Coronavirus (COVID-19) Updates and Information

We encourage you to review Girl Scouts Together with your family and Girl Scout troop to understand GSOSW’s guidelines and determine your family’s and troop’s preferences. It is important to note that no troop/group or individual is required to meet in person.

Girl Scouts Together is your one-stop-shop for all of the information you need on GSOSW's reopening plans, the resumption of in-person Girl Scout activities, and resources for continuing successful virtual Girl Scout meetings, if preferred, during the COVID-19 pandemic.

Please be mindful that this is an ever changing environment and the Product department may need to provide additional guidelines in the moment if necessary.

As a Girl Scout, your girl will dream, take action and make impressive things happen that will inspire those around her. I want to thank each of you for all you do throughout the year to support your Girl Scout, encouraging her to explore her interests and support her community while making friends and having fun.

I welcome all of you to our annual Fall Product Program an opportunity for your girls to set and achieve goals while earning money for activities. Like the iconic Girl Scout Cookie Pro-gram, the Fall Product Program teaches important life skills and helps to build financial liter-acy as girls market their business, communicate with customers, and make decisions while learning to manage money. This short, fun and engaging program is a great way for your girl to learn important life skills.

The nuts and candy are delicious and designed specifically for Girl Scouts. The magazine program is a great opportunity for customers to support Girl Scouts while renewing existing subscriptions or trying out a new magazine. .

Thank you again for supporting your girl and Girl Scouts through participation in the 2021 Fall Product Program. One hundred percent of the net revenue earned remains within our council. Every purchase provides new and unique opportunities for local Girl Scouts, includ-ing outdoor adventures and valuable educational experiences that have lifelong impact for your girls.

Glossary

PPD: Product Program department (Victoria Foreman, Melissa Stanley, Lynn Hurst, and Nicole Fernandez-Gatti)

SU: Service unit - A community of troops grouped together based on their geographic location, typically designated by school district boundaries.

SUPM: Service unit product manager - The volunteer in charge of the product programs for a service unit area.

TPM: Troop product manager - The person in a troop responsible for the Fall Product Program.

Juliette: A girl who participates as a Girl Scout individually instead of in a troop.

Ashdon Farms: Program partner providing the nuts and candies for our Fall Product Program.

M2/M2OS: M2 is the program partner that provides and supports the magazine portion of our Fall Product Program. M2OS is the software and online sales system used to track the Fall Product Program including the nuts/candy.

Magazines Customers will enjoy browsing through their favorites and selecting subscriptions of the most popular paper and digital magazine titles at a drastic savings from newsstand prices.

Publications are available for customers to purchase online.

Nuts & Candy

Customers can select from a large variety of premium chocolates, gourmet candies, nuts and snack mixes.

Paper order forms have a limited variety of items offered, but customers can view additional nut

and candy items offered through the M2 online system.

Family Checklist Make sure your Girl Scout is registered for the 2021-2022 Girl Scout

membership year Attend training from your Troop product manager. Go to ethics.girlscoutsosw.org to complete a pledge to participate. For quick reference later, fill in the name and contact information

for your Girl Scout’s troop product manager below. Starting Saturday, September 17, help your Girl Scout with

participation by going online and/or using the order card. Enter any in-person nut & candy orders in your girl’s

online account by 12 p.m. on Thursday, October 21. If your Girl Scout reaches a recognition level with a choice (see

order card), make sure that choice is selected in the girl’s online account or inform your troop. If no choice is made, the default choice at that level will be given.

Pick up nut and candy orders from your troop and deliver to customers in mid November.

Turn in any remaining money due to the troop product manager by December 1.

Online sales continue until November 29 at midnight. Celebrate a job well done!

Safety First! As girls explore online we want them to be safe and informed. GSUSA created the Internet Safety Pledge based upon the Online Safety Pledge developed by the National Center for Miss-ing and Exploited Children.

All girls, as well as their caregivers, must read, agree to and sign the Girls Scout Safety Pledge before girls go online and participate in Girl Scout-related activities. Take the pledge.

M2 Online System

With the M2 Online System, girls can create and customize their storefront pages, set goals, track their progress submit in-person nut/candy orders, select reward options, all while learning the Five Skills of the Girl Scout Product Program: goal setting, decision making, money management, people skills, and business ethics.

M2 Online System is a safe, fun and interactive website where girls can send emails to customers, earn patches, easily grow their sales, and learn about goal setting through career exploration!

Throughout the M2 Online System, girls, parents and volunteers will have an easy time participating in the Fall Product Program. Customers can shop for their favorite magazine, chocolate covered treats, and place and pay for their orders all online.

Girls can send out emails to customers inviting them to shop, order and pay for their items online.

Shipping and handling charges will apply.

Emails are safe with us, we respect email privacy!

Email address are only used for this program and NEVER rented or sold!

Benefits of Participating in the M2 Online system:

Customers receive their orders faster.

Orders can be shipped straight to the customer!

No need to collect money for orders.

All major credit cards and debit cards accepted.

“Girl Delivered” Online Nut and Candy Orders:

Customers can place orders online for nut and candy items to be delivered in person.

Payments for girl delivered orders is collected online. Do Not add these orders to the girls in-person order card totals.

Girl Delivered online orders are automatically tallied by the system and will arrive with the service unit/troop delivery between November 11-13.

The girl delivered option is only available to customers through October 29.

Placing the Orders

How Will I Place My Girl Scout’s Orders?

Check with your troop product manager for your order submission due date. You have two options to submit your girl’s order.

1. Enter on the online site. Benefits: You keep the order card with reward and customer details.

2. Benefits: If you don’t have computer access, your troop product manager can enter the order for you. Turn your order card in to your troop product manager.

Do Not Do Both! If you input your order online and then your troop inputs your order again, you’ll receive double the items you need. Items cannot be returned once they’re ordered.

Inputting Orders Online

On your dashboard, click Manage Paper Orders.

Enter the total number of items you need for each product. Click Update when you are ready to submit.

Green text will appear above the Update button to let you know that your order has been saved.

This page will remember how many of each item you have ordered. You can add more items up until the submission dead-line if needed.

For instance, if you previously entered two Fruit Slices for an or-der, but need to add one more, you can click Manage Paper Or-ders, change the total Fruit Slices to three, and click Update.

Product Pickup From Troop

Your troop product manager will tell you the date/time/location to pick up your Girl Scout's nut and candy items.

Allow enough time to count the ordered items with your troop fall product manager and sign a receipt showing the total number of items ordered and the amount due. It's important to verify you've received the correct amount of product. Always get a receipt!

Proper Transport, Storage, and Delivery

Use your order card and /or Sales Report to deliver to customers.

Always transport in a climate-controlled vehicle, 72 degrees or lower. Don't leave product in a vehicle, as it may melt even in cold weather.

Store the product in a climate-controlled environment, out of direct sunlight.

What is the return policy?

No products ordered can be returned to the troop, service unit, or Girl Scout Council.

Melted products cannot be returned.

What if an item is damaged?

If the package or can is crushed, sealed but empty, unsealed, or returned by the customer, the item can be exchanged for a non­damaged item of the same variety.

The damaged item should be returned to your troop product manager.

What if the customer requests a refund?

All sales are final. If the customer has a quality complaint, ask them to contact M2 at 800-372-8520 to request a refund.

Set Her Up For Success

Attend your Girl Scout’s troop Fall Product program training and sign the online Permis-sion and Ethics Pledge. This must be completed before she begins selling.

Review the Fall Product Program information together so that your Girl Scout under-stands it and help her to set her sales goal.

Help her to set up and completed the M2 online system. Show an interest in her efforts, help her to think of prospective customers, and perhaps practice her “sales pitch.”

Help her to meet her deadlines by taking orders no earlier than September 17 and submit her fall product orders by the dates set by her troop product manager.

Promptly pick up her nut and candy order and assist her in the delivery of orders to her customers.

Selling In Person

People love to support Girl Scouts! If your girl wants to take in-person orders, she can use the Nut & Candy Order Card to take orders from customers.

Girls can submit their orders online, or submit the “Nut Order Form” or the Girl Order Sum-mary by the deadline set by your troop product manager. Deliveries will be made to service units/troops between November 11-13. Once girls receive their product, they can immediately begin delivering items and collecting payment.

All product are Non-Returnable. Damaged items can be exchanged.

Girl Scout Safety Pledge

Have your Girl Scout wear her vest, pins or Girl Scout shirt when selling-something that will identify her as a Girl Scout!

Never let her sell alone– She should always have an adult with her.

Submit full payment for all nut and candy orders on the dates set by her troop.

Do not go out after dark.

Never, for any reason, approach a parked automobile.

Never enter a home when asking for orders. If invited to go in, politely refuse and explain that it is against Girl Scout safety rules for you to go into anyone’s home.

What To Do If A Girl Delivery Order Needs to be Cancelled

Before the troop order is placed: Family needs to call the M2 customer service line 800-372-8520 to get the order reversed and refunded. The customer can then go back and place a new order as direct ship if desired.

After the troop order is placed. There is no way to reverse the order after this time. Once the order has been submitted by Girl Scouts to the manufacturer, the order will proceed and the product will be ordered. The product is the responsibility of the girl, and your family will need to coordinate directly with the customer to get the product to the customer somehow.

