result - with values in brackets.
3.2 Data rows and reconciliation to Income Statement This section explains:
How to understand the “Unknown” and “Undefined Employee” rows;
How to reconcile the “Overall-Total” salary values that appear at the bottom of each Salary Report - for YTD
Actuals, Forecast and Budget columns.
3.2.1 “Unknown” Eligibility Group and “Undefined Employee” Employee Name
In some areas, there will be values against an “Unknown” Eligibility group. This relates to actuals transactions
against salary accounts that are not linked to an employee as they have not been processed through the HRMS
payroll system. For example, they may be transfer salary journals that have been posted in ES-Financials.
Where the values belong to an “Unknown” Eligibility Group, the employee name/s for this group will display as
“Undefined Employee”
Figure 2 – Salary report – “Unknown” & “Overall – Total”
3.2.2 Budget and Forecast columns
The Overall-Total salaries value in the Salary Report (at the bottom of the report) will reconcile to the Income Statement
“Salaries” line for each of the budget and forecast columns.

3.2.3 YTD Actuals column
The YTD Actuals Overall-Total salaries value will not reconcile fully to the Income Statement. Any variances will be
as a result of salary related transactions in ES (processed by Central Finance) that are not broken down by individual
employee. This will apply to for any of the following account/s:
Account 5007R (Long Service Leave-Levy Rec).
Account 5054 (Annual Leave-Academic),
Account 5061 (Long Service Leave – Academic); and
Account 5064 (Long Service Leave- Non Academic).
An example of a reconciliation is shown below.
Example – YTD-P11, BUD and FCAST current reconciliation
In the example below, the YTD-P11 actuals do not reconcile:
$
Income Statement Salaries 444,074
Salary Report Salaries 452,043
Variance (7,969)
Account 5007R (7,969)
Income Statement – extract (Salaries total)
Salary Report extract (Salaries total)
3.3 Sample reports Samples of 2 salary reports are shown below – one with subtotals and one without. All data has been redacted due
to sensitivity.
Note: The header of the Salary report will display all the selections made in the 2nd prompt page other than the “Display
