Document Purpose

The purpose of this document is to provide the public users an overview of the MoE e-Gov-Agency Internet module.

By going through this document, all users should be able to navigate through the Agency Internet workflow.

Click agencies menu from e-services of Ministry of Economy homepage.

The service provided for individual is agency enquiry record.

The service provided for company are as follows:

• Agent name modification

• Agency enquiry record

• Agency modify record

• Agency official letter request

• Agency record registration

• Agency renewal record

1. Agency record registration

A registration certificate is issued to record agencies in UAE. To issue registration certificate, the

registered online user needs to fill the application for agency record registration.

1.1. Process Flow

The registered user will come online and fill the registration certificate application form with

all required documents attached.

Click Agency record registration from the drop-down menu and home page of agencies services opens as shown

below:

1.1.1. Details of application form

Principal Details

• Principal name in English

The user needs to fill the principal name in English in the text box provided against the field, principal

name in English. The text type is single line text and alphanumeric. The field is mandatory.

• Principal name in Arabic

The user needs to fill the principal name in Arabic in the text box provided against the field, principal

name in Arabic. The text type is single line text and alphanumeric. The field is mandatory.

• Address Arabic




The user needs to fill the address in Arabic in the list box provided against the field, address Arabic.

The text type is multi line text and alphanumeric. The field is mandatory.

• Address English

The user needs to fill the address in English in the list box provided against the field, address English.

The text type is multi line text and alphanumeric. The field is mandatory.

• Nationality

The user needs to select nationality from the options of drop-down menu that is displayed upon clicking

the select button from combo box, as shown below.

Agent Details

• Agent name

The user needs to fill the agent name in the text box provided against the field, agent name. The text

type is single line text and alphanumeric. The field is mandatory.

• Owners

The user needs to fill the owners details in the list box provided against the field, owners. The text type is multi line

text and alphanumeric. The field is mandatory.

• Emirates

The user needs to select the emirates from the drop-down menu that is displayed upon clicking the select button

provided at combo box, as shown below. The field is mandatory.

• City

The user needs to select the city from the pop-up menu that is displayed upon clicking the select button provided at

combo box, as shown below. The field is mandatory.

• P.O. Box

The user needs to fill the post box number in Arabic in the text box provided against the field, P.O.Box. The text type

is single line text and alphanumeric. The field is mandatory.

• Telephone

The user needs to fill the telephone number of agent in the text box provided against the field, telephone. The text

type is single line text and alphanumeric. The field is mandatory.




• Fax

The user needs to fill the fax number of agent in the text box provided against the field, fax. The text type is single line

text and alphanumeric. The field is mandatory.

• Company type

The user needs to select the company type from the pop-up menu that is displayed upon clicking the select button

provided at combo box, as shown below. The field is mandatory.

• Capital

The user needs to fill the capital value in the text box provided against the field, capital. The text type is single line text

and alphanumeric. The field is mandatory.




• Head office address

The user needs to fill the head office address in the list box provided against the field, head office address. The text

type is multi line text and alphanumeric. The field is mandatory.

• Product details

The user needs to click the add button provided below the field, product details. The following dialog box will open.

Fields

• Product brief

The user needs to enter the product name in the text box provided against the field, product brief. The text type is

alphanumeric and single line text. The field is mandatory.

• Product description

The user needs to enter the product description in the list box provided against the field, product description. The text

type is alphanumeric and multi line text. The field is mandatory.

• Product trademark




The user needs to enter the trade mark of product in the text box provided against the field, product trademark. The

text type is alphanumeric and single line text. The field is mandatory.

• Product category

The user needs to select the category of product from the drop-down menu that is displayed upon clicking the combo

box.

Enter all the details in the dialog box and click save button. The table containing product details will be added to the

application.

Agency contract details

The user needs to fill the start and end dates of contract, by clicking the combo box and selecting the date. The date

type is date picker. The field is mandatory.

• Agency area details

To add agency area details, click the add button provided below the field, agency area details. The following dialog

box will open.

Fields

• Areas

The user needs to select the area from the drop-down menu that is displayed upon clicking the combo box, as shown

below. The field is mandatory. The drop-down menu consists of the following options:

• Address in different emirates

The user needs to enter address in different emirates, in the text box provided against the field address in different

emirates. The field is mandatory. The text type is alphanumeric and single line text.

Click save button and the agency area details will be added to the application.

Attachments

The attachments required for agency record registration are of the following:

• Asserted and translated contract of agency Agent’s approved signature

� A valid commercial license for the agent

� The certificate for a valid commercial registration number

� Asserted and translated contract of agency between the agent and the principal

� Delegation letter

� Agent’s ID

� Asserted agent’s company establishment contract

� Products information catalogue for products listed in the agency contract




� Unique agent agreement

Uploading of attachments

Click upload all button provided above the table containing details about attachments and the following dialog box will

open.

Click browse button provided against each attachment, to locate files containing attachments.

Click upload button to upload all attachments to the application, as shown below:

Process flow

Click submit button after filling up all mandatory fields in the application.

An application number with a thanks note is provided during successive submissal of application.

1.1.1.1. What to do next

The user should see for notifications on the home page, after submission of application. The IA will

send some notifications, as shown below:

Click “Process payment” from the notification. The following window will open:

Select the payment method.

Click on “pay” button.

Click on “I agree” button of the payment disclaimer page.

Enter card number and expiry month/year and click pay button. The payment will be completed.

Click on “my certificates”
