Installation Instructions

Quick ePAC Installation Instructions Thank you for your interest in our ePAC software. Please use this short guide to help you install ePAC. Remember, this is intended to be a quick guide only. If you need any additional help, please either refer to the ePAC Help file or call our technical support staff (888-336-3722 ext.4, Mon-Fri 8:00 am – 6:00 pm EST).

Step 1. Insert CD into CDROM drive. ePAC is configured as an auto-run installation and should start up automatically. If auto-run starts, please proceed to Step 5, otherwise proceed to Step 2.

Step 2. Click on Start on the desktop. Click on Run.

Step 3. A run dialog box will open. Click on the Browse button and select the CDROM

drive in the Look In drop down box and select ePAC_62.

Step 4. Double click on the Setup.exe icon.

Step 5. A dialog box displaying a licensing agreement will open. If you accept the agreement, select Ok. Otherwise, the installation will end. If your computer is already running MDAC version 2.5 or higher, this step will be skipped and installation will continue at step 8.

Step 6. Check off the box which shows you accept the licensing agreement. (This will install the Access Drivers version 4.00.4403.02) Welcome to Microsoft Data Access 2.5 Setup dialog box will open. Click on Next to proceed.

Step 7. After the MDAC has been run, a window will open to ask if you would like to restart the computer now? Or later? It is recommended that you choose Later (you will need to restart your computer before running ePAC). If you choose

Now, then reboot and run the setup again, except click CANCEL when the first license agreement comes up for the MDAC 2.5. The installation will automatically go into the ePAC setup.

Step 8. An ePAC Setup Install Shield Welcome dialog box will open. Click on Next to

continue.

Step 9. A dialog box displaying a Licensing Agreement will open. If you accept the

agreement, select Ok. Otherwise, the installation will end.

Step 10. Customer Information dialog box will open and request that you fill in the following information: User Name, Company and your 16-digit Serial Number. Enter the entire serial number without any dashes or spaces. Click on Next when done.

Step 11. A Destination Location dialog box will open with a default location of

C:\Program Files\ePAC selected. Select Next to accept this location or click on Browse to select an alternate location.

Step 12. Determine Setup Type. For a Workstation installation, proceed to step 15*. For a Server or Standalone installation, proceed to step 13. * A Network /Stand Alone Install must have been completed prior to performing

a Work Station Install.

Step 13. Highlight Network/Stand Alone Install and click on Next. Step 14. Select Components dialog box will open with all components selected as the

default. It is recommended that all components be installed. Click on Next to continue and proceed to step 16.

Step 15. For Workstation Installations only: Highlight Workstation Install and click on

Next. Proceed to step 16.

Step 16. A Select Program Folder dialog box will open with defaults showing the ePAC folder. Either accept the defaults (recommended) or choose an alternate location by typing in the name of folder. Click on Next.

Step 17. You will be prompted when the installation is complete. Click Ok.

INSTALLATION ERROR MESSAGES:

You may get a warning that a file is locked by your system. In this case, choose IGNORE. This is simply the installation software informing you that it will not overwrite a locked file. This will not affect your ability to run ePAC.

Step 18. An ePAC folder containing shortcuts to all installed components will

automatically be placed on your desktop. Step 19. You must restart your computer prior to launching ePAC.

Congratulations! Installation is Complete

Version 6.2 Access Installation Instructions

Step 1. Log In to your Windows Operating System as Administrator or Power User. If you do not have these rights, the install will not proceed. Insert CD into CDROM drive. Wait 30 seconds for the install to begin automatically. If the install does not start automatically, Click on Start, then Run.

Step 2. A run dialog box will open. Click on the Browse button and select the CDROM drive in the Look In

drop down box.

Step 3. Double click on the Setup icon.

Step 4. If MDAC needs updating, a dialog box displaying a licensing agreement will open. Click YES to accept the agreement. If your MDAC version 2.5 has already been run, then click “cancel” and skip to step 8.

Step 5. (This will install the Access Drivers version 4.00.4403.02) Welcome to Microsoft Data Access 2.5 Setup dialog box will open. Click on Next to proceed.

Step 6. After the MDAC has been run the installation will automatically go into the ePAC setup. Step 7. An ePAC Setup Install Shield Welcome dialog box will open click on Next to continue.

Step 8. A dialog box displaying a Licensing Agreement will open. If you accept the agreement, select Yes to

continue.

Step 9. Customer Information dialog box will open. Enter User Name, Company and your 16-digit Serial Number. Enter the entire serial number without any dashes or spaces. Click on Next when done.

Step 10. A Setup Type box will open. Select Server/ Standalone for a full installation of the software.

The Server Install must be done first, then Workstation Install(s) afterward. If this has not happened, and you are trying to install a Workstation at this point, click cancel and proceed to install ePAC on the server before continuing with the Workstation installation(s).

Workstation Installations only: Highlight Workstation Install, Click on Next, Proceed to step 19.

Step 11. Highlight Network/Stand Alone Install and click on Next.

Step 12. A Destination Location dialog box will open with a default install location of C:\Program

Files\ePAC identified. Select Next to accept this location or click on Browse to select an alternate location.

Step 13. Select Components dialog box will open with all components automatically

selected as the default. It is recommended that all components be installed. Click on Next to continue and proceed to step 16.

Step 14. A Select Program Folder dialog box will open with defaults showing the ePAC folder. Either accept the defaults (recommended) or choose an alternate location by typing in the name of folder. Click on Next.

Step 15. You will be prompted when the installation is complete. Click Ok to RESTART the Computer. Note: The Computer must be Restarted for ePAC to function properly.

Step 16. An ePAC folder containing shortcuts to all installed components will automatically be placed on your desktop.

Step 17. Workstation Installs Only (continued from Step 11). Highlight Workstation Install

and click on Next.

Step 18. A Network Location window will open. Click the Browse button and navigate back to the EPAC Directory on your Server where the full Server EPAC Installation Resides. Note: This window will not allow you to proceed before navigating to the proper directory on your Server which holds the epac.exe file.

Step 19. Go back to steps 14-17 above to complete the Workstation Installation.

FILE LOCATIONS: During a default installation of ePAC, files are installed into the following locations:

Program Files\ePAC

Program Files\Plus!\Microsoft Internet\Setup

Program Files\Common Files\System\ADO

Program Files\Common Files\System\MSADC

Program Files\Common Files\System\ole db

Windows (Winnt)\system

Windows (Winnt)\system32

If using system security, you must provide rights/permissions to all of the above files.

ODBC Data Source Setup ePAC will automatically configure an ODBC connection upon install. However, if you would like to change the mapping location follow the instructions below.

Step 1. Go to the Control Panel and open the ODBC Data Source Icon.

Step 2. From the User DSN Tab, locate the Data Source named EPAC and click on Configure.

Step 3. The ODBC Microsoft Access Setup Screen will be displayed

Step 4. EPAC should appear in both the <Data Source Name:> and <Description>

Step 5. Click the Select button.

Step 6. Choose ePAC.mdb file in the c:\program files\ePAC directory and click OK. If ePAC version was not installed in the default installation directory, choose the appropriate directory.

Step 7. Click OK on the Setup screen.

Step 8. Click OK on the ODBC Data Source Administrator screen.

Congratulations! Helpful Tip:

When opening a module with existing records, an initial Record Limit is set so that 10 records will be displayed in the grid view.

To access the Grid Size, select Options (above the tool bar)/ Filters / Grid Size

The Grid Size defaults to the last ten records created. If desired, change the Number of Records to Select then click OK.

First Time Users:

Please refer to the “Getting Started with EPAC” document available either with your shipment, Reference Manual, Help File, or Installation Instructions folder under C:\Program Files\epac.

Installation of EPAC 6.2 is completed.

The program can now be launched from <START> <PROGRAMS> <EPAC > or from the desktop shortcuts that were created earlier.

Step 19. Go back to steps 14-17 above to complete the Workstation Installation.

Create the New SQL Server Database

Step 1. From SQL Server, open Query Analyzer. Step 2. The ePAC installation includes a directory called \Database Utilities\ SQL Server.

Within that folder is a file called CreateBlankDataBase.SQL.

Step 3. Load and run this script in Query Analyzer to create a new database called “epac”. Step 4. Proceed to ODBC Data Source Setup Below

ODBC Data Source Setup

Note: The “Create New SQL Server Database” steps above must be completed before this section is started.

Step 1. Go to the Control Panel and open the ODBC Data Source Icon.

Step 2. From the User DSN Tab, locate and remove the ePAC data source. This data source will be listed as a Microsoft Access driver.

Step 3. Click the Add button.

Step 4. Click the SQL Server Driver. Ensure the driver is 3.70.06.23 or higher.

Step 5. Click the Finish button.

Step 6. The Create a New Data Source to SQL Server will be displayed.

Step 7. In the <Name:> section type EPAC

Step 8. In the <Description> section type EPAC.

Step 9. In the section <Which SQL Server do you want to connect to?> select the name of your database server.

Step 10. Click the Next button.

Step 11. Unless you require a login and password, Select the <With Windows NT authentication using the network Login Id> and <Connect to SQL Server to obtain default settings for the additional configuration options>. Otherwise, use SQL Server authentication along with Login ID and Password

Step 12. Click the Next Button. Also, note that by default the Client Configuration button is already set for TCP/IP

Step 13. Click the Client Configuration to set to “Name/Pipes” for maximum speed. By default, it is set to TCP/IP and that may be adequate. However, “Name/Pipes” may give you up to a 600% boost or more depending on how your installation is set up.

Step 14. Click on <Change the default database to:> Select EPAC

Step 15. Click the Next Button.

Step 16. Click the Finish Button.

Step 17. Click on <Test Data Source>.

Step 18. If the Workstation can connect to the SQL Server correctly a similar message box will appear. Click OK on the SQL Server ODBC Data Source Test.

Step 19. Click OK on the ODBC Data Source Administrator screen.

Step 20. You will need to assign users and permissions to this new data source in SQL Server

Setting Security in SQL Server Note: A user or group must already be established within Windows security before proceeding. Note: Security should be set at the Server Level (not the Database Level)

• Launch Microsoft SQL Server, Enterprise Manager • Extend Microsoft SQL Servers

• Extend SQL Server Group

• Extend the server that you want to view. Most installs will only have 1 server.

• Extend Security

• Right mouse click on Logins and select New Login

• Click on the browse button to right of Name field.

• The form below will open. Click on dropdown for “List Names From” field to select the group that the name(s)

are in.

• Double click the name you want so it is populated in the add name field and then click the OK button.

• Click OK to go back to the “General” tab.

• Change the default database to ePAC (or whatever the ePAC Db has been named), then click on the

Database Access tab. • Click in the “Permit” box for the appropriate Db, then select public, db_datareader and db_datawriter in the

“Database roles for ePAC (or appropriate Db name)” section. When done, click on OK. You are finished setting security.

Getting Started with eLYNX Work Manager for Pocket PC

Thank you for your interest in our eLYNX Work Manager for Pocket PC software. Please use this short guide to help you install eLYNX application. If you need any additional help, please call our technical support staff (888-336-3722 ext.4, Mon-Fri 8:00 am – 6:00 pm EST).

Note: Microsoft Active Sync version 3.7 or greater MUST be installed prior to proceeding with the eLYNX install

eLYNX Installation Instructions

Step 1. Insert CD into CDROM drive. Open Windows Explorer and navigate to the eLYNX\Pocket PC Platform directory on the CD ROM.

Step 2. Double click on the dotnetfx.exe to launch the Microsoft .Net Frame Work

Installer and step through the installation process.

Step 3. After .Net Frame Work has been installed, double click on the MDAC_TYP.EXE to launch the Microsoft MDAC 2.8 installer (NOTE: If you are running MDAC 2.6 or greater you do not have to install MDAC 2.8; proceed to step 7).

Step 4. A dialog box displaying a licensing agreement will open. If you accept the

agreement, select Ok. Otherwise, the installation will end (see Figure 2). If your MDAC version 2.8 has already been run, then click “cancel” and skip to step 7.

Step 5. Check off the box which shows you accept the licensing agreement.

Welcome to Microsoft Data Access 2.8 Setup dialog box will open. Click on Next to proceed (see Figure 2).

Step 6. After the MDAC has been run, a window may open to ask if you would like to

restart the computer now? Or later? It is recommended that you choose Now

Step 7. Double click on Setup.EXE to launch the eLYNX installer. Note: The eLYNX install will need to be done on ALL computers that will perform a synchronization with a handheld.

Step 8. Click on the Next button to bring up the Serial Number screen and enter your ePAC serial number.

Step 10. In the Select Installation Folder window, the Folder location will default to C:\Program Files\eLYNX. It is recommended that you accept the default installation location. If you want to install to a different location click on the Browse button and navigate to that location. If there will be multiple users on the installation computer AND you want the eLYNX interface to be available to all users then select the “Everyone” radio button; otherwise select the “Just me” radio button. Click on Next when done (see Figure 5).

