What and Why … Do I really need it?
How to Register How to register for ‘My Rotary’
1. Go to www.rotary.org, then, click on “My Rotary”.
2. Click on the “Register” button.
3. Follow the prompts:
4. After receiving the email, click on the link as shown below:
5. In the Account Set-Up, the password should be 8 characters minimum, at least one uppercase,
one lowercase and a number. The answer to the Secret Question should have more than 4 characters.
How to Add New Members
1) Sign in to My Rotary: http://www.rotary.org/myrotary/en/home using your login email and password
2) Hover your mouse over the word ‘Manage’ and then under the heading ‘Club and District Administration’ click on ‘Club Administration’:
3) Click on ‘Add/edit/remove member’:
4) Click on ‘Add members’:
5) If the member is a Rotarian, has been a Rotarian in the past or if you are uncertain click on ‘Search for an existing member’.
To avoid adding someone who is already in the RI database it is highly recommended that you search for
the member before adding them as a new member. This will help avoid them losing their membership
history. If you are certain that a member has never been a Rotarian go to instruction 11).
6) Search for the member either by membership ID or first name, last name, city and country/geographical
region. The press ‘Submit’:
7) Once you locate the member, member click on their name highlighted in blue:
8) Make sure that all of the information listed is correct:
9) Scroll down to the last dialogue box. Select either ‘Active’ or ‘Honorary’ as the member type. Then add the membership change date. Please note that future member change dates and member change dates more than 180 days in the past are not allowed. Then click on ‘Add member & update contact’:
10) You will see that the member has been successfully added:
11) If you are certain a member has never been a Rotarian click on ‘Continue’:
12) Fill in all the required details for the new member:
13) Select the member type from the drop down box ie ‘Active’:
14) Enter in the date that new member joined the club. Please note that future member change dates and
member change dates more than 180 days in the past are not allowed. Then press ‘Save’:
15) You will see a screen with the new Membership ID number. The press ‘OK’.
16) You should see the new member added in the active members list:
How to do Semi Annual Returns To view and pay SAR on-line:
1) Log in to My Rotary: https://www.rotary.org/myrotary using your log in email:
2) Hover your mouse on ‘Manage’ and then click on ‘Club Administration’:
3) Scroll down to ‘Semiannual Dues (SAR)’ and click on ‘Semiannual dues invoice’:
4) You will see an outstanding amount in local currency (if available) as well as in US$. You can adjust the currency as well as the amount you would like to pay. Note: Australian clubs must include GST. In this case adjust the ‘Payment amount’ to reflect ‘Total amount to pay’. Click ‘Continue to payment page’ if the club would like to pay by credit card:
5) Check that the billing information is correct and then click ‘Continue’:
6) Again check the Summary including amount and then click ‘Continue’:
7) To download the paper SAR package click on ‘Download CURRENT period SAR package’.
This will produce the invoice, membership list, worksheet and instructions:
8) Send an email to Data Services to confirm the number of members and The Rotarian magazines (not Rotary Down Under) you are paying for: [email protected]
9) If there is some discrepancy with regards to membership you must advise Data Services at [email protected] or fill in the hard copy semi-annual report (SAR) documents which you can also download from the previous screen.
To opt out of the paper SAR:
1) Go to: Home | Manage | Club & District Administration | Club Administration (see above). Under ‘Semiannual dues (SAR)’ click on ‘Edit SAR preference’:
2) Scroll down to ‘Semiannual Report Preference’, click the tick box and then press ‘Save’:
