THE CLUBS’ AIMS & PHILOSOPHY The prime aim of Nottingham Leander Swimming club is to train for, promote and take part in competitive swimming. We also aim to encourage swimmers who are interested to take part in water polo at junior and senior levels. Training facilities and competitive opportunities will also be provided for older swimmers via an active “Masters” swimming programme. Club teaching/coaching processes are devised with these aims in mind and all swimmers are taught the correct techniques to achieve their maximum potential. In due course, it is expected that members achieving the necessary standards will swim for the Club teams in appropriate events. Although the club is ambitious, it is our aim to develop swimmers without excessive pressure, in a supportive, friendly, safe and non – aggressive environment. Whilst it can be relatively easy to achieve success by putting great pressure on swimmers and working them extremely hard, particularly at younger (9 – 13) ages, this approach generally rebounds in later years and is not the Leander way. The Club aims to provide a range of competitive opportunities to cater for all ages and abilities. Those swimmers who reach a high standard will be encouraged to seek entrance to the Nova Centurion (the County Squad), and from there progress to Inter – County, District and International standing. Those who do not succeed in obtaining the limited number of “County Squad” places are, however, catered for in a training regime which continues into adulthood, and into the Club’s “Masters” section. Those swimmers taking up water polo as well as, or instead of swimming will also be catered for with appropriate graded training and given opportunities to play in the club’s junior and senior teams and, when they show promise, encouraged to progress to regional and national training and competition.

Introduction

This handbook is designed to give you an insight into what club swimming is all about. If you are still confused about “how it all works” after reading this, ask one of the coaches (if they don’t know, they will know a person who does!).

Why Leander?

Nottingham Leander is named after a character in Greek Mythology. Leander was a youth of Abydos, a town on the Asian side of the strait which separates Asia and Europe (the Hellespont). On the opposite shore, in a tower in the town of Sestos, lived the maiden Hero, a priestess of Aphrodite. Leander loved her, and each night he swam the 1300m across the strait to enjoy the company of his beloved, guided by a torch she put on the tower to guide him. One stormy night the torch was blown out, Leander couldn’t find his way and he was drowned. Subsequently, Hero saw his body washed up on the shore, and in grief she threw herself from the tower and was drowned.

Nottingham Leander was formed in 1947/48 as a male only club. In 1952 the club the organised itself with a committee and officers being voted for annually at an AGM. The inaugural meeting took place on 10th September 1952, Inspector Sam Davies of the Nottingham City Police being the first Chairman. In the 60’s with increasing membership, extra coaches and water space, and by accepting female members, the Club started to achieve good results. In the early 70’s Bill Davis coached the top swimmers and Dave Crouch took over as Chief Coach and continued to carry the club on with its development.

The most important facet of the development of Leander as a club was the appointment of Chief Coach Tony Holmes, in 1981, whose remarkable journey spanned 32 years. When he passed away tragically early in 2013 he left a great legacy not only of hundreds of children with a sense of purpose, discipline, and responsibility, but also of a respected club which consistently ‘punches above it’s weight’ in competitions.

In 1991 the Masters section was started, this gave the older swimmers another reason to carry on swimming (and hopefully keep on enjoying themselves).

In 2002 the club celebrated its Golden Jubilee, and in December of that year the club clinched its first ever National Final place. The year 2003 was the best year for the club – finishing 4th in the National Speedo Swimming League ‘B’ Final and finishing 4th in the Speedo Junior Inter – League Swimming Competition National Final.

April 2009, under Tony’s leadership, saw a pinnacle reached with the club competing in the National Swimming League Cup Final (previously Speedo) at Ponds Forge, the first Notts club in over 20 years to reach this level. Tony passed away in 2013 following a short illness, age 56.

In 2014, Maggie Kelly MBE took on the reigns of head coach. Maggie has an impressive swimming record, including a Silver Medal from the Moscow Olympics.

Water Polo

The Nottingham Leander water polo team was formed and first entered the Nottinghamshire Water Polo League in 1958. Tony Taylor, who played in that team is still associated with Leander and water polo in the region. Fortunes have waxed and waned over the years but for most of the time the team has held a mid – table position in the Nottinghamshire League. However the team eventually gained its first silverware in 2002 by winning the Nottinghamshire League Handicap Cup, which it won again in 2010.

Membership Fees

Membership accounts for the cost of administration, coaching fees/expenses and training, insurance of swimmers and spectators in the pool and on poolside, lifeguards, provisions for following all current health and safety regulations, affiliation fees and buses to Galas. Training Fees contribute to the increasingly higher charges made for water time and pool hire. The fees are as follows and payable 12 months of the year.

Where several members of one family swim, only the first three will be charged. ** The number of sessions and weeks actually attended by a swimmer is not restricted. Sessions are available on every weekday (most competitions occur at weekends) and each swimmer can maximize on the number of appropriate sessions attended at no extra cost.

Trials Water Polo and Masters swimmers can apply for immediate membership. A swimming trial is held for all other new club swimmers with the Chief Coach. This trial is by arrangement with the club Administrator. After the trial successful applicants will be notified about which sessions are currently available and sent membership details; otherwise we will suggest alternative paths for the applicants to pursue their interests in swimming.

Tadpoles Tadpoles is the “learn to swim” section, usually from aged 4 upwards. Tadpoles sessions are in 12 week blocks. Each block is £48, paid for in advance.

Communication With a club the size of ours (over 300 members, swimming at 10 different pools in and around Nottingham), communication can be quite challenging. • For new members we have a ‘New Parents/Carers Evening’ to introduce some of the club

coaches and officials and to have some of the club procedures explained. These are held twice a year, and will be notified by post, e – mail and on the website.

• We have notice boards at most pools (although the management at some pools will not allow

this). • Committee meetings take place on the second Thursday of every month at David Lloyd

Aspley. • We have a regularly updated website (www.Leandersc.com) where results and other news

are posted (such as urgent pool closures). • We are also encouraging the use of e – mail to facilitate communication of relevant up to

date information (e.g. Team selection, gala information, pool closures, etc). Please ensure that you keep us up to date with your current email address if you are interested in this method of communication.

So, there are many ways to stay in touch with club activities. The primary source of all up – to – date information is via the website (www.Leandersc.com), which also contains links to many other useful sites. However, you can always contact a committee member if you require information or assistance.

Trophies Awarded Annually

Jonathon Preston Trophies Jonathon was a swimmer with the club who died tragically at an early age in a road accident. We have two trophies in remembrance of him one for each sex. They are awarded for the swimmers that achieve the largest overall time improvement between the first and last of the Junior Galas

The Davis Trophies Bill Davis is a past President of the club and a past Chief Coach. The family are also probably the longest serving members of the club. They are awarded for the junior members of the Club Male/Female who in the Coaches/Committees opinion have made a significant contribution in all aspects of their early swimming. Junior is normally defined as 12 & under.

Bill Wilde Trophies Bill was a past Chairman of the Club his daughter Isobelle swam for the Club in the 70’s. They are awarded by the Chief Coach. No set criteria has been set for the awards, but a short citation and reasoning for the award is given at the presentation.

David Ladds Trophy Dave was a committee member, Team Manager and parent who tragically passed away. The award is made by the committee and given for significant contribution on the administrative side of the club.

Whiting Plate Personality of the year

Tony Holmes Trophy

Tony was our Chief Coach for 32 years who tragically passed away at the age of 56. The award is made by the committee for a swimmer that hasn't necessarily won things or been the best but has gave their all, in training, galas and as part of the team.

Coach of the Year This trophy can be awarded to any Coach in the Club nominated by a swimmer/water polo player or parents/carers. Nominations will be given to a specified person on the Committee before the final Committee meeting of the year. The Committee members will then vote to decide which nomination is most deserving of the trophy. The Trophy was kindly donated by Alex Lovell.

Masters The Pat Slaney awards go to the most improved masters swimmers (2 awards: Male and Female), as judged by the coach.

Water Polo Three annual Water Polo awards are made: Best Senior, Junior and Mini player selected by the coaches.

Leander Swimming Events

Junior Galas The Junior Gala competition consists of a series of three or four galas held throughout the year (usually January, April, July and September). The Junior Galas are open to all members of the club aged between 7 and 12 (on the 31st December). The aim of these galas is to give children of all abilities the opportunity to take an active part in competitive swimming. Children are eligible to swim for the club when they are 8 or 9 (depending on the particular gala). The Team Selectors are able to gain an understanding of the relative abilities of each child coming up to competition age as well as spot older improving swimmers. Children 9 years old and under (on 31st December) will compete in 25 metre events only (although they can compete in the 100m Individual Medley if they are capable), whilst those 10 and over will swim in 50 metre events (except 10 year olds who will swim 25m butterfly) and the 100m Individual Medley. Please do not enter your child for strokes or distances that they are not confident with. If you are not sure then please ask one of the coaches for advice. Points will be awarded to the first five swimmers in each event from each of the following age groups – 7, 8, 9, 10, 11 and 12 years old. However, no points will be awarded for the 7 and 8 year old butterfly events, and no points will be awarded for the Individual Medley event in any age group. These points will be awarded at each of the galas and the overall top three swimmers in each age group will be awarded prizes. There are also the Jonathon Preston trophies, for the boy and girl swimming all four strokes, at each of the galas, and showing the greatest overall improvement between their times obtained at the first gala and their fastest times from the subsequent galas. Junior gala prizes will be awarded at the Junior Gala Disco in October.

Swimming Competitions and Leagues The club takes part in a number of competitive leagues. These are organised outside the club (for example by the Notts. ASA). The age groups for all the leagues are not the same and so give different swimmers a chance to compete. Also the age of the swimmer is calculated differently for each league. All swimmers who wish to (or expect to!) compete are asked to look at the club’s fixture list and try to be available. The likelihood of selection can be discussed with poolside coaches at any time. Formal invitations are sent out by e mail approximately 2 – 3 weeks before events. ‘Junk’ e mail folders should be checked too!

Arena League This is the most competitive and prestigious league in the country. The name is taken from the sponsor. The age groups are 11, 13, 15, Open (age on 31st December). The club compete in the East Midlands Division 1 (the top division). It is a series of three galas in the autumn, with the last being a final between the top 6 clubs in the division. The winner of the league goes through to the national final (held in April) while, the runner – up goes through to the national B final.

Derbyshire and Nottinghamshire League This is a series of three galas held in the spring, with the last gala being a final of the top 6 clubs in division 1. The age groups are 9, 10, 11 and 12 (ages at the date of the last gala). The winners of this league qualify for the Speedo Junior Inter – League Southern Area Final. The top 4 from that final go through to the Speedo Junior Inter – League National Final.

Sports Centre League This is a series of five or six galas held throughout the year. The age groups are 9, 11, 13, 15 and Open. The coaches and committee will keep the selection criteria for this League under review to ensure it best meets the overall competitive aims of Leander.

Trophy Gala Trophy Galas are events where the teams taking part are invited by the organisers, usually an individual swimming club. There is usually some silverware up for grabs, so while being friendly, there is still a competitive edge. The age groups for these vary from gala to gala. Some galas also have upper limit times on the events.

Nottinghamshire ASA Competitions Stage 1 This is a series of three stand – alone events in December January and June. A trophy is awarded to the winning team at each gala. These events represent the first opportunity for young swimmers to compete in interclub galas.”. Individual events will be swum over 50 metres apart from the 8 years Butterfly which will be 25 metres. The age groups are 8, 9, 10, and 11 (age on day). Swimmers are able to swim a maximum of 3 individual events with 2 in own age group. Stage 2 This is a series of three interlinked galas in a league format swum in the autumn. All individual events will be swum over 50 metres, the 200m I.M will be swum by the Open age group only. The age groups are 9/10 years, 11/12 years, 13/14 years and Open (age as at date of last gala). Swimmers are able to swim a maximum of 3 individual events with 2 in own age group. Stage 3 This is a series of three interlinked galas in a league format swum in the spring. All Individual events will be swum over 100 metres. The age groups are 10/11, 12/13 and 14+ years (age as at date of last gala). Swimmers may swim a maximum of 3 individual events with 2 in own age group.

Open Meets Open Meets are for the individual swimmer to take part in. They are organised by swimming clubs. All swimmers must be ASA registered. The age groups vary between Meets. The age is usually based on "age on last day of the Open Meet". There are different "levels" of Open Meet. At the moment the categories are:

Club Open Meets These events are "fun" events which usually lasting one (long) day. Prizes are normally awarded to the top 6 in an age group. Some Meets have heats as well as finals. Leander organises an Open Meet in late January. Designated Open Meets These events are similar to the Club Open Meets (i.e. long days, prizes etc). However, they sometimes cover 2 days (or more). The times achieved in the events can qualify the swimmer for District Championships and National Championships.

Nottinghamshire County Championships The Nottinghamshire County Championships are organised by the Nottinghamshire ASA and are open to all swimmers who are 9 or over and who live in Nottinghamshire or swim for a club based in Nottinghamshire. The championships are a series of galas held in February and March usually at Mansfield and Beechdale. The overall positions are calculated using the BAGCAT system. Entries are made through the club. There are qualifying times for each event. There is also an entry fee per event. Times achieved in the championships can qualify the swimmer to swim in the Midland District Championships and the National Championships.

Midland District Championships This is the next level up from the County Championships. The qualifying times are (a lot) faster than those for the County Championship. The competitions take place over weekends in May (for Youth 18/19 years old) and June (for Younger up to 13 (girls)/14 (boys) years old). The overall positions are calculated using the BAGCAT system. Entries are made through the club or Nova Centurion. There are qualifying times for each event. There is also an entry fee per event. Times achieved in the Midland District Championships can qualify the swimmer to swim in the National Championships.

National Championships This is the next level up from the Midland District Championships. The qualifying times are (a lot) faster than those for the Midland District Championship. The competitions take place in August. The overall positions are calculated using the BAGCAT system. Entries are made through the club or Nova Centurion. There are qualifying times for each event. There is also an entry fee per event.

BAGCATs The British Age Group CATegories is a points system for the four strokes. The points are weighted so that it is possible to compare a butterfly event with a breaststroke event over the same distance. This points system is used for boys 9 and up to and including 14 years old, and girls 9 and up to and including 13 years old. For various competitions the points from different events are used to work out overall positions within boy/girl age group. For example, the County Champs use the best 50m event, best 100m, best 200m form (butterfly, breaststroke, backstroke), best freestyle distance (200m, 400m, 800m, 1500m) and best individual medley (100m, 200m, 400m).

Team Selection The Club’s two (and sometimes three) teams are selected by a committee comprising coaches and team managers. The Arena League, Derbyshire and Nottinghamshire League and Stages 1, 2, 3 galas all feature 2 Leander teams. Many events have rules restricting numbers and ages of swimmers, but having born these in mind, the committee selects teams on the basis of : – 1. swimmers with the fastest times in given events 2. the need to have fast and balanced relay squads 3. the wish to provide swimmers with individual races wherever possible 4. the reliability of the swimmer in attendance terms 5. the need to avoid weakening one team in order to provide minimal gain to another In friendly galas, the aim is to ensure whenever possible that swimmers are selected for individual events. In Trophy and important league events, it is often important to take the strongest possible team, and swimmers and parents are asked to put the needs of the club first on these occasions, where some swimmers are inevitably selected for relays only. Remember, these are top – level events, where participation itself is an achievement and a valuable experience as well. In general, swimmers will be selected if their event times are regularly better than other potential team members (promotion from B to A team would often take place if a superior time had been recorded on three occasions) but the Committee must also consider abilities in more than one stroke (for relay teams) so a swimmer who is marginally quicker in one event may not be selected if he/she is slower in others. A word about availability: The Leander fixture lists is on the club website and it is hoped that regular team members will make themselves available for important events (Arena League in particular) and will inform coaches/team managers early if this is not possible. This is particularly important in the youngest (8/9 years) age group where the absence of one swimmer may deprive three others of a swim. In general, the club hopes that the hard work put in by coaches and other officers will be matched by the commitment and enthusiasm from swimmers and parents. When a team has been selected, the swimmers are notified by e – mail via Swim Manager. This states:

• where the gala is taking place, • the date and time, • the contact person, • whether there is a coach provided and if so where the coach can be met and what time it leaves, • what time they should report on the poolside.

Ensure that you are on poolside in plenty of time before the warm up starts.

Club Gala Officials With every team of swimmers that we enter into a competition it is normal for us to provide a minimum of one coach and two team managers to look after the team, and two timekeepers and a judge to officiate. When Leander SC hosts the gala we also have to provide announcers, recorders, additional judges, starters, referees etc. All the people who undertake these jobs are volunteer parents of either past or present swimmers. The officials are again volunteer parents that have taken examinations on behalf of the club to become qualified. The positions of coach and gala officials all have formal training courses and relevant examinations to maintain the highest possible standards within the sport of swimming. Should at any time you wish to increase your involvement to help your children and the club then please do not hesitate to ask a coach, team manager or committee member for more details. The club will pay for any relevant examination or course fees for anyone taking qualifications on behalf of the club, but will ask for a 2 year commitment.