Financial Guidelines and Tips– Collecting Payment TPMs set deadlines for collecting troop payments that not only align with Girl Scouts deadlines, but take into account volunteer and troop schedules and the time it takes to receive, process and deposit funds. These collection opportunities may fall outside of regular meeting times. When you honor these deadlines, your actions (1) show troop volunteers that you value their effort and time, and (2) allow volunteers the space to keep supporting this experience for girls.

TPMs may send deadline reminders through the M2OS system in addition to the troop’s typical communication platforms. Their efforts are to provide families as much support as possible. We all know how time can get away from us, especially during busy times of the year! We encourage TPMs to update families more than once during the program of what the troop believes a girl’s balance due is. This provides an opportunity to ensure everyone is on the same page. Troops are not to cover unpaid girl balances as that deducts from the troops proceeds. If the troop is expecting a different balance than what the family shows, take time as early as possible to address these discrepancies together.

Check with your troop product manager to determine if your troop will accept checks. We recommend asking to see the customer's driver's license and writing the driver's license number on the top left of the check. Don't accept checks from someone you do not know.

We recommend purchasing a counterfeit detection pen to verify any bill larger than a $5. If you don't have a counterfeit detection pen, we recommend that you don't accept bills larger than $20. These pens can be bought at most office supply stores, or major retailers.

The council cannot reimburse troops for counterfeit bills. If your troop does receive a counterfeit bill, they should report this to your local police department.

When turning money in to your troop, don't forget to ask for a receipt!

Care To Share

Customer who would like to support girls can also give the gift of snacks to Operation Gratitude. An organization that serves as our fall Gift of caring program. Orders for nuts/candies donations count toward girl nut/candy recognitions and troop proceeds. Girls will earn the Care to Share patch with five gift of caring donations! When Care to Share products are ordered by customers, the product is sent directly to Operation Gratitude. The customer troop do not receive the physical product.

Program Credits

A great way to pay for your Girl Scout experience!

Program credits are a great way to finance your Girl Scout adventures. Participate in the Fall Product Program and select Fall Product Credit to pay for council events and trips, Girl Scout gear in our store, or even summer camp!

Then participate in the Girl Scout Cookie Program starting in January to keep earning more program credits to help pay for your adventures!

*** Program Credits include Fall Product Credits, Cookie Credits, Pathway Cards and Adventure Pass.

Program credits may not be cashed in for “real money”, have no value outside of Girl Scouts of Oregon and Southwest Washington, and expire.

Extended troop/patrol travel: Troops and patrols taking an approved extended trip can use your credits towards expenses. To redeem, submit Program Credit Transfer Request form #238. Be sure to include the trav-el approval email or signed copy of your Extended Trip - Intent to Travel Notification #121a with your transfer submission. Credits cannot be used toward individual girl travel, only troop/patrol travel.

Entrepreneurship and Financial Literacy As girls are able to envision a future where they are financially independent and empowered. Along with Outdoors, STEM and Life Skills, Entrepreneurship is one of the four program pillars of the Girl Scout Leadership Experience.

More than 50 awards and badges ensure girls from Kindergarten to high school are building their passion and skills as entrepreneurs. In addition, 25 of the badges form a Financial Literacy focused badge track within the Entrepreneurship program progression.

Girls also annually participate in the Girl Scout Cookie Program, Fall Product Program, and other Girl Scouts events, including Cookie Rallies, and special badge-earning workshops.

Our Girl Scout Entrepreneurship program progression shows how girls progress from money manager, learning basics of money management, all the way to a girl prepared with the skills, knowledge and attitude to be an innovator and an entrepreneur!

Product Program Proceeds Standards Troop proceeds earned through the product program are the property of the troop and at no time

does the girl or their family receive these funds directly.

Girl Scouts engage in troop budgeting activities that help them to learn money management. The girls are part of the decision-making process in determining troop dues, troop money-earning projects and uses of collective funds. The funds are used for Girl Scout program activities and troop expenses. Troop members share in the proceeds from a successful product program; proceeds are not distributed to individual girl members.

Girl Scouts may not raise money for other organizations. However, girls may contribute a portion of their troop treasury to organizations or projects they consider worthwhile (for example, local or international community service organizations or environmental projects).

Girls are encouraged to designate a portion of their troop treasury for the annual membership dues of all troop members. This is a sound and efficient practice that enables girls to meet

membership dues and lessens the potential burden to individual members.

All proceeds earned by girls through product activities must support Girl Scout program experiences for girls (such as camp, troop travel and program events; but not scholarships or financial credits toward outside organizations). Individual gift cards or individual tickets to external establishments would not be within guidance.

Example: Accepted: Tickets for a troop trip to the zoo. Not Accepted: Tickets given to an individual girl or her family to the zoo.

