Financial Aid – “To Do” List Verify your financial aid has been finalized on Koala Connection (KC) under the Student tab > Student Financial Aid Financial Aid Awards• Review your awards for accuracy. • Report any missing scholarships to your Financial Aid Counselor via e-mail or phone. • If you do not wish to receive a portion of the aid awarded to you, sign and return the award letter sent to you noting

the aid you wish to decline.

➢ Financial Aid Document TrackingThis section is populated only if your financial aid is incomplete due to missing documents. Please submit any documents listed.

If any of the following documents are needed, they can be completed online at the following sites:

State Affidavit: S.C. residents should complete this each year at https://admis.columbiasc.edu/waiver/waiver.asp

Entrance Counseling: complete this your first year only at www.studentloans.gov

Master Promissory Note (MPN): complete this your first year only at www.studentloans.gov

PLUS Application: if you have been awarded a PLUS loan, your parent(s) should complete the PLUS loan application at www.studentloans.gov. If you do not apply for the PLUS loan shown on the eBill, add that amount to your balance due.

Tuition Accounts – “To Do” List➢ Tuition Account eBill: find it in your campus email• Review for accuracy• Determine the amount due• To pay online: www.columbiasc.edu/epay• For monthly payments: www.afford.com (an enrollment fee is charged by TMS)• View your account on KC to see changes made after your eBill was sent. For example: You added classes or your

financial aid changed. Instruction screens to find this statement are here.

➢ Tasks to do on KC > Student Tab > Tuition Accounts > Tuition Accounts Tasks FERPA Waiver – Your permission for us to speak to those you name about your bill and financial aid.

You may also grant your permission for a copy of your eBill to be sent to the bill payer. (Do one time unless you wish to make changes)

Book Voucher Permission – You must check ”Yes” to allow your excess financial aid to be available for books in the bookstore. Please check “No” if you do not require a voucher or you do not anticipate an overage.

(Do every semester) Remember—no permission means no book voucher. eBill/Paper bill – if you require a paper bill.

(Do one time unless you wish to make changes)

News Service Card – information to be used for news releases of your accomplishments. (Do once a year, in the fall.)

HOW TO HAVE A SPEEDY CHECK-IN

AUGUST 7 – The Date to Remember

1. Make sure your financial aid package is 100% complete by Friday, August 7, 2015. It is your responsibility to make sure your financial aid package is complete.

2. If the financial aid on your eBill is not what you are expecting, please contact the Office of Financial Aid at 803.786.3612 or [email protected].

3. Remove the PLUS loan shown on your bill if the parent has not applied for it AND been approved.

4. Any balance due, after considering approved financial aid, must be paid and credited to your account by Friday, August 7 to receive an express postcard and to avoid a stop at the Tuition Accounts area at Check-in.

We recommend that you pay the amount due online at http://www.columbiasc.edu/epay

If you want to pay in person, the Office of Tuition Accounts accepts payments from 10 a.m. to 3 p.m. daily.

If you have not paid before August 7 a HOLD postcard will be sent to you with further instructions.

If you are planning to make installment payments utilizing Tuition Management Systems (TMS), TMS must recognize you as being enrolled and current with your payments on August 7. If you are not current, you will not be able to bypass the Tuition Accounts area during check-in.

HOLD CARDSCheck-In for Fall Semester 2015 is held in J. Drake Edens Library (Lower Level)

Does everyone need to come to Check-In?Yes, all residents and commuters need to check-in at Edens Library. Even if you receive a green Express card, you should attend Check-In. Students who receive a Hold Card have an amount due or some other hold listed on the card. You will need to check-in at the library to clear the holds before picking up a room key.

Can I clear my holds before Check-In?Of course you can! You have until August 15 to clear whatever holds you have.You may call or visit the offices listed on your Hold Card. If all of your holds are removed by August 15 you will have a fast check-in.

When do I come to the library to Check-In?To be more efficient we have set aside specific times for you.

Please take care of financial matters before this day, if possible. August 21, 2014 Offices will CLOSE in preparation for Check-In August 22, 2014 All First Year Students 8:00 a.m. to 2:00 p.m.(Residents and Commuters) August 25, 2014 Transfer Students 8:00 a.m. to 9:00 a.m.(Residents and Commuters) August 25, 2014 Returning Students 9:00 a.m. to 3:00 p.m.(Residents and Commuters) August 26, 2014 All other students 9:00 a.m. to 4:00 p.m. in the Allison Building

Will my classes be dropped?Absolutely not! Whether you clear before August 15 or at Check-In, your classes will stay as they are until the end of the Drop/Add period.

What if I want to change classes?Until you clear ALL your holds the system may not allow you to make changes.

When is the last day to change classes?September 1, 2015, at 11:59 p.m. is the end of the Drop/Add period.Dropping a class after that date will not reduce your charges.

BOOK VOUCHERSHow to get a book voucher: Complete the book voucher permission on KC. Log into KC > Student tab > Tuition Accounts > Tuition Accounts Tasks > Book Vouchers. Please note, a book voucher can no longer be issued without your electronic permission. See pages 12–13 for instructions.

Who will get a Book Voucher? If your tuition, room, board, and other fees are fully covered by your anticipated financial aid award AND you have money left over, you will get an advance on that overage to be used in the Bookstore provided you have successfully submitted your book voucher permission on KC. If you have registered and completed your financial aid by the August 15 deadline, you will receive a notice the Thursday before classes start in your campus e-mail stating the amount of your book voucher. After the deadline you will need to email [email protected] to request a book voucher.

Exception:All students who have the LIFE or HOPE scholarship will have a $150 book voucher.You will get this even if you have a balance due.

When will I get the Book Voucher?Book vouchers will be at the Bookstore starting the Friday before classes start and expire 2 weeks after classes start.

Please Note: The maximum book voucher amount is $600. The voucher is intended for books and academic supplies; clothing and computers will be an out-of-pocket expense.

FAQ’s• Use it or lose it? Definitely not! Your refund check is reduced by the amount you spend in the Bookstore. It is not true that you have to spend your entire book voucher or lose the money. • If my bill shows a credit balance of $1,000 and I have a book voucher for $600, does that mean my actual credit is $1,600? No, your book voucher is part of the $1,000. The amount you spend at the Bookstore will be deducted from the $1,000.• Use with caution! If you add classes or if your financial aid changes, please contact the Office of Tuition Accounts to get a revised book voucher.

REFUNDSWho will get a refund?Those whose account has been paid in full and whose financial aid has been received by the College may receive a refund. You will know when this happens because the *asterisk disappears from the loan or scholarship on your statement on KC. If there is money left (an overage) after your account is paid in full, the overage will be sent to the student or parent.

Refund Direct Deposit?Your refund can be directly deposited to your bank account. The form to do this is found here: KC > student tab > PDF Report> Student refund direct deposit Enrollment/Change form.

When do refunds start?• Refund dates will vary by student based on individual aid

packages and when funds are received.• Do not expect a refund for the fall term before November. It may be sooner, but base your plans on November to be safe.• We recommend you save fall refund money and use it for spring/summer school expenses; then you will be on a workable cycle for the remainder of your semesters.• Do not expect a refund for the spring term before April.• Want to know what the refund process is? See the ‘Refund Timeline’ on KC > Student tab >Tuition Accounts> Handouts > Refund Timeline.• An e-mail will be sent to your campus address the day before your refund is ready.

Why can’t I get my refund earlier?The College cannot give you money it has not received. The Office of Financial Aid must reconcile registered hours with aid. This cannot be done until after Drop/Add is over. Next, the Office of Financial Aid requests money from the state; this is usually 4 to 6 weeks after the semester begins. Then the College must wait for the funds to be disbursed before the refunds can be issued.