Child Protection Following the recent guidelines set by the ASA, Nottingham Leander Swimming Club has appointed a Welfare Officer in order that the club adheres to these requirements. The primary role of this person is to administer the CRB Forms issued by the ASA. It is now a requirement that all Coaches, teachers, poolside helpers and persons in contact with young swimmers, comply with the Association’s Child Protection Procedures. The object of this document is to establish clear guidelines and procedures to protect the interests of both our swimmers as well as our Coaches, teachers and helpers. The Club Secretary has a copy of these procedures, which are available for you to inspect. Should a person choose to help the club in any way, they can apply for a Disclosure Application Form, by contacting the Club Secretary, who will then instruct the Welfare Officer to contact you in due course, in order to administer the necessary forms and requirements.

Swim Line 0808 100 4001 The Amateur Swimming Association is committed to promoting the welfare of children in our sport. That is why we have joined with the National Society for the Prevention of Cruelty to Children in creating SwimLine. The service is provided for anyone involved in swimming, including children and young people who believe that the welfare of a young child is at risk. This could be neglect or abuse, bullying or fear of someone, or anything that is worrying you and you don't know who to discuss it with. What happens if you call? When you ring, you will hear a message. This will explain that you wish to speak to someone urgently or it would not be convenient for someone to call you back – you can press a number to transfer straight to the NSPCC Child Protection Helpline. This will be answered by trained and experienced counsellors who will advise you and act to protect children. If there is a problem with someone calling you back and you wish to speak to someone who understands swimming, you will need to leave your telephone number and time when it is convenient for one of our Child Protection Group to ring. These people are members of swimming clubs who work in child welfare as a profession and have volunteered to help this ASA programme. If there is an issue which causes concern the ASA will act to protect the child. SwimLine calls are free and do not appear on itemised bills unless the call is made from a mobile phone. Masters Swimming The "Masters Swimmer" is a swimmer over 25 years of age (although there is now a “pre” masters stage of 19 to 24 years old). Swimmers join us either to keep fit or to train for competitions. The aim of the Masters Section is to provide swimming for adults of all ages. This ranges from disciplined recreational swimming to competitive training. Included is the opportunity to improve general fitness and participate in weekly technique work. The idea is that Masters Swimming is fun and there is no pressure. We have an average attendance of 25 swimmers at the Tuesday and Thursday evening Masters Sessions. Some sessions have coaches present. A wide range of age and ability is catered for. Adults under 25 are welcome. The section also has an active social life. Masters competitions are intended as stimuli to those swimmers who wish to retain the competitive urge, and an incentive to others, who may have only begun swimming later in life. Everybody can take up the challenge of competing against his or her contemporaries, and having a measure of their own progress. Competitions are grouped in 5 year age bands, so the same age ranges compete against each other. There is no upper age limit. There are no heats or finals, the races being seeded on submitted times without regard to age. Medals are presented to the top 3 in each age group.

Water Polo

Water Polo Objectives.

The aims of water polo at Leander are to equip players with the basic skills, techniques and tactics of water polo. It is our intention to provide opportunities for enjoyment of the sport through the comradeship of club and team membership.

We will enter team in local leagues at all levels where there are sufficient players.

We follow the ASA recommended Long Term Player Development programme, to prepare players with the skills needed to enable them to play at regional level and beyond. Junior players are encouraged to attend the Regional Training Centre; senior players are encouraged to play Midland League water polo with other local clubs.

We have limited time available in the water, and need to focus this on the development of water polo. Players are expected to have the relevant fitness & swimming skills required to play water polo. Swimming fitness and skills can be developed and improved at Leander swimming sessions.

Juniors (U18, U15)

Mini polo is provided as a route into water polo, as is aimed at players under 12.

In Mini Polo we will focus on developing very basic skills. We will also aim to make training fun by playing a game at the end of every training session, in which young players will learn awareness of a team – play. We will also introduce basic rules to play a fair and safe match.

Water Polo Welfare and Safety The welfare and safety of all players is our priority. Water polo is a contact sport, with a ball travelling often at high speed – accidents and injuries do from time to time occur. The coaches have been trained in how to run sessions to minimise this risk, and have run pool risk assessments. The codes of conduct at the end of this handbook have been written to ensure everyone at Leander has a safe and enjoyable environment to train and play in – please take time to read them to ensure you know your responsibilities. A life guard (or qualified life saver with observer) MUST be present at all water polo training sessions. Coaches are responsible for ensuring a qualified lifeguard is present before instructing players to enter the water.

Players MUST NOT enter the water or poolside until the life guard is present. We recognise the welfare implications of running teams and training sessions where boys and girls are train together in a mixed – sex environment. Mixed junior training and teams are permitted under ASA laws. In training, where body contact is likely during drills, we are mindful to organise sessions so boys only train with boys and girls only with girls. If older players (over 16) join in training exercises, junior girls are not included unless a parent is present or has provided consent. If you do not wish child to participate in training exercises with older players, you MUST inform the coaches. All water polo coaches and officials who deal with the Junior and mini – polo teams have current CRB verification, as do most senior players who regularly attend on Sundays. Coaches keep their awareness of child welfare issues current as part of the CPD and have recently attended a child welfare seminar. Should any player or their parent/guardian have any welfare concerns these should be taken up with the coaches in the first instance. If it is not appropriate to discuss with a coach, then you should contact the Leander welfare officer Club Welfare Officer – Alex Lovell ([email protected]) as soon as possible.

The ASA, with the NSPCC, operates SwimLine, a confidential free – phone number where children or adults can report suspected abuse of young children. The service is provided for anyone involved in swimming, including children and young people, who believe that the welfare of a young child is at risk. Duke of Edinburgh’s Award Nottingham Leander encourages players to take Water Polo as part of their Duke of Edinburgh’s award. We will assess you on the following criteria:

• That you discuss with us at the start what is required and how you will be assessed,

• That your assessment with us will be over a period of at least six months (or longer if it covers a period of holidays and bath closures),

• That you attend at least of 66% of Sunday training sessions (2 out of 3) during the period,

• That you take part in matches or tournaments as invited by the coach,

• That you show commitment to the Club, good team spirit and endeavour to offer your best in training and in matches.