Step 11. If you are ready to install, click on the Next button to continue, otherwise click on the Back button to make changes or the Cancel button to stop the installation (see Figure 5).

Step 13. After launching the ePAC Pocket PC Interface, identify where the eLYNX text files will reside (if this is a standalone ePAC install then Desktop file path should be left at the default, otherwise change the directory to the eLYNX directory on the server where ePAC is installed. If the eLYNX directory does not exist, it will need to be created).

Step 16. If you want the Interface to automatically process records when a handheld is synchronized (recommended), click in the Auto Start Interface On Sync logical field.

Step 17. If you will be synchronizing multiple handhelds on this one computer it is

recommended that you select the Set ActiveSync to Guest Only Connections logical field.

Step 18. Click on the Save Settings button to save your changes.

Step 19. Connect and synchronize your handheld device. Click on the Install Apps button

to install the necessary applications onto the handheld device (follow on screen prompts to complete install, accepting all defaults).

INSTALLATION ERROR MESSAGES:

You may get a warning that an application needs to be installed on the handheld prior to the eLYNX application. In this case, choose OK. The necessary applications will be installed during this process and will not affect your ability to run eLYNX.

Step 20. Close the Pocket Pc Interface, disconnect the handheld, the reconnect the

handheld. When you re-synchronize, you will be asked if you want to update the database. Select Yes (for future synchronizations you will only have to select yes if you have made database changes).

Congratulations! Installation is Complete You are now well on your way to utilizing the eLYNX software. Again, if you have any questions, please either refer to the Help file or call our Technical Support Staff. Our support hours are Mon-Fri 8:00 am – 6:00 pm.

Using eLYNX For The First Time Prior to utilizing eLYNX for the first time, you must make sure that you have created security profiles and technician records in ePAC and that your security id’s match your technician

id’s. An eLYNX user will NOT be able to see any WO’s on the handheld if their Technician ID and Security ID do not match. Step 1. Launch ePAC and click on File\Import/Export\Options tab and verify that your

eLYNX Import/Export File Path is the same as your Pocket PC Interface file path (see screenshots below). Close both the ePAC Import/Export utility and the Pocket PC Interface. If you are not going to export any WO’s to the handheld at this time proceed to step 4, otherwise proceed to step 2.

Step 2. Open the Work order module in ePAC and navigate to the WO’s that you want to

export to the handheld. Ensure that the Status field has a status of “A – Assign to PDA”, that a technician is assigned to the Work Order and that the Est. Issue Date field is less than or equal to the system date. Save the Work Order and repeat for each additional work order you want exported.

Step 3. Click File\Import/Export\Work Manager to open the import\export utility. Click on

the Export WO button. This will export work orders for the handheld to pickup at next synchronization.

Step 4. Synchronize the handheld to update the database on the handheld. When

synchronization is complete, click on “Start\Programs” on the handheld, then SINGLE click on the Work Order icon (Note: The first time you launch Work Order after updating the database, it may take several seconds for the application to open).

Step 5. When the application opens, select the appropriate Facility ID then type in your Login ID and password (see Figure 14). Click on Ok when done.

Note: Area, Asset, Status and Job Type are all required fields. You will not be able to save the Work Order without populating these fields. After populating these fields the user can click the Save button (see green highlighted item in Figure 18); however clicking on the save button will move the work order from the “Create a New WO” menu to the “Update Existing WO’s” menu. It is not recommended that the user click the save button until they fill all desired fields.

Step 14. If the user wants to associate a problem with this work order, select a problem from

the Problem field, otherwise go to step 15. Selection can be made by scanning a Problem barcode or by using the drop down selector (see Figure 18).

Step 15. If the user wants to associate a task code with this work order, select a task code from the Task Code field, otherwise go to step 16. Selection can be made by scanning a Task Code barcode or by using the drop down selector (see Figure 18). To view the instructions\procedures for the selected Task Code, click on the Task Code box (see light blue highlighted item in Figure 18).

Step 16. Click on the Screen 2 button (see yellow highlighted item in Figure 18) to continue to add more information to this work order.

Step 17. If the user wants to add Instructions to this work order, click in the Instructions field and type in the instructions (see Figure 19), otherwise go to step 18

Step 54. When selecting the “Update Existing WO’s” button a new menu will display showing all of the open work orders that are on the handheld for the logged in user. These work orders will be displayed using the following sort order: RIME Priority, Location, Area, Asset (see figure 24). Single click on the work order NUMBER that the user wishes to open\modify.

Note: the following fields are locked and not editable from the “Update Existing WO’s” menu option: WO Number, Location, Area, Asset, Problem and Area.

Installation Instructions For The Web ePAC System Prerequisites

Step 1. You will need MDAC 2.5 or later installed on the server running IIS. Step 2. This system is for Internet Explorer only.

Permissions

Step 1. The default Windows IIS user account, typically (Your Windows Domain Name)\IUSR_(Your Web Server Name) (i.e. EPAC\IUSR_SERVER) must have the following rights: a. Write access to the Windows System directory (i.e. C:\Windows\System

or C:\Winnt\System32), Windows Temp directory (i.e. C:\Windows\Temp or C:\Winnt\Temp), and C:\TEMP directories.

b. If running under Access this user must also have Read, Write, and Execute rights to the database and the folder it is in.

c. For SQL Server customers using NT authentication, the default IIS user account must be added to Logins with rights to the EPAC database

Step 2. If running IIS 6.0 you must allow Active Server Pages. In IIS expand your

server and then click on Web Service Extensions. On the right hand side set Active Server Pages to a status of “Allowed”.

Setup Step 1. After installation of ePAC, you will find a folder under the EPAC directory

called WebEPAC DLL. The default path to this folder is C:\Program Files\EPAC. Within the WebEPAC DLL directory you will find a file called WebEpac.dll. Copy WebEpac.dll to the Windows System directory (i.e. C:\Windows\System or C:\Winnt\System32)

Step 2. Register WebEpac.dll Step 3. After installation of ePAC, you will find a folder under the EPAC directory

called WebEpac. The default path to this folder is C:\Program Files\EPAC. Copy the WebEpac folder to the root of your Web site’s directory. Typically this will be C:\Inetpub\wwwroot.

Step 4. In IIS create a Virtual Directory called WebEpac. In IIS expand your server

and then expand “Web Sites”. Right click on “Default Web Site” and select New – Virtual Directory. On the resulting form click on Next. For an alias type in WebEpac and click on Next. For the directory, browse out to the WebEpac folder you copied in Step 3 and then click on next. On the next form make sure “Run” and “Run Scripts” are checked. Click on Next and then click on Finish.

Step 5. Set up a File DSN called WebEpac that points to your ePAC database. Step 6. The URL to use for the system will be (Web site address)/WebEPAC (i.e.

www.epacst.com/WebEPAC)

Note: Security patch MS01-055 for Microsoft Internet Explorer 5.5 or 6.0 will prevent the Web ePAC System from performing properly if your server name contains any characters other than letters, numbers, period (.), and dash (-). If your server contains any other characters such as an underscore character (_), then you must user your server's Internet Protocol (IP) address rather than the name.

Tool Bars

Top Tool Bar The Top Tool bar is present on most of the major screens within ePAC. The controls on this bar allow users to add, delete, and save records.

New Button This button allows users to add a new record in the module that user is currently in. Hot Key: CTRL N. See also: New in Menu Bar section.

Close Button This button allows users to close the open form for the module that user is currently in. Hot Keys: ALT F C or CTRL O. See also: Close in Menu Bar section.

Save Button This button allows users to save any changes made to the current record. Hot Keys: ALT F S or CTRL S. See also: Save in Menu Bar section

Scroll Arrows Use the left or right arrows to scroll backwards or forwards through records in the grid view. Clicking either single arrow button simulates a double-click of the mouse on that record in the table view. Thus, the record will open below. Hot Keys: CTRL B (back), CTRL F (forward). Clicking either double arrow button will load the grid with the next or previous group of records (based on Grid Size setting).

Delete Button This button allows users to delete the current record. Hot Keys: ALT E D or CTRL D.

If the user wants to retrieve a deleted record, then use the Character Search Filter, Query Builder, Quick Lookup or Quick Edit Lookup to retrieve the record, click on the save button and then follow any prompts (if applicable). Following this procedure will restore the record to an active status.

Clear Button This button allows users to clear populated fields on a new record (prior to saving record). Hot Key: CTRL Z.

Asset Tree This button allows users to view the Asset Hierarchy and assign an Asset to a Calendar PM, Meter PM or Work Order without having to use the drop down selectors in the given module.

Record Search Button The Character Search Filter allows users to search for records on single and/or multiple fields. See also: Record Search in the Menu Bar section

Query Builder Button This selection is a powerful function that allows users to specify a group of records which can be named, saved, and retrieved any time. A user can also define a saved query as their default query (per module). Once a default query has been saved, every time the user clicks on the appropriate module icon, the default query will be run and only the matching records will be displayed in the main grid. Hot Keys: CTRL Q. See also: Query Builder in the Menu Bar section.

Quick Search Lookup This field allows users to search for a record by entering a search word in the lookup entry field area then clicking on the appropriate module icon.

Help Button This button allows users to access the Help menu. Hot Key: Hot Keys: ALT H C or CTRL H.

Print Button This button allows users to print the current open record from either the Work Order Module or the Purchase Order Module. Hot Key: Hot Keys: ALT F P or CTRL P. See also: Print in the Menu Bar Section

Email Button This button allows users to send email notifications from the Purchase Order or Work Order modules. . A user would select the Purchase Order or Work Order that they would want to send an email for, then click this button.

Exit Button This button allows users to close the ePAC application. Hot Key: Hot Keys: ALT F X or CTRL X. See also: Exit in the Menu Bar section.

Menu Options Tool Bar The Menu Options Tool Bar allows users to access all of the utilities and system administration functions within the application.

File This selection provides access to Close, Save, Print, Print Preview, System Administration, PDA Import/Export, Export Main Grid, Change Part Number and Exit. Hot Key: Alt F.

Close This selection allows users to Close the current open record. Hot Keys: ALT F C or CTRL O.

Corporate Administration Corporate Administration allows users to identify additional facilities (if purchased) and to identify which inventory items should be shared across facilities.

Facilities

This tab allows a user to create new facilities. Click the New icon to create new facilities

Inventory

This tab allows users to identify if corporate inventory should be used.

Use Corporate Inventory This field allows the user to select if they want to share inventory part numbers across multiple facilities. Once selected, when the user creates a new inventory item they will be prompted if they would like to assign this new part as a Corporate Part. If yes is selected, then all other facilities will have the new item created within their facility.

Note: Once one inventory item has been assigned as a corporate item, then this field will NOT be able to be de-selected.

Auto Receive on Transfer This field allows a user to automatically receive inventory items into its primary stock location when parts are transferred from one facility to another.

New Corporate Item This button allows the user to assign a previously created inventory item as a corporate item and allows the user to select which facilities will be allowed to see the item.

System Administration System Administration stores variables for the system and allows the user to rename some system captions. Open System Administration by selecting it from the File menu. Click the Save button before exiting to save changes. Hot Keys: ALT F A

Captions\Labels This selection allows users to rename system field captions

System Field Names Tab These field captions can all be changed to match the needs of users.

W.O. Status Descriptions Tab The fields on this tab allow users to define the descriptions for the Work Order status codes. Only status codes 2 through 8 are user definable. Status code 1 is a “New Record”. All Work Orders generated from Calendar or Meter based PM plans are automatically assigned this status. Status code 0 is an “In Plan” work order. Status code 9 is a “Closed” work order.

Defect Descriptions Tab The fields on this tab allow users to define the caption descriptions for the Work Order defect codes. Defect Codes 1 (Problem), 5 (Cause) and 6 (Action) are defined in the system but can be changed by users. See Work Order Module section for more information on utilizing Work Order Defect Codes.

W.O. Condition Caption Tab The fields on this tab allow users to assign up to 16 field caption names to the Work Order Custom Fields. The custom field captions that are renamed here will display on all Work Order records on the Custom Fields tab. The field types are as follows: Custom 1 thru 10 - Text fields Custom 11 and 12 – Date Fields Custom 13 and 14 – Numeric Fields Custom 15 and16 – Logical Fields This is also where users can select the number of days to allow changes to a WO after it has been

closed (Status 9). See Work Order Module section for more information on utilizing Work Order Custom Fields.

W.O. Custom Fields Tab The fields on this tab allow users to assign up to 16 field caption names to the Work Order module Custom Fields, the Machine Downtime and Line Downtime fields. The custom field captions that are renamed here will display on all Work Order records on the Custom Fields tab. Record Type Tab The fields on this tab allow users to assign up to 18 field caption names to define labels by Record Type, which are displayed on the Details tab of the Asset record. System Settings

Main Tab

Location Name

This field is used as a heading for all reports provided with ePAC, unless installation is of Multi-Facility type. If a multi-facility install has been done, then this field is not used.

