Page 11: Management Science Company Report Part I

Files

Secretaries often manage customer files and other records in an office. In a doctor's

office, for instance, the secretary pulls each patient's file at the time of the

appointment for the nurse or doctor. She replaces it when the appointment is over.

Keeping files in alphabetical order and using a local filing system for easy storage

and retrieval are keys to successful file organization.

Correspondence

Secretaries are the common liaison for incoming and outgoing phone and mail

correspondence. They receive calls from clients, business partners, workers or

community members, and either answer questions or forward the calls. They also

make calls on behalf of managers to communicate information to customers, to

schedule appointments or to follow up on inquiries. Taking notes from a manager,

preparing a memo or letter, and screening mail are common written

correspondence duties.

Documents

Secretaries are often tasked with copying documents for mailings or for internal

distribution. They also must fax documents from the company to clients or

customers, and receive incoming faxes to pass on to the appropriate person. Some

secretaries use email, Word and Excel to create spreadsheets or documents and

pass them on to employees or customers. Proofreading documents before they are

sent out of the office is another duty.

Office Tasks

Especially in small offices, a secretary may be asked to carry out routine clerical

tasks and errands to assist others. This may include canceling or rescheduling

appointments, ordering office supplies, taking notes during meetings, and getting

drinks for the supervisor and guests.

Page 11

JOB SCOPESecretary

Page 12: Management Science Company Report Part I

Reception

In general office positions, secretaries commonly assist new employees and visitors

in finding their way around. This includes directing visitors to the people they came

to meet and showing new employees where to go on their first day. In general, the

secretary projects the image of the business by offering a friendly and professional

reception to people who come into the office.

Clerical Duties

Each construction job has its own set of documents to maintain. Filing of bid

documents, contracts, subcontracts, and purchase orders is part of the job. It's

important to keep change orders -- issued when a contractor or owner initiates a

change to the original scope of the job -- filed accurately and in order. Project

foremen or superintendents may keep a daily project diary that you'll maintain. Every

company has different needs depending on the size of the staff, but you may also

schedule meetings, maintain a staff calendar, distribute correspondence and

prepare documents.

Specialized Duties

Project managers oversee construction jobs and many companies also employ

project engineers to assist them. In smaller companies, you may perform some of the

duties typically assigned to project engineers. You might process RFIs (requests for

information) sent to project architects or organize a library of material samples. You

also may assist the project accountant by copying invoices for job costing and

billing. The Occupational Safety & Health Administration (OSHA) has strict

regulations on the posting of information for employees, so you may be responsible

for posting workplace safety posters and maintaining forms for reporting to

manager.

JOB SCOPEFinancial Manager

www.trendbuilders.co.my

The role of the financial manager in a construction organization is essential to

organizational success, and more importantly, is vital to avoiding failure. In many

circumstances, competition is so fierce and margins are so thin, reliable financial

information and analysis certainly can make the difference between success and

failure.

The skills and personalities of the other members of the management team also

affect the role of the construction financial manager. The majority of a company’s

administrative work can be performed in any department and will be allocated

among departments partly based on the skills and personalities of the respective

department managers. To a great extent, sharing of responsibilities depends on the

skills and personalities of the management team members.

Successful financial managers respect the need for compromise in sharing

responsibilities. In small companies, responsibilities are assigned to a smaller group

of managers and, accordingly, each manager must handle a wider range of

responsibilities. For example, the financial manager in a small company with three

senior managers (owner, operations manager and finance manager) will typically be

responsible for all administrative and financial tasks. The other two senior managers

will typically concentrate on marketing, estimating and project management.

The department with primary responsibility for customer and subcontractor

relations (usually the construction operations department) will prefer to be the

primary contact in order to minimize the possibility of misunderstandings between

the parties. Because there is no one standard set of construction financial manager

responsibilities, each financial manager should be alert for areas of responsibility that

are not clearly defined in the organization. The financial manager should take the

initiative in assuring that all significant responsibilities are assigned.

This is an integrated program involving the registration and accreditation of

construction personnel, to enhance safety levels at construction work sites.

Construction workers who register are automatically covered by a special insurance

scheme that covers the construction personnel against death and accidents. It is

compulsory for all personnel working in construction sites.

The benefits for construction workers to attend this CIDB Green Card Program are:

To ensure that construction workers are aware of the importance having a safe

and healthy working place;

To provide basic knowledge on safety and health at construction work sites; and

To bring awareness to construction workers about legal requirements in relation

to safety and health.