Other Sports We hope you will work at your water polo and become a member of our Junior team and, later, the senior teams, as well as represent the club at the regional level. However if you decide Water Polo is not your sport there are others to consider.

Leander Affiliations

ASA www.britishswimming.org The Amateur Swimming Association is the English national governing body for swimming, diving, water polo, open water and synchronised swimming. It organises competition throughout England, establishes the laws of the sport and operates comprehensive certification and education programmes for teachers, coaches and officials as well as its renowned Learn To Swim Awards scheme. The ASA supports 1,600 affiliated swimming clubs through a National/Regional/County structure. The ASA aims to ensure everybody has an opportunity to learn to swim.

East Midland Region ASA www.eastmidlandswimming.org The East Midland Region ASA is the body responsible for organising and overseeing swimming in the East Midlands.

Nottinghamshire ASA www.notts – swimming.org The Nottinghamshire ASA is the body responsible for organising and overseeing swimming in Nottinghamshire. Amongst its objectives are (a) To promote the teaching and practice of swimming, synchronized swimming, open water swimming, diving and water – polo. (b) To select and govern teams and individuals to represent the County. (c) To promote, hold or allocate amateur championships and competitions (d) To raise public awareness of the sport and to stimulate public opinion in favour of the sport. Nova Centurion (Notts County Swim Squad) Nova Centurion Swimming Club is the competitive outlet of the Nottinghamshire County Council Swim Squad. The County Swim Squad was one of the first squads to operate in the country and formed a model for many similar type of squads across Britain. There are three main sites, Nottingham, Mansfield and Bassetlaw, all with a full – time qualified coach. With the backing of the County Council the squad has become one of the most successful in the country, having won the Great Britain Club Team Championships and been the Top Team at both the National Senior and Age Group Championships on numerous occasions. Membership to the Nottingham Squad may be by invitation from the Nottinghamshire County Council Leisure Services Department and the Notts ASA or by individual application, in which case swimmers will be asked to attend a trial evening. There is an overall reorganisation of all swimmers each December for the new competitive year. In addition, after the County Championships (i.e. May/June) the Squads are reviewed by the Chief Coach and Management Committee.

Nottingham Leander Swimming Club – Constitution As adopted September 2012

1. The Club

1.1. The name of the Club shall be “Nottingham Leander Swimming Club”.

1.2. The Club colours shall be Green and White.

1.3. The Club headquarters shall be at the address of the current secretary. 2. Objects

2.1. The objects of the Club shall be in accordance with the objects of the Amateur Swimming Association (ASA) and

in particular promote the teaching and development of swimming and water polo. 2.2. The Club is committed to treat everyone equally and without discrimination within the context of their activity. 2.3. The Club believes that the welfare of children is everyone’s responsibility and that all members have a right to

have fun, be safe and be protected from harm. 2.4. The Club shall be affiliated to the ASA East Midland Region (and shall adopt and conform to the rules of such

association) and such other bodies as the Club may determine from time to time. 2.5. The business and affairs of the Club shall at all times be conducted in accordance with the Laws and Technical

Rules of the Amateur Swimming Association (“ASA Laws”). 2.6. All competing members shall be eligible competitors as defined in ASA Laws. 2.7. The Club shall in accordance with ASA Laws adopt and comply with the ASA Child Protection Procedures and all

members must abide by these procedures. 2.8. Members of the Club shall abide by the Nottingham Leander SC Code of Conduct (Appendix 1). 2.9. By virtue of affiliation of the Club to the ASA East Midland Region the Club and all members of the club shall

acknowledge that they are subject to the laws and rules of: a. The ASA East Midland Region, b. The Amateur Swimming Association (to include the ASA/ISTC Code of Ethics), c. The Amateur Swimming Federation of Great Britain (including ASAFBG Doping Control Rules and

Protocols and the ASAFGB Disciplinary Code), d. FINA (the world governing body for the sport of swimming and all its disciplines).

2.10. In the event that there shall be any conflict between any rule or bye – law of the Club and any of the Governing Body rules then the relevant Governing Body rule shall prevail.

3. Membership

3.1. All persons who assist with the club’s activities shall become members of the club and the relevant ASA membership fee shall be paid. This includes but is not limited to:

a. All swimmers and water polo players who train with and/or compete for the club, b. Elected and appointed officials of the Club, c. Honorary members of the Club, d. Non – swimming parent members, e. All persons who act in a volunteer capacity are included on the Club’s register of volunteers or who

work for the club in a remunerated capacity. This shall include but not be restricted to, administrators, teachers and coaches (whether employed, self – employed or voluntary), committee members, regular helpers, technical and non – technical officials.

3.2. The total membership of the Club shall not normally be limited. If however the Committee considers that there is a good reason to impose (or remove) any limit then the Committee shall put forward appropriate proposals for consideration at a General Meeting of the Club which may endorse, amend or remove any limits on total membership (or any category of membership) the Committee may have imposed.

3.3. Any person who wishes to become a member of the Club must submit a signed application to the Secretary (and in the case of a junior swimmer the application must be signed by the swimmer’s parent or carer). Election to membership shall be determined by the Committee or a sub – committee appointed by the Committee but other persons authorised by the Committee may make recommendation as to the applicant’s acceptability.

3.4. Parents or carers of swimmers under 18 years of age, who are not swimming members of the club in their own right, may join the club by payment of the appropriate membership fee. This will gain them ASA membership which provides insurance cover and enables them to vote at Annual or Special General Meetings.

3.5. Should an application for membership be refused the Committee (or appointed subcommittee) shall be required to give reasons for the refusal.