Default Facility ID

For a multi facility organization, this field will allow users to select which facility they belong to.

Default Store Room

This field will allow users to select which Store Room inventory items will be received to by default. Users can select a different Store Room at time of inventory transaction if desired.

W.O. Printer

This field allows users to select which printer Work Orders should be printed to. Any printers that have been configured on the computer in use will display in the dropdown selector. If the field remains blank, the WO will print from the default printer for the computer in use.

P.O. Printer

This field allows users to select which printer Purchase Orders should be printed to. Any printers that have been configured on the computer in use will display in the dropdown selector. If the field remains blank, the PO will print from the default printer for the computer in use.

Bar Code Sheet / Reports Printer

This field allows users to select which printer sheet style bar code labels and all reports (other than WO’s and PO’s) should be printed to. Any printers that have been configured on the computer in use will display in the dropdown selector. If the field remains blank, the sheet bar code labels and reports will print from the default printer for the computer in use.

Bar Code Roll Printer

This field allows users to select which printer roll style bar code labels should be printed to. Any printers that have been configured on the computer in use will display in the dropdown selector. If the field remains blank, the roll bar code labels will print from the default printer for the computer in use.

Reports Path

This field allows users to identify where the ePAC report files reside. If this path is defined, all report files MUST be stored in this directory. If the report files are stored in the ePAC installation directory, leave this field blank. Note: If a Network installation has been performed, then all client machines should share the same system mapping to the reports directory. See your system administrator for further assistance.

Print Images with Work Order

This field identifies if users wants attachments to print with Work Orders when a Work Order is printed. Check this box to enable printing of image. Images may also be printed with Work Orders that are generated from a Calendar or Meter based PM plan.

Use Security

Check this box to activate the security feature of ePAC. Security will prompt users for their Login ID and password before allowing access to any modules. See Security section for more information on configuring Security features.

Days to Charge

This field is used to identify the number of days after a work order has been closed that a user can add parts and labor costs to the work order.

Auto Save Labor When Closing Work Orders

This field is used to set a default on all work orders that will have the system automatically apply labor time for the selected technician based upon the Job Open Date\Time and Job Close Date\Time when the work order is closed (status “9”). If selected in System Administration the user can deselect the setting on individual work orders. Note: If the Job Start Date\Time is June 6, 2005 @10:00 am and the Job Finish Date\Time is June 9, 2005 @ 10:00 am and Auto Save Labor is selected then 72 hours of labor will be applied to the work order. EPAC Software Technologies STRONGLY recommends caution when utilizing this option.

Numbering Tab The fields on this tab allow a user to set the next sequential number that will be used in the following modules: Work Order, Calendar PM, Meter PM, Requisitions and Purchase Orders.

Note: Care must be taken when changing these numbers. It is possible to enter a number that would result in duplicate records. ePAC will not allow duplicates and an error will result.

Next Schedule Number

This field contains the next schedule number to be used when a new Calendar or Meter based PM plan is created. Schedule Number is automatically generated by the system and is used to differentiate PM plans. See Calendar PM or Meter PM module for more information on usage of Schedule Number

Next Reference Number

This field identifies what the next reference number to be issued will be. The reference number is used when issuing parts from inventory and is automatically generated by the system and is used to differentiate part transactions. It is printed on the part transaction receipt and also recorded in the 'Part History' table.

Next W.O. Number

This field identifies what the next Work Order number to be issued will be. WO Number is automatically generated by the system and is used to differentiate Work Orders. See Work Order, Calendar PM or Meter PM module for more information on usage of WO Numbers

Next Req Number

This field identifies what the next Requisition number to be issued will be. The Req Number is used when a new purchase requisition is created and differentiates Purchase Requisitions. See Purchase Requisitions module for more information on usage of Req Numbers.

Next P.O. Number

This field identifies what the next P.O. number to be issued will be. The PO Number is used when a new purchase order is created and differentiates Purchase Orders. See Purchase Order module for more information on usage of PO numbers.

Inventory Tab

In Account

This is a global account number that will be recorded in the part history database when parts are received into inventory. See Inventory module for more information on receiving parts.

Out Account

This is a global account number that will be recorded in the part history database when parts are issued from inventory. See Inventory module for more information on receiving parts.

P.O. Charge Department

This is a global charge department that is recorded in the part history database when parts are received into inventory. See Inventory module for more information on receiving parts.

Min-Max Percent

The Min Max Percentage value is the percentage difference between the last value and the generated value that will allow the system to change the min-max levels. For example, if the min-max percent is set at 500 the system will not change the value unless the generated value is fewer than 500% of the last value. This protects the system-generated values from being changed due to

a lack of sufficient history. Turns per Year: Enter or change the default value for turns per year. Turns per year is used to calculate the system generated max level as follows: Max level = (A/T) + N Where A = Annual usage (from history file) N = min level (see min level help) T = Turns per year The turns per year will relate the max level to the min level. According to the annual usage in the history file, it estimates how long inventory will last until it falls below the min level. For example, if turns per year are set to 12, it will add to the min level 1/12th the annual usage calculated from history. Fewer turns per year equal less reorder intervals, but the larger inventory value.

M.A.D

Enter or change the Mean Absolute Deviation to be used as default. The MAD is used to calculate the system generated min-max levels according to the following formulas: Min =((A/52)*L) + (S*M) Max = (A/T)+ N where S = Safety stock = (A/365) * (L + C) A = annual usage L = average lead time C = priority level M = mean absolute deviation N = min level T = turns per year MAD is a factor related to the service level deemed appropriate. The service level is a percentage based on inventory. For example, a service level of 95% indicates if part is relieved from inventory 100 times it will be in stock 95 of the time. In practice the service level will never reach 100%. Keep in mind that the higher the MAD the larger the inventory value. MAD is related to the service level as follows:

Forecast

This field is used to identify the number of days into the future to use when running the Generate Min/Max Reqs (Requisitions) utility. This number will be used to calculate the number of parts to be ordered to provide enough inventories to last the number of days specified in this field.

Use ___ days of history

This field is used to identify the number of days in history the application should look at part transactions when running the Min/Max Calculations utility.

Auto Assign Stock Location on Receive Without PO from PDA

This field is used to automatically assign a stock location to an inventory item when receiving the item without a PO on a handheld device (running eLYNX software) where the selected stock location has not been previously assigned to the item.

Purchasing Tab

Ship To

This field is used to identify the shipping address that will appear on Purchase Orders when they are generated. See Purchase Order module for more information on creating Purchase Orders.

Mark P.O. items Taxable

This field indicates whether or not items are marked as taxable items by default. Even though items may be marked as taxable, they may be marked as non-taxable at any point until the time the Purchase Order is created. See Purchase Order module for more information on creating Purchase Orders.

Require Req Approval

This field is used to identify if a Purchase Requisition requires approval prior to converting it to a Purchase Order. See Requisitions module for more information on creating Purchase Requisitions.

Maximum Amount

This field identifies the maximum dollar amount a Purchase Requisition can be before it requires approval. If the total dollar amount for a purchase requisition is above the 'Maximum Amount', these Requisitions will require approval before they can be turned into a Purchase Order. See Requisitions module for more information on creating Purchase Requisitions.

Include Account Tax in Extended Cost

This field is used to apply the tax rate assigned to the selected Account Code on a Purchase Requisition or a Purchase Order.

Internal Support Contact Tab

Support Name (1 – 5)

This field is used to identify up to five support people who can provide assistance with the application.

Support Phone (1 – 5)

This field is used to identify the telephone numbers for the internal support people who can provide assistance with the application.

Required Fields Tab This tab allows users to make certain fields required on the Work Order Short Form, Service Request and\or Work Order Main tab.

Deactivate Area and Asset on Service Request

This field allows the user to not make Area and Asset required in the Service Request application. If selected, the Area and Asset fields will be hidden on the Service Request form.

Allow Printing of Work Orders on Service Request

This field allows the user to automatically print a Work Order when a Service Request is saved.

Status For New Work Order

This field allows the user to set a default status value for any new Work Order. The user can override this status on a per Work Order basis.

WO Email This tab allows users to configure ePAC so that it will automatically send an email to a requestor and\or technician based upon a status change of a work order.

User Activity This tab displays a list of all users who are currently logged into ePAC and allows users to set a timeout limit where ePAC will close based on user inactivity.

PDA Import/Export The PDA Import/Export selection allows users to access the PDA (Personal Digital Assistant) utility. This utility allows users to perform Inventory transactions and create/record work on Work Orders. Hot Keys: ALT F I

Inventory Manager Tab This tab allows users to process receipts of Purchase Orders, receipts of parts without a purchase order and issue parts to a person, work order or asset for transactions that have been performed on the handheld device.

Receive with PO

This button allows a user to import and process receipts for Purchase Orders that have already been processed on the handheld device. A log file will be generated when the process is complete and, if the process was successful, will display the results in the grid section of this form, otherwise the log will display the results in the grid section on the Error Log tab.

Receive without PO

This button allows a user to import and process receipts for Inventory transactions that were received without Purchase Orders, and have already been processed on the handheld device. A log file will be generated when the process is complete and, if the process was successful, will display the results in the grid section of this form, otherwise the log will display the results in the grid section on the Error Log tab.

Issue Parts

This button allows a user to import and process part issuances that have already been processed on the handheld device. A log file will be generated when the process is complete and, if the process was successful, will display the results in the grid section of this form, otherwise the log will display the results in the grid section on the Error Log tab.

Clear Log

This button allows users to erase the Inventory log file that was generated during previously processed PDA part transactions.

Inventory Cycle Count Tab This tab allows users to process inventory counts for transactions that have been performed on the handheld device.

Import File

This button allows a user to import inventory counts that have already been processed on the handheld device. A log file will be generated when the process is complete and, if the process was successful, will display the results in the grid section of this form, otherwise the log will display the results in the grid section on the Error Log tab.

Select All

This button allows a user to select all records displayed in the grid section of this form, so that when the “Process Selected” button is chosen the effected inventory items “On Hand” quantity will be adjusted to match the quantity from the handheld device count. Users can manually deselect any records that users does not want to process when the “Process Selected” button is chosen.

Deselect All

This button allows a user to deselect all records displayed in the grid section of this form, so that when the “Process Selected” button is chosen no inventory items “On Hand” quantity will be adjusted to match the quantity from the handheld device count. Users can manually select any

records that users does want to process when the “Process Selected” button is chosen.

Process Selected

This button allows a user to adjust all inventory items “On Hand” quantity to match the quantity from the handheld device count, for the records that have been selected in the grid on this form. All processed records will be cleared from the grid on this form when the transaction is complete.

Work Manager Tab This tab allows users to process Work Orders that have been assigned to and/or created by the handheld device and process parts that have been issued to work orders.

Create WO

This button allows a user to import work orders that have been created on the handheld device and generate work orders in ePAC. A log file will be generated when the process is complete and, if the process was successful, will display the results in the grid section of this form, otherwise the log will display the results in the grid section on the Error Log tab. Note: If job parts have been charged to the new work orders thru the handheld device, the Create WO process MUST be run prior to the Job Parts process.

Complete WO

This button allows a user to import work orders that have been created in ePAC and edited on the handheld device. All changes that have been made on the handheld device will update the Work Orders within ePAC when this process is selected. A log file will be generated when the process is complete and, if the process was successful, will display the results in the grid section of this form, otherwise the log will display the results in the grid section on the Error Log tab. Note: If job parts have been charged to the work orders thru the handheld device, the Complete WO process MUST be run prior to the Job Parts process.

Job Parts

This button allows a user to import and process part issuances to work orders that have already been processed on the handheld device. A log file will be generated when the process is complete and, if the process was successful, will display the results in the grid section of this form, otherwise the log will display the results in the grid section on the Error Log tab.

Export WO

This button allows a user to export work orders that have been created in ePAC into a handheld device. Only those work orders that have been assigned a technician and a status of “Assign to PDA” will be exported to the handheld device. A log file will be generated when the process is complete and, if the process was successful, will display the results in the grid section of this form, otherwise the log will display the results in the grid section on the Error Log tab.

Clear Export

This button allows users to delete the Export Work Order log file. This process should be run after: 1.) The “Export WO” process has been completed AND 2.) The handheld device has been synchronized and the work orders have been transferred to the handheld device.

This button allows users to erase the Error log file that may have been generated during previously processed PDA asset transactions.

Options Tab This tab allows users to configure the setup of the eLYNX application.

Timer On/Off

This field allows users to identify if ePAC should automatically process eLYNX operations. If this option is desired, click in the logical field.

Timer Interval

This field allows users to determine, in seconds, how frequently ePAC should automatically search for eLYNX files for processing. Timer can be set for between 1 and 60.

Receive Bar Code

This field allows users to identify which bar code label should be printed by default when users select “Print Labels” from the eLYNX Inventory application.

PDA File Path

This field allows users to identify where the eLYNX import and export files are be located. This file path MUST match the file path identified in the synchronization software (Palm Desktop© or Microsoft Active Sync©).

This field allows users to process any changes that have been made on the Options tab. Any changes that have been made to this tab will not take affect until this button has been selected.

Exit Button

This button allows users to close the “eLYNX PDA Import/Export” form.

Export Main Grid

This selection allows users to export all of the information in the Main Grid to a comma delimited (csv) file. The exported file can then be opened by most spreadsheet, word processing, database or text applications and the data modified.

Change Part Number This selection allows users to re-code an inventory part number. Once changed, all references to the old part number will be converted to the new code.

Field Name This field allows users to identify which code field that should be changed.

Note: Currently, the only code field that can be changed using this utility is the Part Number.

Old Value This field is used to identify the current code that the user would like to change.

New Value This field is used to identify the new code that the user would like to use to identify the part identified in the Old Value field on this form.

Make Changes This button allows the users to incorporate the new code that was identified in the New Value field on this form.

Note: Changing the code field is an irreversible process. Care should be taken when using the Change Part Number utility.

Exit This button allows user to close the “Change Part Number” form.

Export Main Grid This selection allows the user to export the main grid of records and save the records as a comma separated value file (CSV). This CSV file can be opened in a spreadsheet format for viewing and manipulation for report purposes. Any changes to this file do NOT affect ePAC records.

Form Options This selection allows the user to set clear and save options for open records. Uncheck any options that are not desired for the users facility. Close Data Form On Save will automatically close a record when users click the Save button. Clear Data Form When Creating New Records will automatically clear all data from a new record when users clicks the Save button. Prompt User to Save will cause a warning box to appear regarding the saving of new data each time users attempts to navigate to a different part of the program.

Note: If the Close Data Form On Save box is checked, then the system will not allow the Clear Data Form When Creating New Records to be unchecked.

Filters This selection allows the user to select how many and which records should be displayed in the main grid. Hot Keys: ALT O F

Numeric Record Filter This selection allows the user to set the number of records that should be displayed in the main grid when the user clicks on a module icon. If desired, set the Number of Records to Select at a different value. If users would like to see all records, set the number high, such as 9999. If users change the Number of Records to Select to “zero”, all records in the module will be displayed, however users selection will not be saved and the Numeric Record Filter will reset to the previously saved setting the next time the application is launched. The default setting for Numeric Record Filter is 10 records. Hot Keys: ALT O F N

Note: If the default selection for Update Sort Entries has been changed for a particular module, then the Numeric Record filter may not work for that module.

Record Search The Character Search Filter allows users to search for records on single and/or multiple fields for any module. The more fields users fill in should limit the number of records retrieved.

Query Builder The selection is a powerful function that allows users to specify a group of records which can be named, saved, and retrieved any time. A user can also define a saved query as their default query (per module). Once a default query has been saved, every time the user clicks on the appropriate module icon, the default query will be run and only the matching records will be displayed in the main grid. Hot Keys: CTRL Q

Layout View This selection allows the user to modify the column sizes and locations within the Main Grid for a selected module.

Use Default Layouts This selection allows the user to switch from the user defined Main Grid layout to the ePAC designed Main Grid layout. After selecting this option, one of the module buttons on the left tool bar must be pressed to refresh the table. When selected, the system will layout the Main Grid view column order for all modules according to the default settings. The column sort order will not be changed through this option.

Area

This field allows the user to identify Asset for the Work Order that will be created. Select the Asset from the drop down table.

Job Priority

This field allows the user to identify the criticality of this work order. This field should only be used if a RIME value has not been assigned to the selected Job Type for this Work Order.

Component

This field allows the user to identify a component that is assigned to the selected Asset record, if applicable.

Problem Date

This field allows the user to identify the date that the problem occurred.

Shift

This field allows the user to identify the shift in which the problem occurred.

Status

The status of the Work Order is defined by selecting the appropriate code from the list. These codes are defined in System Administration. Status code 0 is an “In Plan” work order. Status code 1 is a “New Record”. Status code 9 is a “Finished” work order.

Job Type

This field is used to define the Work Order type and RIME priority. Select the appropriate code from the pull down list. It is recommended that Job Type = 0 is labeled as a PM, since the Calendar and Meter PM Modules will automatically generate Work Orders with 0 as the Job Type. System Administration contains the definitions for these codes.

Technician

This field is used to identify the Technician who is assigned to this Work Order.

Downtime Start

This field allows the user to identify the downtime start time. Use the military time hhmm format.

Downtime Stop

This field allows the user to identify the downtime stop time. Use the military time hhmm format

Downtime

The program will automatically calculate the downtime minutes based on downtime start and stop times.

Problem

This field is used to identify a predefined problem code for this Work Order.

Occurrences

Enter the number of times the problem occurred.

This field allows the user to identify if the downtime should be multiplied by the number populated in the Occurrences field.

Instructions

This field allows the user to identify any instructions that should be passed on to the Technician assigned to this Work Order.

Details

This field allows the Technician that has been assigned to this Work order to provide information on the work that was done for this Work Order.

Display WO

This button allows the user to look up and display Work Orders based on certain search criteria, by populating any of the fields on the Short Form.

Caution: If all fields are left blank, then all Work Orders will be displayed in the grid section when a user clicks on the Display WO button.

Time Reporting This selection allows a user to quickly add labor time to a Work Order, without having to open the desired WO.

WO Number

This field allows the user to identify which Work Order that they would like to add labor time to. Users would either type in the Work Order number or select the number from the drop down table.

Area

This system populated field displays the Area that has been assigned to the selected Work Order.

Asset

This system populated field displays the Asset that has been assigned to the selected Work Order.

Technician

This field allows the user to select which technician labor time is being added for the selected Work Order.

Rate

This field allows the user to select a previously defined rate code for the selected technician. Rate Codes are defined within the Labor Group form.

Task Code

This field allows the user to identify which task the selected technician performed for the Work Order. Only those task codes that have been planned for the selected Work Order will be available in the pick list.

Start Date

This field allows the user to identify the day work has started for this labor entry for the selected Work Order.

End Date

This field allows the user to identify the day work was completed for this labor entry for the selected Work Order.

Total

This field allows the user to enter in the total amount of time spent for this labor entry for the selected Work Order. Time should be entered in “hhmm” format (i.e. 2 hours, 15 minutes would be entered as 0215). If the user populates this field, then the End Time field will automatically be calculated based on the current time + amount entered into Total field. When this field is populated by the user, there is no need to populate either the Start Time or End Time fields.

Start Time

This field allows the user to enter the time the labor for the selected Work Order began. Time should be entered in “hhmm” format (i.e. 2 hours, 15 minutes would be entered as 0215). If the user populates this field and the End Time field then the Total field will automatically be calculated based on the Start Time + End Time. When this field is populated by the user, there is no need to populate Total field.

End Time

This field allows the user to enter the time the labor for the selected Work Order ended. Time should be entered in “hhmm” format (i.e. 2 hours, 15 minutes would be entered as 0215). Min/Max Calculations This utility is used to calculate the optimum minimum and maximum stock levels. The system will calculate the past usage from the history file. It will then take into account the usage per day, lead-time, turns per year, and mean absolute deviation to calculate the optimum levels. The minimum and maximum levels will only change if the difference between the old levels and the new levels are more than the difference, in percent, as specified in System Administration. ABC Cycle Counting This utility is used to classify all part master records according to their usage, in dollars. The system will calculate the annual dollar usage for each part with the highest dollar usage being first. Each part master record is then assigned a class code of 'A', 'B' or 'C'. The meaning of each class is as follows: 'A' items may represent approximately 20% of the parts and 80% of the dollar value of the entire inventory. 'B' items may represent another 20% of the parts and approximately 15-20% of the dollar value of the total inventory. 'C' items will include the bulk of the parts but will represent a relatively small percentage of total inventory value.

Note: While the Skip Dates selection utilizes date pickers, the format for Skip Dates is MM/DD. The year selection will be ignored and will not affect the Skip Date ranges.

Report Description

This is a description of the report that will appear in the ePAC System Reports Table View.

File Name

The file name of the Crystal Report. The report must reside in the same folder as the other standard ePAC reports, with the path defined in System Administration if other than the default ePAC directory.

Prompt Caption

This is the text that will appear in the Reports menu.

Print to Screen

Check this box if users wish to preview the report prior to printing.

Orientation

Select the orientation that report (portrait or landscape) will be printed in.

This field will display a caption for the prompt when the report is run.

Formula Name

This is the Crystal Report formula name that will be updated. When creating a report using Crystal Report Writer, design the report with formula fields that contain one variable. For example, to create a report that restricts records to equipment records from only one area, create a formula that is called ‘Area’. Modify the record selection formula that accesses the ‘Area’ formula to restrict records.

Note: For examples, please review the standard reports provided with ePAC.

Type

Select the type of formula from the drop down list. A “Date” type should be used for any prompt that uses standard date formats (MM/DD/YYYY), “Numeric” type should be used for any prompt that can only be a number, “Alpha/Numeric” type should be used for all other prompts.

Mask

Enter the mask for this formula. A mask provides a way to restrict data enter by users to fit a specific pattern. The possible mask characters are listed below:

Table Name

The report will refer to this database table for the pull down list in the report prompt. Use the down arrow to access the available tables.

Field 1 Name This field will populate the first column of the report prompt pull down list.

Field 2 Name This field will populate the second column of the report prompt pull down list.

Sort Field This field will regulate the sort pattern of the pull down list.

Security Security allow users to define groups and users who are authorized to have access to the ePAC system and the level of that security. If users wish to use security, they must enable security in System Administration and create users who are authorized to access ePAC with the Security modules. The Security module also allows users to create groups and users and assign users to groups. Using groups in security will allow users to set the rights at the group level and assign users to that group. The Security module also allows users to define the level of security allowing users to specify what modules, editing rights, and menu option access each group/user has. When Security is open, the system will prompt for the Administrator password if an administrator password has been set. Enter the Administrative Password in the password box and click OK. If security is enabled, all users will be prompted for their login ID and password before they can access any modules within ePAC Security Module.

Administrative Password The Administrative and Backup Administrative passwords are encrypted and saved in the ePAC.dat file. Be careful not to lose this password, as it will take some effort to recover. If the password is lost, email the ePAC.dat file to EPAC technical support for decoding.

Area

This field allows the user to select the Area that the Asset resides in.

Asset

This field allows the user to select the Asset that they would like to see the meter information for.

Location

This selection allows the user to identify locations along with their addresses. These locations can then be added to Asset records. This field will automatically populate if a location has been assigned to the selected Asset record.

Description of Problem

This memo field allows the user to identify the problem that they are reporting.

Requestor ID

This selection allows users to identify key contact information for individuals who may request that work be done. If a requestor record has previously been built, then the associated contact information will populate this form.

Account Code

This selection allows a user to assign an account code to the Service Request in order to identify which code all charges against this request will be billed to.

Charge Dept.

This selection allows a user to assign an charge department to the Service Request in order to identify which department all charges against this request will be billed to.

Index Tabs The index tab allows access to different screens within a module. Click on the desired index tab, to navigate through the module screens.

Date Required Switch (Checkbox) Many of the date fields in ePAC will default to the current date (based on the computer’s current settings). They may also have a checkbox within the field. If the box is checked, the field will be active and read by ePAC. Otherwise, ePAC will not recognize the field. To activate the Date Required Switch, either left-click the box with the mouse pointer, or select the down arrow. The second option will also launch the date picker for date selection. In the example below, Status Date, In Service Date, and Create Date are checked and therefore recognized by ePAC. The Warranty Date field is not currently recognized in the example below. All users should ensure that their computer clock and calendar are set to the current date and time. Do this by clicking on the clock in the lower right corner of main Window. A smaller window will open displaying a calendar and clock. Update the settings as needed, click Apply, and OK.

Date Picker Many of the date fields within ePAC can be edited by first selecting the down arrow then navigating through a calendar view to the desired date. To quickly pick today’s date, simply left-click the red circle for “Today”. Otherwise, scroll through the months using the left/right arrows at the top corners of the calendar. Click on the desired date. The calendar will close and automatically populate the field. ePAC will not recognize the date field if the Date Required Switch (checkbox) in the date field is not checked. Choosing the down arrow will automatically check the box.

Required Fields The fields shaded in yellow are required for that record to be saved (when first created).

Pop Up Tables Pop up fields allows users to jump to other areas of the program without closing the current window. Red caption letters identify these fields. Area, Asset, Task Code, and Problem are examples of Pop Up Tables. To access the information in these fields, place the mouse pointer over the red text and click. If users needs to edit an existing record, double click on the record and it will be displayed allowing users to edit. If users wants to create a new record, click on the new button on the tool bar at the top. Fill in the appropriate information and click on the save button located on the top tool bar. Users also has the ability to edit and/or create records for any pop up field from any module. From the top tool bar select Table View and Updates. Select the pull down menu from tables and select a table.

