52014 Fees ‒ Canada Refund Policy ‒ CanadaThe Registration Fee is non-refundable at all times except in the case where the student visa has been rejected. Should a student visa be rejected from a Canadian Embassy, the rejection letter should be submitted in order to have the registration fee refunded. All deposits will also be refunded upon submission of the offi cial rejection notifi cation from the Canadian Embassy.

To apply for a tuition refund, the student or agent must submit a written notice of withdrawal.

There are no refunds for classes missed due to holiday, graduation, orientation, and / or other situations beyond the school’s control.

In this policy, the word “program” refers to the full cycle of studies to which the student registered. All refunds apply based on the assumption that the full payment has been received.1. Eff ective before the start date

1.a If a student cancels 30 days or more before the start of the program, the school will retain 25% of the fees due under the contract and refund 75% of the fees to the student.

1.b If a student cancels less than 30 days before the start of the program, the school will retain 40% of the fees due under the contract and refund 60% of the fees to the student.

2. Eff ective after the start date2.a If a student cancels (or is dismissed) within 5 calendar

days of the start date of the program, the school will return 50% of all unused tuition fees paid under the contract.

2.b No refund will be paid if a student cancels (or is dismissed) when more than 5 days of the program have been completed.

2.c Refunds on postponed starting dates are based on the original start dates (applies also to students transferring from one GV school to another).

Homestay Refund Policy3. If written cancellation notice is given 12 weeks or more before

beginning of homestay, all money will be refunded including Homestay Placement Fee.

4. If written cancellation notice is given less than 12 weeks before beginning of homestay, all money will be refunded except for the Homestay Placement Fee.

5. For refund requests after commencement of Homestay:5.a The student should inform the GV Homestay Offi ce in

writing three weeks before the end of the homestay period if he/she decides to terminate the agreed homestay period. If the notifi cation period is lessthan 3 weeks, then in addition to the non-refundable notifi cation period, a $150 cancellation fee will apply.

5.b If the host family has failed to meet the Homestay conditions, the student will be moved to another Homestay, and there will be no refund given for the period of homestay already used.

6. Language Coop Program Refund Policy:Coop Support Fee fully refundable in case of documented visarejection. All other refunds subject to refund policy found at www.gvenglish.com.

Refund, Transfer and Admissions Policies ‒ United StatesGeneral Refund Policy1. In this policy, the word “program” refers to the full cycle of

studies to which the student registered. Extensions of studieswill be treated separately.

2. To be considered for a refund, a student or agent must submit a completed Cancellation Form or notify the school in writing of the cancellation by some other means.

3. There is an Accommodation & Study Program Cancellation/Reduction/Change fee. If the student came through an agency, Global Village Hawaii will check with the student’s agency for any other fees that they may assess. Additional fees may apply from outside vendor accommodations other than homestay. This fee does not apply to Accommodation or Study Program extensions.

4. For the Teen Activity Program and other specialized Activity Programs [e.g. Study tours, English Plus, etc.], there are no refunds for homestays, activities, airport transfers, or excursions, but only for tuition that is off ered as per the normal Cancellation/Withdrawal policy [see below].

5. There are no refunds or make-up classes for classes missed due to holidays, graduation, orientation, natural disasters and/or other situations beyond the school’s control.

6. If Global Village Hawaii cancels a program that a student registered for, and profi ciently placed into, Global VillageHawaii will refund all monies paid by the student. If you came through an agency, Global Village Hawaii will check with your agency and let you know of any other fees that they may assess.

7. If a student is dismissed from school for violating school policies, the Global Village Hawaii cancellation policy willapply from the student’s last date of attendance.

8. It is understood that students who register through travel agents have signed contracts with these agents that may include cancellation penalties, no refund policies, or home country refunds only conditions. In all cases regarding agent sent students, Global Village Hawaii will confi rm the conditions of agent student contracts with travel agents before issuing any refunds.