Travel and event rewards are Girl Scout hosted and funded for all Girl Scout activities.

Example: If a girl is unable to attend an activity sponsored by the troop, she is not entitled to reimbursement for the funding that would have been spent for her experience.

Proceeds received by a troop are non-transferable. Girls who leave the troop or leave Girl Scouting are not entitled to proceeds earned while in the troop when they leave. Proceeds do not follow the girls. Annually, troops are guided to conduct financial planning during goal setting. One primary decision made each year is how funds will be managed should a girl need to leave the troop. If she is leaving Girl Scouts, no funds are distributed. If she transfers to another troop or council, the troop can decide how much–if any–money will be gifted to her new troop. Funds are never distributed to a girl directly, a check or money transfer occurs between troops.

Proceeds may only be allocated to Girl Scout troops for Girl Scout program activities. Cash based accounts may not be kept for or distributed to individual girls. Proceeds for individual girls in any pathway are not tracked–either by the Girl Scout Council or troop.

Selling Methods Online Safety

The safety of Girl Scouts is important to us, especially online. Girl Scouts should never post identifying information (full names, phone numbers, addresses etc.) online.

Promoting vs. Selling

Girl Scout product programs intentionally put girls in the driver’s seat to ensure they get the most from this entrepreneurial experience, girls do the selling, not adults. Adults can support girls by pro-moting their participation, rather than doing the selling for them.

The difference …

Promoting “Hello, Allie is selling ____! To find out more visit her sales website or let us know if you are in-terested so Allie can reach out.”

Selling “Hello! Allie is selling _____! Put your order in the comments and I’ll get back to you with the totals.”

M2OS

The M2OS is the only approved online sales platform from which members of Girls Scouts of Oregon and Southwest Washington may sell items for the Fall Product Program. A girl can build their own virtual storefront though M2OS giving them the ability to send personalized messages and video to potential customers by making a sales pitch. The sale is processed online and product can be shipped directly to customers or customers can choose to have the girl deliver their order. M2OS helps girls practice the five skills of the product program while protecting girl’s safety online. Girl Scouts is con-tractually committed to use M2OS as our only online platform for the Fall Product Program.

Facebook/Instagram/Next-door or other

Personal social media accounts with appropriate privacy settings recommended when sharing a M2OS link/information with your “Facebook friends”. Public sites can be used to share M2OS links but not necessary due to the Fall Product Program being a family and friends event. If M2OS is shared on a public site be aware the link is now searchable by anyone and could potentially appear anywhere on the internet. Using social media as a marketing tool is allowed but not to sell or take orders. It is important that all online sales be managed by a Girl Scout and be sold through M2OS.

Online Sales Outlets’ like Amazon, eBay or other

These online selling outlets are not licensed by GSUSA to sell Girl Scout product. GSUSA strongly cau-tions against purchases of Girl Scout product found for sale online at sites like these. (1) Freshness or integrity of these items cannot be guaranteed (in many instances, these items are actually expired) (2) Purchasing in this way does not support Girl Scouts participating in the cookie program.

Selling Methods Continued

In Person

Pre-sales

Girl Scouts can presell nuts/candies using their order card September 17 through October 26. Presales are in-person sales paid for and delivered in person to customers once the fall product is received and in possession of the Girl Scout.

Door Hanger/Flier Distribution

Girl Scouts can share/distribute their M2OS link at front doors in community using fliers or door hangers. Fliers cannot have identifying information (full names, phone numbers, addresses etc.) A M2OS link, QR code and troop number and/or girl first names can be included.

Booth Sales

The Fall Product Program is not tailored for in person booth sales or similar venues. Girls can contact their friends, family and familiar customer connections.

Virtual Booths

You can use an online platform like zoom, Face time, Skype to set up a virtual booth to take orders using M2, presale order cards etc. using a sales pitch and visual marketing. A M2OS link, QR code and troop number and/or girl first names can be included, no identifying in-formation (full names, phone numbers, addresses etc.)

Use of Girl Scout Trademark

Use of the Girl Scout trademark or trademarked images is prohibited without the express written permission of GSOSW. If you wish to work in partnership with a local community business partner in relation to Girl Scout products, please email [email protected]

1 Start by going to your council’s website and clicking on the link to participate in the online portion of the program.

3 Check the dates of the product program and make sure to have all orders before the end date.

2 Enter your goals and your progress will appear on your online site for friends and family to see.

6 Make sure to follow all Girl Scout safety activity checkpoints for computer/online use and council sponsored product program. Only contact people you and your family know.

4 Practice telling customers about the benefits of buying and reading magazines. You might even suggest specific magazines to friends and family based upon your knowledge of their interests.

5 Thank every customer, whether they buy online or in person.