Layout View The Layout view allows users to define which order the columns will be displayed in the table view. In any module, bring up the table view by clicking on the module from the side tool bar. Click on a column users would like to change and select the field from the pull down that users want displayed in that column. When users have the table Layout setup the way users want, select Save Layout from Options/Layout View from the menu bar at the top. Users also has the ability to change between the default and saved Layouts.

Coding Schemes In order to receive the maximum benefit from any CMMS package, users must first give careful consideration to all coding schemes. All subsequent reporting functions will rely on the successful implementation of these codes. Many companies make the mistake of setting up coding schemes that provide too little detail while others use schemes that provide too much detail. Therefore, it will be hard for the technicians to select the proper codes to use on Work Orders. This will lead to the inability to generate reports that provide any meaningful data. When developing coding schemes, it should be noted that special characters (`~ ! @ # $ % ^ & * ( ) = + \ | , / < > ? ; ’ : ” [ ] { } ) may NOT be used as part of the code. It would be good practice to not use any special characters in any field within ePAC (except the memo fields). As every company has different needs when utilizing a CMMS package, EPAC offers on-site assistance to assure the successful implementation of the CMMS system. Asset Module

Overview The Asset module is the foundation of this system. It holds definition of the assets used in ePAC. Asset specific information is entered and updated in the six pages for each record including, general asset information, asset notes, meter definitions, Components, lockout information, and asset images and docs. Pressing the Asset Module Button on the left side tool bar of ePAC accesses the Asset Module.

Main The Main tab of the Asset module allows users to define the basic information for each piece of equipment. The Area, Asset, Record Type (only if a Record Type has been created) and Status are required fields. Four fields on the Main tab of the Asset module are used throughout ePAC and, therefore, have guidelines associated with their usage. The four fields are Area, Asset, Status, and Charge Department. Outlined below, are guidelines for these fields.

Area This is a pop up field. Users defines the list of codes that represent a section of the building, or type of Asset, or fleet category, or client type, or any other main category as desired by users. This field caption can be changed through System Administration. After an Asset record is saved, users may not edit this field.

Asset This field is an identification code for a piece of equipment, vehicle number, room number, customer number, or any other sub-category as desired by users. This field caption can be changed through System Administration. After an Asset record is saved, users may not edit this field.

Description This is a brief description of the asset.

Record Type This field allows users to group similar assets together by category for the purpose of defining the custom fields on the details tab. Examples are: pump, room, vehicle, press, filter, tank, etc.

Parent This field allows users to relate the asset to a Parent level association. A parent must reside in the same area as the child. Each Asset may have only one parent.

Parts List ID This is a user defined field that allows the creation of an ID code to associate related parts to an asset. This dropdown will list all Part List ID’s that have been created. This allows users to select an existing Part List ID for utilization when identical assets are in use in a facility.

Status A system defined choice list is available from the pull down menu. These choices include, Active, Idle In Plant, Idle Storage, Moved, Renamed, Scrapped, and Sold. Any status other than Active will set all system generated PMs to idle for this Asset.

Status Date The Status Date will update when the status of an asset record is changed. ePAC automatically changes this date when the status is changed by users.

Location Use this field to identify a building number, plant number, or general position for the asset.

Equipment Number This is an open field. Any type of information can be stored here.

Asset Number This field can record equipment accounting asset numbers for each asset.

Priority This alphanumeric field defines the priority (importance) for the equipment. Normally, a numerical code of 1 represents the highest priority. Up through 9, representing the lowest priority equipment.

Note: The Priority field should only be used if RIME Priority is not used.

Charge Department This is a pop up field and users defines the values. This field caption can be changed through System Administration. This list represents the billing department for asset charges, or any list as deemed necessary by users. Users may assign a budget amount with start and end dates for each Charge Dept. This is for reference only and may be used in a Crystal report.

In Service Date The date the equipment went into service.

Manufacturer This is the manufacturer of the equipment.

Model Number This is a user-defined field and may be used for any purpose. The default is the model number of the equipment.

Drawing Number This is a user-defined field and may be used for any purpose. The default is the master drawing number for the Asset.

Zone This is a user-defined field and may be used for any purpose. Two examples are a field that can be used to provide a zone location for the asset in large manufacturing facilities where zones are utilized or the fire alarm zone for which an asset resides.

Serial Number This is a user-defined field and may be used for any purpose. The default is the serial number for the asset.

Class This is a user-defined field and may be used for any purpose. Use the default as a field to provide a machine classification code or number.

Warranty Date This field is the date on which the warranty will expire.

Warranty Cycle End This field display the meter reading that the warranty will expire when reached. The Warranty Cycle End field is based on the Meter 1 field of the associated Asset record.

Under Warranty This selection allows users to identify that an Asset record is under warranty, the dates of the warranty period, the meter cycle of the warranty period (based on Meter 1 of the associated Asset record) and the contractor who is assigned to perform the warranty service. If an Asset is under warranty and a demand Work Order is created for the Asset, the user will be prompted that the Asset is under warranty and would the user like to continue with the Work Order creation process and would the user like to assign the warranty contractor.

Create Date The Create Date will update when a new equipment record is saved for the first time. ePAC will do this automatically. The create date is also used as a baseline for depreciation.

Asset RIME This is a user defined field that establishes a Ranking Index for assets utilizing a criticality code for the asset multiplied by the Job Type RIME value that can be used as a tool to prioritize backlog work orders.

Note: The Asset RIME field should only be used if the Priority field is not used. . See also: Asset Priority in PopUp section for more information on creating Asset RIME records.

RCM Group This selection allows users to build RCM (Reliability Centered Maintenance) relationships that will be used to track problems on work orders, their causes and what action was taken to resolve the problem. When utilized properly, RCM Relationships can help users to identify why Assets breakdown and what steps can be taken to prevent the breakdowns in the future. RCM Relationships can also be used as a troubleshooting guide for maintenance technicians.

Details This tab of the Asset module allows users to enter important notes about an Asset and identify up to 18 custom field entries. The custom field captions and drop down tables will change based on the Record Type assigned to the Asset. The Notes field is a free flowing text field allowing standard input of textual information. The custom field types are as follows: Custom 1 thru 6 – Pop up tables Custom 7 thru 10 – Text Fields Custom 11 and 12 – Numeric Fields Custom 13 thru 16 – Date Fields Custom 17 and 18 – Logical Fields

Note: See Asset Record Type in System Administration for more information on Record Type Custom Fields.

Meters This tab allows users to define any meters related to an asset, which in turn can define milestones of equipment usage. Each asset may have two meters. These can be running meters, or incremental meters. The meter information entered on this tab will be used in planning metered PM schedules.

Meter Name Users defines Meter names. However, the meter names must be unique. Duplicate names are not allowed for the same asset.

Current Reading This is the last recorded meter reading. ePAC automatically populates this field with the last meter reading entry.

Running vs. Incremental Meter ePAC can track two types of meters, a running meter, or incremental meter. Both meter types can count any type of substance. For example, a running meter may count total hours, miles, kilometers, gallons, pieces produced, pounds or total finished product. This meter resets only when the device is replaced. Examples of a incremental meter: The meter may count strokes on a die, injections into a mold, or tons of material processed per shift. This meter is set back to zero at user’s discretion. The reset meter is usually reset after taking each reading.

Asset Total This is the calculated sum of all recorded values (readings) for the defined meter. In other words, this is the total hours, miles, strokes, cycles, etc. for the asset since it was first started (In Service Date).

Hierarchy This tab allows users to define an existing Asset record as a child of the current record and an unlimited number of components for each piece of equipment. Sub-assemblies or systems for a large piece of equipment are good candidates for components. This allows an added layer of detail for cost reports.

Child This field is used to select the related asset component if applicable.

Hierarchy This button allows the user to view the Asset tree that was developed through the Parent/Child relationship.

Component This field is the Component identification name or number. A child must reside in the same area as the parent. An asset may have an unlimited number of children.

Description This field is a brief description of the component.

Notes Use this field to document important notes about the component. This is a free flowing text field allowing standard input of textual information.

Lockout This tab of the Asset module allows users to define or enter the lockout / tag out information for an asset. This is a free flowing text field allowing standard input of textual information. This information will print on the default Work Order.

Financial This tab brings up a display that shows category costs related to the asset listing MTD, YTD, and LTD totals. Asset depreciation is also displayed here. A Hierarchy button brings up an Asset Financials tab that shows costs in tree view of parent/child.

Parts This tab allows users to list spare parts associated with an asset record as designated by the Part List ID. Users can also define a spare parts list at the child/Component. Users can add parts that are listed in Inventory and parts that are not.

Custom Fields This tab allows users to define 16 “custom” field names for an asset. An example would be to enter name plate data here that is not captured on the Main tab.

WO’s This tab allows the user to view all open or closed Work Orders against the selected Asset record. All open WO’s for this asset will display in the Open WO’s grid by default. The Closed WO’s grid will, by default, not be populated until the user selects filter criteria.

Attachments This tab allows users to attach reference images and documents to the asset record. Select an image file by clicking the Add button and using the File Selector to locate and select the desired file. After the file has been selected, enter a description for this file in the Description field. View these images by pressing the View button.

Calendar PM

Overview The Calendar PM planning module is home to PM plans that automatically generate Work Orders based on a calendar. PM plans are setup using manual dates or on a regular schedule by a specified number of days, weeks, or months. Moreover, users can set up a PM on a regular interval with preset skip dates to disable the PM during a specified time or season. Pressing the Calendar PM Module button on the left side tool bar of ePAC accesses the Calendar PM module.

Main Tab The Main screen of the Calendar PM Module allows users to define the basic information for each piece of equipment. The Area, Asset, Task Code, Schedule Type, Interval Type, Time Interval and Job Type are required fields. Several types of Calendar PM plans are available; automatic, manual, or single time PM plans. The general descriptions and usage’s for each field are as follows:

Area Users define the list of codes that represent a section of the building, or type of Asset, or fleet category, or client type, or any other main category as desired by users. Task Code Task codes are instructions for PM inspections, repetitive maintenance tasks, etc.

Schedule Type Use this field to set the schedule type the Calendar PMshould follow. There are four types of schedules: Manual, Fixed, Float, and Single. Find the description for each below.

FIXED The Interval Type, Time Interval and Next Scheduled Date are set by users for this schedule type. After the job is completed, the (interval type multiplied by the time interval) added to the last completed date equals the new Next Scheduled Date. Therefore, the interval between the last completed and the next scheduled dates is always a ‘Fixed’ interval.

Example: a 30 day PM is released 3/1 and the job is completed 3/10. Using the formula above, (days * 30) + 3/10 = 4/9. The new next scheduled date will be 4/9.

The minimum days between occurrences field is not active on this schedule type.

FLOAT Users sets the first start date and PM interval. The system will generate a projected schedule based on the start date and the interval between jobs. After this schedule is set, the system will always maintain these dates regardless of the actual finish date. The effect being, the projected schedule will remain constant, but the actual interval between the PM finish date and the next scheduled release date “floats.” The minimum days between occurrences field is active for float.

Example: A PM is generated for a one-month interval with a next scheduled date set for 3/1 and the “Min. Days” field set for 14. After releasing on 3/1, the job is finished in 14 days on 3/15. The next scheduled release will be the 4/1, because more than 14 days remain before the next scheduled date.

However, if less then 14 days remain until the next scheduled date, the next scheduled release date would be 5/1. In other words, if the PM were finished in 21 days on 3/22 leaving 9 days remaining between the finish date and next scheduled occurrence, the system would skip the 4/1 (next scheduled date).

Note: Users can release a Work Order for a schedule type float with an existing generated Work order opened. This works with Float only.

MANUAL Up to 12 dates are available per Calendar PM (month/day format) in the Manual Schedule box located on the right side of the main screen. Maintaining a set interval between occurrences is not necessary and Minimum Days between occurrences is in effect for this schedule type.

Example: Minimum Days is set to 0. A job is scheduled for the dates of 2/1, 3/1, 4/1, and 8/1. If it is issued on 2/1 and finished on 2/24, the next scheduled release date will be 3/1. Had Minimum Days been set to 20, the Next Schedule Date would have been 4/1/ Manual scheduling is useful for scheduling jobs that need irregular intervals, such as shutdown or seasonal work.

SINGLE These are one-time jobs scheduled through the job records planning window. After the job is completed, the schedule will delete itself. The resulting completed work order will remain in the job record history.

Interval Type The available choices are days, months, single, and weeks. Example: to create a three-month interval PM, select ‘Months’ for the Interval Type and enter a 3 in the Time Interval field.

