SCOPE OF WORK

SEA, LAND AND AIR FREIGHT

The client will provide GCS with a shipment advice/ arrival notice prior to the consignment's arrival in

Jebel Ali with full and correct supporting documents to secure release of consignment from the

shipping line and certification to allow onward movement to the desired locations with UAE and for

further exports.

The documents required for Import/ Export clearance (Ocean, Land and Air Freight) are:

Two sets of original bills of lading/ air way bill, duly endorsed by the client. If it is to be cleared then it has to be stored at Jebel Ali and the bills of lading / air way bill to be mentioned and consigned to Global Cargo System.

One set of original commercial invoice providing information description of goods, number of packages, gross and net weight, unit price, total value, country of origin, shipping marks.

One original set of certificate of origin for exports. (Made in should be embossed/ stuck on every item/ individual is mandatory since this is a Jebel Ali Free Zone requirement. Stickers are not allowed for Exports to Kuwait)

Packing List with type of packing, contents and dimensions of each package. In case of footwear details of pairs, size and qty in each package.

In case of Exports by Land Duty payment details (this being a Jebel Ali Free Zone requirement and to be paid at the point of exit.

However, in case of non-availability of the original bills of lading/ air way bill, the import shipment

can be cleared through the customs under a deposit with the free zone customs authority. Refund of

which would be against the submission of the original documents within 30 days from the date of

clearing the consignment.

GCS/DSS Group will undertake activities like, liaising with the shipping lines/ DNATA, collection of

delivery order from the lines, processing the customs documents for Import and Export, arranging

transport for inward and outward movements, attestations and legalization of documents as and

when required for exports and any other activities.

GCS/DSS Group also addresses all the clearance formalities including Port and Customs fees and

other Official charges.

INFRASTRUCTURE

Facilities

GCS has a modern warehousing Facility in the Jebel Ali Free Zone with a provision for

ambient and dry storage. The dry store sizes 10,000 square meters and the cool storage

measures 1215 square meters with a loading and unloading bay of 1150 square meters. The

5,000 and 7,000 square meter warehouses are fitted with heavy duty and adjustable racks and

has over 12,000 pallet positions with a total capacity to accommodate around 18,000 CBM of

cargo. All the racks and pallet positions are bar coded on alpha numeric basis to support the RF

technology operations, posed by the Warehouse Management System EXCEED.

The warehouse is equipped with 14 movable ramps that facilitate unloading and loading of 14 containers simultaneously thus enabling a faster warehouse response time.

Global Cargo System is also equipped to carry out the value added services like packing, labelling and any type of reworking.

The entire facility is connected to the fire fighting department of the Jebel Ali Free Zone and is provided with smoke detectors.

Monthly pest control and garbage disposal will be done by the Jebel Ali Free Zone Authority.

Cleaning Job with floor cleaning machines to be done by in-house cleaners.

Round the clock security outsourced to professional security agency.

Well equipped and maintained by OEM's for all warehouse operations.

Warehousing and Distribution:

(A) Inbound

Global Cargo System upon receipt of a pre alert message from the clients in the form of

completed documents will arrange for the transportation of the consignment to the

warehouse, Unstuffy container / pickups, cross verify with the packing list, segregate,

palletize according to the SKU/ Item wise, receive into the systems and store into the

respective locations.

Product characteristics such as the country of origin, expiry date, serial numbers, etc if

applicable/ required are captured at this point of time.

The put away process is managed by the system depending on the product characteristics,

such as weight, volume, dimensions, etc and is based on RF Technology.

Any discrepancy in the form of damage internal or external, short or excess receipts, wrong

product receipt will be informed to the client immediately verbally/ mails and to be followed

by fax in the form of a “Goods Receipt Note” generated through systems. A goods receipt

note is sent for each consignment to the client to confirm the details of items received,

shortages, excesses, wrong items and damages. In case of goods received in pallets / master

cartons, DSS will not be held responsible for the contents in terms of quantity, items, lot

attribute within and shall be assumed and received as declared in the packing list.

In case of normal circumstances the process of receipt to put away will take one working day

with the exception where goods received do not match the packing list, delay in clearing the

containers due to mismatch of documents, container damage, issues relating to Insurance

claim in case of container damage, or due to circumstances beyond Global Cargo System’s

control.

Warehousing and Distribution:

(B) Outbound

Global Cargo system upon receipt of an order in the form of completed documents from the

client will arrange to pick up the items from the respective locations as per the pick list

generated from the systems. Items picked are cross checked and verified with the order

received and then loaded onto the containers/ pick ups for exports.

Product rotation is normally carried on a First In – First Out or First expiry – First Out method.

Any other product rotation has to be specifically advised and agreed.

A delivery note is then sent to the client to confirm the details of goods shipped. The

delivery note shall carry all details contained in the order along with the details of

container/ pick up, name of the person/ line collected with contact details.

DSS will advise the client on a monthly basis on the stock position, inward and outward

movement of items. Any other customized report if required has to be specifically advised

and agreed.

The Client has to advise Global Cargo System in advance:

The volumes, range and type of items/ SKUs to be stored with the measurements, weight, country of origin, HS Codes and all information relating for an efficient warehouse handling