3.6. Any person refused membership may seek a review of this decision before a Review Panel appointed by the Committee comprised of not less than three members who may or may not be members of the Committee. The Review panel shall (where practicable) include one independent member nominated by ASA East Midland Region. The person refused membership shall be entitled to make representations to the Review Panel. Procedures for review shall be at the discretion of the Review Panel whose decision shall be final and binding.

3.7. On acceptance to membership, each member will be advised of their category of membership, i.e. learn to swim group, development squad, junior squad, senior squad, masters swimmer, parent or senior or junior water polo player.

4. Subscription and Other Fees

4.1. The annual member’s subscription, coaching and squad fees (as applicable) shall be determined annually by the Committee and the Committee shall in so doing make special provision for different classes of membership as it or the Annual General Meeting shall determine.

4.2. The annual subscription shall be due on joining the Club and thence on 1st September each year. It may be paid in one annual payment or by 12 equal instalments by monthly standing order.

4.3. Members who have paid only part of their subscription or who continue to make payments which at any time are incomplete or in arrears shall be referred to the committee for the course of action to be determined.

4.4. The Club’s annual subscription shall include the individual ASA Membership Fees required by (and payable to) the ASA on behalf of members, unless the committee determine that in particular circumstances such subscription should be paid otherwise.

4.5. Any increase in subscriptions shall be advised to the members in writing by post or by email, with the reasons for any increase, and shall be ratified by the members at the next Annual General Meeting or Special General Meeting.

5. Resignation and Lapsing of Membership by Failure to Pay Subscriptions

5.1. A member wishing to resign membership of the Club must give the Secretary written notice of his/her resignation. A member’s resignation shall only take effect when this rule has been complied with.

5.2. Should a member paying his/her subscription as one annual payment not have paid this by 1st November (or two months after it otherwise becomes due) or should a member paying by monthly standing order not pay for two consecutive months their membership may be deemed to have lapsed and he/she may, depending on such evidence as may be available, –

a. be given notice that they have one further calendar month to redress the arrears, b. be suspended by the Committee from some or all Club activities until the arrears are paid, c. have their membership terminated from a date to be determined by the Committee unless before

that date the arrears are paid. 5.3. Members whose membership is deemed to have lapsed, to be in arrears, or to have been terminated shall be

informed of this in writing by hand, by post or by email to their last known address. 6. Expulsion and other Disciplinary Action

6.1. The Committee shall have power to expel a member when, in its opinion, it would not be in the interests of the Club for him/her to remain a member.

6.2. The Club shall adopt and comply with the current ASA Guidelines for handling internal club disputes (“The Guidelines”). NB The Guidelines are set out as an Appendix to the ASA Judicial Laws and appear in the ASA Handbook (and may be obtained from the ASA Legal Affairs Department).

6.3. A member may not be expelled or (subject to Rule 6.4 below) be made the subject of any other penalty unless the panel hearing the complaint shall by a two – thirds majority vote in favour of the expulsion of (or other penalty imposed upon) the member.

6.4. The Executive Officers of the Club (or any person/s to whom the Committee shall delegate this power) may temporarily suspend or exclude a member from particular training sessions and/or wider club activities, when in their opinion; such action is in the interests of the Club. Where such action is taken the complaint will thereafter be dealt with in accordance with The Guidelines.

7. The Committee

7.1. The Committee shall consist of: a. The four elected Executive Officers who shall be:

i. Chairperson, ii. Vice – chairperson,

iii. Secretary, iv. Treasurer;

b. Those elected to the following positions: i. Minuting Secretary,

ii. Membership Secretary,

iii. Welfare Officer (who shall not be a relative to the Executive Officers, the Chief coach, the club Teachers or anyone appointed as a Team Manager),

iv. Swim 21 co – ordinator, v. Workforce development officer,

vi. Volunteer co – ordinator, vii. School liaison officer,

viii. Fundraising and social co – ordinator; c. Four other members to be elected at the AGM; d. A representative nominated by each of the following sections of the club:

i. Water polo, ii. Masters swimming,

iii. Tadpoles; e. The Chief Coach as appointed.

7.2. The above shall together be deemed the “Committee” of the Club. All must be members of the Club and must be not less than 18 years of age.

7.3. The Committee may allow member(s) under age 18 to attend their meetings as observers without power to vote. 7.4.

a. The committee members in section 7.1.a, 7.1.b and 7.1.c above shall be proposed, seconded and elected by ballot at the AGM each year and shall remain in office until their successors are elected at the next AGM.

b. Retiring members of committee shall be eligible for re – election. c. The committee members listed under 7.1.d above shall be nominated by the sections listed and confirmed

by vote at the AGM. 7.5. Any vacancy on the committee occurring at or after an Annual General Meeting shall be filled by appointment by

the Committee. 7.6. The Committee shall appoint a Chief Swimming Coach. He/she shall become a member of the Committee and

shall have voting rights. 7.7. The Chief Coach and Committee shall determine, arrange and supervise:

a. a programme of teaching to swim, stroke development and competition activities to cater adequately for all levels of ability,

b. a programme of coaching development and supervision, c. that the Club’s coaches abide by the ASAs Code of Ethics for coaches, d. the encouragement of members who show interest and promise to develop their abilities in such aquatic

disciplines as are provided for by the club. 7.8. Committee meetings shall be held at least bi – monthly and the quorum of that meeting shall be six persons of

whom one shall be an Executive officer. 7.9. Further meetings of the Committee shall be called by agreement of the Committee, by the joint agreement of

the Chairman and the Secretary or by a formal request to the Secretary signed by five voting members of the Committee, in which latter case the meeting shall be held within 21 days and the Secretary shall give at least 14 days’ notice to all those entitled to attend..