Time Interval This is the number of intervals for the selected interval type. Example: to create a two-week interval PM, select ‘Weeks’ for the Interval Type and enter a 2 in the Time Interval field.

Job Type This selection allows the user to identify job type codes. Job Type utilizes the RIME method for prioritizing Work Order criticality. RIME (Ranking Index for Maintenance Expenditures) is a function that assigns a value based on the Asset Priority code and the Job Type code used for a Work Order. This number can then be used to prioritize Work Order activity.

Min Days Use this field to set the minimum number of days in which the PM must be completed before the system skips the next occurrence. Non-critical inspections are good candidates for Min Days. This field applies only to Float’ and ‘Manual’ schedules. Example: A Float 30 day PM has a 15-day Min Days value and is released 3/1. If the job is completed on or by 3/15 the next scheduled date will be 4/1. However, if the PM is completed after 3/15, the system will skip over the 4/1 occurrence and the next scheduled date will be 5/1. Example: A Manual PM has a 15-day Min Days value and is scheduled for the 2/1, 5/1, 7/1, and 11/1. If it is issued on 2/1 and completed on or by 2/15, the next scheduled release date will be 5/1. However, if the PM is completed after 2/15, the system will skip over the 5/1 occurrence and the next scheduled date will be 7/1. The system will skip the next occurrence whenever the Min Days are exceeded.

Initialize Date This is the start date for the plan.

Last Completed This is the date the PM was last completed. This date originates from the Job Finish Date found on the Work Order Work Close tab.

Last Release This is the last generated or release date for the PM.

Next Scheduled This is the next planned date for the PM.

Labor Group Use this field to assign a specific labor group to the PM. This field is optional.

Technician Use this field to assign a specific technician to the PM. This is an optional field.

Note: If users assign a Calendar PM plan to a technician, users may change it later in the Work Order module or in the schedule management module.

Est. # of Techs. This is the estimated number of technicians required to complete this PM. This field is optional.

Est. Job Hours This is the estimated number of hours required to complete this PM. This field is optional.

Shift Use this field to assign a specific shift to a PM. This field is optional.

Priority Set the priority or assign the importance of the PM with this field. This field is optional and should be used only if the RIME Priority system is not used.

Completion Days Enter the number of days the technician has to complete the PM in this field. The system will use this number to calculate when a PM is late. It will also use this entry to calculate the estimated finish date on the labor plan record. (Next schedule date plus completion days = estimated finish date)

Activate Calendar Plan This box has to be checked to activate the Calendar PM plan. If this box is not checked, the Calendar PM plan will not generate.

Auto-Close This option will only apply to Calendar PM records with a Float schedule type. With this box checked, the Calendar PM record will automatically “close” (status will change to 9) and a Job Finish Date will be assigned as entered on the Release Work Orders “Auto-Close Date” field.

Manual Schedule Create a custom PM schedule using these fields. Shutdowns at irregular intervals or seasonal start up PMs are good candidates for a manual schedule. A plan based on a manual schedule will release Work Orders only on the dates specified. To create a manual plan, set the Schedule Type field to ‘Manual’ and enter the appropriate dates in the manual schedule fields.

Show Planning Button When this button is clicked, the planning form will be displayed. Users can plan labor and material from within this form.

Calendar Tab This tab allows a user to view summary information for the current open Calendar PM schedule including issue and completed dates of Work Orders for this schedule. The summary information to the right of the calendar provides statistics about PM completion efficiency.

Miscellaneous Tab This screen allows users to attach images, assign a blanket PO and/or accounting code, and enter an estimated cost for each planned PM.

Contractor This field is used to identify which contractor should perform the work associated with this PM schedule.

Estimated Cost Enter the estimated or quoted cost for the PM in this field.

Account Code Use this field to enter special account codes for tracking cost. Users defines these account codes.

Skip Dates Tab This screen allows users to define up to six sets of skip dates. Use skip dates to disable a PM plan for a defined period. For example, to disabled a PM for air conditioning systems during the winter, define a skip date range of 11/01 to 3/31.

Note: The format for Skip Dates is mm/dd.

Open WO’s Tab This screen allows users to view all of the open Work Orders generated from this plan. To view, edit, or close an open WO listed on this page, double click on the WO number field and the WO module will open and display the chosen WO.

Attachments This tab allows users to attach reference images and documents to the asset record. Select an image file by clicking the Add button and using the File Selector to locate and select the desired file. After the file has been selected, enter a description for this file in the Description field. View these images by pressing the View button.

Inventory Module

Overview The Inventory module allows users to define stock parts used in ePAC. Important part information is defined and updated from this module including the manufacturer’s part information, ordering and stocking details, purchasing information and image file names.

Main Tab This tab allows users to define basic information for each part. Fields of important interest are:

Part Number This field identifies the part using an internal code. This is an alpha-numeric field.

Part Type This field allows the user to identify each part as one of three types: ‘Primary’ is a part that the system stocks and creates a Purchase Requisition through the GENERATE MIN/MAX REQS utility. ‘Secondary’ is a part that is currently being stocked but the system will not reorder. ‘Reference’ is a part that is not being stocked and if ordered, will be issued out when received.

Print Barcode This button allows the user to print a barcode label for the current part record. See Bar Code in the Menu Bar\Options section for more information on printing bar code labels.

Mfg. Part Number This field is used to identify the primary manufacturers part number.

Description This field is used to give an internal description of the selected part.

Manufacturers This field is used to identify the manufacturers for the selected part. User’s can identify a primary manufacturer and an unlimited number of other manufacturers. Only the primary manufacturer will display on the Main tab.

Primary Supplier This field is used to identify the suppliers for the selected part. User’s can identify a primary supplier and an unlimited number of other suppliers. Only the primary supplier will display on the Main tab.

Inventory Type This field is used to identify an account type for the selected part. Three types are available: Inventory – identifies that the part will be charged to an Asset account. Expense – identifies that the part will be charged to an expense account upon receipt. Consigned – identifies that the part will be paid for upon issuance. Prior to issuance the part is still owned by the vendor.

Priority This is a priority assigned to this part. The higher the number, the higher the priority. This field is used when running the Min/Max Calculation utility.

Class Code This is the classification of the part. Normally, the class code is used to group parts into TYPE categories. For example, a class code of ‘BRG’ could indicate a bearing.

Charge Department This is a pop up field, whose list of possible values is defined by users, and it is used to show the department to which inventory record will be charged. Each charge dept can have a Budget Amount, Start and End dates associated with it. These are reference fields that can be used in a Crystal report.

Commodity This is a commodity code that users may use. Users may wish to contact the internal accounting department for any codes used here. One way to categorize parts with this field is by trade. For example, the commodity may be electrical, mechanical, janitorial, etc.

Order Measure This is the unit of measure in which the part was ordered.

Stock Measure This is the stock unit of measure used for relieving inventory.

Lot Size This field indicates the minimum quantity to be ordered from the supplier in order to receive parts at the order cost indicated for the supplier. For example, if the supplier will offer a case of parts at a specific cost but the order must be for 12 cases to get this price, the lot size would be 12.

Stock Cost This is the cost of the part when it was last received. This cost is updated when receiving parts from a Purchase Order or may be updated manually. ePAC uses the FIFO or average costing method for inventory cost accounting.

Order Cost This is the last purchased cost of the part the last time it was ordered through the ePAC Purchase Order module. On a newly created part, this field should be filled in using the same cost as the stock cost.

Conversion This is the conversion factor that is used when receiving parts. The relation between order cost and stock cost is defined by conversion.

Min Level This is the desired minimum stock level. By utilizing the GENERATE MIN/MAX REQS calculation, inventory should never fall below this quantity.

Max Level This is the desired maximum stock level. By utilizing the GENERATE MIN/MAX REQS calculation, inventory should never exceed this quantity.

Taxable This field is used to identify if the selected part is taxable. If part is taxable, then the tax rate assigned to the supplier will be applied to this part when the part is ordered.

On Order This is the total quantity on order in the Purchase Order module.

Total Available Total On Hand minus Reserve equals the quantity available for issue.

ABC Class This is the ABC classification for the part which is either ‘A’, ‘B’ or ‘C’. All new parts are automatically classified as ‘B’ until the ABC Cycle Counting function is run from the Tools menu. This menu option is used to classify, in dollars, all part master records according to their usage. The system will calculate the annual dollar usage for each part with the highest dollar usage being first. Each part master record is then assigned a class code of 'A', 'B' or 'C'. The meaning of each class is as follows: 'A' items may represent approximately 20% of the parts and 80% of the dollar value of the entire inventory. 'B' items may represent another 20% of the parts and approximately 15-20% of the dollar value of the total inventory. 'C' items will include the bulk of the parts but will represent a relatively small percentage of total inventory value. These classifications will be helpful in knowing what parts are high usage or high cost items.

Soft Reserve This is the quantity established in Material/Planning from an “active” work order. Until the work order is actually created, the quantity in Planning does not get included in Soft Reserve.

Total On Hand This is the total quantity in inventory for this part.

Create Date This field identifies the day that the inventory record is created within the application.

Supplier These are the suppliers of the part. Up to three suppliers may be defined with the first being the primary supplier.

Location Tab This allows users to define the Stocking Location for a part. All part storage location information is entered on this screen. The same part can be stored at multiple locations. Important fields of interest are:

Facility ID For a multi facility organization, this field allows selecting which facility the part is stored at.

Store Room This field allows users to create the storage locations within a facility.

Rank Rank is used to classify the storage location in relationship to any other storage locations. (Rank 1 is Primary)

Aisle This field allows users to create the aisle locations within a storeroom

Row This field allows users to create the storage rows within an aisle.

Bin This field allows users to create the bin locations within a row.

Include in Total Available Check this box if users wish this part to be included in the total for the facility. Leaving this box unchecked will prevent the part from showing up in the total on hand.

Notes Tab Enter any notes that apply to this part. This is a free flowing text field.

Purchasing Tab This screen allows users to define basic information for each part. Important fields of interest are:

In Account This field is used when receiving parts into inventory. Whatever is entered in this field is recorded in the Part History table. This field may be used in any custom reports. Please contact users accounting department for information about this field.

Out Account This field is used when relieving parts from inventory. Whatever is entered in this field is recorded in the Part History table. This field may be used in any custom reports that users wish to write. Please contact users accounting department for information about this field.

Plan Lead Time This is the calculated time it takes to receive the part from the time it was ordered. Lead-time is based on users purchasing history for this part and automatically assigns this number.

Cross 1, Cross 2, Cross 3 These fields indicate other parts that may be substituted.

Costing Rule Select FIFO (First In First Out) or Average. When the FIFO costing rule is used, each part issuance will use the oldest part receipt for costing purposes. The Average cost rule utilizes a “running average” procedure. The formula used is: Avg Cost=((current on hand x current average cost) + (new receipt quantity x new receipt cost))/ new on hand quantity Also, if the on hand quantity goes to zero then the average cost will recalculate to zero.

Received Tab This tab displays, in grid format, all receipts for the selected inventory record. If the part was received via a Purchase Order the user can double click on the desired record in the grid to open the Purchase Order for viewing/editing (back ordered items only).

On Order Tab This tab displays, in grid format, any open Purchase Orders for this part where the back order quantity is greater than zero. If the user wants to view a purchase order, than the user can double click on the desired record in the grid to open the Purchase Order for viewing/editing (back ordered items only).

Used Tab This tab displays, in grid format, where this part has been used. If the part was issued to a Work Order the user can double click on the desired record in the grid to open the Work Order for viewing.

Reserve Tab This tab displays, in grid format, if the selected part has been planned (reserved) for future use and what Work Order it has been planned to be issued to.

Custom Fields Tab This tab of the Inventory module allows users track up to sixteen user defined inventory conditions or information fields. Users can define the names of the sixteen fields, and may use this data in custom reports. Field names may be customized in System Administration\Inventory.

Attachments Tab This tab allows users to attach reference images and documents to the inventory record. Select an image file by clicking the Add button and using the File Selector to locate and select the desired file. After the file has been selected, enter a description for this file in the Description field. View these images by pressing the View button.

Meter PM

Overview The Meter PM module allows users to define and set up PM plans that will automatically generate Work Orders based on Asset Meters. PM plans are set up using meter intervals and time intervals. The time interval is used to release the PM Work Order if the meter interval is not reached within the meter interval period. Moreover, users can set up a multilevel PM plan based on multiples of the meter interval. Pressing the Meter PM Module Button on the left tool bar of ePAC accesses the Meter PM module.

Main Tab The Main screen of the Meter PM Module allows users to define the basic information for each piece of equipment. The Area, Equipment, Meter Name, and Meter Interval are required fields.

Area Users define the list of codes that represent a section of the building, or type of Asset, or fleet category, or client type, or any other main category as desired by users. This field caption can be changed through System Administration. After an Asset record is saved, users may not edit this field.