9. Textbook fees will not be refunded once the books have been issued to the student. If a student has the same edition of textbook(s) from previous studies, the student may request a refund for the new textbook(s). The request must be made within the fi rst week of studies. No refunds will begiven beyond this period.

10. Refunds are issued within 45 days after the date of receipt of the written notice of cancellation. If the student came through an agency, the agency may have other restrictions or fees. Global Village Hawaii will contact the student’s agency and let the student know of any other conditions.

11. Cancellation/Withdrawal of Enrollment before the student’s start program date or never attended class (no show):11.a Global Village Hawaii will refund all monies paid less

the registration fee, accommodation placement fees, any actual housing costs incurred by Global Village Hawaii, express mail fees, SEVIS related fees and any accommodation deposits. However, if a studentcancels within 72 hours of making the registration, Global Village Hawaii will refund ALL monies paid less nonrefundable accommodation deposits, express mail fees and SEVIS related fees, if applicable.

11.b Students Denied Visa/Entry: A student denieda student visa or entry into the United Stateswill be given a full refund of all monies paid less nonrefundable accommodation deposits, any actual housing costs incurred by Global Village Hawaii,

express mail fees and SEVIS related fees, if applicable. A maximum of $500 of non‐housing related fees may be charged.

12. Cancellation/ Withdrawal of Enrollment after the student’s start program date:For all cancellations, students must notify Global Village Hawaii by completing a Cancellation Form or notifying the school in writing of the cancellation by some other means. If a student does not notify the school that he/she is withdrawing,Global Village Hawaii will check attendance records and if the student has been absent for more than 10 consecutive class sessions, the student will be dismissed from school and the student’s I-20 Form will be terminated. Global Village Hawaii will calculate the student’s refund (if applicable) based on the last day of attendance. Any money to be refunded will be mailed to students’ home address or to their travel agent. In all cases an Accommodation & Study Program Cancellation/Reduction/Change Fee will be applied.

The following calculation is made for tuition and specialized programs:12.a No refunds will be given for the fi rst 4 weeks of the

student’s study program.12.b Students who cancel/withdraw after the fi rst 4 weeks

but before or at the midpoint of the student’s study program, Global Village Hawaii may retain a prorated amount of tuition. For students who withdraw after the midpoint, Global Village Hawaii may retain all of the charges for the student’s study program.

12.c Prorated refunds will be calculated on a weekly basis. When determining the number of weeks, Global Village Hawaii defi nes a partial week as if a whole week were completed, provided the student was present at least one day during the scheduled week.

12.d Students who cancel/withdraw after completing the initial study program, but before or at the midpoint of any subsequent study program, GV Hawaii may retain a prorated amount of tuition up to the midpoint. For students who cancel/withdraw after the midpoint of any subsequent study program, GV Hawaii may retain all of the tuition for that study program.

12.e Refunds due students may not be applied toward future tuition fees.

12.f Students who cancel/withdraw before the fi rst 4 weeksor after the midpoint of the student’s study program due to a death of an immediate family member (spouse, parent, grandparent, child, brother, sister, mother-in-law, father-in-law, or legal guardian), GlobalVillage Hawaii will refund 50% of the student’s unused tuition upon receiving offi cial documentation of the immediate family member’s death.

Accommodation Refund Policies13. Homestay:

Cancellation/Withdrawal before beginning of homestay:13.a If written cancellation/change notice is given 8 weeks

or more before the beginning of homestay, all money will be refunded including the Accommodation Placement Fee.

13.b If written cancellation/change notice is given less than8 weeks before beginning of the homestay, all money will be refunded except for the Accommodation Placement Fee.

13.c The student should inform the Global Village Hawaii Accommodations Offi ce in writing three weeksbefore the end of the homestay period if he/she decides to terminate the agreed homestay period. If the notifi cation period is less than 3 weeks, then in addition to the nonrefundable notifi cation period,an Accommodation Cancellation/Reduction fee will apply.

13.d If the host family has failed to meet homestay conditions, then the Accommodations Coordinator must be notifi ed and given a chance to mediateand/or correct the problem(s). Only after the Accommodations Coordinator’s intervention, and if the problem(s) persist, the student will be moved to another homestay and there will be no refund given for the period of homestay already used. Only if no replacement homestay can be found will an accommodation refund be issued.

14. GVH Residences:

There are no refunds for the Kaimuki and Kapiolani residence rent, check-out fees, security deposits, Accommodation Placement Fee, and other related fees once the room is confi rmed for the student.15. Apartments/Dormitories:

There are no refunds for apartment and dormitory security deposits if the student cancels their accommodation bookings before arrival.

15.a If written cancellation notice is given 30 days or more before the beginning of apartment check-in, all money will be refunded except for a $35 apartment cancellation fee and the Accommodation Placement Fee.

15.b If written cancellation notice is given less than 30days before the beginning of apartment check-in,there is no refund of any rent, apartment deposits, Accommodation Placement Fee and a $35 cancellation fee will apply.

16. Airport Transfers:

Cancellation/Change before the date of the transfer:16.a If written cancellation/change notice is given 3 weeks

or more before the date of the arrival or departure transfer, the transfer fee will be refunded.

16.b If written cancellation/change notice is given less than 3 weeks before the date of the arrival or departure transfer, there will be no refund given forthe transfer fee.

Transfer Policy17. Transferring to GV Hawaii: A bona fi de non immigrant

18. Transferring to Another School: Please talk to the StudentServices Manager to complete the appropriate forms. The student may also need to have GV Hawaii complete forms from the new school (talk to the new school to see if any applicable forms are needed).

Refund, Transfer and Admissions Policies ‒ United StatesAdmissions PolicyGlobal Village Hawaii provides fi rst-class English languageinstruction to students 16 years and older who wish to enter American universities or study English for personal or professional reasons. Global Village Hawaii also off ers privatelessons to students of all ages, while the Teen Activity Program is off ered to students of the ages 12 to 17 years old. GlobalVillage Hawaii welcomes all nationalities and there are no academic requirements for most courses (contact the school for specifi c course requirements). Students must comply with theDepartment of Homeland Security and U.S. Department of State regulations and meet the required skill level necessary for entry into a particular course or level. Students are evaluated with placement tests and/or academic counseling on the student’s fi rst day of school to determine the appropriate course and level.

Admissions Process for Non-Student Visa [F-1] students: For courses with 21 lessons (or less) per week (less than 18 hours per week)

1. Submit a completed Global Village Hawaii Registration Form online or by email, fax, mail, or in person.

2. An Admissions Deposit of USD $500 is required to process the student’s registration. Also, any accommodation deposits must be paid at this time to secure the student’s room. Contact the school for availability.

3. Global Village Hawaii will send the student an invoice of the remaining balance and a letter of acceptance by email or fax to confi rm the registration.

4. Remaining balance of the student’s tuition, accommodation and other fees must be paid by or on the fi rst day of the student’s studies. Payment may be made by credit card, wire transfer, money order, or bank draft. Additional bank charges may also apply.

student sponsor’s bank verifying funds of at least USD $2,700 for each month of study. For example, if thestudent will be studying for 6 months, the fi nancialstatement will need to show at least USD $16,200.

2. An Admissions Deposit of USD $500 is required to process the student’s registration. Also, any accommodation deposits must be paid at this time to secure the student’s room. Contact the school for availability.

3. Once all the above admissions items are submitted, Global Village Hawaii will send the student’s I-20 Form by mail within 5 business days. The school will not be responsible for any express courier charges.

4. After the student receives the I-20 Form from Global Village Hawaii, the student will need to pay the SEVIS fee(I-901) online at: www.fmjfee.com and print out the SEVIS fee payment receipt for the Student Visa interview. More information about the I-901 fee can be found at http://www.ice.gov/sevis/i901/index.htm.

5. Then, make an appointment at the nearest U.S. Embassy in the student’s home country for a Student Visa interview. Thestudent should bring their I-20 Form, SEVIS I-901 receipt and other documents required by the U.S. Embassy.