7.10. The date of the next meeting will be decided at the end of each meeting. This shall be confirmed by circulation of the meeting’s agenda to all entitled to attend at least seven days before the agreed date by the appointed officer.

7.11. At each meeting the Committee shall receive the minutes of the previous meeting and a report from each of the Officers, receive a report from the Secretary and Treasurer plus such other business as is listed on the published agenda of the meeting. Any business other than that on the agenda may be considered if accepted by a majority of those present.

7.12. Decisions of the Committee shall be made by a simple majority unless there are nine or fewer members present when at least six votes shall be required for a vote to be carried. In the event of equality of votes the Chairman (or the person acting as Chairman of that meeting) shall have an additional vote.

7.13. The Minuting Secretary, or other nominated member of the Committee, shall take minutes which shall be presented for ratification at the next meeting.

7.14. In addition to the members elected the Committee may co – opt five further members of the Club who shall serve until the next Annual General Meeting. Co – opted members shall not be entitled to vote at the meetings of the Committee and shall not be counted in establishing whether a quorum is present.

7.15. The Committee may appoint such sub – committees as they consider necessary and shall agree their terms of reference and delegate to them such powers and duties as the Committee may determine. All sub – committees shall include at least one member of the Committee. Sub – committees shall periodically report their proceedings to the Committee and shall conduct their business as may be directed by Committee.

7.16. The Committee shall have the authority to make such rules or conditions (which are within ASA rules & laws or otherwise approved by the ASA) as they may deem necessary for the conduct of club galas, open meets, inter – club events and related activities organised by the club.

7.17. The Committee shall be responsible for the management of the Club and shall have the sole right of appointing and determining the terms and conditions of service of employees of the Club. The Committee shall have power to enter into contracts for the purposes of the Club on behalf of all the members of the Club.

7.18. The Committee shall be responsible for ensuring that the Accounts of the Club for each financial year be examined by an independent examiner whose appointment shall be confirmed by the members at a General Meeting.

7.19. The members of the Committee shall be entitled to an indemnity out of the assets of the Club for all expenses and other liabilities properly incurred by them in the management of the affairs of the Club.

8. Specific Disciplines

8.1. The Club shall establish and promote such swimming disciplines as there is an interest amongst members. 8.2. Such disciplines shall be an integral part of Leander Swimming Club and shall be subject to all Club rules and

requirements. 8.3. The Club shall establish relevant training sessions to cater for the needs and numbers of those interested and

attending. 8.4. Each section shall hold a separate meeting at least once each year to which the club chairman and secretary and

all club members who have attended a relevant session shall be invited. 8.5. The meetings shall elect a secretary and such other officials deemed necessary for the effective running of the

section and conduct such other business as is needed to run the section efficiently. 8.6. Each section shall be responsible for keeping a list of those attending the respective sessions and informing

those who attend of the section’s and related activities. 8.7. Minutes shall be kept of all decisions taken at meetings and circulated to members regularly attending training

sessions and the Club Secretary who shall present them to the Club Committee for ratification. 8.8. Each section shall be entitled to nominate one of their members to represent the section at the club’s

Committee meetings. 8.9. Each section shall present a report of its year’s activities to the Club AGM.

9. Club Honorary President

9.1. The Club may appoint an Honorary President. 9.2. He/she shall be proposed at the club AGM by the Club Chairman or Secretary on behalf of the Committee. 9.3. The Committee may seek recommendations from members when the position of President becomes vacant. 9.4. The President shall be a member of the club and normally be offered the position for five years (or other length

of time as the committee shall agree). 9.5. The president shall be invited each year to:

a. Attend and preside (as chairman) at the Club’s AGM, b. Present the awards at the club’s annual awards ceremony, c. Present the awards at any open meets or inter – club events that the club may organise, d. Attend the Notts ASA AGM as part of the club’s delegation, e. Attend any official civic or swimming functions to which the club is invited.

9.6. Whilst not a formal member of the Club’s committee (and hence having no vote there) the President may be invited to, or may request to, attend committee meetings when it is felt that he/she should be involved in any discussions.

9.7. The President shall be invited to further the interests of the club whenever any such opportunity may arise. 10. Life Membership.

10.1. The Club may accord life membership to: a. a member who has rendered substantial services to the Club over a sustained period of time as a

swimmer, coach, or club official, b. a person who has been an established member of the club over several years who has made an

outstanding contribution to the sport of swimming, 10.2. In June or July of each year the secretary shall inform members that they may submit recommendation(s) to the

committee of members who they consider should be accorded life membership who they consider come under the above criteria. Such recommendations should be made to the secretary by 1st September and should normally be accompanied by a brief written statement in its support.

10.3. At a September or October committee meeting the committee shall consider all such recommendations for life membership and any additional persons the committee may feel should also be considered.

10.4. The committee shall decide which nomination(s) fully meet the above criteria (as 11.1) and should be proposed to the AGM and the names of those so proposed shall be included in the notice of the meeting.

10.5. The Chair or Secretary shall propose to the AGM (with accompanying citation) the name(s) of those who have the support of the committee for Life Membership.

10.6. A record of all Life members shall be kept on the Club website or in such other available form as the Committee may decide.

10.7. Those accorded Life Membership shall: a. have the right to attend and vote at all Club AGMs and SGMs, b. have the right to attend appropriate Club training sessions free of charge while ever their ASA

affiliation fee has been paid by the club or by the member concerned,

c. be informed of all Club activities while ever they may so wish. 11. Annual General Meetings (AGMs)

11.1. The Annual General Meeting of the Club shall be held on a date during November in each year as shall be decided by the Committee.

