Frequently Asked Questions

1. What is the amount required for a deposit & when is it due? The amount required is $1,000. This amount is non-refundable should you cancel or change your date but is applied toward your special event. Your deposit will be due when you sign your agreement, which should be done as soon as you decide that the Hilton is the perfect place for your celebration.

2. Are taxes and service charges included in your package prices? Yes – All taxes and service charges are included in the Wedding Packages. Any additional requirements, such as audio visual equipment or alcohol purchases will have a 24% service charge & 7.55% tax applied.

3. How much time is allowed for the reception? Your wedding reception is unique to you and, therefore based on your requests. Your agenda will be discussed during your detailing meeting. The Ballroom is available until midnight.

4. Will My Wedding Coordinator personally handle and attend our reception? Your wedding coordinator will guide you through the planning stages, menus selection, ceremony and through the start of your reception. After your Wedding Specialist departs, your Banquet Captain will oversee your event.

5. How many meetings do I have with the Wedding Coordinator? Typically 4-6 Meetings. The first is a site tour with your friends and family to view the property and ask any initial questions you have, which usually takes about an hour. The next meeting is usually the food tasting which is complimentary for up to 4 people. A special tasting event is scheduled each February where the ballroom is set up as a wedding, which will give you an opportunity to truly experience the hotel. Individual tastings can also be arranged for anyone not able to attend in February and must be arranged at least 2 weeks in advance. The longest meeting is the detailing meeting, which takes place 1-2 months prior to your scheduled event and usually takes about 2 hours. The next meeting is the final meeting, which will take place 3-4 days prior to your special day. This meeting usually takes an hour and will be a final review of your event, guaranteed guest count & final payment. At this meeting, you will also have an opportunity to drop off any specialty items for your event including guest favors, card box, unity candle, etc.

6. What is the "guaranteed guest count" and when is it due? Your "guaranteed guest count" is the amount of people you expect to attend your reception/ceremony. The "guarantee" is due no later than 3 business days prior to the date of your wedding. Once you have "guaranteed" a specific number, that number cannot be decreased but can be increased, within reason. You will be charged for the final number that you guarantee.

7. Can we bring in our own catering from an outside company? No. Due to our food & beverage license, outside food & beverage is not allowed. We do, however, allow you to bring in your wedding cake from an outside vendor.

8. Can we use the Hilton shuttle for our guests coming in from the airport or to bring guests to and from our ceremony? We do have a complimentary guest shuttle available to all of our guests to/from Old Town Fort Collins from 8 am - 10 pm. For shuttles outside of Fort Collins and after hours it is best to contact Super Shuttle or Green Ride Colorado. Our hotel is a pick up/drop off location for Super Shuttle, which offers airport shuttle service to/from Denver International Airport.
