Microsoft Office 365 is the new messaging and storage solution for the City of Edinburgh educational establishments. Office 365 is a cloud based suite of tools which allows collaboration and provides a considerable increase in storage space. Office 365 has many features. 1. OneDrive on the Web (staff & pupils)
As part of Office 365, every user has a file storage area in the cloud called OneDrive. You can access OneDrive on
a range of devices using a web browser. (http://office365.edin.org)

To copy a file directly from the desktop, drag it here until you get the Drop here... message

2. OneDrive on Your PC (optional, staff only)
OneDrive can also synchronise with a folder on your BT computer. This allows you to access your OneDrive files
directly from a local folder rather than through a web browser. Please note, this is only available for staff as
allowing pupils to synchronise their files to multiple computers in this way could adversely affect network
performance.
Then click Sync now
Log in to Office 365 and
click on the OneDrive tab
Click on SYNC

Click Sync now again
Click Show my files…

Right click on the Favourites star, then click Add current location to Favourites
You now have the OneDrive folder on your hard drive

The next time you try to save a file to OneDrive, make sure that you select Documents
Your files will be automatically saved to your OneDrive. You can see new files in your browser
version of SkyDrive as they have a green symbol next to them

3. OneDrive on Your iPad (staff & pupils)
You can access your Office 365 OneDrive files on your iPad using the OneDrive for Business
app (free to download).
You will need to sign into the OneDrive for Business app the first time you open it.
For staff: your username is [email protected], eg [email protected]
For pupils: your username is [email protected], eg [email protected]
Your password is the usual password you use to log into BT computers in school.

Once you have signed into the app, you will see all your files and folders. Tap any item to open it.
Edit Office documents with Office Web Apps in the Safari browser on your iPad
1. In OneDrive, tap the Word, Excel, or PowerPoint document you want to open. A read-only version of the file
opens.
2. Tap the Ellipsis (…) and choose Launch Web App. This launches the Safari browser.

3. On the Office 365 sign in page, type your username and password and sign in.
4. To edit the document, tap Edit document then Edit in Word Online at the top of the page.
5. Any changes that you make are automatically saved.
Open a document in another app on your iPad
1. Tap the document you want to open.
2. Tap the Share icon and select open in another app.
3. Choose an appropriate format.

Using Office 365 on personal devices
To ensure your data is kept secure, please adhere to the following practices if accessing Office 365 on a personal device, eg. smartphone, personal iPad/tablet or home desktop/laptop:
Always control access to you device with a secure password or passcode Access Office 365 via the web (http://office365.edin.org) using a recommended browser Turn off Password Saving for your browser - Explorer, Safari, Firefox, Chrome Ensure that you log out and/or quit your browser when you have stopped working in Office 365,
especially if you share your device with other users Ensure that you lock/log off your device when not in use