Asset This field is an identification code for a piece of equipment, vehicle number, room number, customer number, or any other sub-category as desired by users. This field caption can be changed through System Administration. After an Asset record is saved, users may not edit this field.

Component This is used to provide a Component identification name or number for the equipment for which the Calendar PM is being made.

Schedule Number This is a sequential number ePAC will use to track this PM. It is automatically generated when the PM is saved.

Meter Name The designated meter will trigger this PM plan. The definition for this meter is defined in the Asset Module.

Labor Group This field is used to assign the planned PM to a specific labor group.

Technician This field is used to assign the planned PM to a specific technician.

Note: If users assign a meter PM plan to a technician, users may change it later in the Work Order module or in planning.

Job Type This selection allows the user to identify job type codes. Job Type utilizes the RIME method for prioritizing Work Order criticality. RIME (Ranking Index for Maintenance Expenditures) is a function that assigns a value based on the Asset Priority code and the Job Type code used for a Work

Order. This number can then be used to prioritize Work Order activity.

Max Days On Meter PM plans, users have the option of specifying a time interval as well as a meter interval. In this field, specify the maximum number of days that can elapse before the plan is issues a Work Order. Enter a zero in this field to disable the time portion of the plan.

Meter Interval This field identifies the number of meter units that must elapse before this PM plan issues a Work Order. This number can be in hours, piece counts, etc., depending on the type of meter used.

Cycle Start Reading This is the current meter reading for the equipment at the time the PM is created. The system starts the plan from this meter reading.

Early Release This field allows the system to release a Work Order before the actual metered interval is achieved. Use this to release Work Orders or PM’s earlier than necessary for plans that have a short interval.

Util. Since Last This is the utilization of the meter since the plan was started or since the last Work Order generated by the plan was completed.

Last Comp. Meter This is the meter reading recorded when the last Work Order generated by this plan was completed.

Warranty Cycle End This field will display the meter units that, when reached, will end any warranty for the selected Asset record. Warranty information is defined in the Asset module.

Last Completed Date This field is the date the last Work Order generated by this plan was completed.

Last Release Date This is the date the plan last generated a Work Order.

Show Planning Button When this button is clicked, the planning form will be displayed. Users can plan labor and material from within this form.

Levels Tab The Levels screen is used to define the estimated hours, estimated number of technicians, completion days, priority, shift, and the task code used in this plan. A progressive plan based on multiples of the first meter interval can be also be defined. The general descriptions and usage’s of the fields are:

Mult. This field allows users to specify the multiple of the previous level for the current level. Meter PM levels are nested, meaning whatever tasks are performed at the ‘A’ level are performed on ‘B’, ‘C’, ‘D’, and ‘E’ levels. Also, whatever tasks are performed on the ‘B’ level are performed on the, ‘C’, ‘D’, and ‘E’ levels. For example, if a plan requires greasing the chassis every 500 hours. Changing the oil and filter at

1000 hours and performing a tune up at 3000 hours. The multiple for level ‘B’ would be 2 and the multiple for level ‘C’ would be 3.

Hours This is the estimated hours required to perform the tasks defined for this level.

Techs. This is the estimated number of technicians required to perform the tasks defined for this level.

C Days This is the number of days the technician has to complete the planned PM for this level.

Pri. This is the priority or importance of this plan.

Shft. Use this field to assign a specific shift to a PM.

Task Code Task codes are the written instructions for PM inspections, repetitive maintenance tasks, etc., entered into the system by the operator. This is a pop up table.

Task Description This field contains the title for the selected Task Code. The system will fill this field automatically after a Task Code selection from the combo box.

View Tab This screen allows users to view the PM cycle as defined. The current cycle is highlighted bold (for example, A B A C). The Last PM Performed and the Utilization Due are displayed above the cycle box.

Last PM Performed This field shows the last level in the sequence that was completed.

Utilization Due This field shows the number of meter units left until the planned PM is due again.

Miscellaneous Tab This screen allows users to attach images, assign a blanket PO and/or accounting code, and enter an estimated cost for each planned PM.

Image Attach an image file to the PM with this field.

Print Image with Work Order Activate this field to print the selected image with the PM job.

Blanket PO Use this field for contract PM that has a blanket PO for a defined period of time. For example, a company may contract lawn service during the summer under a blanket PO.

Estimated Cost Enter the estimated or quoted cost for the PM in this field.

Account Code Use this field to enter special account codes for tracking cost. Users define these account codes.

Open WO’s Tab This screen allows users to view all of the open Work Orders generated from this plan. To view, edit, or close an open WO listed on this page, double click on the WO number field and the WO module will open and display the chosen WO.

Attachments Tab This tab allows users to attach reference images and documents to the asset record. Select an image file by clicking the Add button and using the File Selector to locate and select the desired file. After the file has been selected, enter a description for this file in the Description field. View these images by pressing the View button.

Purchase Orders

Overview Purchase Order’s are created either manually or by converting approved Requisitions.

Main Tab P.O. Number

This field is assigned by the system.

Corp P.O. Number This field is used to record a corporate Purchase Order number if usersr company uses a different accounting system to create Purchase Orders. This option can be switched on/off in System Administration.

Purchase Orders: Line Items Tab This screen allows users to edit the Purchase Order for quantity, description and cost.

Purchase Orders: Notes Tab This screen shows the notes that were printed with the Purchase Order.

Requisitions

Overview Purchase Requisitions are created either manually, through GENERATE MIN/MAX REQS and/or Advanced Planning. Users can create a Requisition for stock and or non-stock parts. A Purchase Requisition will need to be approved if the switch in Systems Defaults is checked and if the total cost of the Requisition is greater than the dollar amount set in System Administration.

Requisition Header Tab Req. Number

This field is assigned by the system.

Change Number This field is populated by the system and will increment each time a change is made to the Requisition.

PO Number This field is populated by the system and displays the Purchase Order number that has been issued for this Requisition.

Supplier This field identifies the supplier the user wants to purchase the part(s) from.

Ship To This field is populated automatically from the Ship To in System Administration. The user can edit or change this information on each Requisition.

Ship Via This field is used to the shipper or shipping method.

Acknowledge Check the box if users need the supplier to acknowledge the order.

Confirming Check the box if users have called the order in and are just confirming the order.

Payment Terms This field is used to identify the terms between user and the supplier.

F.O.B. This field is used to identify the mode of transportation.

Buyer This field is used to identify who is purchasing the part(s).

Total Cost This field identifies the total dollar cost for all line items on this requisition.

Created Date This field identifies the month, day, year that the requisition was created.

Approval All This button will set all requisitions to an approved status in preparation of release to a Purchase Order.

Approve Selected This button will set all requisitions that have been previously identified as approvable to an approved status in preparation of release to a Purchase Order.

Detail Tab Req Number

This field is assigned by the system and is carried over from the Header tab.

WO Number This is the number assigned by the system for the work order that this material was planned for.

Area This is the Area associated with the Work Order.

Asset This is the Asset associated with the Work Order.

Part Number This field is used to identify the part that the user wants to order.

Mfg. Part Number This field is used to identify the manufacturers identifying part number that has been assigned to the part that will be ordered.

Description This field is used to identify the part. Be as descriptive as possible.

Unit Cost This field is used to enter the item cost.

Order Measure This field is used to identify the unit of measure defined for ordering.

MFG. Code This field is used to identify who the manufacturer is.

Class Code This field is used to identify the class of the part.

Charge Dept. This field is used to identify what internal charge department the user wants to charge for the item(s).

Account This field is used to identify what internal account the user wants to charge for the item(s).

Taxable Check the box if the item should be taxed.

Tax Percent This field is used to identify the tax rate for the selected part.

Inventory Stock Item Check the box if this is an inventory item.

Line Notes This button allows the user to add any notes that are specific to the selected line item.

Save Detail Line Button Click on the Save Detail Line button to save line item on the purchase requisition.

Notes Tab This tab allows users to add notes to the Requisition.

Scheduling

Overview The Schedule Management module covers the complete scheduling of labor groups and individual technicians on a virtual calendar. All plant inactivity functions and technician utilization can be viewed in this module.

Legend Current Day

The current day is marked with a vertical red line.

Facility Holiday Click this legend item to schedule facility holidays. This will display another screen that will allow users to input facility holiday dates and descriptions. Facility holidays will be displayed on the calendar using a red bar. Users may also click on the red bar to display this screen.

Facility Shutdown Click this legend item to schedule facility shutdown periods. This will display another screen that will allow users to input plant shutdown date ranges and descriptions. Facility shutdown periods will be displayed on the calendar using a light green bar. Users may also click on the light green bar to display this screen.

Technician N/A Click on this legend item to display a screen that will allow users to enter technician not available dates. These dates will be displayed using a black bar. Note that users must enter, or select from the list, a valid technician code in order for this feature to work.

Unassigned Tasks Unassigned Tasks will show up using a white bar. A number inside the bar indicates the quantity of Tasks that are open but have not been assigned to a technician. Double-click the white bar to open a list of the Unassigned Tasks for that day.

Assigned Tasks Assigned Tasks will be displayed using a purple bar. A number inside the bar indicates the quantity of Tasks that are open and have been assigned to a technician. Double-click the white bar to open a list of the Assigned Tasks for that day.

Other Tasks Other Tasks will be displayed using a dark green bar. These Tasks are open and have been assigned to a technician other than the one selected for viewing. These bars will not show up unless

users have selected a technician for viewing.

Options Technician

This combo box allows users select an individual technician for viewing. If a technician is selected, users must press the ‘Refresh’ button or click on the calendar to make this selection take effect. Once the calendar is refreshed, all Work Orders assigned to this technician will be displayed using purple bars. Work Orders assigned to technicians other than the one selected will be displayed using dark green bars. Unscheduled Work Orders will be displayed using white bars. If a technician is selected, ePAC Schedule Management will use this field to display data in the calendar and anything in the labor group field will be ignored.

Labor Group This combo box allows users select a labor group for viewing. If a labor group is selected, users must press the ‘Refresh’ button or click on the calendar to make this selection take effect. Once the calendar is refreshed, all Work Orders assigned to this labor group will be displayed using purple bars. Work Orders assigned to labor groups other than the one selected will be displayed using dark green bars. Unscheduled Work Orders will be displayed using white bars. Note this field will not have any effect if a technician is entered as the technician selection has priority.

Refresh Press this button to refresh the calendar data after a new selection from either the ‘Technician’ or the ‘Labor Group’ combo boxes. Or, click on the calendar to perform a refresh.

Close Click this button to exit ePAC Schedule Management.

Show WO Hours Check this box to display total Work Order hours in the center of the scheduled, unscheduled, and other Work Order bars. If this box is not checked, then the bars will display the total Work Order count.

Calendar Calendar Viewing

When ePAC Schedule Management is first loaded, it will display the current month. If users wish to view a different month, use the scroll bar at the bottom of the calendar to change months. If users click on the arrows on either side of the scroll bar, users will move one month in that direction.

Colored Bars The colored bars are used to display scheduled and unscheduled Work Orders, facility holidays, facility shutdowns, and technician not available. All of these bars may be clicked on to edit the data. For more detailed descriptions on these colored bars, please refer to the ‘Legend’ section of Schedule Management.

Technician Records

Overview The Technician Records module defines the people that will perform the jobs issued by ePAC. Other information includes hire dates; dates employees moved into their current department, general notes, and training history.

Main Tab The Main tab of the Technician Records module allows users to enter basic information needed for each technician record. The general descriptions and usage’s of the fields are as follows.

Number This is the technician’s identification code. The field is alphanumeric and any combination of numbers and letters can make up the code.

Name Enter the technician’s name in this field. Develop a strict format for entry such as first name last or last name first so the pull down lists are consistent.

Hire Date This is the hire date for the technician.

Dept. Date The technician started this date in his or her current department.

Labor Group This is the technician’s trade, team, or craft identification. A labor group must be assigned if labor rates are used.

Technician Type This field further identifies the technician’s craft or position (i.e. Supervisor, Manager, Journeyman, Apprentice, etc,).

Shift This field identifies the days of the week and total hours that the technician works.

Notes Enter notes about a technician here. This free flowing text field could be used to enter attendance information, disciplinary action records, etc.

Personal Tab This tab is used to enter technician personal information including address, telephone, social security number, emergency contact name and telephone number.

History Tab This tab allows users to enter training information for a technician, including class description, date taken, and the expiration date of the course or certification. The general descriptions and usage’s of

the fields are:

Description A brief title or description of the training received.

Date This is the date a training course was completed.

Expiration Date Enter the expiration date of the course or certification here.

Work Order Module

Overview The Work Orders module allows users to enter information for repairs that are performed by the maintenance technicians. Basically, there are six sources for a Work Order. 1: In Plan Work Order (planning mode) 2: Demand/Breakdown Work Orders 3: Work Order generated by Calendar PM Module 4: Work Order generated by Meter PM Module 5: Service Request 6: Help Desk. New Work Orders can be created at any time. Also, Work Orders can be automatically generated from the Calendar or Meter PM modules. This module is used to charge parts and labor, assign defect codes, and enter any text needed to describe the work that was done.

