Group discounts are based on the size of the group and date of travel. Such services include:

Express non-stop service from Jacksonville International Airport to the Hyatt Regency Jacksonville Riverfront.

Departures leave every half hour and are available during all airport operating hours. Complete manifest 48 hours prior to the group’s arrival so the registration and front desks may be

staffed appropriately during heavy traffic times. Etak Events will provide a hyper-link that you may post to your organizations website allowing

attendees to make and pay for their own reservations online.

Cab fare to/from the airport/hotel is as follows: 1-2 passengers $37. ($8 per additional passenger for taxi vans). Executive Sedan are available for 1-3 passengers $50. Hyatt Regency Jacksonville Riverfront reserves the right to bill the Group for any damage charges incurred in the removal or placement of signs, banners or any other materials that may have been posted on property. No hand-lettered signs or banners are allowed in the public areas of the hotel. Banners and signs are only permitted in the meeting space and are not permitted in elevators or on guest room floors. Distribution of gummed stickers or labels is strictly prohibited. If your convention intends to use banners please advise Audio Visual Technologies, the hotel’s contractor for hanging banners. BILLING/CREDIT In order to expedite the billing and payment process, Hyatt Regency Jacksonville requires that proper credit information be established prior to your event or conference. Your organization may establish a master account for expected total invoices over $10,000.00.

Cash, credit card or direct bill, are options as forms of payment. We will accept corporate or personal checks 10 business days prior to your event.

Deposits are required on all groups, regardless of billing method. Your Catering or CS Manager can provide more information about deposit amounts and due dates. Exceptions are groups with approved Hyatt National Account Credit.

Direct billing privileges will only be granted to approved applicants. Groups wishing to be direct billed are required to complete a credit application. The application must be submitted to the hotel 120 days or more prior to the function date. The group must have at least two positive hotel references within the past year. A positive reference is one that has been paid within the terms as required by the creditor and is a similar dollar amount to the requested credit limit.

If a group is not able to produce the necessary references, the hotel will ask for full prepayment of the estimated charges.

The hotel credit terms are 30 days, and are not negotiable. Accounts not paid within the terms are subject to a 3% late fee and additional late charges until paid in full.

Direct Bill applications for repeat groups must be updated annually. Should you foresee a need for petty cash while on-site please contact your Catering or Convention Services Manager. Tax Exempt Status In order for an organization to be considered tax-exempt, they must have a current certificate of exemption from the State of Florida. The name on the Tax Exempt Form must also match the Form of Payment’s listed name. Please contact your Convention Services or Catering Manager if you are tax-exempt. Newspaper Available Daily CASH PAYING GUESTS In the event a hotel guest does not have a major credit card to secure his/her room, the Hyatt Regency Jacksonville will require full payment in advance for room and tax, along with a $50.00 refundable deposit for incidentals per night. If the guest does not wish to establish credit for incidentals, the guestroom phone will be restricted to calls other than room to room. All room folio charges from the Food and Beverage outlets and movie charges will also be restricted. CHECK CASHING Check cashing privileges are available at the front desk for hotel guests only. Guests may cash checks up to $50.00 per day. Hyatt Gold Passport & Platinum members may cash checks up to $250.00, and Diamond members up to $500.00. Room assignments prior to that time are on an availability basis. While every effort is made to accommodate guests arriving before the check-in time, rooms may not be immediately available. Check out time is 12:00 noon. Gold Passport Account holders are automatically offered a 2:00 p.m. check-out time. Requests to retain rooms beyond that hour should be directed to our Front Desk and, provided there are not conflicts with a major incoming group check-in, late check-out will be allowed free of charge. A late departure charge of $50 will be applied in the event of a conflict in room occupancy as stated above. Guests retaining rooms for late checkout in any event will be subject to a 2:00 p.m. checkout time. Guests will be charged the rate of the room if they check-out after 6:00 p.m. If a reservation has been made for more than one night and the guest leaves before the scheduled departure date (without at least 24 hours notice), the guest will be charged the rate of the room plus tax. Self-service Kiosks are available at the front desk for quick and efficient check-in or check out. Guests may use www.hyattwebcheckin.com to maximize check-in as well as check-out. Video checkout is also available through our TV system to maximize check-out efficiency. COAT CHECK Coat check services may be arranged for meetings, conventions, or social events. Videography All decorations or displays brought into the hotel must be approved prior to arrival and meet the approval of the local authorities. Items may not be attached to any permanent hotel structure or furnishing with nails, staples,