6. Global Village Hawaii will also send an invoice of the remaining balance and a letter of acceptance by email or fax confi rming the registration. The original copy may be mailedupon request.

Leave of Absence PolicyGlobal Village Hawaii students must request a leave of absence in writing (e.g. complete the Leave of Absence Request Form) at least a week prior to the start date of the leave of absence (LOA), unless unforeseen circumstances prevent the student from doing so. If the student does not report back to school at the end of the LOA, and misses 10 consecutive class sessions, he/she will be dismissed from school and the student’s I-20 Form will be terminated based on the last day of attendance. The Global Village Hawaii Cancellation Policy will be applied based on the student’s last day of attendance. Students requesting a LOA normally do not receive a refund for the period of the leave.

Global Village Hawaii approves written requests for Leave of Absence (LOA) of up to 28 calendar days for students who are in good standing and have studied 5 consecutive full terms. A full term is defi ned as the student starting from the fi rst day of the study term and fi nishing on the last day of the study term. Partialterm completion does not accrue time toward the 5 consecutive full terms. Accrued LOA must be used within a year being earned.

Emergency leave of absences may be granted due to:1. Medical Leave: Student must provide a doctor’s note upon

return from their leave of absence, otherwise the days missed from school will be marked as absent and the attendance policy applies.

2. Family Emergency: This pertains to death of a family member; severely ill or hospitalized family member; or other family events [i.e. getting married] etc. Special exceptions can be made to non-family members depending on the type of relationship with the student.

Students will need to see the Assistant Director/Student Services Manager for approval of their requested leave of absence. Any approved leave of absences may consist of multiple leaves of absences provided the total leave does not exceed 90 calendar days in a 12 month period or 50% of the student’s program length, whichever is shorter. The length of the leave of absencemay be extended provided all the conditions above are met. To extend, a written request must be given to the Assistant Director/Student Services Manager for approval prior to the end of the current LOA.

Prices: All registrations for studies in 2014 received prior toNovember 1, 2013, will be charged the 2013 rate for tuition. This policy does not apply to accommodations.

Application Process: A letter of acceptance will be issued upon receipt of the completed registration form and a payment. Please check with the school on payment policy. The original copy may be mailed, faxed, or emailed upon request. The school is not responsible for any extra courier charges.

Minors: Students under the age of 18 (under 19 in Victoria + Vancouver) must have their application co-signed by a parentor legal guardian. Underage students must submit underage agreements signed by their parents. Custodianship may also need to be arranged.

Payment: Students may be required to pre-pay tuition fees when applying for student visas. Check with school and local consulate or embassy on payment methods and any other requirements. Payment may be made by credit card, wire transfer, money order, or bank draft. Additional bank charges may also apply.

Refunds: Check fee sheets and our website for individual school policies. To be considered for a refund a student must submit a written notice of withdrawal to the school. The date of receipt of the written notice determines which cancellation charges will be applied.

Changes and availability: Start dates, programs and course content may change at any time and without prior notice. The fees, dates and conditions listed in this brochure are subject to change at any time and without prior notice. All courses are available based on enrollment.

Responsibility: Global Village and its member schools accept no responsibility whatsoever for any loss or damage to the personal belongings or property of a student or program participant or for any injury to or death of a student or program participant occurring on or off school property.

Students must comply with the rules of the school. Failure to do so may result in dismissal without refund.

Directors must receive a written description of all complaints. Please check with the school regarding a complaint resolution procedure.

Medical insurance: CanadaSuffi cient medical insurance must be obtained before arrival. $500,000 minimum coverage strongly recommended.

Medical insurance: United StatesGlobal Village Hawaii strongly encourages all international students 18 years or older to have a health insurance policy at the time of enrollment. Proof of a health insurance policy for students under 18 years old is required prior to enrollment. A student may also buy insurance for any family members (husband, wife, or a child) who are in the United States.