11.2. The Annual General Meeting shall transact the following business: a. Receive the report(s) of the Chairman and/or Secretary, b. Receive the reports of other elected officials and of sections, c. Receive and consider the accounts of the Club for the previous year and the Treasurer's report as

to the financial position of the Club, d. Receive and consider the report on the accounts of the independent financial examiner, e. Elect the Committee as prescribed within this constitution, f. Consider and vote upon any proposals from the committee for persons to be awarded Life

Membership of the Club (see section 11), g. Approve the appointment of the Financial Examiner for the forthcoming year, h. Confirm the four Custodians appointed by the Committee, i. Review the Club Constitution to ensure it is in line with current legalisations and members’ needs

and consider such proposals to amend the constitution as are included on the notice of the meeting sent to members.

j. Transact such other business as is listed on the notice of the meeting sent out to members. 12. Special General Meetings (SGMs)

12.1. A Special General Meeting may be called at any time: a. by the Committee, b. upon receipt by the secretary of a written a request for a Special General Meeting from 6 or more

members entitled to attend and vote at a General Meeting stating the purposes for which the meeting is required and the resolutions proposed. The meeting shall take place within 28 days of the request being made to the Secretary.

13. Procedure at the Annual and Special General Meetings.

13.1. All members who are up – to – date with their membership subscriptions shall be given notice of an AGM (or SGM) not less than 14 days before the date of the meeting.

13.2. All members aged 18 and over and honorary members may speak or vote at an AGM (or SGM).

13.3. No person attending may cast more than one vote except in the event of equality of votes the person acting as Chairman of the meeting shall have an additional vote.

13.4. Ten members entitled to vote shall form a quorum.

13.5. Except for changes to the rules (see section 14) decisions at a general meeting shall be made by a simple majority unless there are 14 or fewer members present when at least eight votes shall be required for a vote to be carried.

13.6. In particular circumstances, as agreed beforehand by the committee, members under 18 may be entitled to attend and vote on issues which concern only juniors.

14. Alteration of the Rules

14.1. Additions, deletions or alterations to the Club rules shall be made only at: a. the AGM when the date for any such propositions shall be submitted to the Club Secretary by the

first day of October or; b. a SGM which shall be held according to Section 13 above.

14.2. A resolution to change a rule must be carried by a majority of at least two – thirds of members present and entitled to vote unless there are 14 or fewer members present when at least 10 votes shall be required to for vote to be carried.

14.3. No amendment to the rules shall become effective until such amendment shall have been submitted to and validated by the ASA East Midland Region.

15. Finance

15.1. All moneys payable to the Club shall be received by the Treasurer and deposited in a bank account in the name of the Club. All cheques shall have two of four signatories who shall be the Chairman, Treasurer and two other members of the Committee as the Committee shall decide. Any moneys not required for immediate use may be invested as the Committee in its discretion thinks fit.

15.2. The income and property of the Club shall be applied only in furtherance of the objects of the Club and no part thereof shall be paid by way of bonus, dividend or profit to any members of the Club.

15.3. The Committee shall have power to authorise the payment of remuneration and expenses to any officer, member or employee of the Club and to any other person or persons for services rendered to the Club.

15.4. The financial transactions of the Club shall be recorded by the Treasurer in such manner as the Committee thinks fit and kept for a minimum of six years.

15.5. The financial year of the Club shall be the period commencing on 1st September and ending on 31st August. Any change to the financial year shall require the approval of the members in a General Meeting.

15.6. In the event of a member having financial difficulty the Committee or approved sub – committee shall have the authority to waive or reduce fees to the individual. The decision to be reviewed at intervals not exceeding three months.

15.7. The Committee shall have a duty to ensure the finances of the Club are maintained in good order and the Club remains financially solvent. Should the Committee have concerns over the Club’s finances at any time they should seek such advice as is available and take such steps as the deem are necessary to resolve the situation.

16. Property

16.1. The property of the Club, other than cash at the bank, shall be vested in not more than four Custodians who shall be appointed by the Committee and confirmed by members at each AGM. They shall deal with the property as directed by resolution of the Committee and entry in the minute book shall be conclusive evidence of such a resolution.

16.2. The Custodians shall be elected at a General Meeting of the Club and shall hold office until death or resignation unless removed by a resolution passed at a General Meeting.

16.3. The Custodians shall be entitled to an indemnity out of the property of the Club for all expenses and other liabilities properly incurred by them in the discharge of their duties.

17. Liability

17.1. The Club shall not be responsible for any loss of property, injury or accident to any person, or wilful damage caused by a member.

17.2. Any accident that occurs during a club activity shall be placed in the Clubs Accident Report Book and the Accident Book of the Establishment where the incident took place and a copy of the report sheet shall be given to the Club Secretary. Members have a Duty of Care to inform the club of such incidents. An annual report shall be submitted to the ASA.

18. Dissolution

18.1. A resolution to dissolve the Club shall only be proposed at a Special Meeting and shall be carried by a majority of at least two thirds of the members present and entitled to vote.

18.2. The dissolution shall take effect from the date of the resolution and the members of the Committee shall be responsible for the winding – up of the assets and liabilities of the Club.

18.3. Any property remaining after the discharge of the debts and liabilities of the Club shall be donated to one or more organisations, approved by the Committee, involved in the pursuit of swimming and affiliated to the Nottinghamshire ASA or a similar organisation.

19. ACKNOWLEDGEMENT The Members acknowledge that these Rules constitute a legally binding contract to regulate the relationship of the members with each other and the Club. The following statement should appear on Club membership forms and should be signed by the member and must also be countersigned by parent or guardian of members under 18 years of age: Acknowledgement

I acknowledge receipt of the Codes of Conduct of Nottingham Leander Swimming Club and confirm my understanding and acceptance that such rules as defined in the Constitution (as amended from time to time) shall govern my membership of the Club. I further acknowledge and accept the responsibilities of membership upon members as set out in Codes of Conduct.

Swimming Development Record It is a good idea to keep a note of swims, which can then form part of your development record. Make photocopies of this sheet, and let the club know about swims you perform at open meets (i.e. where the club is not swimming as a team).