tape, or any other substance in order to help preserve the appearance and minimize damage to the public areas. DELIVERIES Deliveries to the hotel must be received at the loading dock (Market Street side of hotel) no earlier than three business days prior to the event start date. Please ensure that your shipments or products are well marked and that the driver/delivery company will unload them. If Hotel staff is required to unload items, labor fees will apply. Please contact your Catering or Convention Services Manager for further information. DIRECTIONS TO HOTEL From I-10 Eastbound (Gainesville, Tallahassee/Valdosta) Take 1-10 Eastbound. Take I-10 to I-95 N. Exit 352-B (Forsyth Street). Take Forsyth Street approximately one mile to Newnan Street. Turn right onto Newnan Street and travel three blocks to Coastline Drive. Turn left onto Coastline Drive and into hotel driveway. From I-95 Southbound (From the Airport) Take exit 353-B (note this exit is from the left lane on I-95) and go east (left) onto Union Street. Stay in your far right hand lane and go approximately 1 mile to Newnan Street. Turn right on Newnan Street (at the Texaco gas station) and go approximately 1mile to Independent Drive (St. John’s River is straight ahead). At the stop sign (corner of Newnan and Independence) you will notice ahead of you that the buildings are connected with an overhead walkway. Under the walkway, on your right, is the Hyatt Regency Jacksonville parking garage. For Valet Parking and unloading luggage, pass the parking garage entrance and continue to the waterfront. Turn left on Coast Line Drive to the main entrance of the hotel. From I-95 Northbound (Coming from Orlando, Daytona, or St. Augustine) Take exit 350-A (Main Street/Prudential Drive) to downtown. Go over the Main Street Bridge and take the first right exit. Turn right on to Newnan Street. On your right is the Hyatt Regency Jacksonville parking garage for self-parking. For Valet Parking and unloading luggage, pass the parking garage and continue straight to the waterfront. Turn left on Coast Line Drive to the main entrance of the hotel.

DRY CLEANING Dry cleaning, laundry slips, and pricing details are available in guest room closets. Services are available Monday through Friday. Dry cleaning and laundry are returned by 5:00pm of same day, if turned in by 9:00am. EARLY DEPARTURE FEE The guest will be charged the rate of the room plus tax if departure occurs before last reserved night without at least 24 hours notice. ELECTRICIANS Audio Visual Technology handles all electrical needs, including working with production companies to determine adequate power for entertainment, lighting, and sound. Please contact Audio Visual Technologies for any electrical requirements, and to obtain an Electrical Order Form, which lists current electrical

fees/charges. Forms from vendors or exhibitors must be returned with payment two weeks prior to event. AVTs direct line is (904) 634-4544. No other outside vendors are authorized to provide this service. EMERGENCY The in-house number to call for emergencies is ext. 57. This may be called from any house phone in the hotel. Security operates 24-hours per day. Regularly scheduled patrols of the hotel take place by uniformed officers. Jacksonville police, fire, and paramedics will be contacted by hotel security when necessary. The hotel complies with all fire prevention codes; including smoke alarms, sprinklers, and enunciator/speaker system. When alarms are activated sirens must continue to ring until investigated by the Jacksonville Fire Department. Elevators will automatically return to the ground floor until the alarm is deactivated. Announcements will be made after each alarm, with specific instructions on whether to evacuate. Please await loudspeaker instructions. Emergency exit information is located on the back of all guest room doors. See “Medical Facilities” for more information. EXHIBITS Please contact your Catering or Convention Services Manager for a full compliment of Exhibit & Show Policies & Procedures. Show Decorators and/or groups must provide proof of liability insurance and Fire Marshal Floor Plan Approvals a minimum of 2 weeks prior to arrival. Charges for meeting rooms and function space used for commercial exhibit purposes are charged per booth, per day. (Prices include: heating/air-conditioning and room lighting.) Tabletop exhibit arrangements, handled directly through Hyatt Regency Jacksonville, are charged per table, which includes (1) clothed table and (2) banquet chairs. Exhibit rental does not include storage, electrical, phones, drayage, decoration, furniture, special lighting, other accessories or labor to install, decorate or erect exhibits. Floor plans must be submitted for review no later than One Month prior to the event. FIRE CODES The following are some general regulations that fall under our local fire authorities specifications. They should be considered when planning and coordinating space, decorations, etc. in the ballroom and meeting space.

Every required exit, exit access, or exit discharge shall be continuously maintained, free of all obstructions or impediments for use in the case of fire or other emergency.

No furnishings, decorations, or other objects shall be so placed as to obstruct exits, access thereto, egress there from, or visibility thereof.

Any furnishings, decorations, and stage settings shall be fire retardant treated, and must display certificate of proof. Your Catering or Convention Services Manager shall approve all extensive plans.

A certified fireguard is required for any area where exhibits are located when the exhibits include autos or equipment that contains flammable motor oil. Please contact your Catering or Convention Services Manager for further information.

Upon discover of a fire or other emergency, one should dial #57 for security assistance and/or pull the closest red “Fire” pull box. (See also “Emergency Procedures”)

LOST AND FOUND When an article is found, it is turned into the security department and held there for (30) days. If the item is unclaimed after (30) days, it is disposed of. Guest Security Hyatt Regency Jacksonville has on-duty security officers 24-hours per day. Uniformed officers patrol all areas of the hotel on a routine basis.