Work Plan Tab The Work Plan tab of the Work Order module allows users to enter the basic information for each Work Order. This information includes the area, asset, component, job status, job type, labor group, technician, task code, problem, instructions, est. issue date, est. finish date and shift. The general descriptions and usage’s of fields are:

WO Number This is the Work Order number; it is incrementally sequenced by ePAC and maintained in System Administration.

Requested By This field identifies the person who is requesting that work be done. Once this field has been populated and the Work Order has been saved, then it cannot be changed.

Generated WO This field identifies if the current Work Order was created through the release process, indicating that the Work Order is a PM type Work Order.

Schedule # This is the unique identifier that has been assigned to the Calendar or Meter PM for which this Work Order was created. This field will populate with a zero (0) if the Work Order is not a PM Work Order.

Status Date This field indicates the date that the Work Order status was last changed. The system automatically maintains this date.

Job Type Use this field to define the Work Order type and RIME priority. Select the appropriate code from the pull down list. It is recommended that Job Type = 0 is labeled as a PM, since the Calendar and Meter PM Modules will automatically generate Work Orders with 0 as the Job Type. System Administration contains the definitions for these codes.

Labor Group Use this field to assign the Work Order to a specific team, labor group or trade.

Technician Use this field to assign the Work Order to a specific technician.

Problem (Defect Code 1) Defect Analysis studies the attributes of a defect and draws out the patterns, types, and frequency of failure. Defect Code field titles are defined in System Administration. Defect 1 has been labeled Problem. Develop the codes associated with the defect types using past history as a guide. A troubleshooting guide can then be developed for any piece of equipment, using the data from these fields.

Instructions This field contains the instructions for work on this Work Order. This is a free-flowing text field. If a task code was selected for this Work Order, this field may be left blank. The instructions will print on the default WO.

Est. Issue Date The Work Order (In Plan) will release this date in the future. Do not enter a date in this field if users do not want the system to release this job. This field is automatically filled in when the Work Order has been generated from a Calendar or Meter PM plan. In this case, the date equals the Next Scheduled Date from the associated plan.

WO Creation Date This is the date the system issued the Work Order. The system automatically fills this field when a Work Order is created.

Est. Finish Date This is the estimated completion date for the Work Order.

Priority This is the priority or importance of this Work Order.

Shift This field indicates the shift the work was performed on.

Est. Total Hours This is a displayed field of the total hours planned, which is automatically populated. If this is a generated Work Order from a Calendar or Meter PM plan, the system will automatically input the data into this field from the associated plan.

RIME Priority This field is automatically populated from the product of the Equipment RIME and Job Type. (The equipment RIME value * Work Order Job Type)

Asset Under Warranty This checkbox is used to inform the user if the Asset is currently under warranty. Warranty information is added/modified on the Asset record. The system will populate this field only if a warranty has been previously defined on the Asset.

Print Dedicated Parts List This field indicates if users want the Dedicated Parts List associated with the equipment for this Work order to print when the Work Order is printed.

Planning Button When this button is clicked, the planning form will be displayed. Users can plan labor and material from within this form.

Work Close Tab This tab of the Work Order module allows users to enter important information about a Work Order. Including job start date and time, job finish date and time, downtime start and time. downtime stop and time, machine downtime, line downtime, work details, occurrences, cause, action, actual man hours, hours remaining, meter reading and follow up needed. The general descriptions and usage’s of the fields are:

Status The status of the Work Order is defined by selecting the appropriate code from the list. These codes are defined in System Administration and may be anything the user desires with the exception of the following:

Job Start This field indicates the date and time the work started. This field can be entered when the Work Order is closed.

Job Finish This field indicates the date and time the work completed. This field can be entered when the Work Order is closed.

Downtime Start Enter the downtime start date and time in these fields. If the information is available from the Short Form, the system will fill in these fields.

Downtime Stop Enter the downtime stop date and time in these fields. If the information is available from the Short Form, the system will fill in these fields automatically.

Machine Downtime This field is the downtime, in minutes, calculated by the system from the information entered in the Downtime Start and Stop fields. Manually enter a value in this field if the date and time information is not available.

Line Downtime Use this field to enter the hours: minutes or minutes: seconds the line is down.

Work Details After completing work on this Work Order, use this field to enter the details of the work performed. This is a free-flowing text field.

Occurrences Use this field to document the number of occurrences for this repair. For example, a technician adjusted a chain on one conveyor twice in one shift; the occurrences field would read 2. This alleviates the need to write a second Work Order.

Actual Hours This contains the total number of labor hours charged to the Work Order. The system automatically calculates this value from total hours input into the Labor Tab.

Hours Remaining This field contains the number of hours remaining to complete the Work Order. The system automatically calculates the value by subtracting the actual man-hours from the estimated man-hours.

Follow Up Needed Check this box if there is follow up needed on this Work Order. If selected, a new work order will be created when this work order is set to a status of 9 (Closed). The new work order will populate with the Location, Area, Asset from the originating work order and will have a status of F (Follow-up). Also, any information from the Instructions field and the Work Details field from the originating work order will populate in the Instructions field of the new work order.

Meter Reading This field is used to capture the meter reading if this Work Order was generated from a Meter PM after the work has been completed.

Actual Parts Tab This tab of the Work Orders module allows users to enter repair parts used in the repairs made. The general descriptions and usage’s of the fields are:

Quantity Enter the quantity of parts used in this column.

Stock Check this column if the part is in the Inventory module.

Part Number Enter the part number in this column. If this is an inventory part, the system will automatically fill in the description and cost columns.

Description Enter the description of the part in this column. If this is an inventoried part, the system will fill in this column automatically.

Stocking Location Enter the stocking location of the part or select from the dropdown.

Task Code Enter the task code associated with this part from planning if applicable.

Cost Enter the unit cost of the part in this column. If this is a inventoried part, the system will fill in this column automatically.

Total This value is the extended total for the part on this line and is automatically calculated by the system.

Estimated Material Cost This field is the total cost for all planned parts used for this Work Order. The system automatically calculates this value.

Total Material Cost This field is the total cost for all parts used for this Work Order. The system automatically calculates this value.

Material Planning Button Click this button to view the planning form for material and labor. Users can plan material and labor from here.

Actual Labor Tab This tab of the Work Orders module allows users to enter the labor hours taken to complete the task. The general descriptions and usage’s of the fields are:

Technician Enter the technician code in this column. Users may select the technician code from the dropdown or enter the appropriate technician code.

Name The technician name associated with the selected technician code is automatically entered into this column by the system.

Rate Enter the labor rate for this labor entry (line) in this column. Users may select the labor rate from the dropdown or leave the field blank. The labor rates are defined within the Group Codes.

Total Hours This column contains the total time charged to the Work Order for this labor entry (line). Enter a time in this field, in hours and minutes. For example, to enter one hour and fifty minutes, enter ‘150’. The system will format this to ‘001:50’, which indicates one hour and fifty minutes. Enter the start and finish date and times to have the system calculate the total hours. Or Leave the total hours blank and allow the system to calculate the number based on the start and stop times entered next.

Start Date The system will default to the current date (based on users computer’s settings). Enter the starting date for this labor entry (line) in this column.

Start Time The system will default to the current time (based on users computer’s settings). Enter the starting time for this labor entry (line) in this column.

End Date The system will default to the current date (based on users computer’s settings). Enter the ending date for this labor entry (line) in this column. Or Assuming the Total Hours and Start Date and Time were already filled in, the system will calculate this value automatically.

End Time The system will default to the current time (based on users computer’s settings). Enter the ending time for this labor entry (line) in this column. Or Assuming the Total Hours and Start Date and Time were already filled in, the system will calculate this value automatically.

Est. Total Hours This field is automatically populated from the Labor planning record for the Work Order. If this Work Order was generated from a calendar or meter PM plan, the data in this field originates from the associated plan.

Actual Man-hours This field is the total man-hours for all labor charged to this Work Order and is automatically calculated by the system.

Planning Button Click this button to view or create planning records for labor and material for this Work Order. If this Work Order was generated from a calendar or meter PM plan, the data in planning originated from the associated plan.

Job Costing Tab This page of the Work Order module allows users to track the job costs of a Work Order. The Work Order cost can be assigned to a charge department or to a special account code, and the Work Order cost includes all labor, parts, and contractor costs. The general descriptions and usage’s of the fields are:

Contractor Use this field to enter a contractor code if the work performed on this Work Order is assigned to an outside contractor.

Contractor Name This field is used to display the contractor name and is automatically filled in by the system once a contractor is selected.

Project Type Project Types can give many Work Orders a common relationship. For example, a capital project may have a large budget and require many hours to complete. If a project type is entered on all the Work Orders required to complete the project, a comprehensive end of project report can easily be constructed.

Project This field is used to identify which project the Work Order costs should roll up against. Only the Projects that have been associated with the selected Project Type will display in the drop down selector.

Phase This field is used to identify which phase of the project the Work Order costs should roll up against. Only the Phases that have been associated with the selected Project will display in the drop down selector.

Category This field is used to identify which category of the selected phase the Work Order costs should roll up against. Only the Categories that have been associated with the selected Phase will display in the drop down selector.

Contractor Material Cost Record the cost of material or parts provided by the contractor with this field.

Contractor Labor Cost Use this field to record the cost of labor provided by the contractor for this Work Order.

Contractor Total Cost This is the total cost of the work provided by the contractor for this Work Order. It is automatically calculated by the system from the values entered into the Contractor Material Cost and Contractor Labor Cost fields. If the material and labor costs are not available, enter the total cost from the Contractor’s invoice here.

Inside Labor Cost This field is the total cost of the labor provided by users company’s technicians for this repair and is automatically calculated by the system from the data entered into the Labor Index Tab.

Inside Parts Cost This field is the total cost of the parts used by users company’s technicians for this repair and is automatically calculated by the system from the data entered into the Parts Index Tab.

LTD WO Cost This field is the total cost for the Work Order and is the total of Job Cost plus Inside Labor Cost plus Inside Parts Cost fields.

Charge Department This is a pop up field, whose list of possible values is defined by users, and it is used to show the department to which repair cost for the Work Order will be charged. Each charge dept can have a Budget Amount, Start and End dates associated with it. These are reference fields that can be used in a Crystal report.

Estimated Cost This field is used to display an estimate of the total cost of a Work Order.

Account Code This field is used to assign a Work Order cost to special accounting code numbers, which are defined by users. Each account can have a Budget Amount, Start and End dates associated with it. These are reference fields that can be used in a Crystal report.

Details Tab This page of the Work Order module allows users to enter Work Order details including est. production hours, est. non-production hours, line number, defect 2-4 and product.

Est. Production Hours This is the number of production hours needed to complete the job (i.e. hours production will be shut down during the job).

Est. Non-Production Hours This is the number of non-production hours needed to complete the job (i.e. hours production is usually shutdown).

Line Number If the equipment is part of a larger production line, the line number can be entered here.

Created By This system populated field will display the ePAC security user id of the person who created this Work Order (only if ePAC Security is turned on).

Product Many machines are capable of producing a variety of parts or product. Use this field to specify which part or product the machine was running when the repair took place.

Conditions Tab This page of the Work Order module allows users track up to sixteen equipment conditions. These can include, but are not limited to, motor current draw, voltages, air pressure readings, oil pressure readings, brake and clutch clearances, etc. Users can define the names of the sixteen condition fields in System Administration. These fields are provided for custom report purposes.

Custom Fields Tab This page of the Work Order module allows users track up to sixteen user defined equipment conditions or information fields. Users can define the names of the sixteen fields, and may use this data in custom reports. Field names may be customized in the System Administration.

Crystal Report Writer

Overview All reports provided in ePAC have been written using Crystal Reports. With this feature, creating custom reports or editing the standard reports is a simple task. Additionally, the Work Order and Purchase Order printouts are created in Crystal.

Designing and Modifying Reports There are two options for creating and/or modifying reports for use within ePAC:

Contract with EPAC Software Technologies, Inc. to write these reports. For more information and a price quotation, please call EPAC Software Technologies, Inc. at (888) 336-3722 ext.4.

Purchase Crystal Reports and design the reports in-house. A thorough knowledge of the ePAC data tables and Crystal Report Writer would be necessary to create custom reports. Call EPAC for more information on Crystal Reports training.

Note: If users modify any of the standard reports included with ePAC, please keep a backup copy as they may be overwritten during any future upgrades that we provide. EPAC does not provide support for Crystal Reports. For any support or questions concerning the modification of existing, or creation of new reports using Crystal Reports, please refer to users Crystal Reports manual or contact Crystal Services technical support department.
