January 2013 Volume 56 Long Island News Manager’s Report – GM Horner GM Horner presented his monthly reports and updates. o Work Orders o There were 86 work order requests for the month and 5 work orders for the sprinkler system. There are still some work orders that have not been completed due to corrective action. One corrective action was the pump room’s roof at the golf course was starting to fall off. The pump sta- tions at the golf course will be rebuilt. The work on the roof above the filter room for the pools is still ongoing. The concrete work behind Hole 6 to raise the water level has been completed. Fumigation for mosquitoes is still ongoing and trying to be done twice at night. A new water heater has been placed in the restaurant. New trash cans have been purchased for the pool area. o Building Permit o 7 issued; 1 repair seawall, 2 removal of park model, 1 entry of park model, 1 tie down, 1 build a shed, & 1 skirting o Violation Letters o GM Horner stated that five violation letters will be sent out to owners for sheds falling apart (2), missing skirting/tie downs (2), and awning that is falling off the structure. o Past Due Condo Fees o (171) 1-15 days late ($96,650.89) o (01) 16-30 days late ($277.00) o (09) 31-60 days late ($4,334.50) o (02) 61-90 days late ($1,800.00) o (14) 90 days late ($29,318.33) Past due condo fees last month totaled $31,888.83. The current past due condo fees total $35,729.83. Difference of $3,841.00. o Treasurer Sandberg asked GM Horner about lots that are late between 1-15 days in the amount of $740.00 plus. GM Horner explained to Treasurer Sandberg that the lots with that amount are lots that are set up quarterly. o AT Kelmis asked GM Horner about the two bids that were received. 11/04 Lot 149 Owner called security to request lifting help. Secu-rity responded.11/10 Lot 70 Visitor was upset with the gate security as he was not allowed to enter without a pass. 11/10 Lot 631 Gate arm came down on owner’s vehicle. REGULAR BOARD MEETINGOctober 24, 2012

Approval of September 26, 2012 Board of Directors Meeting Min-utesVP White made a motion to accept the minutes. Dir. Guerra sec-onded the motion. All in favor. Motion passed.

Allocation of Funds AT Kelmis asked for the board to approve allocations of $6,804.00 from gazebo fund, $4,000.00 from the freezer fund, $4,000.00 from the pumps fund, and $2,000.00 for the lifts station for a total of $16,804.00 for windows at the Activities Office. All in favor. Allocations of funds approved.

Charge Cards Rental – AT KelmisAT Kelmis stated that at the moment the rental department does not accept charge cards. AT Kelmis made a motion to accept charge cards for rentals only and to look into PayPal. Treasurer Sandberg seconded the motion. An open discussion took place. Roll call vote: Dir. Guerra-yes, AT Kelmis-yes, Treasurer Sandberg-yes, VP White-yes, AS McBride-abstain, and President Chapa-yes. Motion Passed.

Grill Opening & Menu – AS McBridePresident Chapa stated that he has had a discussion with GM Horner about opening the Village Grill in December. AS McBride stated that the Village Grill should be considered as an amenity. GM Horner com-mented on the benefit of the Village Grill being considered as an ame-nity and about Chicken Night. GM Horner announced Carol will be the Village Grill supervisor. AS McBride made a motion to open December 01, 2012 with a limited menu and be revised as customers dictate and also have a schedule for Wednesday night. AT Kelmis seconded the motion. An open discussion took place. All in favor. Motion Passed. An example of the new menu was seen by board members.

AT Kelmis stated that after discussing with Ramona, LIV attorney, the board is able to have a revised rental contract with or without an indemnity clause. AT Kelmis stated the purpose for the indemnity clause and why it would be favorable to LIV. AT Kelmis made a motion to keep the indemnity clause in the revised rental contract. Dir. Guerra seconded the motion. An open discussion took place. Roll call vote: Dir. Guerra-yes, AT Kelmis-yes, Treasurer Sandberg-yes, VP White-yes, and AS McBride-abstain. Motion Passed.

President Chapa called for recess at 10:37 a.m. for executive ses-sion to begin.

Executive session

The board meeting resumed at 12:05 p.m. after executive session.

o AS McBride made a motion to accept Quality Construc-tion and Roofing from Brownsville for the new roof for the pump house with the exception of using treated plywood. AT Kelmis seconded the motion. All in favor. Motion Passed.

o President Chapa stated the board has made a decision not to accept Treasurer Sandberg’s resignation from the trea-surer’s position and Treasurer Sandberg will continue to act as treasurer.
