST BE PRESENT AT THE CONVENTION CENTER AT ALL TIMES THAT YOU HAVE STUDENTS PRESENT.

10. Shuttles - Two shuttle buses will be provided from 5:30-9:00pm continuously back and forth between the Convention Center and Seaside High School. Please plan in the wait time for busses.

11. Attitude - Please encourage your students to maintain a positive attitude throughout the entire conference, to network as much as possible with students from other schools, and to enjoy this amazing opportunity you have provided them. As always, we want to leave others with a great impression of student leaders—we need your help to do this.

PARTICIPANT COMMITMENT FORM2 0 1 9 OASC FALL CONFERENCE

Please give this SIGNED form to your adviser to turn in at registration.

Dear Parent/Guardian and Student Leader:

We are delighted that you will be attending the OASC Fall Conference on November 3 & 4 in Seaside. Because we wish to ensure your safety, as well as the other participants and community members, we have developed the following guidelines for your student:

1. Attend all conference sessions at the designated times and places.

2. Please show RESPECT for others - whether it be speakers, participants, staff, or other guests. Harassment, bullying, discrimination will not be tolrated. Please report to an OASC adult board member immediately

3. Be courteous to other guests staying in the hotel or neighbors at a beach house, and honor their privacy and need for rest in sleeping room areas. No yelling or door slamming in rooms or hallways at hotels or outside beach houses.

4. Students must observe the conference-stipulated curfew (11:00 pm). They must remain in their OWN rooms after that time.

5. Members of the opposite sex are not allowed in each other’s sleeping rooms, unless the adviser is present.

6. Use of alcohol, tobacco or illegal drugs is STRICTLY PROHIBITED.

7. Students may not leave the Seaside Convention Center or Seaside High School without permission from their adviser.

8. When using hash tags, uploading pictures to social media sites and/or posting comments . . . know that you are attaching your name with OASC and/or your high school. Know who you are and who you represent. Make sure to ask yourself is it Appropriate? Positive? Helpful? Kind?

9. Students may dress casual, but attire should be neat and conservative (this includes the dance). It is important to note that you represent your school, community and OASC. Let’s give high school students and leaders a positive image!

10. Dance as if your grandparents and/or principal are watching! Be a role model for others!

A violation of any of these guidelines could result in you being sent home, along with notification to your school’s principal. Of course we would much prefer that everyone have an exciting and safe conference! We appreciate your support of and involvement in leadership. Group photos of students are taken at our conference. We sometimes use them for promotional purposes (brochures, etc)although we never identify the students. Your signature below indicates that you have read these guidelines and are in agreement with these expectations. Thank you!

PRESENTING AT FALL CONFERENCE2 0 1 9 OASC FALL CONFERENCE

OASC is looking for confident leaders who want to LEAD at Fall Conference! If you present at Fall Conference, your school is eligible for 5 extra registrants! (20 total)

Idea Share FacilitatorThe Idea Share is a 45 minute discussion on a variety of topics led by an adviser/student team. Minimal preparation required.

WorkshopA workshop is a 45 minute presentation presented in a classroom like setting. Workshops should be organized with clear objectives and a defined take-away. Topics can be very general or specific and can be catered to a specific audience if appropriate.

Idea Share: Facilitator Guidelines

Establish Ground Rules:• Please speak so that everyone can hear you.• Only one person should speak at a time.• Follow-up questions are good, but there is no reason to debate issues between schools. Please keep

conversation positive.• This time should not be used to complain about one’s own adviser/council/school/district or others.• Please use this time to glean ideas from others in the room.• Sharing successes only makes you/your school better.• Please give everyone who wants to share ample opportunities to do so without one person

dominating the session. • Before you begin speaking, please state your name, your school and your OSAA classification (6A, 5A,

etc.) so that should another person in the room want to contact you later for further information, they may do so.

*Remind group members that our schools are all very different. People should keep an open mind about the ideas others share. While not all activities can be brought back to our schools exactly as shared, pieces of activities can be adapted to produce great results at our own schools. Please listen to others and be polite and courteous to those who volunteer to share.

You have 45 minutes for this idea share. You might want to break your groups into smaller groups or stay as one big group. Smaller groups could be based on OSAA classification or school size. Larger groups could also be broken up by region of the state.

A possible strategy is THINK-PAIR-SHARE. Each student is given a specific amount of time (1-3 minutes) to think about an idea they want to share. Then students pair up with another student and share their ideas. Pairs then join another pair--creating a group of 4--and share again. Then each group of 4 chooses the idea they like best and shares it with the entire group.

Your Idea share topic(s) will be assigned to you before Fall Conference. If you were assigned “Multi-topic,” please use the list below. Spend 5-1 0 minutes per topic. You most likely will not cover the entire list.

• Assemblies• Climate/Culture• Communication• Community Involvement• Community Service• Digital Media • Elections / Officer Induction / Transition• Engagement

• Equity / Inclusion / Diversity• Formal Dances & Courts • Fundraisers• Homecoming• Informative• Leadership Skills• Marketing / Branding / Public Relations• Mental Health

• Organization & Management • Recognition• School Spirit• Self-Care / Self Improvement• Social Justice• Social-Emotional Learning• Sportsmanship• Suicide Prevention

You can either self select the topics or look for suggestions from your group.

PRESENTING (CONT.)2 0 1 9 OASC FALL CONFERENCE

Presenting a Workshop at OASCYour workshop should be fun, interactive and MUST TEACH something that students can take back to their

school / group / life too!

Essentials to a Successful Workshop:

• Warm-up / Opening Activity (~5 min)

• Should be related to your topic. Don’t do a game just to do a game.

• No need for a name game (with the #’s it would take the whole time), just introduce yourself and/

or other speakers

• Teaching (~35 min)

• You should use a variety of methods for all learners (auditory, visual, hands-on)

• Have an outline! It doesn’t hurt to be overly prepared.

• Make sure your technology works and have a backup in case it doesn’t

• Time yourself. The workshop should be 45 minutes total. If you finish early – have a plan!

• DO NOT RELEASE YOUR WORKSHOP EARLY . . . It disrupts other groups!

• Summary/Wrap Up (~5 min)

• Have handouts available with your contact info. or email to Sara to post to the OASC website

• Always ask for Questions

FRIENDS OF OASC BASKET AUCTION2 0 1 9 OASC FALL CONFERENCE

Has your ASB/Leadership group gathered ideas for the Friends of OASC Basket Auction? If not, now is the time to do so! The Friends of OASC Basket Auction was started a decade ago to raise funds to help provide students with scholarships to attend OASC Summer Leadership Camp. What started as a few hundred dollars raised at Spring Conference, has now grown to bringing in nearly $1000 each year.

Many people aren’t sure where to start with their school’s basket. Here are some quick tips:

1. Create a theme/title for your basket

2. Think of your audience. Who might purchase your basket? Parent of young children, pet owner, sport enthusiast, extreme gamer, movie lover, gardener, etc.

3. Gather items that correspond with your theme

4. Arrange in a ‘container’ that suits your theme. (Example, Water bucket if you’re doing a ‘Pet’ themed basket, or a popcorn tub if doing a ‘Movie Night’ Basket.)

5. Come up with an estimated cost of your basket to help you fill out the Auction form at Spring Conference (we want to raise at least the value of the items)

6. Create a tag/index card that lists the items included in your basket. At times people can’t see all of the items that my be near the bottom.
