Cultural FestivalsTheSaintLouisArtFair(SLAF)isaprogrammingcomponentofCulturalFestivals(CF),aprivate,not-for-profit,andtax-exemptcorporation.CulturalFestivalsisgovernedbyaBoardofDirectorscomprisedofart,business,andcivicleadersthroughouttheSaintLouismetropolitanarea.CulturalFestivals’otherprogramminginitiativesincludetheBigReadFestival.TheArtFairissupportedthroughcorporatesponsorships,grantsfrompublicandprivateagencies,foundations,privatedonations,andearnedincome.

The mission of Saint Louis Art Fair is to create access to a broad array of visual and

performing arts experiences, nurture the development and understanding of diverse

art forms and cultures, and encourage the expanding depth and breadth of cultural

life in the Saint Louis area. Through exhibition, sale, performance and education, we

collaborate with and serve the community.

LEAdErshipInadditiontotwofull-timeprofessionalstaff,aseasonalproductioncoordinator,and5Interns,avastnetworkofvolunteerleadersisresponsibleforcoordinatingtheArtFair.Youwillfindallarecommittedtomakingthisfestivaloneoftheverybestinthenation.

TheArtistRelationsCommitteeisdedicatedtoprovidingartistswiththesupportneededtohaveagreatshowandenjoyyourweekend.Thecommitteewillbeavailablethroughouttheweekendtoassistyou;theywillbewearinggoldT-shirts.Wehavepreparedthesematerialstobestinformyouwellinadvanceofthefestival.

Toregister,exhibitingartistsmustpersonallyappearandpresentacurrentdriver’slicenseorpassport.Check-inshouldrequireonlyafewminutesofyourtime.Artists will not be allowed on the Art Fair site without proper credentials received at on-site registration. Any exhibitor who does not properly complete on-site registration before 12:00 Noon on Friday, september 9, will lose all fees paid, deposits and rights to participate in the saint Louis Art Fair.

spACE rENtAL ANd Artist AMENitiEsbooth space at the Art Fair is 10’ x 10’. the booth space fee includes:Oneassignedboothspacemeasuringapproximately10’wideby10’deepplus2’x2’ofstoragespaceonthreesidesofthebooth.Theactualtentmustbe10’x10’.One500-wattelectricaloutlet.OnesouvenirProgramGuide.AlistingintheArtFairProgramGuidethatincludesyourname,city,stateandboothnumber.

booth sEt-up ANd dispLAY rEquirEMENtsset up begins at 11:00 a.m. Friday, september 9.

Exhibitorsareresponsibleforprovidingtheirownboothstructureswithcanopy,lightfixtures,extensioncords,racks,tables,displayunitsorotherfittingssuitableforoutdooruse.

Exhibitor rEquirEMENtsExhibitorsmustbepreparedforinclementweatherwithappropriateraincovers,tie-downs,andweights.CFwillassistwhenpossible,butexhibitorsmustcomeprepared.Eachexhibitorwillbeprovidedwithboothsignagelistingtheartist’sname,city,state,mediaandboothnumber.PlacethissigninaprominentlocationinsideyourboothasitisanimportantaidforguestsattheArtFair.this is required of each artist.

Exceptforreasonablebreaks,eachexhibitingartistmustbeathis/herboothandtheboothmustbeset-upandopenforbusinessfromopeningtoclosingtimeeachdayoftheArtFair.Theschedulebelowwillbestrictlyfollowed:

Operationofanysoundoraudio-visualequipmentmusthavethefullconsentofsurroundingexhibitors.Sensitivitytootherexhibitorsshouldbeobservedatalltimes.

BoothassignmentsareatthesolediscretionoftheArtFairandlocationsarenotinterchangeable.Exhibitorsmustleavetheirspaceinthesameconditioninwhichitwasfound.

A disclaimer about canopies:

Exhibitors with north-facing booths on Forsyth, or east-facing booths on Meramec and Central, should be aware that their booths are in the emergency fire lanes. Exhibitors are allowed to still have a canopy that extends past the permitted 10 x 10 space, but at their own risk. Any damages in the case of such an emergency to either the fire truck or booth, or any other related damages, are of the sole responsibility of the exhibitor.

WorK oN dispLAY Artists face immediate expulsion from the show if they are found in violation of any of these policies.

OnlyworksofartcreatedbytheartistacceptedasanexhibitorattheArtFairmaybedisplayedorofferedforsale.Displayedworksmustonlyreflectthestyleandmediumsubmittedinex-bitors’juriedapplicationonZapp.Workmustbeinthemediacategoryorcategoriesunderwhichtheartistwasaccepted.Workmustbecomparableinsize,styleandqualitytotheworkpicturedinthefirst4imagessubmittedforjurying.

Theartistmustguaranteetheauthenticityandtheaccuracyofeachdescriptionoftheworkstheypresent.Worksnotablybeyondthescopeormediarepresentedbyimagesforthejuryingprocesswillbeprohibitedfromexhibition.

BeginningonFridayevening,aViewingCommitteewillvettheArtFairandcontinuetointermittentlyrevieweachbooth’scontentthroughouttheweekend.the Art Fair reserves the right to exclude from exhibition and sale any non-conforming work as determined by the Viewing Committee and/or the Executive director. All decisions of the Executive director and/or Viewing Committee are final.

ArtistsmustdisplaytheirArtistStatementintheirbooth.Thisstatementmustdetailtheartist’stechniquesandmethodsusedtoproducethework.Artistsmayalsodisplaytheirname,logo,biographicalinformationandbusinesscards,aswellasinformationaboutgalleryrepresentationintheSaintLouisarea. No other cards, ribbons, catalogues, brochures, flyers, posters or publicity materials may be displayed. ribbons and/or awards from other shows may not be displayed at any time.

Noartistmayletorsublettheirbootheitherentirelyorpartially,withorwithoutcharge.Noartistcansolicitordisplayanycorporatelogoorsponsorshipaffiliationofanykind.Workofindividualsotherthanthoseacceptedandspecifiedintheartist’sapplicationforentrymaynotbeexhibitedoradvertisedinthebooth.

poWEr ANd LiGhtiNG Exhibitors will be responsible for any damages caused by improperly configured electrical connections.

InSeptember,sunsetoccursatapproximately7:30p.m.CST.TheArtFairwillbeopenonFridayandSaturdayeveninguntil10:00p.m.,thereforeallexhibitorsshouldbepreparedtoadequatelylighttheirboothspaces.Servicetoonestandardelectricalreceptacle(500watts)willbeprovidedattherearofeach

booth.Thequad-receptaclewillbesharedbyfourartists,pleaseremembertoplugintoonlyonereceptacle.

We also ask that you limit the power usage in your tent to a maximum of 500-watts. Thiswillensurethatwedonothavecontinuousbreakertripsattheelectricalmainservicepanel.Ifyouexceedthiswattage,servicetoyourareamaybeinterrupted.Donotplaceboxesoranyotheritemsontheoutletintheserviceaislebehindyourbooth.Thiswillpreventaccidentalunpluggingofyourcordandpreventthechanceofafire.

TheArtFairandtheClaytonFireDepartmentmustapproveconfigurationoflightfixtures,appliancesandanyextensioncordsusedbyexhibitors.Useofgeneratorsisnotpermitted.TheArtFairwillremovenon-conformingconnections,machineryorequipmentattheexhibitor’sexpense.

Exhibitor pArKiNGreserved parking for artists is located at two Mark twain Circle, Clayton, Mo, next to Clayton high school.

Eachexhibitormayuseoneparkingspacewithinthereservedareaforthedurationofthefestival.Ifyouplantobringavehicletoolargetofitintoastandardparkingspace,towatrailerorhaveotherspecialneeds,pleasecontactErinKing,[email protected]

TheArtistParkingPassyoureceiveatregistrationmustbedisplayedatalltimesintherear-viewmirror.Passesarespecifictothevehicleforwhichtheyareissuedandarenotinterchangeablebetweenvehicles.ThepasswillpermittheartisttoentertheArtFairsite(duringapprovedtimes)andtoparkinthereserved“artistparking”area.Any vehicle without an appropriate pass, or displaying a pass registered to another vehicle, will be towed at the owner’s expense.

OnlyvehiclesdisplayingavalidArtistParkingPasswillbeallowedtodriveintothebootharea.AllvehiclesmustberemovedfromtheArtFairgroundsbythetimeslistedinthetablebelow.SundayeveningtheClaytonPoliceandArtFairmanagementwilldeterminewhenvehicleaccesscanreasonablybepermittedwithoutdangertopedestrians.Weestimatethatvehicleswillbeallowedonsitebetween4:45p.m.–5:00p.m.

CulturalFestivalsandtheClaytonPoliceDepartmenthavetakenmeasurestoensureadequatesecurityforthefestival.Yourphotoappearsonyourparkingpass,whichmustbeplacedintherear-viewmirrorofyourvehicleandvisibleatalltimes. Any vehicle parked on the festival site without a proper parking pass will be towed at the owner’s expense.AllvehiclesaresubjecttosearchbytheClaytonPoliceDepartment.Furthermore, we ask that all personal items such as bags, crates and containers are clearly marked with your name.

sAFEtY ANd First Aidthe Clayton police and Fire Command booth/First Aid is located on south Meramec. if you are in a position to respond to a person who has been involved in an accident, we ask that you follow these guidelines:

KnowthelocationoftheFirstAidBooth.reportunsafeconditions,situationsorgueststostaff,acommitteechair,orpoliceofficer.

if you see a suspicious package or item of any kind:immediately locateapoliceofficer.Clearlydescribetheitemanditslocation.do notuseyourcellphone.

in case of serious injury or illness:Locatearadio-equippedcommitteemember,staffmemberorpoliceofficerthatwillthencontacttheon-siteparamedicsimmediately.Donotattempttomoveanyonewhomaybeinjured.Staywiththeindividualuntilhelphasarrived.

in the event of an accident:Wewillmakeaformalaccidentreport.PleaseremainatthesceneuntilCityofClaytonpersonnelhavecompletedareport.

if a crowd has gathered around an accident or injury scene:PleasecooperatewithpoliceandCFstaffinprovidingthevictimadequatespace.

iN thE EVENt oF AN EMErGENCYCulturalFestivalshasextensiveplansforunexpectedemergenciesandsevereweather.Intheeventofsuchoccurrences,looktopoliceofficersandstafffordirection.Wewillkeepyouupdatedonweatherconditionsthroughouttheweekend.

IntheeventofsevereweatheroranemergencysituationtheArtFairwillinstitutea“phonechain”system.The“phonechain”systemwilloperateasfollows:

1. Committeechairsandstaffmemberswillnotifyartistboothslocatedatstreetintersections.2. Theseartistswillthennotifytheartistintheboothdirectlynexttohim/her.

For examplebooth#100willbenotifiedbyacommitteememberandwillthennotifybooth#102whowillnotifybooth#104andsoforth.

Wehopethissystemwillhelptoensurequickernotificationintheeventofsevereweatheroranemergencysituation.Acommitteechairorstaffmemberwillthenmakeapersonalvisittocheckoneachartist.SLAFStaffasksthatyoustopwhatyouaredoingandassistwiththephonechainsystem.

CulturalFestivalshasdesignatedseveraltemporarymasssheltersaroundthefestivalsite.WehavechosentheSt.LouisCountyPoliceHeadquartersshelterforartists.ThebuildingislocatedonForsythbetweenCentralandMeramecandcanbeaccessedfrombothSouthMeramecandSouthCentral.Intheeventofsevereweatheroranyemergencysituationthatinvolvesevacuatingthefestivalsiteweaskthatparticipatingartistsusethisdesignatedshelter.ThiswillallowCFstafftobettercommunicatewithartistsduringanemergencysituation.

Iffriendsorrelativesneedtoreachyouintheeventofanemergencyduringthefestivalweekend,exhibitorsand/orassistantscanbecontactedthroughtheStaffphoneat(314)749-1998orCindyLerickat(314)614-7152.PleasemakethesephonenumbersandthephonenumberofyourhotelorhostinSaintLouisavailabletoanyonewhomayneedtocontactyouoryourstaffinanemergency.

WEAthEr iN sEptEMbErSaintLouisisgenerallyverywarmandhumidinearlySeptember,withtemperaturesrangingfromthehigh70’sorlow80’sinthehottestpartoftheafternoontothelow60’sintheevening;averagetemperatureis70degreesFahrenheit.Brimmedhats;lightweightandlayeredclothing,sunglasses,andsunblockwillhelpkeepyoucomfortableduringthistimeofyear.DuringtheArtFair,exhibitorswillreceiveupdatedweatherreportseachdaysothatyoucanplanappropriately.

rEstrooMs oN-sitETheArtFairhasalargenumberofportablerestroomsinstalledon-site(includingfacilitiesaccessibletothoseexperiencingphysicalchallenges).Pleaserefertositemapforexactlocations.IndoorrestroomfacilitiesareavailableforartistsattheVIPandArtistHospitalityCenterlocatedintheGraybarbuildingat34NorthMeramec.

iii. Cancellation and WithdrawalNocancellationrefundswillbeprovided.Anartistwhofailstoregisteron-siteby12:00NoononFriday,September9,2011willforfeitallrightstooccupytheirboothspaceandtheArtFairwillusethespaceforotherpurposes.Insuchevent,theexhibitorwillremainliableforthefullboothfee.

TheArtFairmay,ifrequiredbyforcemajeureorotherreasonsbeyonditscontrol,postponeorshortentheArtFair.Noexhibitorshallhaveanyrightorclaimforanydamageswhetherdirect,indirectorconsequential,orofanyotherkind,arisingorallegedtoarisebyreasonofanypostponementorcancellationoftheArtFair.
